IMPORTANT EXPO DETAILS Registration and Hotel Reservations The PSATS Public Works Expo Registration System opens at 9 a.m. Monday, July 20, 2026. Registrations will not be accepted before the official opening time. You will receive an immediate email confirmation when you register. The registration site is pwx.psats.org.

Two badges are included in your exhibit fee. Additional badges cost $100 per person through October 8, 2026, and $150 thereafter. Exhibitors can add, remove, or change badge names online until the close of business on Friday, November 6, 2026. Keep your badge safe, as a replacement during the expo will cost $50. Official badges are required to enter the exhibit hall.

All Exhibit space and registrations must be made online. If paying by check, a $25 service fee applies.

All booths must be set up by 7 a.m. Tuesday, November 10. PSATS reserves the right to resell any empty booth spaces after 7 a.m. November 10. No refunds will be given for no shows.

EXHIBIT SPACE DETAILS

Setup Times: Set-up of Exhibition vehicles and equipment will be on Monday, November 9, from 12-2 p.m. with all other exhibit setups from 2:30-5:30 p.m. Exhibits and supporting materials must be in place by 7 a.m. Tuesday, November 10. (Times are subject to change; advance notification will be provided for any time changes) • Booths must be staffed by 7 a.m. Tuesday, November 10.

• Each booth includes back and side rails, drapes, a table, two chairs, and a sign. The hall is carpeted.

Tear Down: • No exhibitor may tear down before 11 a.m. on Wednesday, November 11. Violation may result in ineligibility for future expos.

Cancellation Policies: • Booth cancellations on or before October 8 will be assessed a $140 administrative fee.

Hotel Reservations: A block of rooms has been secured at Kalahari Resort at a rate of $165 per night plus applicable taxes. All standard rooms include 4 water park passes. Rooms are on a first-come, firstserved basis, and everyone is responsible for reserving and paying for their own room. Rooms can be booked at https://book.passkey.com/e/51275698 or by scanning the QR code.

Deposit policy for individual reservations: One night (plus tax) at the time the reservation is made. Cancellation policy for individual reservations: 72 hours or more prior to arrival for a refund, less a $30 processing fee. Less than 72 hours prior to scheduled arrival forfeits the entire deposit.

EXECUTION OF CONTRACT

Pennsylvania State Association of Township Supervisors reserves the right to decline or prohibit any exhibit, exhibitor, or proposed exhibit not approved by it and to permit only such matter and conduct as it may approve. This reservation covers people, things, conduct, printed matter, advertisements, souvenirs, and emblems, and all else that affects the conference. The Exhibitor agrees to indemnify and hold harmless the sponsoring and operating organization, PSATS, its members, officers, directors, and employees against any or all damages to property or personal injury or loss caused by the Exhibitor or his agents, representatives, employees, or any other person. Exhibitor space cancellations will incur an administrative fee until October 8, and no refunds will be issued after October 8. I/We have read the entire contract, including the Terms and Conditions, and agree to abide by its contents.

This contract is not binding upon PSATS until it has been duly accepted and signed by its authorized representative. PSATS reserves the right to use any pictures, social media, videos, or recordings of any part or the whole exhibit and staff as promotional material for future events.

Please refer to the Kalahari Resort and Convention Center guidelines for additional information specific to corporate policy, procedures, shipping, vehicles, and other convention needs.

Terms and Conditions: The undersigned (herein called “the exhibitor”) agrees to these terms and conditions as stated in this EXHIBITOR CONTRACT. 1. This Exhibitor Contract is for Exhibitor space, and if applicable, sponsorship opportunities, which include guest credentials for exhibitors or their representative.

2. This is an indoor, ceiling-height venue. Smoking is not permitted in the Exhibitor space or during conference sessions. Each standard Exhibit package will include the following ‘Pipe and Drape’ package:

Additional options available for your consideration: • Audio Visual equipment, furniture, accessories, and services may be contracted if needed; the Exhibitor is responsible for arranging computer/phone lines with Kalahari Resort. The Exhibitor is responsible for any additional costs that this may incur.

• Display of vehicles within the exhibition hall is available. A 16’ x 30’ space accommodates one average-sized vehicle. For the safety of all, Kalahari Resorts maintains specific standards for the indoor display of vehicles. A copy of these guidelines is available for your consideration.

Basic Display Information: • Fuel levels must be at ¼ or less for display • Vehicle batteries must be disconnected • Exhibitor must present proof of vehicular insurance (no less than 10 days prior to arrival • - email to rore@kalahariresorts.com) • Visqueen must be placed underneath each display vehicle (provided by authorized vendor/driver) • Exhibit hall entryway door for display vehicles is 16ft wide x 15ft tall • Vehicles cannot be left running once parked inside • Kalahari is not responsible for any vehicles left unattended • Please contact Kalahari directly if you are bringing a non-traditional vehicle to confirm that size/weight/special needs can be accommodated.

1. The Exhibitor may not share their booth with any other business in any way, which includes distributing information, product literature,

business cards, or the display of products.

2. The Exhibitor may not conduct any raffles, drawings, or distribution of marketing materials intended to divert attendees to specific events beyond the confines of the exhibit hall without written permission from the Expo show coordinator.

3. PSATS reserves the absolute right to assign all Exhibitor space after receipt of a signed and completed application AND payment in full. Noisy exhibits, odor-producing exhibits, exhibits displaying bad, lewd, immoral taste, of questionable nature, or demoralizing tendency are expressly prohibited. The right is reserved by and expressly granted to PSATS representatives to remove from any exhibition space and from the building, with or without notice, any article or person or exhibitor which, in its opinion, is not in keeping with the conference code of conduct or is an infraction of any provision of this agreement.

4. Exhibitors will be responsible, at all times, for their merchandise. PSATS will not be liable for theft or loss of exhibit items, merchandise, and wares, or any individual property of exhibitors, their employees, or agents.

5. It is specifically promised, understood, and agreed upon between the parties that the PSATS will not be liable in any way to the Exhibitor for injury or damage by any cause whatsoever, including an Act of God, fire, theft, or national or state emergency. It is further agreed that the Exhibitor agrees to carry workers’ compensation for all exhibitors’ employees, if necessary, by statute.

6. Exhibitors shall register at the conference registration desk upon arrival and prior to setting up exhibits. Exhibitors will be provided with their Exhibit area location and credentials at this time. Exhibition space is pre-determined and on a first-come, first-served registration basis. For safety reasons, Exhibitor vehicles will not be permitted to leave the Exhibit floor before 11 a.m. Wednesday, November 11, 2026.

Setup, Removal, and Exhibit Hours 1. The Exhibitor, their employees and/or representatives are responsible for assembling, dismantling, packing, unpacking, and placement of any materials for their display. Arrangements to ship booth materials or other items for the Exhibitor display must be made with General Exposition Inc. prior to the Exhibitor’s arrival and/or departure. Exhibitors are solely responsible for all costs associated with shipping, applicable offloading, and storage fees.

2. Set-up of Exhibition vehicles WILL be 12-2 p.m. with all other exhibit setup from 2:30-5:30 p.m.

Monday, November 9, 2026. Exhibits and supporting materials/displays must be in place by 7 a.m. on Tuesday, November 10, 2026. (Times are subject to change; advance notification will be provided for any time changes) 3. Nothing may be affixed, nailed, or otherwise attached to walls, floors, ceilings, doors, etc., in such a manner as to deface or destroy said property. All space is leased and is subject to these restrictions. Violations of these rules will void the Exhibitor’s contract, and the Exhibitor will be held liable for any damages from such violations. Payment of any damages shall be made by the Exhibitor directly to Kalahari Resort and Convention Center and or General Exposition. All boxes, crates, and packing materials used in connection with the exhibit must be removed from the area by no later than 2 p.m., Wednesday, November 11, 2026.

4. Each and every article of Exhibition must be removed from the premises by no later than 2 p.m., Wednesday, November 11, 2026, unless permission in writing is first obtained from PSATS and The Kalahari Resort and Convention Center.

5. The Exhibition Hall will be available to attendees and guests during exhibit hours, Tuesday and Wednesday, November 10 and 11, 2026.

Dedicated times have been established in the expo schedule to afford attendees and guests time to commit to our Exhibitors.
