Important Conference & Registration Details The PSATS Conference Registration and Hotel Reservation Systems both open Tuesday, January 9, 2024, at 9 a.m. You will be able to take care of both at the same time and will receive immediate confirmations for both.

EXHIBIT HALL HOURS n On Sunday, the Exhibit Hall will close from noon-12:45 p.m. and 5-6:15 p.m. Show hours on Sunday are 1-5 p.m. (Grand Opening at 1 p.m.) and 6:30-8 p.m. (Welcome Reception with Exhibitors. ALL booths must be staffed for the reception.) REGISTRATION DETAILS n All exhibit space and exhibitor room reservations must be made online. If you are paying by check, there will be a $25 service fee. n To register for the conference and reserve rooms, go to conference.psats. org. After you register for exhibit space, you will be prompted to reserve hotel rooms if you need them. EXHIBIT SPACE DETAILS Exhibit Booth Setup Times

Indoor Exhibit Booths – Saturday, 3-8 p.m. and Sunday, 8 a.m.-noon. The exhibit hall will close at noon on Sunday; exhibitors can return between 12:45-1 p.m. for the grand opening. Hours of show on Sunday are 1-5 p.m. and 6:30-8 p.m. for the Welcome Reception with Exhibitors. Exhibit booths must be staffed while the exhibit hall is open.

ATTENTION!

All booths must be set up by noon and staffed by 1 p.m. on Sunday, April 14. PSATS reserves the right to resell any empty booth spaces after noon on April 14. No refunds will be given for no-shows.

Outdoor Exhibit Booth Setup – Saturday, 11:30 a.m.-3:30 p.m. and Sunday, 8 a.m.-noon All of the spaces will be numbered. Association staff will be available to help you find your space.

Indoor and Outdoor Space

The indoor exhibit area can accommodate 213 exhibits, 16 of which are located in the lobby outside the main exhibit hall. Each space is 8’ deep x 10’ wide and includes back and side rails and drapes, a 2’ x 6’ table, two chairs, and a sign. The entire hall is carpeted. The outdoor exhibit area has 70 exhibit spaces. Each space is 14’ wide x 40’ deep (unless otherwise noted.) All booths include a sign; a table and up to two chairs will be provided upon request when you register. All equipment must fit inside your booth space. Because of strict space limitations, equipment may not be displayed outside on flatbed trucks in your exhibit space unless you receive permission from PSATS.

Register and Make Hotel Reservations at the Same Time The PSATS Conference registration will officially open on Tuesday, January 9, 2024, at 9 a.m. At that time, you will be able to go online at conference.psats.org to register. No registrations will be accepted until that time. The PSATS Help Desk will be available to assist. All exhibit booth and hotel reservations must be made at conference.psats.org. No spaces will be reserved unless your reservation is accompanied by your exhibit fee. Absolutely no spaces may be reserved by phone. REGISTRATION FEES: In addition to their booth rental, EXHIBITORS must also pay $40 per person for badge registrations beyond the two free badges included in their exhibit fee. The badge fee increases to $65 beginning April 10. Exhibitors who add any registrants on-site during the conference will be charged $65 per registrant. Conference registration cancellations received through March 25 will be assessed an administrative fee of $50 per member/ non-member registration and $25 per guest registration. No refunds will be made for conference registration cancellations received after March 25. NAME BADGES: All registered exhibitors and their guests will receive a name badge upon arrival at the Hershey Lodge. You must wear your name badge to enter the exhibit hall. Your badge is your ticket. If you lose your badge, it will cost $50 for a replacement.

If you have an outdoor booth location preference, please indicate your first, second, and third choices when registering. Because many exhibitors often want the same outdoor exhibit spaces, we cannot guarantee your choice of space. The sooner you register, however, the greater your chances are of getting the space you want.

HOTEL RESERVATIONS: Exhibitors will be able to confirm, modify, or register for the conference, reserve exhibit space, and make hotel reservations online through the PSATS conference registration and hotel reservation system. After you have registered and paid, you will simply click on the link for the hotel reservation system. You will be able to see photos of the hotel rooms before making a reservation, and your lodging confirmation will be generated from the room reservation system immediately. Each hotel will follow up with a final confirmation by March 22. BOOKING ROOMS AT THE HERSHEY LODGE: Because there is a limited block of exhibitor rooms at the Hershey Lodge, exhibitors who need hotel accommodations will be able to book only ONE room at the Lodge, if desired. Once this room block is taken, all other rooms must be booked at other facilities. If you use the hotel reservation system

for more than one Hershey Lodge room, all reservations will be void. RESERVATION POLICIES: A minimum two-night stay is required to book rooms at the Hershey Lodge and the Hotel Hershey. ROOM AND BOOTH CANCELLATION POLICY: All booth cancellations through March 25 are subject to a $140 administrative fee. After March 25, no refunds will be granted on any booth rental fees and registrations. Cancellation policies differ for each hotel and will be noted on the confirmation received from the hotel. Any hotel changes or cancellations through March 31 must be done by the individual through PSATS, 717-763-0930, ext. 190. IMPORTANT DETAILS Exhibit Hall Access The exhibit hall has ground-level access to the parking/unloading area through a 12'x18' door. If you have a dolly, we recommend that you bring it for transporting your exhibit into the exhibit hall. Dollies and flatbeds are available but are in very limited supply. There is no floor loading limit in the exhibit area. The entire area is carpeted, and the floor-to-ceiling height measures 22 feet. Shipping All exhibits that are being shipped must be sent to Hershey Expositions. Exhibitors will receive the necessary information about this a month before the show. Door Prizes Exhibitors may hold drawings at their booth for door prizes. If you plan to hold a drawing, you will need to bring plenty of forms, plus pens and a container to hold the forms. The association will post the winners of drawings on a message board in the Chocolate Lobby starting at 10 a.m. Tuesday, April 16. 4

Hosting Special Activities/Receptions If your company is interested in hosting special meal functions, receptions, or other activities at the Lodge during the conference, please call Donna Centofanti at PSATS at (717) 763-0930, ext. 118, or email dcentofanti@psats.org. Food/Beverage Distribution from Your Booth Exhibitors are prohibited from distributing food and beverages from their booth unless they get permission from the Hershey Lodge. Please contact Alyssa Atkins, convention services manager, at (717) 534-8612 or aljatkins@ hersheypa.com. Exception: Small pieces of candy. Electric Service/AV Equipment/ Furniture/Forklifts/Etc. All arrangements for electric, AV equipment, extra furniture, forklifts, rigging services, or labor must be ordered from Hershey Expositions before the show. If you will be bringing unusually heavy or unwieldy items that require special unloading or moving attention, you will

need to contact the exposition service to make sure your needs are met. Do not wait until the day of the conference. Booth Assignments and Additional Information to Follow All exhibitors will receive more details about the exhibit show and all forms referred to in this flyer a month before the show; outside exhibitors will receive booth assignments also at this time. Please be sure to read this information c arefully when you receive it, complete and return all necessary forms immediately, and take care of any special needs with Hershey Expositions. Staffing of Exhibit Booths PSATS requires all exhibitors PL EASE to have someone staffing their N O TE! booths at all times during show hours. If you cannot have someone at your booth all three days, you may not exhibit at this show. We ask for your cooperation in observing this policy. It will be to your advantage, as well as that of our members who attend the show.

Hospitality Suites

SUNDAY, APRIL 14 Welcome Reception with Exhibitors

To register for a hospitality suite, go to conference.psats.org. Hospitality suites at the Hershey Lodge must be reserved through PSATS and cannot be reserved through the online Group Reservation System. There are limited rooms available for hospitality suites, and reservations will be taken in the order received. Hospitality suites must be open (at a minimum) Sunday, Monday, and Tuesday evenings, April 14-16. The guest room rate includes overnight accommodations only per room per night and are subject to all applicable taxes, including the 6% state hotel tax and 5% Dauphin County hotel room rental tax. Note: The Hershey Lodge requires a minimum $200 per day food/beverage purchase from those reserving hospitality rooms. Failure to meet this minimum daily charge will result in the Lodge adding the difference to your room bill at check-out.
