Office Guidelines

Office Attire

PBS Head Office requires a smart casual dress code.

You will see dresses, jeans, blazers, flats and heels upstairs, with comfortable and safe work attire in the warehouse. Most things are accepted, so long as you are well presented, clean and tidy.

Office Location & Parking

Address: Unit 9, 18-28 Sir Joseph Banks Drive, Kurnell

• We are located in the industrial area of Kurnell, a sign for the ‘Desalination Plant’ is a good indicator for turning right.

• Having your own car is essential as the public transport system to Kurnell does not run regularly.

• There is plenty of untimed, street parking close to the office, located on Chisholm Road.

Leave Process

Personal (Sick) and Carers Leave

• Text your manager and department head letting them know you are unwell.

• Your manager will make note in the PBS office calendar and advise any team members relevant to your working day.

• Ensure you log your sick leave in Employment Hero by the end of the day.

• If you will be off for 2 or more days, a medical certificate is required. Please upload to Employment Hero.

• A medical certificate is required if it is directly before or after a public holiday.

Annual Leave

• Check the PBS calendar to see if anyone else in your team is already on leave, or if it’s during a busy/blockout period (ie. sale or key event) when taking leave may not be ideal. If the calendar looks clear, speak with your manager to discuss and request your leave.

• Submit your leave request through Employment Hero. Final approval will be given by the PBS management team, taking overall business operations into account. Please do not book holidays until your leave request has been approved. PBS aims to finalise approvals within 3 weeks of your request.

• When submitting your request, it’s helpful (though not required) to include the reason for your leave i.e. like a holiday, wedding, or family commitment. This assists with planning, as some events (like weddings) can’t be moved, while holidays might be adjusted slightly if needed to accommodate team coverage.

Personal Leave

Apply for personal leave if you are:

• Unwell or recovering from surgery

• Attending specialist appointments

• Caring for unwell children or elderly parents who are unable to attend a medical appointment on their own

• Attending pregnancy-related scans

• Taking a mental health day

Annual Leave

Apply for annual leave if you are:

• Planning a holiday

• Routine appointments like dentist, physio or chiro (unless it’s an urgent issue preventing you from working)

• General care for children or elderly parents

Staff Purchase Guidelines:

• Please email these to Jac ( admin@probeautysolutions.com.au), she is the only person who can process these. A total will be sent to you before finalising payment.

• Staff orders can only be processed Mon to Thurs (by 2pm). Any orders placed out of these hours will be processed the next working day.

• One complimentary product up to the value of $45 wholesale per month worked (this does not roll over if unused). You’re welcome to purchase products for personal use at your staff discount, which is typically 35% off. This applies to both retail and professional-sized products, excluding equipment. Please note that the discount may vary slightly across different brands.

• Your friends and family are entitled to wholesale pricing, if you have any orders for them please note this in your email. Payment will be with your card details.

When you place orders please list the following:

1. Quantity

2. Full product description (code if possible) including size if it comes in different sizes

3. If you qualify for a comp product please advise if you would like to claim it on that order

PBS Unplugged Days

 4 paid days off per year

To support work–life balance and give everyone a chance to take care of life admin, like appointments or errands that can’t be done during office hours; all full-time team members are entitled to 1 PBS Unplugged Day per quarter – that’s four per year. A few things to know:

• They can be taken as full days only (not split into half days).

• They must be pre-approved by your manager.

• Should be booked in advance wherever possible, but we understand some teams may need to arrange them on a more case-by-case basis depending on workloads, orders or shipment schedules. Please work with your manager to find the best time.

• Cannot be taken on Mondays or Fridays or used to create an extended long weekend immediately before or after a public holiday.

• If you choose to take an Unplugged Day on a day you normally work from home, you’ll need to make up a substitute day in the office within the same week.

• Unused days do not roll over to the next quarter, so make sure you plan ahead to enjoy them.

• You must communicate your PBS Unplugged Day to your team and plan your workload accordingly. Please ensure your tasks and responsibilities are managed ahead of time so your absence doesn’t create additional pressure for others.

• Available once you have successfully completed your 6-month probation period.

PBS Unplugged Days are designed to give you regular opportunities to rest, recharge, and take care of the things that matter outside of work.

Early Finish Fridays (H/O Team)

 Office closes early on Fridays at 4pm

Every Friday, the office will officially close at 4:00pm, giving those working in the office a chance to enjoy a head start on the weekend. A couple of things to keep in mind:

• Early Finish Fridays are a perk for full-time employees who work in the office on a Friday.

• PBS reserves the right to keep the office open or require work on any Friday if business needs arise.

• If you’d like to leave before 4:00pm, you’ll need to apply for annual leave from the time you leave until your normal finishing time (usually 5:30pm, unless your standard hours differ).

• For example, if you leave at 2:30pm, you’ll need to take 3 hours of annual leave.

Consider it your extended head start to the weekend... a little extra time to unwind, recharge, or beat the Friday rush!

Working From Home

Working from home is only for positions where it is approved and operationally suitable. If you are approved to work from home, the same expectations apply as if you were in the office... with the added benefit of saving on commute and travel time.

Please remember:

• You are expected to be online, available and present during your normal working hours, just as you would be in the office.

• Make sure you’re accessible; answer calls, respond to messages, and be available for your team to reach you.

• When you take a break or lunch, update your Teams status so the team knows you’re away.

• A professional setup is important; ensure you have a reliable internet connection and a quiet environment with a large monitor where possible.

• If the week is shortened due to a public holiday or you are taking annual leave, working from home is not permitted during that time.

• Working from home should not coincide with caring for young children. You must have separate care arrangements in place to ensure you can perform your role effectively.

Working from home is about maintaining the same level of collaboration, communication, and commitment as being in the office... just from a different location.

Employee Assistance Program

The Employee Assistance Program (EAP) is a confidential counselling and support service offered to all PBS team members to help overcome personal or work related issues in a positive way. We are providing up to three hours per year to use alone or start your journey.

Q. Will my manager or employer know if I book an EAP session?

No, Acacia Connection is an independent EAP provider who ensures your counselling sessions remain completely confidential. Acacia Connection does not disclose any information relating to your EAP sessions to your manager or employer. In accordance with the Privacy Act, Acacia Connection never discloses your personal details to anyone without your written consent.

Q. Where can I have my appointment?

Acacia Connection has a network of highly qualified, registered psychologists and counsellors across Australia and internationally who can arrange assistance for you in a convenient location. Phone, video or text / live chat options are also available.

Q. How much will it cost?

Short-term counselling (up to three hours per year) is offered to you free of charge by PBS as part of your EAP benefit package. Speak to EAP to find out more.

The soul of PBS, Matt and Lisa lead a loyal team, with expert knowledge, enthusiasm, compassion and years of business management experience.

BUSINESS DEVELOPMENT

Our Business Development Partners are responsible for the success of our clients and their customer journeys. They handle everything from business assistance to treatment options and salon support. BDPs are on the road and on the phones ensuring our clients’ success!

CUSTOMER CARE

As our first point of contact at PBS, the customer care team will greet you at reception and on the phones with a warm welcome. They manage calls, online orders and customer queries, all while taking care of the snacks and supplies at PBS.

EDUCATION & TRAINING

Our incredible education team and in-house trainers have years of industry and product experience and are responsible for building curriculums, training our clients across all of our brands and online education.

SALES SUPPORT & SERVICING

Our sales support team assist the sales team with enquiries, managing leads, opening orders, and general problem solving. They are the first to jump in and support customer service as well!

FINANCE, OPERATIONS & ADMINISTRATION

This team is responsible for stock planning and ordering, finance and payroll and keeping the administrative side of the business flowing with a constant finger on the pulse of PBS.

MARKETING & DESIGN

The creative centre of PBS, the marketing and design team work closely together to conceptualise and execute strategy, initiatives, communication, campaigns, social media and events.

WAREHOUSE

The heartbeat of PBS operations, our warehouse team manage incoming stock, order fulfilment and general warehouse logistics.

Team Development Day

Every year, PBS hosts a team development day. This is a time for all of the departments to come together, align on goals and vision and boost motivation and productivity. Most recently, the PBS team was treated to the coveted Franklin Covey ‘7 Habits of Highly Effective People’ training, DISC Workplace Training and Radical Candour.
