The exhibitor manual has been designed to answer all your questions, so please take some time to familiarise yourself with all aspects of the manual in order to ensure a smooth and trouble free build-up and exhibiting at the show. A-Z of Services and Regulations Access All contractors and exhibitors if arriving in a vehicle must ensure that they have booked a time slot on the following on-line booking system – www.olympia.co.uk/traffic Details of the event, stand type, type of vehicle and vehicle registration must be inputted and the system will allocate the best available time slot. (Please note the organisers do not control the available time slots.) Time slots for build up and breakdown can be booked at the same time and a vehicle pass must be printed and placed in the vehicle window. Exhibitor build up wristbands – these will be distributed by security on the entrances of the hall. Security will ensure that the Health & Safety Declaration has been completed before handing over the wristbands. If not completed you will be required to read the site rules and induction and sign a document. This is turn will slow down entry to the hall, so we recommend that you complete this prior to the show. The vehicle booking system, which will allow you to book your vehicle will go live approx. 30 days prior to the show. Exhibitor open day wristbands – these can be collected from the organisers office. The wristbands must be worn throughout the exhibition days. Complimentary Tickets – are available to all exhibitors. Allocations for sponsors and partners are available from the Management Team. Alcohol The consumption of alcohol during build-up and breakdown is not permitted Attendance The Exhibitor acknowledges that the Organiser shall not be held responsible for the failures of all or any other contracted exhibitors to attend the Exhibition, or the failure of any number of visitors to attend the Exhibition for any reasons beyond the reasonable control of the Organiser. Audio Visual RITZY Music have been appointed as the official Audio Visual contractor for the exhibition. If you require any equipment for hire during the show please contact them on: Tel: +44 (0) 1895 251 006 Email: info@ritzymusic.co.uk Balloons & Inflatables ………… subject to permission prior to the event. All balloons must be tethered to the stand at all times. If any balloons have flown to the roof at the end of the exhibition, a charge will be made for their removal.


Build Up & Breakdown The timetable for build-up and breakdown is given in the Exhibition Timetable section of the manual. It is important that you contact us if you foresee any problems keeping to this schedule as all stands must be completed and dismantled strictly within the specified times. The exhibition is open until 18:00 on Sunday 11th November. Removal of exhibits and displays commences after the exhibition has closed and all visitors have left the exhibition hall. Under no circumstances may any goods be removed or packed away from your stand before this time. If the Exhibitor acts in breach of this provision, they shall pay to the Organiser by way of compensation for the detraction to the Exhibitions appearance, and in addition to all sums otherwise payable to the Organiser under these Terms and Conditions, a sum equal to one third of the total amount payable by the Exhibitor for his allocated stand space. We strongly advise you not to leave any items unattended on your stand during breakdown. Neither the Organisers nor the Venue can accept any responsibility for any loss or damage. Electrical power to stands will be switched off 30 minutes after the show closes. All items must be removed by 22.00 including stand-fitting materials. Items left on the gangways will be deemed as rubbish and thrown away. The Exhibitor will be liable for all storage and handling charges resulting from their failure to remove all exhibits and display materials from his/her allocated stand space. The Exhibitor must surrender any occupied shell scheme package in its original condition. The Exhibitor shall make good and indemnify the Organiser for any damage caused by the Exhibitor, their employees, agents or contractors to the Exhibition premises, or to any shell scheme occupied by the Exhibitor. Car Parking All parking in the Olympia car parks is chargeable. Discounted rates are available for all-day bookings made online, in advance. Please visit https://olympia.london/visiting/parking/book-parking for further details and pre-booking. The car parks are open from 0700hrs until one hour after the building closes (or one hour after the event closes on open days). Carpet Dimension 8 have been appointed the official flooring contractor for the exhibition. Stand space will be carpeted in Mid Grey with Gold isles. If you require any additional carpet, flooring, etc during the show please contact Dimension 8 on: Tel: 01633 270808 Email: info@dimension8.com Catering A number of catering points offering a wide selection of menu options will be available during the show serving snack selections and hot lunches. There will also be minimal catering facilities available during the build up and breakdown periods.


Please note that Levy’s are the sole stand and hospitality caterers for Olympia Exhibition Centre and all food and beverages consumed within the centre must be supplied by them. Stand Catering: the official caterers have provided a selection of food and drink which can cater for staff or client hospitality. You can view the selection online by clicking here www.levyrestaurants.standdelivery.co.uk If you require a more bespoke package please contact the sales team on Tel: 020 7598 5707 If you wish to carry out food and drink sampling on your stand, please advise the organiser, on 01743 606 744, in order to ensure that all relevant regulations are adhered to. If permission to offer samples is granted, the maximum sample sizes published in the eGuide must not be exceeded. Food hygiene regulations must be adhered to and are available at www.aev.org/eguide. Any sale or supply of alcohol at the show must be agreed and licensed by the venue. Selling alcohol for consumption at the show is not permitted. However, if you wish to provide samples for tasting or to sell unopened bottles for consumption off site, you must apply to the organisers using the form provided. The maximum sample size permitted is 50 ml for beer/cider, 25 ml for wine and 5 ml for spirits. Children Children under the age of 16 are not permitted in the halls during the Build up and Breakdown periods. This rule also applies to exhibitors' children and we have a responsibility to rigidly enforce it to comply with the safety regulations of the exhibition - please do not try to bring your children in, as you will be asked to remove them. Exhibitor passes are for staff working on your stand only and must not be issued to persons under the age of 16. The Organisers reserve the right to confiscate any pass used by those under the age of 16. Proof of age may be required. Cleaning The Exhibition Hall and Stands will be cleaned free-of charge prior to opening each day - stand cleaning includes, vacuuming of carpets or sweeping and mopping hard floor and emptying bins on single storey stands - please note that this does not include the cleaning of exhibits or other stand surfaces. Exhibitors are requested to place refuse for collection in bags and leave them in the aisles at the close of business. The organisers are not responsible for the removal of large items - the exhibitor will be charged directly for this. Cloakroom The Olympia London Cloakroom is located to the right as you walk through the entrance and will be open half an hour before the show and close half an hour after the show each open day. We regret there is no over-night storage, any items remaining at the end of the day will be sent to Security Lost Property. There will also be a charge per item. Complimentary Ticket’s Please see attached at the bottom of the exhibitor manual the FREE ticket for all exhibitors to hand out to your guests. There are no restrictions on the number to can give out. This ticket can be shown either on your mobile phone device or printed out.


Competitions Competitions involving prize draws, lotteries, raffles, etc. are not permitted without the expressed permission of the Organisers. A fine of ÂŁ100 will be levied for any unauthorized competitions. Compressed air gas and water All requests for these services must be addressed to the Organisers who will obtain quotations from the venue. No supplies may be brought in without prior permission of the Organisers. Delivery of Goods All exhibits and materials must be delivered carriage paid, direct to the stand. The goods should be clearly labeled asfollows: The National Asian Wedding Show 2018 Contact Name & Mobile No Stand Number XXXX National Hall Olympia London Hammersmith Road London W14 8UX Deliveries may be made to stands from Friday 9th November and not before this time Exhibitors must ensure that are presentative of their company is on-site to receive and sign for deliveries. Please note, deliveries must not be made to the Centre prior to the tenancy. The Organisers and the Venue are unable to accept responsibility for any goods delivered to stands that are unmanned and regret that they are unable to sign for goods, exhibits or other material on behalf of an exhibitor or contractor due to limited storage facilities. Demonstrations Exhibitors must ensure that demonstrations do not constitute a fire or safety hazard and must submit full details together with a risk assessment of the activity. The Organisers reserve the right to curtail any activity they consider detrimental to public safety. Disability Discrimination Act The Disability Discrimination Act (DDA), which has recently been revised, stipulates that no one can unfairly discriminate against disabled persons. Although the Organisers recognise that many exhibitors like to innovate with their stand design, the DDA is to be adhered to in all aspects of stand design, build and operation. We recommend that you make reasonable provision for visitors classified as disabled under the DDA within your stand design. You must clearly demonstrate in your Risk Assessment how you will not discriminate e.g. exhibits/products are clearly visible on the perimeter edges of the stand, portable ramps will be available instead, stand staff are trained to deal with enquiries etc. "It is important that service providers do not assume that the only way to make services accessible to disabled people is to make a physical alteration to their premises (such as installing a ramp or widening a doorway). Often, minor measures such as allowing more time to serve a disabled


customer will help disabled people to use a service. Disability awareness training for staff is also likely to be appropriate". - DDA Code of Practice When submitting stand designs, please clearly document the control measures in place if not submitting the Risk Assessment with the plans. The DDA goes into much more details regarding a company's requirements and platforms and ramps are just one factor. Disabled Access Olympia London has been purposely designed and built to allow unrestricted access to all visitors. Parking All levels of the multi storey car park are accessible, there is a lift to all levels. The lower ground has wider parking bays which are usable on a first come first serve basis. Distribution of Literature and ‘Off-Stand’ Promotions Exhibitors are advised that the distribution of literature, carrier bags or any other promotional goods must only be done from their own stand space. EXHIBITORS ARE NOT PERMITTED TO DISTRIBUTE LITRATURE ON BEHALF OF COMPANIES NOT PARTICIPATING AT THE SHOW. IF FOUND DOING SO THESE WILL BE CONFISCATED AND DESTROYED. THE OFFENDING COMPANY WILL BE FINED THE COST OF THEIR STAND AND / OR STAND WILL BE SHUT DOWN. THIS IS NON – NEGOITABLE Electrical Services & Electrical Regulations Dimension 8 are the official Electrical Contractor. They have a comprehensive range of electrical services for hire and installation and offer an extensive range of light fittings and flexible power supplies. The installation or alteration of any electrical fitting by any person other than a member of the contractor's staff is strictly prohibited. In accordance with current health and safety legislation all electrical equipment and fittings should comply with applicable test regulations. Any items failing such a test will NOT be connected to the Hall's supply. Exhibitors/Contractors who bring portable electrical appliances on-site should ensure that they have been regularly PAT tested (Portable Appliance Tested) and bear a recent PAST test pass certificate. 1 x 500w plug socket and 2 x spotlights will be supplied to each stand. If you require any additional equipment for hire during the show please contact Dimension 8 or use the Electrical Services order form which can be found in the Order Forms sections of this manual. Tel: 01633 270808 Email: info@dimension8.com Electricity Supply Timetable Electricity will be energised to stands as quickly as possible during the build-up period, subject to satisfactory inspection and testing of installations. Occasionally delays may occur due to the fact that adjoining stands are not complete and ready for inspection. During the full open days, power to stands will be from 08.00 each day until 30 minutes after the show closes. Any exhibitor needing


electricity for the running down of machinery or working equipment etc. after the exhibition closes on the final day must inform the Organising Office of their requirements. If a temporary main is required, either prior to energisation of stand power or during the breakdown period this should be ordered in advance through Dimension 8 Please remember to specify 24-hour electricity supply if this is required for refrigerators and/or computer equipment. Exclusion of Personnel The Organiser reserves the right, in its absolute discretion, to exclude or remove any person whose presence is, or is likely, to be undesirable. The Organiser may exercise such right, not with-standing that any such person is the employee, agent or contractor of the Exhibitor or otherwise in any way connected or associated with the Exhibitor. First Aid The venue provides emergency first aid assistance to anyone who needs it. Please contact the nearest security personnel or the organiser’s office for help. Alternatively, there is a first aid room on the Gallery/Level One, from where help can be summoned. If you believe an ambulance needs to be called, please ensure that this request is directed to the venue’s control room on 020 7598 2666. The staff’s knowledge of the venue and where to direct the ambulance could save vital time. The organiser will be able to direct you to a pharmacy close to Olympia London for supplies of plasters, headache tablets, etc. Furniture Dimension 8 have been appointed as the official Furniture Contractor. Details of furniture available for hire together with a price list can be found on the order form section of this manual. Tel: 01633 270808 Email: info@dimension8.com Gangways During the build-up and breakdown periods, Emergency Gangways will be in operation and must remain completely clear at all times. During the open period under no circumstances must any part of a stand, furniture, or exhibits project beyond the boundary of the stand, with the exception of the Organisers' shell scheme fingerboard, which may project into the gangways. Doors or windows must not open outwards onto gangways. All doors must have vision panels. Exhibitors should not engage in any activity or employ any person or device that, in the opinion of the Organisers, tends to create unreasonable congestion in the gangways. Email: ajit@ukvenues.co.uk Height Restrictions The height limit is a maximum of 4 metres for all stands. Please note that any stand that exceeds 4m in height has special conditions imposed and a structural engineer sign off will be required. Please contact one of the events team on 01743 606744 if this applies to your stand. Health & Safety Please refer to the Health and Safety Section of the manual. Insurance Exhibitors should ensure they have adequate insurance protection when attending one of our Exhibitions. As a minimum we require you to have £10 million Public Liability Insurance cover against personal injury, damage to or loss of exhibits etc. IT & Communications eForce is the provider of Internet and telecoms services at the venue. If you need an Internet connection, telephone or ISDN line, laptop or Internet kiosk, please complete the form in this manual and return it with a plan by the deadline stated, or book online at http://eforce.co.uk/, Nameboards All Shell Scheme exhibitors should complete the Nameboard Order Form to ensure that the correct name appears on their nameboard. If this form is not completed, the name used will be the company name as stated on the stand booking form.

PLEASE NOTE – IF THE NAMEBOARD FORM HAS NOT BEEN COMPLETED AND SUBMITTED THE COMPANY NAME OFF YOUR CONTRACT WLL BE USED. WHEN YOU ARRIVE ONSITE AND THE NAME OFF THE CONTRACT IS NOT CORRECT PLEASE NOTE THERE WILL BE A CHARGE OF £25.00 TO CHANGE IT. THIS WILL NEED TO BE PAID BEFORE THE NAMEBOARD IS AMENDED. Noise Any stand playing music or videos on their stand must keep the sound down to a level that is not intrusive to other exhibitors. Exhibitors creating excessive noise which disturbs adjacent exhibitors will be asked to reduce the sound to an acceptable level (a maximum of 60dB at the edge of your stand). The Organisers reserve the right to cut all power to an offending stand, if in the opinion of the organisers, the sound level on a stand is too high and the exhibitor does not conform to the verbal requests to reduce the level of the sound. Organisers Office The Organisers Office will be located by the entrance to the exhibition and will be operational throughout the event. Public address systems and messages The tannoy system is for the use of the Organisers for official announcements and emergencies only. It is not available to exhibitors for publicity or individual messages.


Risk Assessment & Method Statement All Exhibitors must return a Health and Safety Declaration form to Maelstrom Event Solutions (A copy of this form can be found in the Order Forms section of the manual). All Exhibitors must also ensure that their Risk Assessment covers the entire duration of the event i.e. build-up, the open period and breakdown. Space only exhibitors must also ensure that the company responsible for building and dismantling their stand send a copy of their Risk Assessment and Method Statement when submitting stand plans. Please refer to the Health & Safety Section of this manual for guidelines and sample Risk Assessments/Method Statements. Security Security is provided for the show from 9th-11th November 2018, times as per the exhibitor timetable. Please do not arrange for goods to be delivered to the hall before this time. Please assist us by wearing your exhibitor pass at all times. Entry to the hall will not be permitted without a pass.

Please take account of the following security advice from the venue: •

Take home any valuable items each night

•

Do not leave your stand unattended at any time during build-up, the open period or the pullout of the show. Do not leave the hall until all visitors have gone each evening.

•

Ensure you have enough staff, so that the stand is not vulnerable to thieves and do not ask a neighbouring exhibitor to watch over your stand while you go for a break. They may become busy and not be able to keep an eye on your stand.

•

Remove all portable or valuable items from the stand on the evening the show closes. Do not leave them until the following day for collection.

•

Arrive in time for the show. Ensure your stand is staffed at least 15 minutes before show open time each day, but remember that the hall is open from 0800 hours.

•

Use a lockable cabinet to store your personal possessions during the show open hours. You should be able to hire one from the appointed furniture company.

•

Use a night sheet. If you have a shell scheme stand, you should be able to hire one from the stand fitting company.

•

If you are a victim of theft please report it immediately to the show security company.


Shell Scheme We have appointed Dimension 8 as the official shell scheme contractor.

The Shell Scheme Package includes: Shell Scheme Octanorm Nameboard Carpet 1 plug socket and 2 x Spotlights Name Board The name panel will show company name and stand number. The maximum number of characters is 30. Name Boards are included where you have a shell scheme stand with fascia’s and will not be provided for space only stands. It will be installed over one fascia of your stand. Company logos cannot be included. The name used will be the company name as stated on the stand booking form. If an alternative name is required please complete the Shell Scheme Nameboard form in the Order Forms section of the manual by 25Th October 2018 at the latest.


Walling Graphics can be attached to stands directly with hook & loop velcro. No other fixings are permitted. Panels are attached to each other by aluminium uprights which stand 20mm proud. Fixings for large or special graphics are available on request. Note: All end back panels (left & right) of shell schemes are 50.8mm (2inches) smaller to allow for adjacent panel to fit in place Signs The Organiser reserves the right to remove or have removed any hand-written or printed sign of whatever description if, in their opinion, such signs spoil the overall view and professional appearance of the show. Space Only Stands/Stand Plan Approval To comply with the UK law, venue and local authority regulations, together with the rules of the show organiser, all space only stand designs, construction risk assessments and method statements must be submitted for review. This process aims to avoid any costly on-site modifications to stands in scenarios where their structure, peripherals or proposed methods of construction fall short of regulatory compliance. We thank you for your patience as your designs and forms undergo this process. Complex Structures A complex structure is any form of construction of any height which requires cross-bracing and/or would normally be designed by an engineer and /or has, through a Risk Assessment, been found to present significant risk. Structures over 4 meters in height, multi-storey stands and suspended items of 400kg and over are always treated as complex structures. Platforms and stages 600mm or over in height, tiered seating and stairs are also considered complex structures. Such structures must have fully detailed structural calculations and/or a detailed Constructional Method Statement along with a suitable and sufficient Risk Assessment submitted at the same time as your stand plans. All plans must be submitted to Maelstrom Event Solution at the address below for approval no later than 10th October 2018. Construction of the stand will not be permitted until approval has been given. Photographs, unclear faxed drawings or drawings from other exhibitions will not be accepted. All plans and associated documentation must be submitted in English. No stand may be constructed on-site without official approval. Upon confirmation from Maelstrom Event Solutions, no alterations can be made to the drawings submitted. Plans should include: All dimensions Building materials to be used A ground plan and elevation drawing The name, postal and email address and telephone number of the exhibitor, contractor or designer submitting the plans A copy of the Risk Assessment and method statement For complex structures, a full copy of the structural calculations

Please contact the organiser for further details if you wish to proceed, there is a strict deadline of 29 days for application from the venue. Sub Letting Sub-letting of stands is not permitted under any circumstances. Applications to share stands with other companies or agencies must be made to the Organiser when booking the stand. Companies found to be sub-letting, face expulsion from the event. Undesirable Activities If it appears to the Organiser that the Exhibitor may be engaged in activities which may be deemed to be contrary to the best interests of the Exhibition, or which appear unethical, or to be in breach of the law, the Organiser may, without being under any liability to refund or abate any charges paid or due therein, cancel any stand space allocation which may have been made to the Exhibitor and require the Exhibitor forthwith to vacate the stand space allocated to them and refuse the Exhibitor the right to participate further in the Exhibition. Unloading and loading This is the responsibility of the exhibitor and arrangements for the supply of labour, lifting equipment etc for the handling of their own goods should be organised in advance. Please note that there is no facility on- site for the ‘borrowing’ of trolleys/ladders or other equipment. Vehicle Access Whether you are an exhibitor, contractor or show supplier EVERY vehicle accessing the venue will need to book in every time they want to access site (Build up, Breakdown and any other repeat visits). THIS DOES NOT APPLY TO COURIERS. As an exhibitor at the ‘show’ - the venue have a policy in order to allow for smooth traffic flow at Olympia to allow for ease of access. This will allow you to access an area as close to your stand as possible. Please do not worry if you do not know vehicle details until the day of visiting or subsequently if they change during the course of the show. You can book or amend your details on route to the venue or even when you arrive at the venue directly with the traffic marshals. This also allows for traffic delays as the system is live. Sign up to the Olympia booking in system www.olmmpia.co.uk/traffic select the correct show and follow the instructions.


Time slots will be allocated on a first come first served basis, however, shell scheme exhibitors will not be able to book until their stands are built Time slots & unloading/loading time will vary based on availability and vehicle size You will require your VRN (reg plate) to complete the booking but this can be added (via a smart phone) on the day as you may not know this at the time of booking. The system will confirm via email your time slot, access gate and your vehicle pass that needs to be printed and displayed in the vehicle. Once you have booked into the system, anytime you need to book in for a return visit your details will already be stored and accessible with your new Olympia username and password. Any questions please contact Olympia via the online help on the system Please note, this system will not work on Internet Explorer 9 or older but does work on current Internet Explorer systems, mobile devices and smart phones. The organisers cannot accept any deliveries prior to the show tenancy and also without agreement. Please ensure that you arrange to have goods delivered when a stand representative will be present. On arrival during build-up and breakdown, all vehicles requiring access to Olympia will be directed to the appropriate entrance. All vehicles must display their passes clearly in the windscreen. The on-site marshals will direct you on arrival. Vehicles on Stands If you are displaying a vehicle on your stand, specific regulations apply. These are available at www.aev.org.uk/eguide . District Line There is only a District line service from Earls Court on weekends; and throughout the week for some major events. When travelling from Monday to Friday, you should change at West Brompton for a 2 minute Overground train to Kensington (Olympia). Alternatively West Kensington is an 8 minute walk away, and High Street Kensington is a 4 minute bus ride or 12 minute walk away. Central Line Change at Shepherd's Bush for a 2 minute Overground train to Kensington (Olympia). Piccadilly Line Baron's Court is a 9 minute walk away from Olympia London. Hammersmith & City Lin e Hammersmith Station is a 5 minute bus ride or 15 minute walk away. Circle Line High Street Kensington is a 4 minute bus ride or 12 minute walk away. Health and Safety Declaration The Management of Health and Safety at Work Regulations requires co-operation and co-ordination with all par- ties whilst sharing a workplace. Dimension 8 will not be liable for any:-

a)

Loss or damage to any of the hirer’s own property

b)

Delay or failure to deliver due to circumstances which are outside its control

All contracts of hire shall be deemed to include these terms and conditions. No variation or addition to these conditions is effective unless agreed, in writing, by a director of Dimension 8.

Damage or injury caused by the misuse of the company property

d)

Dilapidation charges for fixing of flooring covering at events or exhibitions. Prices include laying of carpet and not for taking up at the end of event or exhibition, the client is also responsible for the removal of adhesive tapes.

8.

Dimension 8 reserves the right to make substitutes without prior notice for furniture that may be unavailable.

9.

Dimension 8 reserves the right to suspend or cancel any services (in whole or in part) under its contract with the hirer where the hirer is in breach of that contract or in breach of any credit arrangements.

10.

Any complaints should be made in writing and presented to a Dimension 8 representative during the open period of the event or exhibition.

11.

Dimension 8 do not exclude liability for loss of, or damage to, the exhibits or property of the customer where this has been caused by our negligence, providing that any claim in this respect is made in writing within 14 days of the problem having been brought to our notice. Any claim shall be limited to the amount of any loss or diminution in value of the goods and not in respect of consequential costs incurred by the company.

The hirer’s liabilities will commence from the time the articles are delivered to the event or exhibition for which they are hired until they are collected from the site by Dimension 8. During this period the hirer will:Keep hired articles fully insured to their full replacement value against all eventualities. Please note that hirer’s are responsible for a period of insurance both 2 days prior to the exhibition and event and 2 days after the exhibition or event completion. Keep, at the hirer’s own expense, all articles in good and sustainable repair and condition. Hirer’s are responsible to pay Dimension 8 the full replacement value of the hired articles plus the original hire charge if articles are damaged beyond repair or lost by fire, theft or any other cause whatsoever. Articles that require repair will be paid in full by the hirer.

4.

It is the responsibility of the hirer (you) at each event or exhibition to accept the hire articles and to provide a written receipt of acceptance. If the hirer fails to provide for this, he will not be permitted to dispute subsequently the facts of the delivery and be deemed to have accepted these conditions and delivery.

5.

At the discretion of the company a cancellation charge of 25% will be made in respect of orders cancelled prior to the event or exhibition. Dimension 8 reserves the rights to invoice in full for any articles that have been delivered to the site.

6.

All hire equipment must be emptied of personal belongings prior to collection.

Terms PLEASE NOTE THAT ANY ORDER RECEIVED BY EFORCE IS ACCEPTED ON THE UNDERSTANDING THAT FULL EFORCE TERMS AND CONDITIONS APPLY: eForce is a brand name of Olympia Management Services Limited. eForce Terms & Conditions of Business: eForce provides IT Services to the Customer within Olympia London. In ordering the Services, the Customer acknowledges and agrees to the terms of the Contract and to following Terms and Conditions of Business: 1.

INTERPRETATION:

Terms defined in the Booking Form shall apply throughout these Terms & Conditions. In addition, the following terms shall have the following meanings: 1.1 “Booking Form” means the form which the Customer shall complete, sign and return to eForce with full payment in order to book the Services and enter into the Contract with eForce 1.2 “Connection and Acceptable Use Policy” means the policy set out in Schedule 1 hereto and as amended by eForce from time to time effective upon posting on the eForce website; 1.3 “Contract” means the contract between eForce and the Customer of which the Booking Form and these Terms and Conditions and the Connection and Acceptable Use Policy form an integral part; 1.4 “Customer” means the Exhibitor/ Organiser or other user who is a party to the Contract and whose details are set out in page one of the Booking Form; 1.5

“eForce” means Olympia Management Services Limited trading as eForce, company registration number 238811 and whose registered office is situated at 15 Grosvenor Street, London W1K 4QZ;

1.6 “Equipment” means the IT or Telephony hardware and peripherals and all other equipment hired by the Customer from eForce; 1.7

“Event” means any exhibition and/or conference and /or event to take place at Olympia London in which the Customer will take part;

1.8 “Event Period” means the period during which the Organiser has occupation of Olympia London, or parts thereof under the terms of a license agreement with Olympia Limited or Olympia Management Services Limited as applicable, (this will include the build-up and break-down days of the Event); 1.9 “Fees” means the fees payable by the Customer to eForce in respect of the Services as detailed in the Booking Form;


1.10 “Force Majeure” means any necessary inspection, repair or replacement of any part of Olympia London or any equipment or fittings and any event outside the Parties’ reasonable control including, without limitation, any act or direction of government, act of terrorism, nuclear, chemical or biological contamination, fire, flood, storm, war, malicious damage, riot, industrial action, inaccessibility of transport links, failure of supply of power, fuel, communications, transport or other goods or services or breakdown of equipment; “Onsite Orders” means orders processed during the Event Period; 1.11 1.5 “Olympia London” means the venue Olympia London, Hammersmith Road, Kensington, London, W14 8UX as confirmed by eForce on the Booking Form; 1.12 “Organiser” means the organiser of the relevant Event at Olympia London; 1.13 “Parties” means eForce and the relevant Customer whose details are set out in the Booking Form; 1.14 “Rate Card” means the list of standard rates set out on page one of the Booking Form; 1.15 “Return Date” means the date on which the Booking Form has to be returned to eForce duly signed and dated; 1.16 “Services” means the IT services as detailed in the Booking Form or any bespoke service eForce has agreed to provide to the Customer; 1.17 “Service Order” means the order required to amend the Services as detailed in clause 12.2 of the Terms and Conditions; and 1.18 “Standard Rates” means the rates for the provision of the Services which are applicable to Customers who fail to return the Completed Booking Form with full payment before the Return Date as detailed in the Rate Card. 2.

EFORCE OBLIGATIONS AND RESPONSIBILITIES:

2.1 eForce: 2.1.1

shall reserve the right to refuse provision of the Services to the Customer until payment in full has been received. This condition applies to orders received before or during the Event;

2.1.2

will arrange for exhibition stand service cabling to be provided and installed to the access point nearest to the Customer’s assigned location within Olympia London during the Event or the build-up of the Event;

2.1.3

will use reasonable efforts to provide the Services to exhibitor stand locations based upon floor plans provided by the Customer / Organiser. It is the responsibility of the Customer to notify eForce, in writing, of any changes;

2.1.4

does not warrant the Services in the event of any stand move. Additional costs and/or late charges may be applicable in the event of a stand move and any such charges shall be agreed and paid by the Customer prior to eForce implementing any such changes;

2.1.5

shall not effect any cutting or altering of floor coverings unless in explicit agreement with the Customer, in order to provide Services to a stand;

2.1.6

will use reasonable endeavors to ensure that the Customer is able to use the Services from the opening time of the first day of the Event; and

2.1.7

will disconnect the Services on the final day of the Event, within one hour from the official closing time.

CUSTOMER OBLIGATIONS AND RESPONSIBILITIES:


3.1 The Customer: 3.1.1

Will contact eForce to confirm that the contract has been received and agreed;

3.1.2

will make payment of the agreed Fees in full including VAT at the time of placing the order. eForce reserves the right not to process any orders unless and until this condition is satisfied in full;

3.1.3

shall provide credit / debit card details as security against call charges and / or loss or damage to the Equipment for which the Customer is liable upon receipt until the time such Equipment is safely returned to eForce;

3.1.4

shall comply with the Contract and Acceptable Use Policy of which these Terms and Conditions form an integral part;

3.1.5

will not attempt to resell any Services provided by eForce unless explicitly approved by eForce and confirmed in an addendum to the Contract;

3.1.6

will ensure that administrator access can be provided to any device that is connected to the eForce network, so as to ensure that all network settings can be correctly configured;

3.1.7

shall ensure that any device not supplied by eForce is pre-configured. eForce accepts no responsibility for configuration or any faults associated with or arising from non-configured Customer equipment;

3.1.8

shall be responsible for all electrical power and power distribution required for the Services;

3.1.9

shall be responsible for the protection of their own privacy and the security of their own systems that connect with the Services. The Customer shall also respect the privacy of others and other Customers’ systems that are facilitated in any way by eForce;

3.1.10

shall not attempt to interfere with the Services provided by eForce to any other Customer. This includes without limitation, “flooding” of networks and systems, deliberate attempts to overload a service or “crash” a system and/or wireless/radio interference with the eForce wireless/radio-based services;

3.1.11

shall not use any kind of program/script/command/automated tool, or send messages of any kind, designed to interfere with the use of the Services by another customer, via any means, locally or by any other service network such as the internet, public phone, data or other network or service; and

3.1.12

shall bring these Terms and Conditions including the Connection and Acceptable Use Policy to the attention of any of its agents, clients, exhibitors, contractors, and other third party users. In the event that the Customers, agents, clients, exhibitors, contractors and/or other third party users fail to meet any of the provisions in the Terms and Conditions the Customer will be held liable for any such failure.

4.

SERVICE CANCELLATION OR TERMINATION:

4.1 eForce may terminate the Contract by verbal or written notice with immediate effect if: 4.1.1

the Customer is in breach of any of its obligations under the Contract and/or the Terms and Conditions;

4.1.2

the Fees have not been paid by the first day of the Event Period or any other payment is overdue for a period of more than fourteen (14) days;

4.1.3

due to an event of Force Majeure eForce is prevented, delayed or hindered (or eForce reasonably considers that it will be prevented, delayed or hindered) from carrying out any of its obligations under the Contract;

4.1.4

the Customer gives notice to its creditors or any of them that they have suspended or are about to suspend payment of they are unable to pay their debts within the meaning of Section 123 of the Insolvency Act 1986, or an order shall be made or resolution passed for their winding up or an


administration order shall be made in respect of them, or the Customer shall become insolvent or shall make any assignment for the benefit of its creditors or have a receiver appointed of all or any part of the Customer’s assets or take or suffer any similar action in consequence of debt; 4.2 On notice of termination pursuant to clause 4.1 above all sums due in respect of the Services shall become immediately due and payable to eForce (save with respect to clause 4.1.3 above in which case all prepayments already made by the customer under the Contract will be refunded); 4.3 In the event the Customer terminates the Contract by giving notice to eForce less than twenty eight (28) days prior to the commencement of the Event Period, the Services ordered will be charged at 25% of the full rate; 4.4 In the event the Customer terminates the Contract by giving notice to eForce less than fourteen (14) days prior to the commencement of the Event Period, the Services ordered will be charged at 50% of the full rate; 4.5 In the event the Customer terminates the Contract by giving notice to eForce less than seven (7) days prior to the commencement of the Event Period, the Services ordered will be charged at the full rate; 4.6 eForce shall have the right to suspend the Services or any part thereof with immediate effect if there is reason to suspect breach of the Contract, or any misuse or fraud being carried out on the telephone, internet or any other service provided by eForce; and 4.7 The termination of the Contract shall be without prejudice to any other rights and remedies that eForce may have in respect of any breach of the Customer’s obligations under the Contract. 5.

LIMITATION OF LIABILITY:

5.1 Neither party excludes or limits its liability to the other party in respect of death or personal injury which is caused by the other party’s negligence or fraudulent misrepresentation; 5.2 eForce shall not be liable to the Customer for: 5.2.1

any loss or damage, whether direct or indirect:

5.2.1.1 of business, production, operation, time, data or anticipated savings; or 5.2.1.2 any loss of profits, goodwill, revenue, contracts or opportunity; or 5.2.1.3 from destruction or corruption of data, business interruption, expenditure of time by the Customer’s personnel or contractors, wasted expenditure or liability to third parties; or 5.2.2

any consequential or indirect loss (even if any such loss was reasonably foreseeable) suffered by the Customer howsoever caused;

5.3 eForce provides un-firewalled, unfiltered internet connectivity. Firewalling is the sole responsibility of the customer, however where bespoke firewall policies are required these can be arranged upon request. eForce does not accept liability for any expenses incurred by the Customer deploying any firewall or security measures; 5.4 eForce provides the Services “as is” and “as available” and actual connection speeds may vary and cannot be guaranteed . eForce does not accept liability for any fluctuations in connection speeds. 5.5 Where a party brings an action or claim for negligence, breach of contract or otherwise, that party shall take all reasonable steps to mitigate its loss; 5.6 eForce does not accept liability for expenses incurred should the Customer decide to publish the Event stand telephone number or ISDN circuit number prior to its installation. eForce reserves the right to change the stand telephone number or ISDN circuit number without prior notification;


5.7 eForce does not accept liability for expenses incurred by the Customer for cables installed in the incorrect position on their stand. eForce will arrange for exhibition stand service cabling to be provided and installed to the access point nearest to the customer’s assigned location within Olympia London. Unless eForce is provided with a specific drawing or stand plan, the installation will be made at the eForce technician’s discretion; 5.8 eForce provides the Services to exhibitor stand locations based upon floor plans provided by the Organisers and other Customers. eForce accept no responsibility for changes to exhibitor stand locations. It is the responsibility of the Customer to notify eForce in writing of any changes; 5.9 eForce does not accept liability for any service disruption or outage related to a failure by upstream providers, i.e. internet service providers or telecommunications providers; 5.10 eForce does not accept liability for any expenses incurred by the Customer if an eForce representative has been given permission (verbal or written) to reconfigure the Customer’s own equipment; 5.11 eForce does not accept liability for damages incurred or sums paid due to any faults of the Customer or any third party or by any harm components (such as computer viruses, worms, computer sabotage and denial of service attacks); 5.12 eForce does not accept liability for any breach of security, third party claims, loss of or damage to the Customer’s records or data or those of any third party, loss or damage to the Customer or any third party associated with the inoperability of equipment with any component of the Services; and 5.13 Without prejudice to or limiting eForce’s right to receive payment for the Services, eForce’s entire liability for all claims arising out of or in connection with these Terms and Conditions and the contract shall not exceed the amount paid by the Customer for the Service. 6.

INDEMNITY:

6.1 The Customer will indemnify, defend and hold harmless eForce and its directors, officers, employees, from and against any claims, suits, actions, and proceedings from any and all third parties, and for payment of any (“Losses”), to the extent such Losses arise: 6.1.1 as a result of non-compliance by the Customer with its obligations under these Terms and Conditions; 6.1.2 from any and all claims by any of eForce’s supplier’s or service providers, or customers , the Customer’s customers, clients, exhibitors, contractors or other third party end users in connection with any claims regarding content transmitted using the Service or a breach of data protection 6.1.3 legislation, regardless of the form of action; provided, however, that the Customer will have no obligation to indemnify and defend eForce against claims for damages for personal injury or death caused by acts or omissions of eForce, its directors, officers, employees, subcontractors or eForce’s gross negligence or wilful misconduct; or 6.1.4 from claims of copyright infringement and all manner of intellectual property claims, defamation claims, claims of publication of obscene, indecent, offensive, racist, unreasonably violent, threatening, intimidating or harassing material, and claims of infringement of data protection legislation, to the extent such Losses are based upon: 6.1.4.1 the content of any information transmitted by the Customer or by any of the Customer’s customers or authorised end users,


6.1.4.2 the use and/or publication of any and all communications or information transmitted by the Customer or by any of the Customer’s customers or authorised end users, or 6.1.4.3 the use of Service by the Customer in any manner inconsistent with the provisions of these Terms and Conditions, including without limitation the Connection and Acceptable Use Policy. 7.

INSURANCE:

7.1 All eForce Equipment supplied to the Customer under the Contract as detailed in the Booking Form is the responsibility of the Customers whilst in their possession (such Equipment shall remain the property of eForce and shall not be removed from Olympia London); 7.2 The Customer shall ensure that the Equipment remain secure at all times. The Customer shall be held responsible for any misuse or damage to the Equipment whilst it is in their care; and 7.3 If the Equipment is lost or damaged after delivery to the Customer’s stand, it is the responsibility of the Customer to pay the full charges for replacement or repair of such Equipment, including handling and administration charges. 8.

FORCE MAJEURE:

8.1 In the event that the Event is cancelled or suspended as a result of an event of Force Majeure, neither party shall be liable to the other for any loss of any kind whatsoever including but not limited to any damages or abatement of charges whether directly or indirectly caused to or incurred by the other party by reason of any failure or delay in the performance of its obligations hereunder; and 8.2 If following an event of Force Majeure eForce is unable to provide all or any of the Services during the whole or any part of the duration of the Event, the Customer’s rights shall be limited to the return of a corresponding proportion of the charges paid by them for such Services. 9.

PAYMENT:

9.1 Credit card details are required as security against call charges and Services / Equipment hire. No Services will be activated until these details are provided; 9.2 Unless previously agreed otherwise with eForce, payment in full, (including all bank charges), in Pounds Sterling must accompany all orders prior to delivery of any Services. No Services will be provided without payment being received in full by the first day of the Event Period; 9.3 The Fees and all other sums due under the Contract are expressed to be exclusive of VAT which the Customer shall pay at the prevailing rate at the same time as payment of the Fees and other charges; 9.4 Unless otherwise specified in the Contract, all payments under the Contract shall be paid directly into the eForce bank account, details of which are set out in the Booking Form; 9.5 Should eForce have formally agreed to delay payment by the Customer in accordance with an agreed payment schedule, the Customer shall pay any such monies due within fourteen (14) days following the date of the relevant invoice; 9.6 If any payment is overdue for a period of more than fourteen (14) days eForce may either suspend the provision of the Services or terminate the Contract in accordance with clause 4.1.2; 9.7 If the Customer fails to pay eForce on time, eForce may charge interest at 4% per annum above the base rate of Nat West Bank on any late payments. Such interest shall accrue on a daily basis from the due date until payment is received (whether before or after judgment);


9.8 eForce reserves the right to refuse to process any subsequent orders until payment for previous Services has been received; 9.9 Standard Rates will apply to all orders received with full payment before the Return Date. Any orders received without payment or after the Return Date will be subject to a 20% surcharge on the Standard Rates. Onsite Orders will be subject to a 40% surcharge on the Standard Rates; 9.10 All outgoing calls will be itemised and charged for by eForce. Final call charges will be charged to the Customer’s account or credit card after the Event is closed; and 9.11 If by any reason of any default on the part of the Customer it becomes necessary to initiate legal proceedings, the Customer shall pay all costs, expenses and the legal fees expended or incurred by eForce. 10. CONFIDENTIALITY: 10.1 Each party agrees (subject to clauses 10.2 and 10.3 below) not to: 10.1.1 disclose any information which it receives from the other party and which is identified as confidential or proprietary by the other party or the nature of which is clearly confidential or proprietary (“Confidential Information”); or 10.1.2 make any use of such Confidential Information other than for the purposes of the performance of the Contract and these Terms and Conditions. 10.2 Each party may disclose Confidential Information received from the other to its responsible employees, consultants, sub-contractors or suppliers who need to receive such Confidential Information in the course of the performance of the Contract and these Terms and Conditions and who have entered into an agreement containing appropriate confidential provisions. 10.3 The confidentiality obligations in this clause shall not apply to any information which: 10.1.3 is or subsequently becomes available to the general public other than through a breach by the receiving party; or 10.1.4 is already known to the receiving party before disclosure by the disclosing party; or 10.1.5 is developed through the independent efforts of the receiving party; or 10.1.6 the receiving party rightfully receives such Confidential Information from a third party without restrictions as to its use. 10.4 Upon termination or expiration of the Contract and these Terms and Conditions each party shall return or destroy all Confidential Information obtained from the other party and all copies thereof. 11. DATA PROTECTION: 11.1 Both Parties undertake to comply with the Data Protection Act 1998, the Privacy and Electronic Communications (EC Directive) Regulations 2003 and all applicable laws and regulations relating to the processing of personal data or privacy or any amendments and re-enactments thereof, and shall procure that its employees, agents and subcontractors shall observe the provisions of the same. 12. NOTICES: 12.1 Any notice or other communication required or authorised to be given under the Contract shall be in writing and may be served by personal delivery or by first class post to the address given in the Booking Form or such other address as eForce or the Customer shall have notified in writing to the other party. 13. ASSIGNMENT: 13.1 The Customer may not assign, transfer or charge or purport to assign, transfer or charge the Contract or any of its rights, liabilities or obligations under the Contract without eForce’s prior consent; and


13.2 eForce may assign, transfer or charge any or all of its rights, liabilities or obligations under the Contract to another IT services provider without obtaining the Customer’s consent. 14. COMPLAINTS: 14.1 Any complaints in respect of the provision of the Services will not be accepted by eForce only following due notification of such complaints in writing during business hours at the offices of eForce. Please also note that all claims, disputes and complaints must be brought prior to the breakdown of the Event. 15. DISPUTES: 15.1 If any dispute arises in relation to the Contract, representatives of the Parties will negotiate promptly and in good faith in an attempt to resolve the matter between themselves. If the Parties are unable to resolve any dispute after negotiation, and if the Parties so agree, the matter shall be referred to mediation in accordance with the procedures laid down from time to time by the Centre for Dispute Resolution. 16. MISCELLANEOUS: 16.1 Save as expressly provided herein, the Contract shall operate to the entire exclusion of any other agreement or understanding of any kind between the Parties hereto preceding the date of the Contract and in any way relation to the subject matter of the Contract and to the exclusion of any representations not expressly stated herein save for any fraudulent misrepresentations or any other representations it would be unreasonable in law to exclude; 16.2 Any amendment to the Contract shall be in writing, signed by the Parties and expressed to be for the purpose of such amendment. In particular, any amendments or changes to the Services will require a Service Order to be completed and signed by the Customer. Charges in respect of such rectified Services will be payable in advance of the revised Services being provided; 16.3 Nothing in the Contract shall create, or be deemed to create, a partnership or the relationship of employer and employee between the Parties; 16.4 Unless otherwise stated herein, all rights, remedies and powers conferred upon the Parties are cumulative and shall not be deemed or construed to be exclusive of any other rights, remedies or powers now or hereafter conferred upon the Parties by law or otherwise and any failure at any time to insist upon or enforce any such right, remedy or power shall not be construed as a waiver thereof; 16.5 If any clause or part thereof of the Contract shall become or shall be declared by any court of competent jurisdiction to be invalid or unenforceable in any way, such invalidity or unenforceability shall in no way impair or affect any other clause or part thereof all of which shall remain in full force and effect; and 16.6 The Parties do not intend that the terms of the Contract and these Terms and Conditions should be enforceable, by virtue of the Contracts (Rights of Third Parties) Act 1999, by any person who is not a party to the Contract. 17. LAW AND JURISDICTION: 17.1 The Contract is governed by English law and the parties submit to the exclusive jurisdiction of the English Courts; and 17.2 Customers who violate systems or the security of eForce or any systems connected to the Services may incur criminal or civil liability. eForce will co-operate fully with investigations of violations of systems or security at other sites, including co-operating with law enforcement authorities in the investigation of suspected criminal violations.


SCHEDULE 1 Acceptable & Connection Use Policy 1.

PURPOSE:

This policy applies to any form of computer, whether a PC, laptop, server or PDA or any similar device (‘host’) which is provided by the Customer (or any third party on behalf of the Customer) and connected by wired or wireless means to the eForce network(s) at Olympia London. This policy is in place to protect all those using the eForce network for the purpose of obtaining Internet access and other communications services. Inappropriate use exposes all users to serious risks including virus attacks and compromise of network systems. Any infringement of this policy will result in immediate disconnection without notice or refund and civil or criminal proceedings might be brought against the Customer. 2.

SCOPE:

This policy applies to the Customer and regulates the manner in which it has been connected to the eForce network for the purpose of obtaining Internet access and other communications services. This policy applies to all equipment that is owned by eForce and any equipment leased by or supplied to the Customer. 3.

USE GUIDANCE:

3.1 General Use and Ownership: 3.1.1 Use of the eForce network and related services is primarily intended for Exhibitors and Organisers within Olympia London; 3.1.2 While eForce network administration wishes to provide a reasonable level of privacy, the Customer should be aware that the eForce network is essentially a public network infrastructure and therefore should be considered “un-trusted”. eForce cannot therefore guarantee the confidentiality of information transported across the network or stored on any network device; 3.1.3 eForce recommends that any information that the Customer considers sensitive or vulnerable be encrypted. 3.1.4 It is the responsibility of the Customer to ensure that its employees and/or contractors adhere to the terms of this policy; 3.1.5 For security and network maintenance purposes, authorised individuals within eForce may monitor equipment, systems and network traffic at any time. eForce reserves the right to audit networks and systems without notice in order to ensure compliance with this policy; and 3.1.6 All drivers and software must be up to date; eForce accept no liability for connection issues relating to ‘out of date’ hardware drivers as detailed in paragraph 3.3 of this schedule. 3.2 Security and Proprietary Information:


3.2.1 The Customer must ensure that all devices connected to the eForce network must have the latest revision of anti-virus software installed (set to update automatically) this software must be kept updated for the duration of the Event. eForce reserve the right to make random visits to exhibitor stands and will seek confirmation that the latest anti-virus software is installed; and 3.2.2 In the event that the latest revision of anti-virus software is not installed or a virus is detected, eForce reserve the right to disconnect any or all devices from the network. In the event of disconnection it is the responsibility of the Customer to ensure that a current version of anti-virus software is installed. Only once this software has been installed or the virus in question has been removed to eForce’s satisfaction will eForce allow reconnection to the network. 3.3 Acceptable Use: 3.3.1 Use of the Internet outside the scope of this policy (see paragraph 3.1.1) should be agreed in advance with eForce; like for example installing an unsecured Wireless router for ‘guest’ access; 3.3.2 The Customer must keep anti-virus software up to date and functional; 3.3.3 Employees receiving “questionable material” should report such material to the appropriate member within their organisation; and 3.3.4 Any software downloaded from the Internet must be appropriately virus checked, licensed and registered. 3.4 Unacceptable Use: Under no circumstances is the Customer or any of its employees and/or contractors authorised to engage in any activity that is illegal under UK or international law while utilising the eForce Network. The following activities are strictly prohibited and any infringement will result in disconnection as detailed in paragraph 1 above. The two lists below are by no means exhaustive but attempt to provide a framework for activities which fall into the category of unacceptable use: System and Network Activities • Violations of the rights of any person or company protected by copyright, trade secret, patent or other intellectual property, or similar laws or regulations, including, but not limited to, the installation or distribution of “pirated” or other software products that are not appropriately licensed for use by the Customer; • Unauthorised copying of copyrighted material including, but not limited to, digitisation and distribution of photographs from magazines, books or other copyrighted sources, copyrighted music, and the installation of any copyrighted software for which the Customer or the end user does not have an active license is strictly prohibited; • Conventional norms of behaviour apply to the use of eForce services just as they would to any other media. The Customer shall commit to participate in a communications environment that provides equality of opportunity and freedom from discrimination on the grounds of race, religion, sex, class, sexual orientation, age, violence, disability or special need or any material which is offensive abusive, indecent, obscene or menacing. • The Customer must not use or allow anyone to use the Service: • to send or receive communication which is offensive, abusive, indecent, obscene or menacing;


• to cause annoyance, inconvenience or needless anxiety to anyone; • to violate or infringe the rights of any person; or • in breach of this Acceptable Use and Connection Policy; • in breach of the law • The Customer must not connect more computers to the network than has been agreed with eForce at the time of placing the order; • The Customer cannot resell an eForce service to other users; • The Customer shall not propagate or transmit any material that is or may be considered to be offensive, obscene or indecent except in the course of recognised research or teaching that is permitted under UK or international law; •Use the Internet to harass, cause annoyance, inconvenience or anxiety to others (e.g., abusive or offensive emails, spamming, distributing information regarding the creation of and sending Internet viruses, worms, Trojan Horses, pinging, flooding, or denial of service attacks). • Wireless (rogue) networks are not permitted due to the interference they cause. Please contact eForce to discuss the Customer’s specific requirements; • Access to or creation, transmission or publication of any offensive, obscene or indecent images, sounds, data or other material; • Effecting security breaches or disruptions of network communication. Security breaches include, but are not limited to, accessing data of which the Customer is not an intended recipient or logging into a server or account that the user is not expressly authorised to access. For purposes of this section, “disruption” includes, but is not limited to, network sniffing, pinged floods, packet spoofing, denial of service, and forged routing information for malicious purposes; • Executing any form of network monitoring which will intercept data not intended for the Customer’s host; • Circumventing user authentication or security of any host, network or account; • Interfering with or denying service to any Customer; and • Using any program/script/command, or sending messages of any kind, with the intent to interfere with, or disable, a user’s terminal session, via any means, locally or via the Internet/Intranet/Extranet. Email and Communications Activities • Customers are strictly prohibited from sending unsolicited bulk messages like for example spam or junk mail. This includes without limitation any of the following: bulk mailing of commercial advertising, information announcements, political tracts and chain correspondence. It is irrelevant whether or not the recipient wishes to receive such mailings. Malicious messaging including but not limited to “mail bombing” is also strictly forbidden;


• Customers shall not send any form of message to any person that does not wish to receive it. If a recipient asks to stop receiving messages, the Customer must comply with the recipient’s wishes. The Customer shall not make use of the eForce services for infringement of intellectual property rights including copyright, trademark, patent, design and moral rights. Forging, impersonating or spoofing of messages in order to impersonate another person is not allowed; • Customers shall not carry out any form of harassment via email, telephone or paging, whether through language, frequency, or size of messages; • Customers are strictly forbidden from unauthorized use, or forging, of email header information; • Customers are not allowed to solicit emails for any other email address, other than that of the poster’s account, with the intent to harass or to collect replies; • Customers shall not create or forward “chain letters”, “Ponzi” or other “pyramid” schemes of any type; and • Customers are strictly prohibited from posting the same or similar non-business-related messages to large numbers of Usernet newsgroups (newsgroup spam).

SITE RULES Whilst working at The National Asian Wedding Show, it is important that you are aware of the safety rules, procedures and arrangements that are in place for your safety and that of your colleagues. All of your employees or contractors are required to read these Site Rules prior to working at The National Asian Wedding Show and the following apply to all staff, organisers, contractors and exhibitors: • Comply with Venue Traffic Rules and follow the instruction of venue traffic marshals at all times • Vehicle access into the halls has to be approved by the Venue/Organisers of the event • Any vehicle or plant driven within the hall must adhere to the 5MPH speed limit and operate with hazards/turned on lights • Drivers must give way to pedestrians within the event hall/s and pedestrians must give way to vehicles within the loading bay/s • No persons are permitted to operate plant or machinery (including fork lift trucks) unless they have received adequate training • Appropriate management and safe methods of working at height is required at all times – in any areas where working at height is being carried out, the immediate area must be controlled • Ladder work must only be conducted for short work periods - you must NOT stand on the top tier of your ladders - any unsafe ladder work may result in the employee being ejected from the venue • No substances are to be used in the hall which have not been pre agreed by the venue and event organiser • Any person suspected to be under the influence of drugs or alcohol will be ejected from the venue • Hi Vis Jackets and appropriate footwear should be worn whilst working in the venue – flip-flops, open-toed sandals, etc. are NOT acceptable • No hot works can take place in the venue without a Hot Works Permit being issued • All contractor accidents, incidents & near misses must be reported immediately to the organiser • Work Tidy - during builds and breakdowns, you must ensure aisles are kept clear at all times and that all waste is to be disposed of in an appropriate manner


EMERGENCY PROCEDURES SECURITY • If you have any security concerns please contact a venue employee or the organiser’s office. Inform them of the nature and location of the problem. • Do not leave any personal belongings or valuables unattended on your stand, the venue and organisers cannot be held responsible for any losses. FIRST AID • Should you need medical assistance contact a venue employee or the organiser's office. Inform them of the location and nature of the medical emergency. They will radio for assistance. • If possible give the following information: • Who you are • Who the injured person is • Exact Location • Nature of medical emergency • Is the patient male or female • Approximate age • Are they breathing, conscious or unconscious • Nature of illness - do they have chest pains/are they bleeding, etc. DO NOT PHONE FOR AN AMULANCE - a venue first aider will do this if required. • The First Aid Room can be access via; Grand Gallery, National Gallery & Olympia Central (Level One). All accidents, incidents or near misses must be reported to the Organiser/Venue Event Manager SEARCH ("Staff Call 100") BOMB THREATS In the event of a bomb threat, you will hear the announcement as follows: "ATTENTION PLEASE. ATTENTION PLEASE. STAFF CALL 100." Do not leave the building. Inform your colleagues, and then assist in searching for suspicious object in your work area. If you find a suspicious object, do NOT touch or move it. Clear the area of people calmly. Report to Control on 0207 75982666 (internal 2666) giving the exact location of the object. Please do not cause undue concern to visitors at this stage. If you receive a bomb threat directly on the stand, please obtain as many details as possible (see form overleaf), and then inform Control on 020 7598 2666 (internal 2666). FIRE On discovering a fire: • Break the glass of the nearest manual call point (coloured red) then contact Control by dialling 2666 on an internal telephone or 020 7598 2666 immediately. • Do not tackle the fire unless you have been trained, it is a very minor fire and it is safe to do so. Always ensure there is a safe exit route before attempting to extinguish any fire. • When it is safe to do so, identify yourself to a member of the Olympia staff to assist with any follow up.


EVACUATION • In the event of an emergency you will hear the following public announcement: "ATTENTION PLEASE. ATTENTION PLEASE. HERE IS AN IMPORTANT ANNOUNCEMENT. IT IS NECESSARY TO ASK EVERYONE TO LEAVE THE BUILDING. PLEASE MAKE YOUR WAY CALMLY TO THE NEAREST EXIT. DO NOT RETURN TO YOUR VEHICLES. EVERYONE WILL BE RE-ADMITTED AS SOON AS POSSIBLE". • Immediately leave the building via the nearest exit, do not use lifts or stop to collect personal belongings. • Go to the nearest assembly point and do not leave this area or re-enter the building until told to do so. Please see the site map to locate your nearest assembly point. 2. WELFARE ARRANGEMENTS ORGANISERS OFFICE • The organiser's office is located off the main entrance foyer to the National Hall. If you need to contact a member or the organisers team on-site please call +44 (0)1743 606744. TOILETS • Both female and male toilets along with hand wash basins are available throughout the venue. CATERING AND WATER • Food outlets are available onsite during set up, show open and dismantle. • Drinking water is available to purchase in any of the food outlets. SMOKING • Smoking (including e-cigarettes) is only permitted in the designated smoking areas ALCOHOL AND DRUGS • Anyone found to be drinking alcohol or taking drugs will be asked to leave the venue
