In order for the Trade Exhibition to run as smoothly as possible, please take note of the following information.

BUMP OUT Bump out for Trade Exhibitors will occur on Friday 5 September between 2.00pm - 3.30pm. Do not pack down before this time.

SECURITY Exhibitors are encouraged to remove any valuable items from the exhibition area and cover any display products outside of opening times. All reasonable care will be taken, but no responsibility will be accepted by The Pharmacy Guild of Australia or the Hyatt Regency Sydney for either industry personnel or equipment. It will be the responsibility of each exhibiting company to fully ensure the security of personnel, equipment and stock/ merchandise during the conference.

STORAGE & COLLATERAL

NAME BADGES

For items that need to be accessed throughout the exhibition (e.g. brochures, product samples, gift bags), limited storage is available on the Mezzanine Level in the Maritime Ballroom Alcove.

All printed name badges include the delegate’s name, organisation, state, profile and registration type (Trade Only, Trade Stand Staff, Full Registration or Day Registration).

Although this area doesn’t see regular foot traffic and is hidden away from the main meeting rooms, it is not secure. Any valuable items are recommended to be locked up or kept on the trade stand for safe keeping. Please see the enclosed floor plan to locate this area or ask event staff onsite.

Conference profile types include: Academic / Early Career Pharmacist / Exhibitor / Guild Official / Guild Staff / Industry Representative / Intern / Media / Pharmacist / Pharmacy Assistant / Pharmacy Support / Retail Manager / Speaker / Sponsor / Student.

Please ensure any packaging and waste is compacted and placed in the nominated bins.

EXHIBITOR LEAD CAPTURE Exhibitors can download the Conference mobile app to scan attendees, take notes, and export leads for future marketing.

STEP 1: DOWNLOAD THE CONFERENCE MOBILE APP (PRE-EVENT) 1. Search ‘The Event App by EventsAIR’ in the Google Play or Apple Store.

2. Access the event - Using event code PC-2025 3. Login using your email (the address you registered with) and your conference mobile app pin. Your conference mobile app PIN will be included in an information email, sent to you the week before the conference and is printed at the bottom of your name badge.

STEP 2: SCANNING LEADS (ONSITE)

There will be a coloured strip across the top of the badge, see categories below: - Purple: Pharmacy assistants - Blue: Pharmacists, interns, students & industry reps - Black: Exhibitors & sponsors

RETURNING FREIGHT All goods are to be collected by Monday 8 September.

Please leave packaged items on your stand and complete the Hyatt Outgoing Freight Information (also enclosed in this pack) for venue staff to move your items to the allocated storage area in the Loading Dock.

Please ensure all boxes are labelled as follows: - Company name - Destination address - Contact name & phone number - Consignment note (if required) - Name & phone number of courier All exhibitors are responsible for organising a courier to pick up freight from the hotel loading dock.

How to capture leads: 1. Open the ‘Exhibitor Scan Leads’ icon on the main menu page and scan the QR code on the attendee’s name badge.

2. The attendee’s name and company will display along with any qualifying questions you have pre-set in the Exhibitor Portal. Click on ‘SUBMIT’ to save the lead.

NB: We have preloaded a notes field. The contact details won’t be displayed on the app, but will filter through to the Exhibitor Portal where you export the list.

3. To manage leads, open the ‘Exhibitor View Leads’ icon to view scanned leads.

The hotel takes no responsibility for personal or business items left unattended during exhibition or bump-out times.

STEP 3: EXPORTING LEADS (DURING OR AFTER)

To export leads, log into the Exhibitor Portal and select ‘Leads’ from the navigation menu and click on ‘Current Leads’. Here you can view, search and export the leads to excel. All contact details provided on the delegates registration form will be included in this export.
