Environmental sustainability

As exhibitors, we encourage you to review your current practices and recognise the significant waste generated by trade exhibitions. Let’s work together to take meaningful steps towards reducing this impact and promoting a more sustainable future. Below are some ideas which can assist with this:

• Promotional flyers - use recycled paper/print double sided with vegetable inks or use QR codes on your stand for attendees to scan to access promotional flyers

• Promotional items - use products made from recycled materials/avoid providing bottled water as a promotional/giveaway item and consider items which delegates will re-use

• Signage - consider using reusable printed signage (avoid using dates and times) and/or use plasma screens or electronic signage to reduce production waste

• Air travel - if staff are required to fly to the event, choose an airline that is carbon neutral or which offsets their carbon emissions

• Local travel - encourage staff staying in nearby accommodation to walk to the venue and staff who live nearby to use public transport

• Encourage your staff to bring their own reusable water bottles and keep cups

• Rubbish - use recycling bins to recycle packaging and boxes etc during setup and pack down

If your organisation is taking action in this area we would love to hear about it, please email events@qldguild.org.au so we can spread the word.

Exhibition supplier - ExpoNet

ExpoNet has been contracted as the official exhibition booth supplier. ExpoNet specialise in exhibition stands and displays, furniture and audio visual equipment hire.

Any person wishing to gain access to the Hotel & Events Facilities outside the scheduled hours should notify dedicated Hotel Event Manager through the organiser at least twenty four (24) hours in advance.

Under no circumstances should event equipment be moved in or out via front of house areas.

In the case of an accident and/or damage the hotel will take no responsibility to equipment during the bump-in, and bump-out periods. By law, the Hotel is required to maintain clear access for egress from all emergency exit doors leading onto the loading docks.

Delivery of freight

Due to limited storage space and a high turnover of events, the Hyatt Regency Sydney has requested that all freight arrive no earlier than Tuesday 2 September 2025 (within the loading dock opening times), or it could be rejected. All materials despatched to the Hyatt Regency Sydney must be directed to the Hotel Loading Dock and be clearly labelled using the Delivery Label on page 13. This label must be placed on ALL items being delivered. Please ensure all fields are completed on the delivery label, including stand number. If you are sending deliveries via courier, please ensure that you put your own details as the sender. To avoid disappointment and delays during bump-in, it is the responsibility of exhibitors to confirm with their courier service that the goods have arrived

Please note that no responsibility will be taken by the Hyatt Regency Sydney or The Pharmacy Guild of Australia for the loss or damage during or after an exhibition. All goods belonging to exhibitors must be claimed and removed from the hotel on the final day of the conference. Hyatt Regency Sydney also reserves the right to inspect vehicles leaving the hotel during move-in/move-out of the exhibition. It is the responsibility of the exhibitor to ensure that items will be collected at the completion of the conference.

Parking

The Hyatt Regency Sydney does not have any parking onsite. Nearby casual parking is available at Wilson Parking 168 Sussex Street/383 Kent Street, or Secure Parking 186 Sussex Street/2 Market Street.

The lift bays and loading dock are to be used for loading and unloading goods only. Parking is not permitted in the loading dock or on Slip Street.

Storage and security

Limited storage for exhibitor goods during the exhibition will be available on the Mezzanine Level in the Maritime Ballroom Alcove (refer to the Exhibition Floor plan on page 11 for this location). It is recommended that any gift bags are prepacked prior to arriving at the venue, due to the limited storage area and restricted access in this area. ALL items left in this storage area must be clearly labelled or they could be disposed of. Please note, this storage room is near the far entrance to the Maritime Ballroom. Although this area is not located in a major hotel thoroughfare and is separate to the main meeting rooms, it is not secure. It is recommended that any valuable items be locked up or kept on the trade stand for safe keeping.

Excess boxes, material and equipment not required for your exhibition should be removed from the Hyatt Regency Sydney, as storage space is limited. Additional charges may apply to those exhibitors who have a large amount of packaging and waste. Any unpacking within the exhibition area must take place in your stand area, not in the aisle ways or at another exhibitors stand. Aisles must be kept clear at all times.

While every reasonable precaution is taken, The Pharmacy Guild of Australia and the Hyatt Regency Sydney accept no responsibility for any loss or damage that may occur to persons or property at the exhibition resulting from any cause whatsoever. Exhibitors must make provisions for the safeguarding of their goods, materials, equipment and displays at all times. It is suggested to cover any product or sample displays when the stand is not being manned.

Please be security conscious. Do not leave wallets, laptops, mobile telephones or any easily portable items unattended, at any time, in your stand. THE PROTECTION OF YOUR PROPERTY IS YOUR RESPONSIBILITY. It is recommended that all exhibiting companies take out an insurance policy that covers their exhibition stand.

Please pack all return boxes and banners, label each item clearly, attach the Outgoing Freight Label found on page 15 and advise the venue staff to move these from your stand to the loading dock, ready for collection by your courier the following day. It is the responsibility of the exhibitor to arrange for the collection of goods by a courier.

All items left at the hotel for collection by a courier must be clearly labelled with a delivery address and have a signed consignment note, if applicable. The Hyatt Regency Sydney staff are unable to sign consignment notes on behalf of a client. Please ensure that NO items are left behind. If approval is given to leave items behind, these MUST be collected no later than one working day after the event from the Loading Dock.
