Terms And Conditions
BOOKINGS & GUARANTEES
Panorama Mountain Resort (PMR) does not hold space without a deposit.
In order to hold space for a definite basis, a minimum deposit of 10% of total food cost is required. Deposits are required with a valid credit card no later than six (6) months prior to the event. The deposit is refundable up to six (6) months prior to the event, inside two (2) months 50% of your deposit will be returned. Within thirty (30) days of the event, your deposit will not be refunded.
A booking is not confirmed until the minimum deposit is paid in full.
An event booked within one (1) month of the event date or with a total invoiced amount of less than $1,000 is to be paid in full at the time of booking.
A signed contract is mandatory and must be sent to the Catering Manager seven (7) days before the event. No exceptions. If this deadline is missed the latest contract revision sent preceding the event will be deemed final and binding.
Venue Rental
Room rental includes: designated furniture, tableware, and a single set up and tear-down. Labour charges of $30 per hour apply for additional set-up requests.
Minimum spend:
• Venues that require a minimum spend can only be booked with contracts equaling or exceeding the minimum amount. Failure to meet these spend amounts will result in the outstanding difference being added to their invoice as an additional room rental fee.
• The minimum spend is calculated by the sum of the food, beverage and internal equipment spend. It does not include labour, third party rental, taxes or gratuities.
• Minimum spend does not apply to part day rentals.
Please advise our catering team of any additional decor that you will be bringing in.
Post-event clean up includes the removal of décor items, as well as the disposal of all waste, such as carboard, greenery/florals, etc.
PMR does not assist with labour for set-up or take-down, including receiving deliveries (ie. tables, chairs etc) for third party rentals. All rented décor (ie. napkins, glassware, flatware, chairs etc) is to be set by your hired wedding planner or day-of coordinator, and must be taken down the evening of the event. PMR does not provide any supplies (ie. ladders, lighters etc) to assist with décor set-up.
Event floorplan confirmation and guest seating allocations are required 14 days prior to the event.
No confetti or synthetic rose petals are allowed on PMR property. Real rose petals must be cleaned up immediately following the ceremony via your hired coordinator. Failure to abide may result in a cleaning fee.
Candles are required to be within the Panorama Fire Code. Sparklers, fireworks and smoking (including vaping/e-cigarettes) are prohibited within event venues and on Panorama Mountain Resort grounds.
Terms And Conditions
All live musicians must be approved by the Catering Manager prior to the event.
You are responsible for paying the applicable music licensing fees (SOCAN) for all events playing music and/or dancing. This will be added to the final invoice. Tax is applicable on SOCAN charges.
Attendance:
• 1-100 guests $41.13
• 101-300 guests $59.17
• 301-500 guests $123.38
Guest Attendance
Estimates are due on confirmation of the booking. Minimum numbers are due thirty (30) days before the start of the event. Final numbers are due seven (7) days before the start of the event. Should the numbers drop within the seven days, the confirmed final number (given seven days prior to the event) will be charged for in full OR if the total number is greater than the confirmed number, it shall be charged for in full.
FOOD & BEVERAGE
Every attempt is made to ensure that the menu you select is available, Panorama Mountain Resort (PMR) reserves the right to substitute items based on market availability (with notice provided to the party). Prices of food and beverage can be confirmed in advance but are subject to change without notice.
PMR will be the sole provider of all food and beverages including alcohol and wine. If there is a wine you desire, please contact the Catering Manager.
Menu selection must be finalized and confirmed one (1) month prior to the event. Dietary requirements are due seven (7) days prior to the event. No exceptions.
Additional meals required for undisclosed dietary restrictions will be prepared and charged at the discretion of the Catering Manager, in addition to guaranteed numbers.
The legal drinking age in British Columbia is nineteen (19) years of age. We reserve the right to ask for identification (two forms thereof, one has to be a picture ID) at any time and at any function.
PMR will adhere to all applicable laws and regulations as they pertain to the service of alcohol, including any activity that promotes increased consumption. Under no circumstances will PMR allow any form of drinking game in any of the rental facilities.
In accordance to the regulations governed by BC Liquor Laws, no liquor service will be permitted in any of Panorama’s rental facilities after their licensed time. PMR reserves the right to inspect and regulate access of guest’s belongings to all functions and events on resort property.
Terms And Conditions
Specialty wine may be ordered in through PMR, a minimum of 6 weeks prior to the event and it must be an available SKU on the BC Liquor website. The product must be paid for in full upon ordering.
NOTE: Any wine specially ordered through PMR can either be used as part of the allocated corkage allotment OR sold outright as regular inventory, OR a combination thereof. Any remaining stock after the event, is yours to take home under the rules of wine corkage (note: this ONLY applies to wine).
Should you opt to allocate this wine under the corkage allotment, you will pay the cost of the wine AND the corkage fee. Should this product be bought for general consumption at the event (outside of the corkage allotment), the product will be sold at the cost of the product, plus PMR markup rates.
PMR does not permit outside alcohol to be consumed in public areas of the resort, including the event space. Outside liquor containers found on-site during an event will result in the individual(s) or the client (wedding couple) receiving a minimum $2,500 fine. Please ensure that your guests are aware of this.
FINAL PAYMENT, ADDITIONAL CHARGES AND SERVICES
Final invoicing will be sent out within seven (7) days after the event conclusion. Outstanding charges to prepaid events, including beverages and services will be settled after the event and added to the events master account.
Final payment of the event, must be settled in full within seven (7) days after the final invoice is issued.
All food, non-alcoholic beverage and liquor will be charged with an 18% gratuity and applicable taxes.
