MAKING YOUR MILES COUNT Robert D. Scheper

Transparency in our Careers Being an accountant has given me the opportunity to present stories in numerical form, showing where and when money was spent. I often say that hiding income or expenses nowadays is very difficult, if not impossible. Virtually every transaction has some sort of a finger print; some of it directly and some indirectly or circumstantial. A money trail is like walking down a smooth beach; every footprint can be examined, every stride measured, every direction replayed. We can’t hide much. The sooner we get used to a transparent life, the better. With the advent of technology, society is having fewer and fewer options to hide. The result of higher end technology is a higher level of transparency. ELD’s make the answers to “where were you?” a provable position. Many carriers and operators have dash-cams recording events milliseconds at a time in super high definition. Cell phone trackers and history can be retrieved: conversations, events, duration and locations as in-disputable facts. Technology has made entire lives or certainly careers utterly transparent.

So, if drivers must live in a transparent environment should not dispatchers, supervisors, DOT inspectors, auditors and all levels of government? If drivers are told to do one thing “in private” but are responsible for another publicly… is that right? If a driver secretly recorded a threatening DOT Inspection, is that “immoral” or “unethical” towards the inspector? It’s certainly not illegal because according to the laws of our land, only one party needs to know about being recorded. Drivers (and many other professionals) live in a very transparent environment. They usually do so for self-preservation. Just look at the dash cam videos on the internet that clearly show the culpability of some four-wheelers. The available viewing time is endless. The primary reason to live in transparency is to protect oneself from those who lurk in the shadows; those who present their versions to perpetrate some type of fraud such as implicating someone else’s guilt rather than owning up to their own.

The greater our responsibilities the more transparent we must assume our actions will be. Accountability through transparency must now be viewed as the new norm. Accountability is good for those who have nothing to hide… bad for others, and horrible for some politicians.

Dash-cams have saved many drivers their careers. Those four-wheelers who were found guilty through digital evidence have often loathed the technology that forced accountability for their actions or communications. Hating or lashing out at the technology usually shows culpability and lashing out at those people who record events mirrors guilt or suspicion. It also displays social ignorance, arrogance and a level of personal delusion to the commonsense spectator. No adult is fooled by a toddler’s tantrum in the cereal aisle and no citizen is fooled by blind denial. It is not a violation of ethics to hold me responsible for my unethical behavior; it is my responsibility to act appropriately… as though I was being recorded.

As leaders and professionals our actions must always be conducted as if we are being recorded and that those recordings will, sooner or later, be made public. I assume in our high-tech society, it probably will be. I don’t know about anyone else but for me it’s very sobering. I’m glad most of my youthful stupidity was pre-internet. I now only have to worry about my mature... immaturity. I analyze my response or reaction to the exposure to my immaturity, sometimes more than the immaturity itself. I usually find I’m not as mature as I think I am.

Tackling Driver Turnover - Part Four – Communication or Social Needs An old saying goes, “Sometimes silence speaks louder than words”. If your company doesn’t have an effective, robust, communication strategy, then I would guess that your retention numbers are suffering much from the neglect. Humans are by nature social animals that need to interact, and that transcends beyond family and friends. For a driver, beyond their private lives it exists when they are on the road with fellow drivers and of course, with the company that they work for. Thus, maintenance, safety, administration, sales and of course operations all play a role. I have said for years that if you have two people in an office, you have a rumor mill, which is okay if you acknowledge it and fill it full of all the good things that happen in your company regularly. Rumor mills have a negative connotation because they are usually the starting point for gossip and unsubstantiated claims. So how do you stop this? Well, it’s easy. What you do is formalize a communication strategy and then, like any other strategy, you work the plan by filling the information channels with all the good stuff and if you look, there is plenty of it to be had. A couple of principles come to play on this subject. First, when a company shares information with you, it’s because they trust you and they want your input. A company that does not communicate effectively is telling their people that they were hired to do a job, 24 • OVER THE ROAD

to follow the role description of their job and nothing more – if you do that, you will fit in nicely here. This scenario is a problem if you are taking on your company’s retention issues because you are going to need all hands on deck and you will need volunteers for specific action teams. You will require everyone to understand their role in driver retention and that transits their normal position. You will need all the folks inside the walls to bring their ideas and input; people are no longer checking their brains at the door. The second principle is that a good retention strategy has to early on identify whom they are communicating to and, your silence here speaks louder than words. Who is our audience? The obvious group is your drivers. Here is the caveat. If you remember back in the first article we talked about values and how we were going to interact with all of our relationships. When we talk communications, it’s the same thing. I have had folks at some companies get stuck here; this is not an effort to retain drivers at all cost or to kowtow to them. You are in an exercise in becoming a value-driven company whose culture will have a cornerstone that is driver-centric and that’s a much different scenario. When I was in my position as President of a mid-size carrier our audience was as follows: Drivers and Owner-Operators and their families, customers, suppliers, the local MAY 2019


What you are doing by initiating a formal communication strategy is you are beginning to build that positive sense of community at your trucking company. Drivers will always be aware of what other companies are doing with wages and sign-on bonuses and you can’t stop that. However, what you can do is begin to focus your efforts on disseminating all the positive things that your people do daily. I’m talking about employee promotions, Driver and Owner-Operators of the month, new grandchildren, new babies, clean inspections, highway heroics, new equipment coming into the fleet, driver profiles and so on. There are all kinds of things happening every day at your company that you can talk about, so share them all.

and national press, the communities we had terminals in and governing bodies we interacted with. If you look at each of these sectors, they all influence driver turnover. Each of these sectors perceives your company in their reality. What are you doing to reflect your company in the best possible way to these folks? This might look like a complete drag on resources and here’s the beautiful thing; in the long run, it isn’t. Sure it will take some time to assemble a team to get going and they will need to work together and meet weekly for an hour or so. However, a fantastic thing happens when folks start talking to each other. They begin to see the big picture and how they interact with each other and how what they do affects someone else down the line. In the end, the minimal time spent in meetings over time is far outweighed by time saved in the efficiency that an effective communication strategy will bring.

Who’s Looking Out for You? This article is a little more personal than most. Earlier this year, I learned that a first cousin (Rick) passed away, alone, in his apartment. He was divorced and his children had moved on. He died alone and was found by a colleague who was concerned. It’s a sad story. What makes this more tragic is that another one of my first cousins (Dave), on the other side of the family, passed away in the same way only a year ago. He had been separated for decades but never made the effort to get a divorce. Yep, you got it; the ex-wife inherited everything, including the house and what little savings he had accumulated. I don’t know how long my cousin Rick, who passed away earlier this year was dead before he was found, but I can tell you my cousin Dave, who died last year wasn’t discovered until a week later. Yes, an entire week, if not longer. Someone decided to call the police to do a welfare check and they found him.

Although I felt so sad about losing my cousin, I felt so much more remorse about the fact that no one checked on him for days! No one missed his calls, his emails or even his company! No one worried about him when he didn’t show up for work, or to stop in at his favorite pub. No one cared enough to find out how he was doing until a policeman was called to check up on him. How many days would it take for someone to find you? Who is looking out for you? Are you estranged from your family members? Have you called your children or your parents or even your siblings lately? If you died in your sleep tonight, would someone be concerned? We’ve all heard of drivers who are found slumped over the steering wheel of his or her truck… dead. The truck stops have too many stories of checking on trucks that haven’t moved in days. Even if the driver died during the night, did someone wait by a phone to hear a call each day? Did someone become concerned when the call wasn’t made?

We found him in his new recliner. He had died during the night. The coroner estimated that he’d been dead 16 hours; less than a day.

My dad was a very independent man and insisted on living in his home as long as possible. For Christmas one year, we (my siblings and I) bought my dad a new recliner. I told him that my biggest fear, but my biggest hope, would be that I walk in one day and find him lifeless in his recliner.

How long would it take for someone to find you? Maybe it’s time to set up a check-in schedule, not only for you but for your parents, friends, children and other family members. If you passed away tonight, would someone wonder about you and try to find you?

That may sound a little cold, but you need to understand that my father and his father, as well as my uncles, were all undertakers. We talked about death easily and we’d all been assigned our cemetery plots since we were children. We’d hang out with dad at the funeral home after school. Dead bodies didn’t bother us. My parents just reassured us that the bodies were left behind and the person didn’t need it anymore because the soul has left it.

I was pretty close to my dad, and if I didn’t call him or email him consistently, I would stop in and check on him. One day, he didn’t arrive for a lunch that he had arranged with some friends. I was informed and I tried calling, to no avail, so I got the keys and drove the 25 miles to his house. A neighbor happened to be out getting his mail, so I asked him to walk in the house with me. The TV was blaring but my dad didn’t answer the door, so we entered.

Control Your Own Destiny You are driving along the highway. Up ahead you see a carrier enforcement vehicle parked in the shade, under a bridge. You drive by and there is that dreaded moment or two… is the vehicle staying there or coming out after you? We’ve all experienced that moment when suddenly we feel guilty even though we know that we haven’t done anything wrong. And then there’s anxiety… am I going to be the victim of a local political campaign focusing on some aspect of road safety? Is there a safety blitz going on that I don’t know about? Am I going to be stopped? Oftentimes, drivers believe that there is little they can do to manage this aspect of trucking.

Statistically, only about 4% of roadside inspections are truly random in nature. Usually, random inspections are done when the carrier is unknown to the enforcement community and they want to get a “feel” for what that carrier is all about. That leaves 96% of roadside inspections that are generated equally by the following: •

The truck is speeding

There is an observable defect

• The carrier is “known” to the enforcement community All of these are within the driver’s control.

Speeding speaks for itself and requires little further comment. Speed has been identified as a causal factor in crashes and enforcement personnel will universally be motivated to respond when they see it occurring. Especially in restricted speed zones or construction zones.

Then there is the reputational damage, both for the driver and the carrier. Your violation history now follows you from company to company. This could negatively impact your ability to get a job. Carriers are subjected to intense scrutiny from customers, regulators, insurers and financial institutions. Their operating costs increase as the perception of their safety rating decreases.

Having observable defects underscores the importance of doing proper pre-trips and addressing any defects noted. If you are going to hand them a gift, enforcement personnel will take it.

Bottom line… you can control your own destiny by not attracting unwanted attention from the enforcement community!

Amongst the enforcement community, “known” has a different connotation. It is usually associated with past performance demonstrating a high likelihood that if they stop that vehicle, they will find a violation of some sort. And remember, in the U.S., they have 945 FMCSR violations to choose from!

Aside from the obvious risk of fines or being placed out-of-service, there are other issues for drivers to consider.

Let’s assume you lose one hour during that roadside inspection. Let’s also assume that the truck, on average, travels at about 45 miles per hour. Then every time you get stopped, you lose the revenue for those 45 miles!
