MAKING YOUR MILES COUNT Robert D. Scheper

Professionals Don’t Fight a Battle That Has No Rewards I have several very wealthy friends that I have interviewed. I always like to find out what drives a person and what attitudes they have about problems and circumstances in their life. I have learned a lot about myself in these interviews. Most wealthy people speak about having learned their craft from a mentor; if not an actual person than one in a book, a story or a collection of stories. They look at successful people and try to figure out what made them successful and what did not. Then, they imitated the things that brought success. Sometimes they didn’t even believe what they were doing was correct, but they did it because another successful person had done it. Sometimes, it wasn’t until they noticed their success that they finally believe in it, as opposed to some people who claim to “believe in something” but refuse to do it. Failure is OK with “just believing”… success requires “just action”. My closest friend was mentored by a great retailer. Several years ago he related a philosophy his mentor had taught him. It had to do with accounts receivables or having people charge their purchases on credit/account. Senior management always had to deal with some customers who couldn’t or wouldn’t pay. His mentor 20 • OVER THE ROAD

said that writing off less than 3% of all receivables means that you’re not risking enough in credit sales. This philosophy is a huge shift in thinking. Normal companies are always trying to eliminate their bad debt, getting it lower and lower or even to zero if possible. But, my friend’s mentor taught him that a well-run retail business should push sales till they reach about 3% of bad debt. He said that this amount of bad debt changes the mindset of salesmen and customers. Salesmen are now free to reach beyond the norm and customers feel trusted. With the increased trust, customers will often buy more and try harder to pay their bills. However, when a company is trying to completely eliminate their bad debt they inadvertently insult good customers by overly scrutinizing them. The higher level of trust at the senior management level also promotes a more mature attitude toward some operating costs. It’s all a part of building a great business as opposed to just a profitable one. Having the right attitude towards things is probably the most important rule in business. There are some expenses that professionals just accept as part of doing business: expenses such as fuel DECEMBER 2017


or maintenance for instance. A good operator first reduces these expenses as much as possible and then the balance is accepted as a part of doing business. In other words… once minimizing is achieved… just write the check and forget about it.

about taxes. Too many hate paying taxes - no matter how little. It is as if they feel they are entitled to earn as much as they want without any tax consequences. If they hate writing out that check so much, perhaps they should just go back to being a company driver and pay what is due.

One such expense is also income taxes (I hope I didn’t just loose half of you from reading further). Taxes should be viewed as a regular cost of operating a business. Professionals, once they acknowledge they have reduced their tax payable as much as they can, write the check and move on.

Professionals have a mature attitude about all things business. They may HATE taxes but force themselves (after reducing them as much as legally possible) to accept the balance as part of operating their business. They don’t invest emotional energy on something that doesn’t provide a return. Professionals don’t fight a battle that has no rewards; they make a choice and live within the results.

As an accountant I have been told many times that it’s my job to eliminate taxes at all costs. When I am told that, I usually reply that if they don’t want to pay ANY taxes then they will probably have to limit the work they do so that their income hovers around zero.

Although I am a huge fan of nontaxable benefits (which lowers taxes tremendously), it doesn’t eliminate all taxes in every situation. The national average in tax savings is around 40-60% of industry norm. Though I still have some clients who “demand” a zero tax return, I have to communicate that I cannot and probably never will be able to guarantee a zero return to everyone. If I could show you a method of reducing fuel expenses by $1000 per month (for a long haul operator) would there be any complaining about the rest of the fuel expenses? Probably not. However, some people seem to have a different mindset DECEMBER 2017

SPEAKING FROM EXPERIENCE Ray J. Haight

Leadership and your Elders Effective leadership in business, politics or family is critical to the success of that situation. I have seen and I have been involved in many situations at many trucking companies, non-profit organizations and community efforts that would not be suffering but for one missing element; effective leadership. Someone with dedication, vision and a strong moral compass who walks the walk can fix almost any issue in any circumstance. I know this to be true! Leadership used to be tied to that person being a role model but that idea is suffering badly in the public eye. I have been fortunate in my lifetime, along with many of you I’m sure, to be exposed (either through being taught or firsthand witness) to many great leaders that were in the public purview. Folks like Tommy Douglas; father of the Canadian Health Care System, Winston Churchill and his heroic stand during World War 2, JFK and the unfolding of the civil rights movement, Terry Fox, Mike Hanson and the list goes on and on! These were and are great role models and these were folks that knew the price of leadership. Whether they sought it out on purpose or it came to them as a result of a heroic effort; they rose to the occasion for all to see and stood proud. Todays scrutiny is much more of a micro lens than the macro lens of just a few decades ago but even so, when these folks

were elevated to their pedestals by “we the public” it seemed that all we did was shine a light on what was already there. Their style and classiness was not contrived or manufactured. What we saw was nothing more then what already existed and it was classy and it gave us all something to aspire to. The world seems a better place today because of the folks that were our role models of the day. I’m confident that these same types of role models exist today and these same types of folks are walking in our midst as I write this piece. The problem is the micro examination by todays media shows every freckle, wart and hiccup that ever existed in ones past and, regardless of ones character, you will be vetted in the public eye to that situation or circumstance. Let’s face it, what person needs that type of scrutiny. Even if you were prepared to endure the focus on yourself, all of those around you will suffer the same level of scrutiny and should they have a skeleton in their closet, condemnation by association will be swift. Where the mainstream media direct their spotlight these days is the youth of North America. The youth are the trendsetters and the consumers. Look at what’s happened in just the past 3-5 decades. During that period our elders, who were once upon a time invaluable advisors to our youth, have been transformed from role models and knowledge givers with a life time of

way by an acquaintance that has a PhD in education. He says that young people have what is referred to as liquid knowledge which is the knowledge that comes from studying a particular subject or learning as they move through a situation. Mature people have liquid knowledge and have crystal knowledge which is the additional knowledge that comes from having worked through a particular subject or situation once or many times. It is additional knowledge that comes from experience, trial and error, getting better and better at something, minimizing the scares, bin there done that, know the drill!

The infrastructures that our elders built for us to live in is now turning on them, and many blame their elders for the high cost of supporting them in their advanced years and the high cost associated with health care and other social infrastructure. I am no conspiracy theorist but I believe that what’s happened is that the mainstream media’s focus has lead us down a path that is directly pointed at the youthful consumer and the advertising dollars that come with selling them products and services. In doing so, they have discounted our elders in today’s society. The focus today is on youth and future possibilities, not accomplishments of the past and calling on that wisdom to offer opinion on today’s reality.

So whom do you call on when you need advice whether you’re an Owner Operator, a company driver, a department manager or a trucking company owner? We all from time to time should have an experienced confidant to bounce things off of and to act as a sounding board for the issues of today in this business of trucking. According to the American Trucking Association, the issues of today are: HOS and the shortage of qualified drivers, fuel issues, congestion, government regulations, tolls and highway funding, tort reform and legal issues, truck driver training, environmental issues and on-board truck technology. See anything new here from the last 3-4 decades? I don’t and a parting thought: “A wise man learns from the mistakes of others while fools learn from their own mistakes.”

Direction is given and taken from advertisers trying to solicit young consumers by portraying them as the chosen generation; the folks who will evermore carve our trek into the future: new is better, old is bad. It was just a few short decades ago that seeking advice from ones elders was common practice and always looked upon as a prudent thing to do. How often do you hear of that today? Typically the elders amongst us are uninitiated in the world of technology and are made to feel left out of the loop, disconnected from the rest of the world and discounted in their value as people! I think young leaders in our industry would be wise to consult and listen to the successful people that went before them and who made our industry so successful.

Sharing Best Practices Around The World As the trucking industry in North America looks toward women to create a more diverse workforce and to fill talent gaps, nations around the world look toward America to lead the way. Recently, I was asked to speak at a conference in Hue City, Vietnam to share the best practices that the Women In Trucking Association has found in our efforts to increase the numbers of women in transportation. The event was called the Women In Transportation initiative which was launched in 2011 by the Asia-Pacific Economic Cooperative (APEC) to address the growing need to identify barriers and share best practices in four core areas. These areas include education, access to jobs, retention and leadership development. The initial group had three objectives; to obtain baseline data on women’s participation in all modes of transportation across the economies covered by APEC, to identify best practices used to increase the numbers of women employed in transportation careers and to continue the dialogue at the Ministerial levels.

Since 2011, events have been held in Washington DC, Viet Nam, Indonesia, Japan, and the Philippines with the most recent being the September event held in Hue City, Viet Nam. This forum included presentations from government leaders, private sector innovators and transportation trailblazers. The Women In Transportation Task Force created the “APEC Women in Transportation Data Framework and Best Practices Report.” The report outlines the five pillars of focus and then identifies eighteen priority outcomes. The pillars include education, entry into the sector, retention, leadership and access and use (of transportation services.) Women In Trucking’s Girl Scout Transportation patch is included in this report for its effectiveness in “providing critical exposure to young girls about the variety of employment opportunities in the transportation sector, including trucking, through fostering an important partnership with a popular local youth organization.” Another initiative of best practices include, the Philippines Women in Maritime “She to Sea” mentoring forum which increases gender equality on maritime vessels. government of Malaysia created the “Women Taxi” pilot program to promote the idea that driving a taxi is an opportunity a woman should consider when looking for a flexible and economically productive career. The Viet Nam Women’s Union Model for Routine Road Maintenance program was created to not only raise the awareness of the importance of rural road maintenance, but to train local citizens in three provinces in maintaining their rural roads. The project also promoted the use of unions in organizing the training for both men and women. At the APEC Women In Transportation Conference, three groups were selected to share their successful projects and their results in increasing women’s participation. One of the projects seemed so obvious but wasn’t that simple to resolve initially. The streets of Viet Nam are filled with scooters. In fact, motor scooters are the main mode of transportation for 95 percent of drivers in that country and these drivers often have numerous passengers clinging to them as they zip along the streets. The World Health Organization estimated that sixty percent of all traffic fatalities occurred between scooter drivers and passengers. The government made it mandatory for all scooter drivers and passengers to wear helmets. There was an issue with one group of rural Vietnamese women who belonged to an ethnic community where married women wore their hair in a bun on top of their heads. These buns did not allow the women to wear a

traditional helmet, so the National Traffic Safety Committee created a helmet with a “bump” on top to accommodate the women’s hair. These women were now able to ride scooters with the required headgear in place! At the invitation of the APEC Women in Transportation, I was asked to speak to the group about the Women In Trucking Association’s initiatives to increase gender diversity in transportation areas, focusing on leadership roles in supply chain careers. I challenged the women to become aware of stereotypes and other issues that inhibit the hiring and promotion of women in nontraditional careers. The trip to Viet Nam was truly memorable, not only in experiencing new cities and different cultures but in meeting the passionate women (and a few men) at the event. The challenge in creating a more gender-diverse transportation workforce isn’t limited to the United States but is a topic that is being addressed around the world. I was honored to participate and share our best practices. CHECK OUT THE CVOR I want to start by taking a moment to wish all of my readers the very best that this holiday season has to offer. This month I will write an article about the CVOR. And about how a CVOR can be ruined. And as I started to think about it I realized that I was in some trouble. Do I address myself to trucking companies and say, “Don’t Let Truck Drivers Ruin Your CVOR or, do I address the article to drivers and say: “Don’t Work for a Company with a Terrible CVOR!” I am of two minds. I think that both statements are true and both expressions are valid, to a point. I think companies know that their hiring process is often flawed. They are so anxious to get the driver into a seat that they fail to adequately screen and onboard the drivers. Drivers are in too much of a hurry. Typically they are leaving one company for a valid reason and going to the next but also fail to perform simple but necessary research into the company to see if they will be a good fit! Okay, let’s talk about the companies first. And drivers, don’t skip over this part because it will give you some suggestions and ideas about what trucking companies who do things correctly do to bring in quality drivers. Let’s be honest; you as a driver want to work for a good company that treats you fairly, right? After all, isn’t that the reason that you are leaving your current place?

Now back to what the companies should be doing. They should be investigating each new applicant by digging deep into their Motor Vehicle Record (MVR)’s (abstracts) including (if the driver is from Ontario or Alberta) the Commercial Drivers Abstract. Let us not forget about the criminal record search as that is necessary as well. Since I’m a safety consultant, I often work with companies that fail to hire well. And usually, they don’t do the references or history checks adequately. Why? I suspect because it takes both time and money. Drivers, I know you are anxious to make a change but don’t hop to a company that fails to take their time while exploring your background correctly. Oh, I know you think that your experience is good and that it is all the other guys that have things to hide so why shouldn’t you quickly change carriers. The quick answer to that is that the companies that don’t hire correctly usually have a terrible CVOR. Working for a company with a lousy CVOR affects you how? More inspections! Yes, when you roll over that scale and the officer inputs your license plate into the system, the officer will immediately see your companies CVOR. They immediately know what kind of a company you are driving for and will even know what the likely problems areas are and if they should check for Hours of Service violations or vehicle defects.

The most often asked question is in regards to the company CVOR. “How do I check a company’s CVOR?” Great question! One way would be to purchase for $5 a Level 1 public CVOR. Yes, it does cost five dollars and it doesn’t tell you a heck of a lot, but it does give you the company rating. The good companies have a rating of “Satisfactory or Satisfactory Un-Audited.” Companies that are good also have a rating of “Conditional.” If the company that you are applying to has a condition rating, I encourage you to ask questions. One of the most important items on this CVOR Level 1 Report is the “Overall Threshold.” This number should be below 35% and the lower, the better. If the number goes over 50% then the company may get a Facility Audit. You don’t want to be part of that.

Drivers, if the company that you are applying to for a job is not taking their time and doing a proper investigation about your past, it means that they probably didn’t do it with any of the other drivers in your fleet. This should make you wonder what condition their CVOR is in. So for each and every driver, the company CVOR is hugely important. This is because on any given day, being human, you can make a mistake and that mistake could cost you hundreds of dollars. So you need to work for a company that has a great CVOR which will result in your getting inspected less frequently. So that is the company CVOR. You drivers need to keep your CVOR in good shape too. After all, it is your best advertisement for your abilities. If you are a quality driver then your CVOR will reflect this. What does a good truck driver CVOR look like? It should have several clean inspections on your record. These clean checks show that you have both experience and know how to perform a vehicle inspection.

How do you check their hiring process? Well, I guess you simply go through the process and if it seems complete and thorough, it is likely correct. What are the on-boarding actions? How does the company welcome you to the group? The more exacting companies often have one to five days of indoctrination or training. Smaller companies should have something similar and at least several hours of welcoming and orientation.

Preventing “Lights Out” Fines and Downtime For fleet managers and Owner-Operators of Class 7 or 8 trucks, keeping all the various lights on a trailer functioning properly can eliminate a considerable amount of trouble. This includes avoiding CSA fines or citations for severity points, but also eliminating a glaring reason for law enforcement to pull a vehicle over. In fact, more than 25% of all CSA violations in the heavy-duty trucking industry are related to lighting outages from inoperable lamps or defective/broken lights. As such, it represents one of the largest annual expense items, when CSA fines, maintenance, downtime and repair are factored together. Given that lighting-related CSA violations are so common, the industry is responding with new “smart” systems that provide continuous, real-time monitoring of all lights on the trailer to identify outages or electrical shorts. For notifications and alerts, today’s solutions go far beyond the flashing indicator lights of the past. In more advanced systems, real-time status of every light on the trailer can be transmitted via onboard telematics or wirelessly through Bluetooth where it can be accessed through a user-friendly smartphone app. Armed with this level of information, owneroperators are able to maximize safety and increase uptime, while minimizing CSA exposure. Lighting Systems Get Smarter Every trailer requires fully functioning lamps at all times on the road. This includes those for stop, left 56 • OVER THE ROAD

and right turn signal, tail, license, clearance, side marker and identification. However, problems arise due to lamps burning out, corrosion in the wiring or plugs, electrical shorts or issues related to shock, vibration or physical damage. Fortunately, lighting issues are typically resolved quite easily with spare fuses, replacement lights/ bulbs and the right tools. The difficulty, therefore, is to simply know a problem exists so it can be addressed immediately. Although pre- and post-trip inspections (if conducted diligently) may expose a problem with one or more of the lights, outages that occur while on the road may not be known about until much later. As previously suggested, this could draw the attention of law enforcement and even up the possibility of additional CSA citations. “Lights that are out are an easy target for an inspection,” says Kevin Cornelius, Business Development Manager of Power Delivery at Grote Industries, a global manufacturer of lighting and safety equipment for trucking fleets. “When a truck is pulled over, it can trigger the officer to investigate everything else like the driver logs, brake wear or tire tread.” Although there are lighting monitoring products available, until recently there have been a few drawbacks, says Cornelius. One system utilizes only a flashing light to indicate an outage. Another uses an indicator light on the outside of the truck, but can also be connected to telematics. However, it works only with LEDs and requires extensive trailer alteration for installation. DECEMBER 2017


However, a new approach from Grote called the Guardian Smart Trailer System can be easily integrated into the trailer’s wiring harness system at the nose box. The system was created in collaboration with one of the largest trailer manufacturers in North America, and is currently being used by more than a dozen fleets across the country. The fully integrated smart system delivers real-time status of the entire trailer lighting system and works with any type of lamp. The system’s sensor continuously monitors voltage and current passing through the wire harness. The system is programmed to differentiate notable or sudden changes from those that are gradual and could be caused by lights warming up or ambient temperature conditions. The system alerts a driver through a smartphone app or it can be connected to the on-board telematics system. All the information on status and any changes are logged in cloud-based storage for data analysis. According to Cornelius, the same sensors could be used to measure temperature, humidity, pressure, or other factors as part of a bumper-to-bumper solution as the industry moves more toward monitoring of additional tractor-trailer functions. Because of the importance of collecting accurate data, Cornelius adds that the wire harnesses used should be extremely reliable and resistant to corrosion for the smart systems to function optimally. For this reason, he recommends utilizing wire harnesses that are resistant to moisture, chemical and UV attack, which will stay flexible and not harden or crack. Although this type of wire harness is available from Grote, Cornelius notes that the Guardian system works with wire harnesses and lamps from other manufacturers as well.

Next Generation Smart Systems One aspect of the next generation system from Grote, planned for release in April, 2018 that is of particular interest to trailer OEMs and fleet managers is a “geo-fence” feature that will automatically upload trailer lighting and electrical system information and send alerts for priority attention, as needed. Geo-fencing allows a virtual geographic boundary to be drawn around a specific location, such as a facility or repair depot. When the geo-fence is crossed and there is a lamp or light outage, it can be programmed to automatically trigger a warning via e-mail or text message to appropriate personnel. “Once the tractor-trailer crosses the established geofence, the maintenance manager will immediately be notified,” explains Cornelius. “This approach could even allow for automatic electronic ordering of replacement lamps, if desired.” Although some companies charge a monthly subscription fee for this type of service, Cornelius says Grote has no current plans to charge for the geo-fencing feature. “The ability to proactively identify and resolve any lighting, electrical, or other tractor-trailer issues will only grow as this kind of real-time monitoring system becomes more sophisticated,” concludes Cornelius. “In the trucking industry, access to this type of information is going to reduce CSA violations and ensure safer, simpler operation.” For more information, contact Grote at 2600 Lanier Drive, Madison, Indiana 47250; phone: +1 (800) 628-0809; e-mail safety@grote.com; or online at www.grote.com/guardian.
