Disadvantaged Business Enterprise (DBE) Office Administrator Central Administration Executive Director of Disadvantaged Business Enterprise (DBE)

Job Summary Under the supervision of the Executive Director of Disadvantaged Business Enterprise (DBE), program the administrative assistant provides the day to day the DBE office and close interaction with the DBE and business community. Essential Duties and Responsibilities include the following. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned.               

Assist in drafting and updating all DBE Forms as directed; Assist in planning DBE community outreach and DBE business promotions; Draft and maintain correspondence as assigned; Draft and maintain field compliance visits logs to ensure DBE compliance; Verify DBE status of businesses by contacting the certifying agency; Maintains data base of department documentation on each contract and their status; Conducts desk audits to determine actual DBE participation level for each project; Attend to and review DBE phone line, return calls and emails as necessary; Document and maintain all complaint logs and resolution status on each DBE complaint; Assist the DBE Executive Director in filing and maintaining all records for federal/state audit reports; Assist with tracking DBE quarterly reports and maintain records on each project; Monitor the processing of expenditures and the department budget; Assist with preparing Board Agenda items; Provide all office administrative functions as necessary; Perform other duties as required.
