5. Confirmation of Minutes of the 2020 Annual General

Meeting

Motion by Andrea Ritmeester to accept the minutes, seconded by Alanna Zantingh

6. President report

Motion by Andrea Ritmeester to accept the President report, seconded by Joe Mayhew

7. Financial report

i. Adoption of annual accounts for year ended 31 December 2020 Roisin McQuillan presented the 2020 financial report Motion by Roisin McQuillan to accept the financial report, seconded by Celia Grant ii. NZVA letter regarding financial autonomy Kevin Anderson Chief Financial Officer NZVA attended the meeting on Zoom to discuss the above letter and answer questions from the meeting. NZEVA money will be held in a specified fund within NZVA accounts but will still be under NZEVA jurisdiction and can only be used for NZEVA activities. Operating expenses for equine branch, as applied for and specified in the yearly budget, will be covered by NZVA funds. Q Trish Pearce: “What is the reason for this change, is there a gain in efficiency?”

KA: Motivation to reduce the number of accounts, by centralising the money it can be invested for better returns. Will allow for better cash flow within NZVA. Any interest would be credited back to NZEVA.

Q Fred Pauwels: “Will money always be available for NZEVA use or locked in the investment fund?”

KA: NZEVA money may be temporarily unavailable if invested, but if requested then NZVA money would be used in the meantime.

Q Paul Fraser: “If anyone would like to donate to NZEVA will it go into the equine specified account?”

KA: Yes, or another fund can be created, like the McLaren and Jonathan Hope Funds as example.

Q Roisin: “So if the expense has not been mentioned in the budget, will we have to eat into the NZEVA reserve funds?

KA: If NZEVA wants to spend on something not in the budget NZVA will have to approve it. Motion by Andrea Ritmeester to sign the NZVA letter, seconded by Chris Riley. Vote passed unanimously.

8. Sub Committee reports

Motion by Andrea Ritmeester to accept subcommittee reports, seconded Liz Thompson

9. Constitutional changes

Election of 4 new members of Executive Committee Alex Leander, Leigh DeClifford, Alanna Zantingh and Mike Fitzgerald retired from the committee, and we welcomed Alex Fowler (Vet Associates, Karaka), Grace Reed (Vet South, Invercargill), Pip Hendron (South Wairarapa Vets) and Melissa Sim (Franklin Vets) as new committee members.

10. General business

i. NZTR horse mortality review. NZTR doing a lot of work around welfare, social licence and traceability. Owner and breeder responsibilities, network of registered/accredited TB re-training facilities. Setting up a panel to investigate all equine racetrack fatalities. ii. Catastrophic injury project. Raceday vets to retrieve injured and contralateral lower limbs from fatally injured horses, to be shipped to Massey University for analysis. Kits for transport of limbs are in equine ambulances. iii.
