Thank you, and welcome to North Devon Hospice!

We are thrilled that you have chosen to raise money for North Devon Hospice. Your support means the world to the patients and families who we care for. While they may be suffering from the impact of cancer and other life-limiting illnesses, your fundraising efforts will help us to provide physical and emotional support through this hugely difficult time. Thank you for choosing to support people in your local area. This booklet is here to help you kick-start your fundraising efforts. There is also plenty of support that the hospice’s fundraising team can offer you, and we can’t wait to hear all about your fundraising plans.

Why we need your help As a local charity, we are reliant on the support of the community, and kind people such as you, to help us raise the 3 million pounds needed to provide our care each year. All our care and support is provided completely free of charge to patients and their families.

Our services provided throughout North Devon include: - Community Nurse Specialists who make around 6,000 visits every year, providing care, support and advice to people at home - Day Hospice offers a great social environment at Deer Park where activities, specialist advice and support is on hand - Our purpose built Bedded Unit at the hospice has 7 beds, offering 24-hour care to those whose symptoms are most severe - Our Palliative Care Teams offer care, support and advice in the community wherever the patient may be located, whether that is at home, in a care home, at a community hospital or North Devon District Hospital - Emotional and Spiritual Support is also offered to all patients and their loved ones, as our team of trained counsellors look after the well being of everyone involved.

Some more things you may not know about North Devon Hospice: - Our catchment area stretches from Holsworthy in the south to Lynton in the north and every town, village, hamlet and farmstead in between - As well as cancer, we also help patients with illnesses such as Motor Neurone Disease, Heart Failure, Alzheimer’s and lung disease, among others - We have been caring for people in North Devon for nearly 30 years - Our hospice at Deer Park, Barnstaple, is a warm and welcoming place, far from the sterile and clinical setting that people might expect - The vast majority of our fundraising comes from people like you who decide to do something to help the families we support. Your efforts are making a real difference to the lives of many, many people in North Devon.

Getting Started It might seem a bit daunting to start fundraising if you haven’t done much of it before, or if you have a certain target that you want to achieve. But it is just about taking it step-by-step and all of a sudden, the whole thing seems a lot easier than you first thought! And don’t forget, we are here to help you.

Step 1 What are you going to do? Maybe an event like a pub quiz, or a personal challenge like a sponsored cycle, choose something you will enjoy. There are loads of ideas in this booklet Step 2 Let us know! We’d love to hear what you’ve got planned to see how we can give you a helping hand and share our experience Step 3 Choose where and when. Give yourself enough time to get ready and check you don’t clash with any other major events. Set deadlines andmilestones. Doing this allows you to breakdown your fundraising into lots of manageable little chunks Step 4 Set a fundraising target: this will help focus what you are trying to achieve and define goals

Top Tips - Don’t be afraid to ask as a well respected charity when people hear you’re supporting North Devon Hospice, they can be very generous.

- Write a list of people to thank after the event, and tell them how well you did. We can help you with this.

- Online fundraising is an amazing tool. Visit www.virginmoneygiving. co.uk to set up your own event page. It’s free, easy to do, and gift aid can be automatically added to donations.

- Keep an eye on your costs, experience tells us it can effect all your fundraising efforts. It’s important to know that whatever money you might have to spend will generate a healthy fundraising return.

- You will be amazed at the goods and services people are willing to donate for free if you just ask.

- Ask your friends and family to help you with your fundraising. Many hands make light work!

- Match funding, many work places will match what you raise. So check with your employer to see if they offer this.You never know, if your workplace can do this, it could really give your final total a boost!

Fab Fundraiser Stories...

It might seem tricky to get your fundraising event off the ground, or to get people to sponsor you for doing something, but here some examples to inspire you...

Gig at Lilico’s - Stacey and Dan raised money towards their skydive sponsorship target by putting on a gig at their local pub. The bands were happy to play for free and they held it at a popular venue that was likely to be busy.

Online Giving - Prior to running the North Devon Marathon, Peter raised an amazing £3,100 in sponsorship through his online giving page. They are easy to set up, very secure and gift aid can be automatically added.There are lots out there, but we would recommend Virgin Money Giving. Peter shared his personal online giving page via facebook and email with his friends, family and colleagues.

End2End in 10 - This demanding physical challenge saw 10 riders cycle from John O’Groats to Land’s End in just 10 days. The team planned the event almost a year in advance, and they knew that the gruelling nature of the challenge would encourage people to sponsor them. Lots of companies even contributed, knowing that the challenge would receive good press coverage.

Easter Raffle - Diana Craig got lots of prizes donated to her raffle. She raised well over £500 by encouraing everyone to buy tickets for just £1.

Comedy Revue - Staff at North Devon District Hospital put on a small show full of skits, sketches and songs. Their colleagues had a fantastic time, paying a small donation to the hospice to watch.

Pilton Dance Academy - Held a performance in their local hall, with all proceeds going to the hospice. Many parents came along and helped spread the word to others to make it a really busy night, raising over £1000.

Bingo Night - Jacquetta Barker has organised many Bingo Nights in aid of North Devon Hospice. By spreading the word through her community, she has always received lots of support on the night. Add in some refreshments and a raffle and...

Bingo! You’ve got yourself a fantastic fundraising event!

Promoting the event Posters and flyers - Put up posters and distribute flyers in as many places as possible, including the venue, parish notice boards and local shops. Make sure information about the event, date, time and cost are on there (as well as the hospice logo, which we can email to you). We can also help design posters and flyers, please just get in touch.

Family and friends - These people will be your best publicity providers, because they will want to help and will spread the word for you. If you can give them posters or flyers to help them do this, then all the better!

Get online - Think about the many websites you could use to promote your event. Facebook and Twitter are a great place to start.Talk about your event often, giving people updates and exciting stories about how you are getting along. We can also put your event on our North Devon Hospice website, and there are some local news websites that would be glad to hear about your event. You can submit your story at; www.barnstaplepeople.co.uk, www.ilfracombepeople.co.uk or www.bidefordpeople.co.uk.

Parish Magazines - They will be pleased to help you. Contact your local parish magazine and give them as much info as you can, including some quotes from yourself and photos if possible. Do this early, as many parish magazines print a month in advance.

Contacting the press The media are always looking for a good story, so if you can give them something different or exciting, they will be able to promote what you’re doing. Think of an angle or a hook that makes your fundraiser stand out from the crowd.

Newspapers - If you can send a press release, this will greatly help your cause.

It doesn’t have to complex, but include plenty of details, and lots of quotes from yourself and those involved in the event. Give the newspaper at least one weeks notice before you’d like the story to be printed, and always check they have received your press release with a follow-up call. Make the story unique and interesting, think about what makes your event different. If you can provide a great photo, or give them a great photo opportunity, then that will really help.

Contact details for journalists will be easily found inside a copy of the newspaper (usually page 2).

What’s On Guides - These appear in newspapers, radio and other local publications. They tend to be written at least two weeks in advance, so give them your info in plenty of time.

Radio - Local radio may well be keen to help you, if you can provide them with a really great story. The best way to find out is simply call them and tell them what you are doing.

Always remember to say WHY you are doing what you are doing (i.e. for North Devon Hospice) as this will make a difference to your story.

How we can help We are so grateful that you have chosen to fundraise for North Devon Hospice, and we would like to help you as much as we can. There are plenty of ways in which we can support your event, including...

Advice and guidance - We are more than happy to talk through your fundraising ideas, and provide help with some ideas. Our fundraising team have years of experience and know what might work and, more importantly, what might not! We can be contacted by phone or by email (contact details on the back page). Don’t be shy, and don’t feel like you’re on your own! Keep in touch or pay us a visit at the hospice!

Posters, flyers, tickets etc. - There are many publicity materials that you might need, and we may be able to design these for you. We will need a couple of weeks notice, so best get in touch as soon as possible.

Template for risk assessments - risk assessments shouldn’t be something to fear. Most events will need one, but they need not be overly complicated. We can provide a template to make it as easy as possible, and help make your event safe for everyone involved.

Sponsorship forms - It helps to have an official, well-designed sponsor form when undertaking any form of sponsored event. We can design a sponsor form for you that helps maximise the number of people who support you. It will also clearly show people why you are doing what you are doing (i.e. to raise money for North Devon Hospice). Gift Aid is hugely important for sponsored events. For every £1 that someone gives you, that can be increased by 25p if they are a UK taxpayer. This means you can raise up to 25% extra money for no more effort!

Our tailored sponsor forms will help you collect the right information from your donors to allow us to claim Gift Aid. North Devon Hospice literature. It can often help to have information about the hospice at any fundraising event. This gives people an idea of where their money will go, and how it will help local people who need hospice support. We can provide leaflets and newsletters to distribute to those at your event.

Where possible we will come and support you on the day.

Promotional materials There are many different promotional items that we may be able to lend you to help promote your fundraising efforts. Please take a look at the list and see if these would be helpful to you at all, then call us or pop in to discuss your needs.

1. Blue Collection Tins

These can be used in pubs, clubhouses and shops.

They work well with specific posters which ask people to sponsor you for your efforts. Make sure you are aware of the regulations and best practice surrounding collection tins.

2. Collection Buckets and Lids

Good for collecting money on the day of an event.

Again, make sure you are familiar with the necessary regulations.

3. Gift Aid Envelopes

Very useful for weddings, birthday parties or any other gathering. These allow people to easily Gift Aid their donation, making it up to 25% more valuable at no extra cost to the donor.

4. Home Collection Boxes

Useful to collect your spare change. By putting loose coins in here, you’d be surprised at how quickly it adds up!

5. Balloons

Blue or orange balloons with the hospice logo on (please note, cannot be used with helium).

6. Sports T-shirt

Great for any physical challenge like runs or bike rides.

Available in different sizes.

7. “I’m doing this in support of North Devon Hospice” T-shirt

Good for collecting in aid of the hospice. Available in different sizes.

8. PVC Banners

Nice and visual. They are widely-used though so we can only give them out when available.

9. Pop-up Banner

Provide a great backdrop for indoor events, stalls or talks. Again, these are popular so may not always be available.

10. Sponsor Forms, Posters and Flyers

Designed especially for you, to promote what you’re doing and help raise as much money as possible.

11. Cheque Presentation Photo

After the event, we can arrange to take a cheque presentation photo at the hospice to publicise how much you have raised.

Legal stuff Safety - This should be the top priority. If you are holding an event at a venue such as a hotel, work closely with them to ensure the safety of everybody involved.A risk assessment should be produced (and may well be a condition of your event insurance) and we have some handy templates to help you.

Insurance - Your event may need to be covered by insurance. If an event were at your home (e.g. coffee morning) it is likely to be covered by your household insurance. Likewise, if it is at a venue (such as a pub) their public liability insurance is likely to cover it.

However, it is always important to check. North Devon Hospice’s own insurance policy can be extended to cover your event if necessary. Please do get in touch for clarification.

Raffles - These are draws which are held on a single day. Tickets are not bought in advance, and winners must be announced on the day. Cloakroom tickets are ideal for this sort of draw.

Prize Draws - This is where a draw takes place over a longer period than one day. Lots of rules then come into place about how you sell tickets and deal with money. We can give you all the help you need with this, so please do get in touch.

Collection Boxes - There are some rules governing collection tins and buckets. For example: - All collectors need to be over 16 years old - it is illegal to shake your tin when collecting - collections in public places must have a licence (this can be obtained from your local council at least 6 weeks in advance) - all tins are sealed, and for the sake of consistency, we would prefer to open your tins and count them on your behalf (the total will then get added on to what you have raised).

Licences - You are likely to need a licence for your event if you are providing alcohol or entertainment (including recorded music). Often, this will be covered by the venue you are using (such as a pub) but it is always worth checking.Think about other elements of your event, and think if you will need a licence from the local council (such as road closures or street collecting). We are more than happy to help with this.

Food - Food safety laws apply when food is available at an event, whether it is for sale or not. Be aware of these by contacting the local council’s environmental health department. A great place to find out the initial information is www.food.gov.uk.

Don’t let any of this put you off! It’s not as scary as it seems and we are here to help!

We’d love to know so that we can help out as much as possible.

Have you thought about how you can truly maximise your fundraising? This includes seeing how you can reduce your costs by asking for things for free (raffle prizes, printing costs, venue hire etc.).

We can provide letters of support to make this easier.

Check your requirements. Do you need a licence? Insurance? Risk assessment? Contact our fundraising team and the local council for help.

Have you thoroughly promoted the event? Put up posters? Contacted the press? Invited all your friends, family, colleagues and facebook contacts?

Make a list of what needs to be done on the day. Make sure you are prepared as you are bound to be very busy!

Collect any money outstanding. It is much easier to get sponsorship from people there and then, but if you cannot do this, make sure you give them a firm deadline for when you need to collect it.

Send the final monies in to North Devon Hospice, or drop it in to us so we can hear all about it.

Thank everyone who helped you and tell them how much you raised. A thank you letter or card is a great way to do this.

Give yourself a pat on the back! What you are doing is amazing, and will make a real difference to the lives of patients and families in your area.
