Master Data Workers - Job Tasks - Functions - Organizational Charts Workplaces - Hazardous Substances - Biological Agents Plants, Machinery & Equipment - Processes & Phases Customer and Suppliers, product Suppliers etc. Document Management and QR Code Features The basic mandatory module includes all the master data required to populate the system for managing all core occupational health and safety processes: workers, job descriptions, tasks, roles, contracts, workplaces, chemical substances, biological agents, plant and machinery, equipment, signage, materials and products, processes and phases, clients and suppliers. Master data can be entered directly into the system using the data entry interface, imported using the available import templates or synchronized with other databases already in use by the company (e.g., synchronization of HR master data from other corporate information systems). Master data can also be exported to Excel. The module features a dedicated tool for defining organizational charts (e.g., safety organizational charts). It includes a main document management system with an independent database, which collects all documents linked to the various system master data and managed processes (e.g., scanned certificates, signed risk assessments, authorizations, etc.). It also features a print manager with numerous pre-set document templates (e.g., appointments, meeting minutes, registers, certificates, lists, master data sheets, etc.) printable in Word format. Furthermore, it allows for custom reporting based on specific client requirements. QR codes can be generated directly from the workplaces, equipment and document master data to manage the publication of the relative files. The basic module also includes the activation of the workflow functionality, which can be used for document master data as well as for reports and action items.

Q-81 HSE WORKERS PORTAL Profile – Job Tasks - Functions - Organizational Charts Workplaces - Documents - Notifications - Courses Medical examinitations - PPE - Risks - Surveys It allows occupational health and safety information to be shared directly with workers, making every employee an active participant and increasing their awareness of health & safety topics concerning them within the corporate management system. For example, workers can consult the company organizational chart, view information regarding their own status (in relation to training, health surveillance, PPE distribution, etc.), download certificates and learning materials, answer questionnaires and complete checklists. Sharing this information across all levels of the organization provides the company with the opportunity to demonstrate the widespread implementation of its health and safety management system, thereby enhancing its effectiveness and auditability. The value of the WORKER PORTAL is set by the module fee plus an annual access fee for each managed worker. 19

The need to track the acknowledgement and signing of mandatory and management system documentation represents one of the most critical challenges for HSE managers, SPP team members, trainers and auditors. Q-81 HSE allows users to create document distribution and delivery lists that can be sent to recipients via both the Worker Portal and the Contractor Portal. Furthermore, the tool enables the collection of simple digital signatures acknowledging document receipt using graphics tablets and touchscreens, yielding fully digitalized registers while monitoring delays and providing reminder functions for document review and signing.

Q-81 HSE WORKERS PORTAL

Applicable Requirements It allows organizations to build their own register of applicable legal standards and requirements, as well as to plan, manage and record compliance evaluations and periodic audits. Management of goals and indicators It enables the definition of objectives, the creation of action plans to achieve them and the management of system key performance indicators (KPIs). It also allows real-time monitoring of metrics through statistical modules and various data visualization formats (bar charts, pie charts, radar charts, etc.). ESG Indicators Management It allows the configuration of ESG sustainability indicators, coming pre-loaded with the full set of GRI standards. It enables the assignment of dedicated access profiles to the various individuals responsible for data collection, featuring specific indicators to be completed and monitored. It provides cross-functional management profiles to track the progressive and periodic completion of indicators by designated staff. Requires the activation of the Management of Goals and Indicators module. Management of Meetings and Consultations It allows the activation of all internal communications between parties. It includes the "Warnings", "Disciplinary Sanctions", and "Meetings" tools, including management reviews and cross-company meetings.

Alert and Synchronization Management The Alert tool allows automatic alerts and notifications to be triggered in correspondence with specific deadlines managed within the software, as well as the scheduling of call-ups for training courses and/or medical examinations. These communications will be received directly as Q-81 internal notifications by system users, while external entities (e.g., workers who are not Q-81 users, maintenance technicians, the Occupational Physician, etc.) can receive them via email. The Synchronization tool enables software alignment and integration with third-party systems already in use within the company (e.g., HR/payroll management software, fixed assets software, etc.). Q-81 notifications—both basic (available in all installations) and advanced (available with the Alerts and Synchronization Tool module)—use email as their notification delivery mechanism. To ensure effective functionality and prevent emails from being marked as spam, Q-81® uses SendGrid, a cloud-based email service that provides reliable delivery of transactional email messages (https://sendgrid.com/policies/tos/). The SendGrid service is included in the annual software maintenance and update fee for cloud deployments, unless the customer intends to use features requiring high-volume (mass) notification delivery, such as Checklist Distribution or the Contractor Portal. In such cases, requirements must be evaluated with the Q-81 Support Service to obtain a dedicated SendGrid license and prevent potential system lockouts. If the maintenance and update fee is not activated or maintained, the service will be disabled.

Cross-company Management Module included in the Multi-Company version. It enables cross-functional searches across the various Company environments configured in the database and allows the management of shared processes, such as cross-company Meetings and Crosscompany Training Courses.

Sync Calendar

It allows the external publishing of Q-81 users' personal commitments related to the following modules: Document Manager, Actions scheduling and recording, Checklist scheduling and recording, Maintenance scheduling and recording, and Reports. Commitments can be synchronized with external calendars such as Outlook, Google Calendar and Apple Calendar (iCal). Within each calendar entry, users will find a link to directly access the corresponding item or deadline within Q-81.

Sales & Activity

A specific module designed for consulting firms and service providers. It is tailored for organizations that need to propose and manage the delivery of consulting and training services. Sales & Activity enables users to: easily build their own catalog of service offerings for clients, automatically generate quotes, organize job orders, assign tasks to internal or external collaborators, track project progress and generate reports and statistics to measure and optimize company performance.

HR SAFETY HR SAFETY covers all management requirements related to workforce safety. Thanks to dedicated modules, managing training, health surveillance, PPE, accidents and illnesses is fast and strictly controlled at all times.

Health Surveillance Management Company View It provides comprehensive management of health surveillance from the company's perspective: medical examinations, health protocols and medical tests with associated schedules; management of work restrictions, prescriptions and specific sensitivities; scheduling of visits and sending notifications to the physician and workers (via the Alert Tool). The module can be synchronized with CartSan®, the leading occupational health software. The software comes complete with an interactive Dashboard. CartSan supports advanced electronic (graphometric) signatures. This synchronization eliminates manual email exchanges and manual data entry between the company and the Occupational Physician. This module covers health protocol management and the scheduling of medical examinations and tests for each worker, while excluding the management of individual medical records (medical history compiled by the Occupational Physician). For companies looking to manage the physician-side process as well, Q-81 syncs seamlessly with CartSan, the leading software among Occupational Health Physicians.

PPE (Personal Protective Equipment) Management It enables the classification and management of Personal Protective Equipment (PPE), supported by regular updates to reference standards and the creation of dedicated libraries for PPE Families and Types. It allows organizations to define issuance rules by associating PPE with specific job roles, locations and equipment that determine worker requirements, as well as record PPE assignments to individual workers. The module can be synchronized with data feeds from automated PPE dispensing machines and supports electronic signatures for proof of delivery.

Accident & Illness Management It enables the recording and management of incidents, accidents and near-misses, linking them directly to their causes, sources, involved personnel and other system data. The module can be connected to both Event Management and the Objectives & Indicators module to calculate frequency rates, severity rates and other historical statistics. It allows for injury follow-up analysis, witness statement collection, checklist integration and links seamlessly with multiple system registers.

Event Management It enables the recording and tracking of investigations conducted following incidents, accidents, occupational illnesses or other occurrences. The module is flexible, allowing organizations to log any type of analysis required for workplace events. Corrective or preventive Actions to be undertaken, as well as associated Costs, can then be directly linked to each event. 25

Workers Training Management It enables organizations to define the required competencies for each worker by linking training qualifications to system master records (job tasks, functions, workplaces, etc.). It allows for archiving historical training data delivered to personnel, as well as planning, scheduling and managing new training courses. The module automatically generates attendance registers, invitation letters and certificates of completion and enables the tracking of training gaps for individual workers as well as across the entire organization (including multi-company/multi-site setups). It supports lesson-by-lesson attendance management, continuing education credits and more. In the multi-company version of Q-81, the module also enables the management of cross-company training courses. It supports electronic signatures directly on attendance registers.

AI INTEGRATED AI Integration is now available for the Workers Training module. Q-81 HSE Workers Training module leverages Artificial Intelligence to automate the management and archiving of mandatory occupational health and safety (OHS) training certificates. Powered by advanced document recognition tools, the module automatically classifies, organizes and stores training certificates—drastically reducing the administrative workload while ensuring full regulatory compliance. Operational Application Example: a training certificate uploaded into the system is automatically analyzed, identified (e.g., Fire Safety, First Aid) and archived under the corresponding employee profile, triggering automatic notifications for upcoming renewal deadlines.

Essentially, Q-81 HSE calculates your workers' training gaps and schedules courses and renewal deadlines, while the e-learning platform delivers the authorized training. Users can select the desired course, which is tracked via SCORM compliance— allowing you to monitor progress for each individual worker, administer assessment tests and access course materials. Workers receive access credentials for Smart E-Learning Q-81 HSE platform to complete their training. Once the training session and any required tests are completed, the platform automatically syncs the completion date, test results and any generated certificates back to Q-81 HSE. Checklist Distribution The Checklist Distribution module allows users to send checklists generated within Q81 HSE Audit & Checklist Management module via email. Once configured in Q-81 (checklist type, question types, response options, distribution rules, etc.), checklists can be distributed via email. Message recipients— who do not need to be registered Q-81 users—receive an email containing a link to access the web page where they can complete the assigned checklist. After completion by the recipient (who can also attach documents and notes), the checklist automatically populates and becomes accessible on Q-81 Checklist Registration page. At this stage, Q-81 user can review the results and compare responses with other distributed checklists as needed. The platform also enables users to send email reminders for pending checklists. It allows your company’s suppliers to directly access a web page featuring a streamlined interface where they can upload their data and documents. The Contractor Portal seamlessly communicates with Q-81 Contractor Suitability Verification module and can be customized in terms of graphics and checklists. It enables you to monitor, inspect and issue alerts for any verification requirement, eliminating downtime, phone calls and emails. The number of manageable contractors is unlimited. Prerequisites: activation of this module requires the core Contractor Suitability Verification module and the activation of the SendGrid service for secure mass email notifications. Technical Note: the use of the Contractor Portal by external suppliers/contractors requires the application site to be published online. The Contractor Portal requires a separate installation. 35

Access Control & Mo.C.A. App This is the new Q-81 module that includes the dedicated mobile application for access control. It enables real-time monitoring of workers entering and exiting a workplace (facility or construction site). The system also interfaces with a physical terminal device installed on-site. The terminal scans the QR Code, provides real-time access status to the operator in charge, logs entries and exits, and monitors total occupancy within the workplace. Hardware Note: The cost of the terminal is not included in the software license. The terminal requires no complex installation—it features autonomous internet connectivity, is supplied on a standalone vertical pedestal and comes plug-and-play ready.
