From the Editor Hello, readers, At the heart of every successful meeting or event is something simple: connection. As planners, you see it again and again. While meeting agendas, keynote speakers and modern technology all play important roles, the true value of live events comes from bringing people together in meaningful ways. “The Experience Design Report: What’s Shaping Live Experiences in 2026,” a recent study released by Encore and Boldpush, revealed a striking shift in how event professionals view success, however. Nearly half of planners surveyed identified peer networking and human connection as the most important factors in creating impactful events. Yet only a small percentage said their programming is truly designed around fostering those interactions. The message is clear: Attendees are looking for authentic engagement, not packed schedules. That is where the Midwest shines. The region has long been known for hospitality that feels genuine, approachable and personal. There’s a reason why “Midwest nice” is part of our lexicon. Whether gathering in a vibrant downtown convention district, a scenic lakeside golf resort (flip to Page 48 for more) or a historic inn, attendees here experience something increasingly valuable in today’s fast-moving digital world — face-to-face interaction that feels meaningful and memorable. Even as travel headlines fluctuate, great things are happening throughout the Midwest. Industry Insights The MICHELIN Guide’s anonymous inspectors are already in the field, making dining reservations and scouting for culinary gems throughout the region. The full restaurant selection will be revealed in 2027 at the MICHELIN Guide American Great Lakes Ceremony, which will be announced at a later date. The MICHELIN Guide is constantly observing the evolution of culinary destinations around the world. The guide’s selection process is determined by anonymous inspectors and remains completely independent.

GREAT LAKES JOIN THE GLOBAL CULINARY MAP WITH NEW MICHELIN GUIDE

The MICHELIN Guide recently introduced its latest expansion into the Great Lakes region of the U.S. with the announcement of the MICHELIN Guide American Great Lakes edition. This multi-city guide will cover the six cities of Cleveland, Detroit, Indianapolis, Milwaukee, Minneapolis and Pittsburgh. “The MICHELIN Guide is committed to fostering a culture of travel and dining by helping people discover unforgettable culinary experiences in new destinations,” says Gwendal Poullennec, international director of the MICHELIN Guide. “We are excited to finally be putting a stake in the ground in the Great Lakes region, spotlighting the talent and food cultures across these six great cities. Our anonymous inspectors have begun canvassing these cities for impressive culinary talent and are eager to share their experiences with you in the inaugural selection next year.”

NEW DIRECTOR OF BUSINESS DEVELOPMENT AT THE CINCINNATI REGIONAL SPORTS COMMISSION

The Cincinnati Regional Sports Commission recently announced the addition of Holly Perella as its new director of business development. In this role, she will lead the organization’s efforts to attract and secure sporting events that drive economic impact and elevate the Cincinnati region as a premier sports destination.

In her new role, Perella will focus on identifying and securing new event opportunities, strengthening relationships with rights holders, and working collaboratively with regional partners to deliver exceptional experiences for athletes, organizers and visitors. The Cincinnati Regional Sports Commission, launched to drive sports-related economic impact, is focused on attracting, hosting and supporting a wide range of amateur and professional sporting events that benefit the entire region. Planner Tips That variability, she says, has direct implications for event logistics, especially when it comes to attendee travel. “Conditions can affect travel for both arrivals and departures, with possibilities ranging from snow or ice storms to localized flooding when heavy rain falls before the ground has fully thawed.” Sibgha Malik, a Chicago-based event planner and catering manager at Aramark, echoes that assessment, emphasizing the need for a structured approach to uncertainty. “In the Midwest, planners should anticipate severe thunderstorms, heavy rainfall, flooding, high winds and occasional late-season snow,” she says. “What makes this region particularly challenging is how quickly conditions can shift, so having real-time awareness and predefined response plans are essential.”

PLANNING FOR DISRUPTIONS BEFORE THEY HAPPEN

n the Midwest, spring doesn’t ease in — it arrives with volatility. Sunshine can quickly give way to snow and calm skies can shift into severe storms within the hour. For planners, this unpredictability is more than an inconvenience. It’s a critical operational challenge that requires foresight, flexibility and fast decisions. From Des Moines to Chicago and beyond, seasoned planners understand that success in the Midwest hinges not only on avoiding weather disruptions, but also on preparing for them. “Spring in the Midwest often brings what feels like all four seasons in a single day,” says Jen Ruthig, CMP, the manager of events at Starkey Hearing in Minneapolis. “You can wake up to frost or ice, enjoy a warm and sunny afternoon, and then see snow falling by evening.”

For experienced meeting and event planners, weather preparedness begins well before attendees arrive on site. Monitoring forecasts is only the starting point; understanding how weather systems move and impact travel networks is equally critical. “A planner always has to keep attendee safety top of mind and let that guide every decision,” Ruthig says. “Starting about two weeks out from a program, it’s important to begin closely watching the weather, not just at the event location, but across the country.” Even when local forecasts look favorable, disruptions elsewhere can create ripple effects. “Storms moving from west to east can seriously impact travel in and out,” she adds. Malik approaches this challenge with a data-informed mindset. “My approach to risk mitigation is rooted in preparation and structured planning,” she explains. “I prioritize building contingency layers — monitoring forecasts, identifying Midwest Meetings | Spring/Summer 2026

WHEN WEATHER HITS

The solution required swift coordination and decisive action. “We successfully secured the last available group flight out from an airport outside the storm’s path,” Ruthig says. “From there, we arranged overnight hotel accommodations and ensured group transportation — even with a midnight arrival.” The result: Attendees departed safely with minimal disruption. “The client was extremely appreciative of our proactive approach,” she adds.

Her team quickly shifted into action, working with travel partners to identify alternatives. “We knew the worst of the storm was expected to hit midday on the scheduled departure day,” she explains. “Departing on Saturday was not feasible and delaying travel would

Ruthig recalls a recent meeting in Minnesota where a looming snowstorm threatened attendee departures. “During the first full day of programming, attendees began receiving airline notifications regarding possible travel disruptions,” she says. “As these alerts were becoming a distraction, we respectfully asked attendees to allow us to manage the situation on their behalf.”

Malik has faced similar challenges, where travel disruptions required rapid adjustments to programming. “In one instance, flight delays and local transportation disruptions required us to quickly adjust session sequencing and provide alternative participation options,” she says. “I focused on keeping stakeholders aligned, maintaining clear communication and ensuring the attendee experience remained seamless.”

BUILDING A COMPREHENSIVE CONTINGENCY PLAN

Preparation is only as strong as the plan behind it. For Midwest planners, a comprehensive weather contingency plan should address multiple scenarios, and clearly define roles and responsibilities. “I would start by identifying different types of weather scenarios and outlining what actions may be needed for each,” Ruthig says. “One key element is knowing who the decision-makers are and who needs to be consulted. This should be established well in advance.” Different weather events require different responses. Snowstorms may impact travel timing, while ice storms can shut down entire cities. Severe thunderstorms and tornadoes introduce immediate safety concerns that require clear shelter protocols. Because of the array of weather patterns that the Midwest experiences, Malik says, “A comprehensive plan should include clearly defined roles, escalation protocols, backup venue options and communication strategies. I also believe in documenting contingency workflows in advance so decisions can be executed quickly rather than in the moment.” Alignment with vendors and venues is another critical component. “Coordinating ahead of time helps avoid delays during disruptions,” she adds.

COMMUNICATION WITHOUT CAUSING ALARM

One of the most delicate aspects of weather planning is communication — how to keep attendees informed without creating unnecessary concern. “It is critical to proactively communicate that the planning committee is actively monitoring the potential for inclement weather,” Ruthig says. “This can be conveyed through final details emails, general session remarks and even the event app.” Transparency builds trust, but tone also matters. “Consistent, transparent communication is essential to maintaining confidence and alignment,” she continues. Malik takes a similarly measured approach. “I focus on proactive 16

communication that reassures stakeholders while demonstrating preparedness,” she says. “Positioning contingency plans as a standard part of event execution helps build confidence rather than concern.” During an active disruption, both planners stress the importance of multi-channel communication. “If it is a large group, we communicate through the general session stage, mobile app and email,” Ruthig explains. “We also keep vendors informed so they can help answer attendee questions.” Malik emphasizes that consistency is key. “The goal is to reduce uncertainty and guide attendees effectively, while maintaining a calm and organized presence,” she says. For planners working outside their home markets, local expertise can be invaluable — if leveraged effectively. “When a planner is not local to the destination, collaboration with venue and destination leadership is essential,” Ruthig says. “These partners understand how their city responds to inclement weather.” However, she cautions against a passive approach. “Planners must actively advocate for their organization and ensure appropriate levels of preparedness,” she says. “If protocols are not clearly defined, planners should escalate conversations until the venue can articulate a comprehensive plan.” Malik views these partnerships as an extension of the planning team. “Venues bring local expertise, operational support and established emergency protocols,” she says. “Leveraging those partnerships allows for quicker and more efficient decision-making.”

FLEXIBILITY AS A STRATEGIC ADVANTAGE

In a region defined by unpredictability, flexibility is essential. “When contracting, ensure you have a strong force majeure clause,” Ruthig says. “If a weather incident inhibits travel, you want to ensure you can justly cancel the program.”

She also cautions against overreliance on outdoor programming in early spring. “I would suggest never trusting an event to be hosted outside until June,” she says. “Prior to that, you are taking on significant risk and need proper indoor options.” Malik reinforces the importance of adaptability across all aspects of planning. “Flexibility is critical, especially in contracts and logistics,” she says. “This includes adaptable schedules, contingency budgets and negotiated contract terms.”

TOOLS FOR REAL-TIME DECISION-MAKING

Technology plays a crucial role in monitoring conditions and enabling fast, informed decisions. Ruthig relies on a mix of traditional and digital tools. “I listen to what The Weather Channel talks about, look at the Farmers’ Almanac and use apps like MyRadar to track storm systems,” she says. Meanwhile, Malik prioritizes tools that can provide both data and communication capabilities. “I rely on real-time weather monitoring tools and centralized communication platforms,” she explains. “Having a single source of truth for the team helps maintain alignment during fast-moving situations.” Ultimately, successful Midwest event planning comes down to mindset as much as methodology. “Always start an event with Plan A, B and C,” Ruthig says. “And hopefully you never even have to move onto Plan B.” For Malik, the key is balancing preparation with adaptability. “Weather disruptions are often unavoidable,” she says. “But with the right systems and mindset in place, they can be managed in a way that still delivers a high-quality attendee experience.”

here’s nothing quite as special as a Midwestern summer day with cotton-ball clouds, a bright blue sky and colorful blooms as far as the eye can see. So why not celebrate what makes our region unique by choosing a garden setting for your next event? With gorgeous outdoor spaces to enjoy on clear days, and beautiful pavilions and indoor spaces to outlast any rain, botanical gardens are often brilliantly equipped for meetings. As spaces that regularly handle weddings and personal gatherings, gardens teams are more than capable of offering the professionalism and organization that planners need to get events done in a spectacular fashion. The benefits of these spaces go beyond blossoms: Most large gardens in the Midwest come with a rich history. They can be former estates filled with historic treasures, mission-driven projects designed with meticulous care or passion projects of city planners who transformed that part of their city into a tranquil retreat. Of course, the major variable for planners to watch out for is weather, so you’ll want to ensure that the property has robust rain plans in advance. Some gardens’ indoor facilities may be smaller and less equipped than typical large event spaces. Because some of their spaces — both indoor and outdoor — tend to be smaller, and because some gardens may need to limit foot traffic in certain areas to protect plant life, planners may come up against limitations with larger groups. Dependable WiFi and other tech infrastructure may not always be a given, so it’s important to check into this beforehand, too. therapeutic horticulture workshops and mindfulness sessions. The Chicago Botanic Garden offers event spaces year-round, and in November and December, the garden features Lightscape, an illuminated trail with art and music features to enjoy.

BOTANICA IN WICHITA, KANSAS

This gem in Wichita’s Riverside neighborhood is a true oasis with 4,000 species of plants to browse. Thinking of food as the event, and not just an afterthought or one item in a long list of ingredients, is a recipe for success. BY KRISTINE HANSEN

ust like the saying goes, if you serve food, then people will come. That has always been true in the meeting industry. But how do you get the word out before your event that the food and beverage (F&B) is worth the investment?

Priscilla Joyce, the director of food and beverage at Hilton Fort Wayne at the Grand Wayne Convention Center, in Fort Wayne, Indiana, suggests that it pays off to frontload the idea into your marketing that food is a focus at your event. “A lot of clients come back because the food and beverage went well. To get that draw to our smaller city, our food has to be top notch,” she says. “You don’t want to have a 1,200-person event, and the food comes out and is terrible.”

INGREDIENT 1: CUSTOMIZATION

You also want to tailor the food to the group. Joyce says 80% of Hilton Fort Wayne’s groups choose a customized menu, working with her and her team to adapt the 26

offerings. That includes a recent culinary event Joyce hosted as part of a CrossFit competition. Attendees were health-conscious diners. “They’re not going to eat hot dogs and pizza,” says Joyce. “In the normal food and beverage world, it’s all about taste. When we have a client come and say, ‘Hey, I want it to taste great,’ but you have to knock off the butter and the fat, it’s challenging, but it was also amazing. They were responsive to it.” Another example of ultra customization was when a group working with Kelber Catering in Minneapolis wanted a Prince-themed event to honor the late Minneapolis musician. Shane Streitz, the company’s culinary executive chef, met the challenge with purple lighting and some purple foods, like purple potatoes and purple-hued desserts, as an ode to the musician’s “Purple Rain” album. “We’re not just picking food that tastes good: [It’s] food with a purpose and a meaning,” says Streitz. Thinking of food as part of the main event, and not just an afterthought or one item in a long list of ingredients, is a recipe for success. “It’s very important to start off the event planning by bringing the chef in,” says Linwood Campbell, CEO and general manager of Kelber Catering. This allows the chef and, consequently, the food, to set the tone and then allow other elements of a meeting to follow, such as decor, colors, table arrangements and overall vibe.

Streitz always asks: “Are there any brand names, logos or colors that we can match the theme to? I want to hit all the senses with guests. I want to layer the experiences visually so things look good. I want people to be really engaged when they walk into that room.” There is no limit to how far this mantra can go. With a recent group, who was planning to attend a Bruce Springsteen concert in Minneapolis, Streitz paired each dish at the event with inspiration from a Springsteen song. He then discussed each pairing — and why it worked. “I want to hit the vibe,” he says. But it’s not just high-quality food served at meetings and events. It’s also taking the time to source locally, as that’s becoming more and more of an expectation of guests. “We partner with a lot of farms,” says Joyce. “We try to get a lot of our food from Indiana so we can showcase the state.” MidwestMeetings.com

“The opportunity to come to a resort like this, where it’s not that same kind of corporate environment, puts you at a different energy level and mindset,” says Carbiener about the resort’s attraction over a more traditional venue, such as a hotel ballroom. Hosting an event in the slower season also brings in revenue that might not otherwise be possible during a crowded season. But it also entices foodies. “You’re going to get the full attention of the sommelier and our culinary team. They’re not going to be competing with more day-to-day traffic,” says Carbiener. For a busy chef like Erling Wu-Bower, a chef and partner at Maxwells Trading in Chicago, and participant in the Sand Valley Resort event in 2023, being invited to the resort for a few nights — even if it’s for work and not a vacation — is a win-win. “I love the setting at Sand Valley during the winter. It’s a beautiful juxtaposition to the green of the summer. There's a quietness to the place that's amazing,” explains Wu-Bower.

“Sustainability is very important to today’s event planners,” says Streitz. “Nothing goes to waste in our kitchen.” This includes setting aside food scraps for the employees of a local pig farm to pick up and also emailing a network of organizations about extra food for the taking after an event. “We can [even] send a thank-you note from the pigs eating their food,” says Streitz, as a way to prove to meeting and event planners they walk the talk. Honing in on what kinds of foods and drinks people are seeking in Wisconsin drives many of the culinary offerings at Sand Valley Resort, near Nekoosa. “When people come here, they’re like ‘Give me some cheese curds and a Spotted Cow,’” says Michael Carbiener, general manager, “and so we try to play off of state and local opportunities.” 28

INGREDIENT 3: INVITE THE CHEFS

Another approach to elevate food and beverage offerings is to invite top-notch chefs for a weekend of interactive events with guests, and meeting and event planners, where the food they prepare, as well as culinary demonstrations, is the sole focus. Sand Valley Resort attracts golfers from across the U.S. every summer while its dining aspects slip under the radar. During the winter, however, a quieter season emerges at this central Wisconsin resort. This is why, for the last five years, the property has hosted its Friends of James Beard Chef Invitational in late February or early March. “The food and beverage role is the muse and center stage of this event,” says Amanda Rockman, an Austin, Texas pastry chef who has participated in this annual event.

“We’re in the middle of the Midwest, and it’s all about hospitality and friendliness,” explains Jack Wenz, the resort’s executive chef. “They’re here for that week and have nothing but time to spend with the guests. They’re offering something from their restaurants. They really represent their city and state.” For chefs who grind out long nights in their restaurants, participating in these events equates to team building and creative exploration. “Chefs can really be themselves when they aren’t immersed in the day to day of their store,” says Wu-Bower. “The guests at the invitational really get the pure version of the chefs, both in their personality and their food.” Midwest Meetings | Spring/Summer 2026

The resort’s many cottages were also activated for a dine-around event and meet-and-greets with chefs. Because of these face-to-face interactions, the organizations searched for chefs who identify as “people people.”


Rockman agrees, “I love the teamwork. All of the chefs work together to create this event. Need help plating your dish? They got it. Cheer you on during your demo? Again, they got it.”

INGREDIENT 4: INVITE YOUR PARTNERS

Promoting any food event is another opportunity to be creative and the approach will vary in each market. Linwood partners often with Meet Minneapolis, the city’s tourism and convention bureau, and is often the first contact a group will have in planning their meeting. Similarly, Sand Valley Resort’s past guests were a natural fit for marketing the James Beard event — even if they came for golf initially. Carbiener says, “We have an audience who knows Sand Valley and what we’re all about.” That’s who they marketed to first, before moving onto a more specific demographic of foodies. “These are people who search out culinary adventures, and they like to do those with friends and family as a way of socialization,” says Carbiener. Owners of the property’s cottages immediately got on board, and saw this as a way to invite friends and family as an extension of their vacation home.

“One person invited eight couples. They had not been together as a group for more than 20 years,” says Carbiener. “That’s the kind of organic word-ofmouth promotion that’s special.”

ith the United States’ Semiquincentennial upon us, there is much to be excited about in the Midwest. The celebrations for America’s 250th birthday will stand out in a saturated special event space as they offer a one-time opportunity to capitalize on local authentic experiences within the context of our national story. But what does that look like? When a town of 50,000 or 100,000 residents gets thrust into the national or international spotlight, how do they manage the massive inf lux of people and demands on their infrastructure? And how do they prepare for the opportunity? Convention and visitors bureaus, meeting planners and hospitality operators aren’t just selling tickets to an event; they’re curating an opportunity for access, memories, and total immersion in the place and time. 32

The curation spectators see is an exercise in meticulous planning and cooperation, and one that the DuPage Convention & Visitors Bureau has been tackling head on for nearly a decade. This year is a big year for the DuPage Convention & Visitors Bureau. Not only is it organizing America250 celebrations in 2026, it is also the convention and visitors bureau of four communities celebrating the 100th anniversary of Route 66, and the host convention and visitors bureau for the Presidents Cup at Medinah Country Club in Medinah. A Professional Golfers’ Association (PGA) Tour event pitting Team USA against non-European players from around the world, this biennial Presidents Cup event is one of incredible prestige and reach on an international stage. With foresight, though, the DuPage Convention & Visitors Bureau put the pieces in place to support its community members almost a decade before the event was even scheduled to take place. Turning International Events into Local Legacies


The details involved in a winning bid are exhaustive. Megaevents are typically announced three to seven years in advance, but the work behind the scenes can begin closer to 10 years ahead of time. Planning for the PGA Tour Presidents Cup began in 2019, but the announcement wasn’t made until late 2020, six years in advance of the actual event. While the site of the tournament is a private golf club, the convention and visitors bureau was integral to the success of the bid. Beth Marchetti, the executive director of the DuPage Convention & Visitors Bureau, explains, “The convention and visitors bureau has always had a great relationship with the Medinah Country Club. With this opportunity, [it has] both the unique and prestigious accolade as being the only golf course in the world to host the four rotating Majors (U.S. Open, PGA Championship, Ryder Cup and Presidents Cup). The vision of the Medinah team is to make this the biggest and most exciting Presidents Cup.” In international golf competitions, VIP and luxury are the standard. In order to stand out, it really becomes a story of how seamless and curated the entire experience feels. After being announced as the 2026 site, a Medinah delegation, along with DuPage Convention & Visitors Bureau representatives, attended the 2024 event, podiuming at the Montreal event to introduce the Midwest to the international community in both English and French. The mission was clear: Showcase Medinah and the county as one with accessible golf,

free parking and an easy trip with numerous direct f lights to O’Hare International Airport. Marchetti continues, “Los Angeles, Disney, Vegas and New York tend to be the first places international travelers visit when they come to the United States. By elevating the offerings in 2026, it may put Chicago on their bucket list as they visit for megaevents like the Presidents Cup and America250.”

THAT LOCAL FLAIR

Rather than visiting only to watch the tournament, attendees want local authenticity, personalization and seek those “I couldn’t do this anywhere else” moments. How does the suburban enclave next to one of the largest cities in the country stand out to attendees researching the event? “We felt it was important to do a onestop shop on our website. We want to make sure that tickets, golf, dining and accommodations are all very clear. [Attendees] can stay out in DuPage closer to the golf course and meeting planners scheduling around the event can offer special experiences to their attendees,” explains Marchetti. Meeting planners have substantial selling power in promoting meetings to coincide with megaevents. Where else can attendees watch an international golf competition and then hop on a rented Harley to drive down the historic Route 66 for a day? “Illinois has more Route 66-themed attractions than any other state,” Marchetti says, “and visitors can get a really good feel of all that Route 66 offers by just driving from Chicago to St. Louis.”

Ahead of the Presidents Cup, international travelers will be in the U.S. for the FIFA World Cup and the nation’s Semiquincentennial, and that’s when convention and visitors bureau partners can expect to have the best opportunities for planners piggybacking their events. MidwestMeetings.com

Of course, with branded megaevents like the PGA Tour, the convention and visitors bureau must work within the confines of the event’s existing sponsorship deals and brand guidelines. For example, the PGA Tour uses its own housing company. But local hospitality operators capitalize on the event, even without being an official sponsor. Hotels with meeting space can offer planners “a dedicated event space during a highdemand time to maximize comfort and productivity,” says Jill Hare, the director of sales and marketing at The Drake Oak Brook. “As a AAA Four Diamond hotel, delivering a luxury experience is our standard every day,” she explains. For groups booking before, during and after the Presidents Cup, perks include 15% off food and beverage pricing, break upgrades and double Marriott Bonvoy points. With a much closer proximity to the site of the tournament and 16,000 hotel rooms in the county, DuPage County has several advantages compared to Chicago. Frictionless logistics, exclusive access and service can be the differentiator, even if the event is fairly standardized. With moderate heat waves, and more shoreline along the Great Lakes than the East and West coasts combined, the Midwest continues to shine as a jewel in the national and international spotlight. Convention and visitors bureaus and vendors across the hospitality arena expect continued growth and opportunity through megaevents to provide returns and lasting interest in local offerings for years to come, and sometimes that spurs more infrastructure. Meeting and events planners will also stand to benefit.

That accessibility is a major draw, but it’s only part of the equation. The city offers a robust hotel inventory, with 35 properties and more than 4,700 rooms, providing a range of options for accommodations. Once in the city, attendees benefit from a walkable downtown and the free KC Streetcar, which connects major districts and attractions. The city’s hotel inventory supports large events with ease. With more than 36,000 rooms across the metro and over 6,000 within walking distance of the convention center, planners can accommodate significant group sizes while keeping costs manageable. Equally important is Kansas City’s collaborative approach. “Relationships are important in this industry,” Harsch says. “We consistently hear from planners that the Visit KC team feels like an extended part of their own staff.” That spirit of partnership has been instrumental in securing major events, including the FIFA World Cup 2026. Booking Beyond the Green

The Midwest’s golf resorts can be a hole in one for functions of all kinds, especially when considering these new properties and developments. By Sara Karnish With stunning landscapes, well-maintained grounds and plenty of leisure activities, it’s no surprise that golf resorts check many of the boxes on meeting planners’ must-have lists. Whether a planner is organizing an exclusive corporate retreat for upper management, an incentive trip for top salespeople, or a larger gathering of associates or members, golf resorts are a great choice for functions of all kinds. 48

Golf resorts differ from a standard hotel with a golf course in that they are all-in-one destinations centered around the game. However, these venues don’t just offer golf. Brittany Smiley, MBA, CMP, founder of Cornerstone Collaborative, an event staffing firm in Indianapolis, suggests looking beyond the green and taking full advantage of the resort’s amenities when developing event itineraries. “Golf is probably the top amenity, but look at what else might be there. For instance, I’ve found tennis courts at golf resorts. Find other activities that might be a draw to pull the attention of different types of attendees,” she advises, to capitalize on all your prospective opportunities.

Golf resorts provide a good value and an even better experience. “Budgets are the thing people are talking about most right now,” Smiley says. “If there is a way to reduce costs and maybe put those dollars elsewhere, clients want to do it. Gas prices are definitely increasing. Flights are not usually a direct line item for us. We’re aware of the costs, but ground transportation costs affect the budget immediately.” The goal for planners right now, according to Smiley, is to minimize costs, of course, but also to maximize attendees’ experiences wherever possible. ARCADIA BLUFFS IN ARCADIA, MICHIGAN

Situated on the shore of Lake Michigan, Arcadia Bluffs offers three golfing options — The Bluffs, The South and The Dozen, which is its newest course. The Bluffs course has sweeping views of the water and is renowned for its design, complete with wind-swept native grasses, sod-walled bunkers, wide fairways and expansive greens. The South Course is a throwback to a bygone era of golf course design found on only a few private courses during the game’s earliest days. The course is deceptive — simple in its design, but complex in its MidwestMeetings.com

The Dozen features 12 holes, four guest cottages, a short-iron practice facility and a day-style clubhouse. Its cottages measure 1,900 square feet, with four bedrooms and four baths for as much or as little privacy as guests wish. At the end of the day, guests can unwind and appreciate the landscape from a private covered patio with Adirondack chairs. “Intimate” and “exclusive” could best describe the meeting spaces at Arcadia Bluffs, which can accommodate groups of up to 80 people. The Sunroom has full audiovisual capabilities and is suitable for a more formal occasion. The Lakeview Room has a slightly more laidback atmosphere and can accommodate up to 24 people. Both spaces feature incredible panoramic views and outdoor seating on the Adirondack lawn.

BREEZY POINT RESORT IN BREEZY POINT, MINNESOTA

Breezy Point Resort features two 18hole championship courses, with two new Par-3 courses opening in 2027. Arnold Palmer designed the Deacon’s Lodge course, named after his father. The Whitebirch course was the first championship golf course in the Brainerd Lakes area.

Both courses have received accolades. “Having both the best high-end and value courses is great for us,” says Eric Hart, the general manager and communications director at Breezy Point Resort. He points out the resort’s location in the Brainerd Lakes area is the golf resort capital of the Midwest. Between Breezy Point and its nearby resorts, guests have their choice of golf courses for all skill levels, along with several restaurants. “We have four huge golf resorts here. It’s a huge benefit to the golf traveler or traveler who’s looking to golf to stay at

the most affordable resort (us), but play at the adjoining resorts,” explains Hart. The property has a little something for everyone. “There’s a lot to be said about a resort with lots of options,” he acknowledges. “We try and pull people into as many different things as possible so they won’t even think of going to a non-golf resort. We have three fine dining [restaurants] and two faster food [options]. With our five restaurants and what’s available at neighboring resorts, guests never have to leave the area.” Breezy Point currently has two new golf courses under construction. Three Breeze (formerly the Traditional) will be a 10-hole, Par-30 course scheduled for a spring 2027 opening. Ace Valley, a hybrid real- and artificial-turf course, features 12 Par-3 holes lit for nighttime play. The resort is booking groups as of June 2026 with an expected opening date in summer 2027. Though golf is at the center of it all at Breezy Point, there are other activities available. Hart says groups often book the resort’s 80-passenger boat, the Breezy Belle, for either business or leisure. Swimming, sports events on site at the Breezy Point Ice Arena & Lodge, and live music round out some of the other events at the resort. “We’re the only one of the Big Four resorts that is removed from the city area. Being out here, it’s more remote and it gives you the whole getaway feel. It encourages more camaraderie and socializing instead of everyone going off and doing their own thing,” says Hart.

“To tie it back to golf, we have a restaurant on site that’s tied to the pro shop and it makes a great ending to a group’s golf game — people can gather together to celebrate their wins and talk about their putts during a golf tournament,” she says. The resort is fully equipped with an on-site catering staff and audiovisual equipment to make the event planning and execution process seamless. Walters notes the resort’s location is its biggest asset. “We’re on the Lake of the Ozarks in the center of the state of Missouri. We see a lot of state association groups, a lot of leisure travel and Paul gets a lot of springtime golfers from the North who want to play where it’s warm. We see great golf business in the spring and fall. I personally think 52

Ann Walters, the resort’s director of sales and marketing, says the Margaritaville team is adept at taking care of several groups at a time. The resort has over 76,000 square feet of indoor meeting space, as well as several outdoor areas perfect for receptions or dinners. There are 520 guest rooms on the property. Windgate Hall is a 30,000-square-foot exhibit space ideal for trade shows, business expos or large dinners. An additional 27 meeting rooms give groups of all kinds the space they need to make the venue their own.

community garden, guests are invited to unwind, recharge and reconnect with nature after the day’s business is done. “Groups have the ability to connect as a unit. All of our lodging has different ponds and lakes. We’ve seen some groups take five cottages in a line that circles the lake, so that’s 20 rooms. Each bedroom has its own private bath, so it’s designed for four people to have their privacy, although there is a robust common area. The [cottages] are popular for groups with 12 to 40 people. We also have the more traditional single, double and king rooms as well.” The property’s Mammoth Clubhouse is also available for rent. The building overlooks the Mammoth Dunes course and features a shuffleboard court and four private bedrooms.

When business concludes, attendees can unwind outside and take in the serene views of the lakeshore, or get on the water by renting a pontoon, paddleboat or WaveRunner at the Port of Indecision Marina. “That type of fun is available right outside our door,” Walters says. There are other landmarks and attractions nearby for attendees who want to do some sightseeing during their stay. “We take care of a lot of people and we will take care of anyone who wants to join us,” she notes.

Most meetings and events are held in some variation of a large ballroom or meeting room in a hotel or conference center. What sets Sand Valley apart is: “We’re the polar opposite of most resorts,” according to Mike Carbiener, the general manager. “Sitting on just south of 10,000 acres, coming onto our property is like coming into a national park — it has that feel and appeal to it. There’s almost a feeling of ‘How did I get here?’ We have large 54

sand dunes and a lot of wide-open spaces. There’s a big emotional appeal to that,” he says. The rugged dunes that populate Sand Valley’s location in the Central Sands area of Wisconsin give the resort a distinctive landscape not found anywhere else. But, he adds, “At our soul, golf is what we do. That’s what’s incredibly special.” One of the resort’s newest courses is The Lido, which was originally designed by C.B. MacDonald in 1914, but was demolished after World War II, and lived in golf legend as a “lost course.” About 80 years later, Michael and Chris Keiser resurrected its path and brought it to Sand Valley. “[The Lido] has a very unique story. It’s a private facility, but based on the European style of membership. Europeans believed golf shouldn’t be behind a gate, but played out in the open. It’s our sixth course,” Carbiener explains. Sand Valley’s natural landscape is woven into the fabric of the property’s operations. With six hiking trails (some with fat tire biking, which is better for navigating the sandy paths), different ponds and lakes adjacent to the lodging available at each course, and a vibrant

Sand Valley’s other unique activities include grass tennis and court tennis, the original racquet sport. The sport of grass tennis was originally played on grass; however, grass makes up less than 1% of the courts’ surfaces. “It’s a really fun game to play,” Carbiener says. “The balls are hand-stitched. It’s an interesting combination of tennis, badminton, racquetball and squash. Imagine something the size of a badminton racket hitting something that resembles a present-day tennis ball, and being enclosed in an area the size of a racquetball court, with a pace similar to squash,” he explains. The Wright Venue Iconic architect Frank Lloyd Wright designed spaces that are ideal for one-of-a-kind, ambiance-filled events. By Shelby Deering

Many of these buildings are open to the public, and can even be booked for meetings or events. If you want to do away with indiscriminate conference 56

centers and stuffy hotels, and embrace a Frank Lloyd Wright property for your next meeting instead, read on.

MONONA TERRACE COMMUNITY AND CONVENTION CENTER, MADISON, WISCONSIN

The Monona Terrace Community and Convention Center is one of Frank Lloyd Wright’s most famous works. Lying along the shores of Lake Monona, Wright first proposed the design of Monona Terrace in 1938 and, although the project was once abandoned by a bill that reduced its height, it was revived once again in 1990 and became the geometric wonder it is today. “When event planners and attendees first visit our space, they are immediately captured by the architecture. There’s the ‘wow’ factor of our sweeping views of Lake Monona, the iconic rooftop and the grand interior spaces, but also a deeper experience to be had that’s rooted in good design,” according to Kristen Durst, the community and public relations manager of the Monona Terrace Community and Convention Center.

With five levels, 30 rooms and spaces ranging from 350 to more than 37,000 square feet, there’s no shortage of space. You can book the Grand Terrace for windows that showcase sweeping lake views or the Rooftop Gardens Center Circle for an outdoor experience. Attendees can enjoy the group Architecture Tour, or tempt their palates with the Wine & Cheese or Bubbly tours. The venue fully provides all audiovisual services and there’s a 600-space parking structure as well. “Wright first designed the Monona Terrace to be a civic center, many years before the facility was built,” Durst explains. “He always envisioned Monona Terrace as a place for people to gather and connect, and was deeply focused on how people move through and experience space. His philosophies on architecture are closely aligned with the goals of modern meetings and events, where flow, interaction and shared ideas are essential.”

Architect Frank Lloyd Wright is as much a part of the Midwest as farming and a Friday fish fry. He was born in Richland Center, Wisconsin, and became the preeminent architect of the 20th century, designing well-known residences and structures like Pennsylvania’s Fallingwater and New York’s Guggenheim Museum. He lived most of his life in Spring Green, Wisconsin, and here in the Midwest, we’re lucky to say that the region boasts the highest concentration of Frank Lloyd Wright-designed buildings in the world.


but then endured fires that caused him to add construction and renovations, in Spring Green. Sitting on a stunning 800 acres of green hills and valleys, the estate is made up of several buildings where Wright “lived, worked, and experimented with principles of organic architecture and design for nearly 50 years,” as Sally Monroe-Tockes, the Taliesin events coordinator, puts it. She goes on to say, “Frank Lloyd Wright’s architectural vision is so singular and individual that his buildings lend themselves quite easily to the making of a memorable experience. I think, to a lot of event planners, that’s super important — you want your attendees to say, ‘Hey, remember when we had our retreat at Taliesin?’ and not, ‘I can’t even think of what we did last year.’” There’s a wide array of meeting spaces to choose from, like the 1,400-square-foot Frank Lloyd Wright Visitor Center that can accommodate 125, the 1,800-squarefoot Hillside Theater that can hold up to 100 attendees and the Taliesin home itself at 5,500 square feet with the ability to facilitate 50 guests. No matter what space you choose, Frank Lloyd Wright’s brand of modernism and nature-inspired details are alive and well. Catering is available, along with beverage packages, and attendees can park at the Frank Lloyd Wright Visitor Center, just across the road from the Taliesin estate, where they can then take a shuttle ride to their destination.

And, of course, tours can be a top activity during your event. “Group tours are a great way to enhance a private event at Taliesin, especially since they frequently allow guests the chance to explore spaces beyond the one they’ve rented,” Monroe-Tockes says. “We can be quite flexible with the timing of these tours and like to find clever ways to work them into a larger itinerary — for example, a group might rent Hillside Theater for a symposium, followed by a tour of the house that ends in a cocktail hour on Wright’s bedroom terrace.” MidwestMeetings.com

Roose adds, “Some of our groups use this as an opportunity for a cocktail reception or networking.” She says that the venue can also incorporate a dinner and evening hospitality in Wingspread while your group is on campus. For the maximum capacity of 55 individuals, you can book the Prairie Room, Wind Point Room, Fire Pit Patio, Dining Room or Cypress Terrace, or turn to other spaces, like the Blue Heron Room or the Theatre, that are ideal for small gatherings. There are also 40 guest rooms so your attendees can make a trip of it. The property has complimentary selfparking and electric vehicle charging, and amenities abound, which can be experienced through an all-inclusive meeting package that includes accommodations, a full breakfast, lunch and dinner services, break services, a meeting room that suits your needs and audiovisual equipment. Roose adds that planners receive “a dedicated conference planning team member to help with all the details, the rooming list, audiovisual needs, agenda creation, menus, transportation etc.”

LAURENT HOUSE, ROCKFORD, ILLINOIS

Near Lake Michigan lies a private home that Wright designed for the SC Johnson family in 1939. They lived there through the 1960s, and eventually donated it to the Johnson Foundation, which has since used Wingspread as a meeting and event destination. 58

“Frank Lloyd Wright was known for incorporating natural surroundings into his architecture. In our case, the prairie,” according to Heather Roose, the director of sales at Wingspread Retreat & Executive Conference Center in Wind Point. “It allows our guests to sit outside, and enjoy nature, the trails and the quiet that comes with 36 acres,” she shares.

Flanked by beautiful trees, the home exudes a feeling of warmth and comfort, punctuated by Wright’s trademark touches. Mary Beth Peterson, the executive director, says the Laurent House “offers something special to the attendees and is a space that will be long remembered.” During meetings, tours are a must. THE ROOKERY IN CHICAGO, ILLINOIS

Chicago and its suburbs have the largest collection of Frank Lloyd Wrightdesigned structures in the Midwest — in fact, the area boasts the most Frank Lloyd Wright buildings in the world. This is where you’ll find The Rookery, a commercial building that houses offices and retail establishments. The building was designed by Daniel Burnham and John Wellborn Root, and completed in 1888, and the interior work was designed by Frank Lloyd Wright in 1905. “Its iconic light court, ornamental ironwork and historic charm make it a centerpiece of Chicago architecture,” says Greg Jenkins, president of Jewell Events Catering, the exclusive catering and special event partner of The Rookery. “For planners, we describe it as a place where history and innovation meet, perfect for events that need both elegance and character.”

The Wright-designed light court reception area, which features a striking Oriel Staircase, can accommodate up to 200 guests for standing receptions, which Jenkins says is ideal for cocktails and networking. Jewell Events Catering provides catering in addition to full event coordination, audiovisual support, drapery services and equipment setup. And since The Rookery partners with the Frank Lloyd Wright Foundation, it offers guided tours that focus on Wright’s contributions to the design and overall history of the building. “Event groups can coordinate tour times before, during or after their events to MidwestMeetings.com

hat do classic Minor League Baseball, a record-setting NCAA basketball coach and championship hockey have in common? They all helped shape the sports legacy of Aberdeen in South Dakota. From hardwood courts to hockey rinks, the city is building a reputation as one of the upper Midwest’s premier destinations for athletic competition. With venues designed to accommodate everything from basketball tournaments and swim meets to soccer, softball and 5K races, the area offers year-round opportunities for sporting events — regardless of the season.

Basketball remains at the heart of Aberdeen’s sports culture. The city offers a wide range of facilities for youth, high school and collegiate play, including the Barnett Center at Northern State University and the Aberdeen Civic Arena, originally constructed in 1938. Northern State University also played a role in NCAA history when coach Don Meyer earned his 923rd career victory in Aberdeen in 2010, becoming the winningest men’s basketball coach in NCAA history at the time. Football and softball facilities have also expanded in recent years. Dacotah Bank Stadium opened in 2021 on Northern State’s campus and the adjacent Koehler Hall of Fame Softball Field opened in 2022. Additional softball championships are held at the Players Softball Complex, a four-field facility that opened in 2022. Nearby Fossum Field serves as home to Northern State and Aberdeen Smittys amateur baseball. Whether hosting tournaments, championships or youth sports, Aberdeen combines modern facilities, rich athletic tradition, and Midwestern hospitality to create memorable experiences for athletes and fans alike. 78

One of the city’s busiest athletic weekends takes place in January, when curling, swimming and indoor soccer competitions draw athletes and spectators from across the region. Facilities like the 108,000-square-foot Aberdeen Dome, featuring an indoor turf surface, and the Aberdeen Family YMCA provide comfortable, climate-controlled environments for winter competition. The Holum Expo Building hosts curling and hockey events, and connects directly to the Odde Ice Center, home of the Aberdeen Wings and Cougar hockey programs.
