Class Rosters File Requirements and Upload

Classroom reports are available, as soon as we import your "external" roster file into MMARS™.

Roster Overview

You simply need to send us a file that contains the roster information -- exported via a query from your Student Information System (SIS).

Step 1 • We prefer CSV (MS-DOS) format - comma-separated-values. If you use CSV, the delimiters must be commas.

File Format

• Excel files are acceptable, provided all the other requirements are met.

• No punctuation is permitted. In particular, the files must be void of all commas, tabs, and quotes (except the comma delimiters between columns).

Step 2 Column Headings We need this information for each student, each period (multiple rows per student with multiple classes).

Firstname Lastname Middlename Birthdate StudentID (local) SSID (state) SchoolID (CA customers: use only the rightmost 7-digits of the CDS code) Do NOT use the full 14-digit CDS code. Do NOT use the 7-digit County-District ID. Do NOT use a local number or school name.

8. TeacherLastname 9. TeacherFirstname 10. TeacherID (unique SEIN or local ID) 11. DepartmentName (optional - e.g. English, Math, Science, Social Studies, Elective, Other)

Leave blank for elementary students with only one teacher.

12. CourseName (optional ) Please name your column titles EXACTLY as they are shown below (otherwise, your file will be rejected).

13. PeriodNumber (optional ) Leave blank for elementary students with only one teacher.

14. GradeLevel (TK - 12)

Step 4 Before you upload your files to us via the MMARS Upload Utility, please name them in such a way that identifies whether they are:

File Naming

• as-tested 2019-20 classes (e.g. HometownUSD_Spring2020_rosters_AsTested.xls) • new 2020-21 classes (e.g. HometownUSD_Fall2020_rosters_Current.xls).

Step 5 We prefer that you send us files, for both years, so we can build reports for all your teachers.
