MAINTENANCE MANIA RETURNS! COME CHEER ON OUR LOCAL MAINTENANCE TECHS ON NOVEMBER 18!

Join your family, friends and industry peers on Thursday, November 18 at 5:30 pm to cheer on our local maintenance technicians competing in Maintenance Mania! Held this year at Dave & Buster’s in the Springdale area, this is the first step on the way to earning a spot in the national competition to be held in San Diego, California, in June 2022.

Maintenance Mania® is a national program offered by NAA and presenting sponsor HD Supply (HDS), in which maintenance technicians compete against each other in various skill-based games.

At the end of the competition year, NAA will offer the top participant from each of the NAA regions, plus 10 wild card participants, the chance to compete in the National Championship. GCNKAA will also give local competing individuals various awards for first, second and third place in each game and overall score.

THE GAMES Maintenance Mania consists of several skill-based table games based on common maintenance activities and a race car competition.

Participants build their race cars prior to the event, aiming to have the fastest and most creative car built out of maintenance supplies. All games are timed to determine the fastest competitor in each game and overall. Good luck to our competitors and hope to see you in San Diego!

Across the Board A MESSAGE FROM THE PRESIDENT

By Don Brunner, President Hello everyone. Last month we held our 2021 elections for both the main board and associate council. It was a great night and it turned out to be more exciting than expected. On the slate for the main board of directors, the members elected Megan Lawhon with PLK Communities, Mike Markus with BRG Apartments, Oksana Lukjanenko with Denizen Management, and Todd Hignite with Hearth Home Communities. On the associate counDon Brunner cil side, we ended up having nine canBRG Apartments didates vying for seven seats. After the final votes were tallied Rick Holste with Chadwell Supply, John Gruen with Cincinnati Coin Laundry, Mark Arnold with Royal Finish, Courtney Griffin with Precision Concrete Cutting of KY, Jeffrey Holbrook with Acme Lock Services, Dennis Merkle with Advanced Turf Solutions, and Jason Lonsbury with Pinnacle Paving & Sealing were elected to the Council. Congratulations to all the winners and if you were not successful in getting elected, please participate in committees and run again next year.

On the legislative front, our association met on October 19 with the Community Action Agency (CAA), Hamilton County

Jobs and Family Services (JFS), Legal Aid, City of Cincinnati and Hamilton County on how we can better educate our association and our residents on the funding available in our area. This is important as we have agreed with the City of Cincinnati to get behind a new ordinance called Affirmative Defense (Pay to Stay).

This ordinance will allow for the residents who have applied for assistance to provide the court a copy of the commitment letter.

This will continue the case until such time when we, as landlords, receive funds - which should be in 2 to 3 weeks. You may receive funds quicker if you set up direct deposit. If a resident hasn’t previously applied for or been granted acceptance, then the eviction will continue. We feel this is an important step to help with housing stability in our area.

Finally, I would like to end this article with one final recognition for Mark Franks. Under Mark’s leadership this association has soared to heights that very few have achieved across the county. Under Mark’s leadership our Outreach has taken off, our events are always well-attended, we have cash in the bank, and, more importantly, have the fundamentals in place to be successful for years to come. Mark has been a friend, a mentor, a leader, and connector of people for 28 years. Thank you Mark for all you have done for this association. We will miss you!

PROPERTY OWNERS RECEIVE TRAINING TO HELP TENANTS WITH RENTAL ASSISTANCE

In a unique and timely cooperative effort, area organizations and government agencies that share a mission of housing stability gathered on October 19 to work on streamlining the millions of dollars of federal rental assistance that is going unused in Hamilton County into the hands of residents and property owners.

Property owners were trained on the online portals that are designed to asPat Crowley sist tenants with their rent payments in a first-of-its-kind gathering that was hosted by the Cincinnati Metropolitan Housing Authority. In addition to the Greater Cincinnati Northern Kentucky Apartment Association (GCNKAA), representatives and leaders from the following organizations also participated: • Hamilton County Job & Family Services (JFS); • Community Action Agency; • Legal Aid Society of Southwest Ohio.

More than 30 companies representing 30,000 housing units participated in the training.

“This was an unprecedented, cooperative effort focused on how property owners and tenant advocates are working together to keep tenants in their homes, while making owners whole during this pandemic,” said GCNKAA President Don Brunner.

“By making sure these funds are distributed, it gives people the time to get back on their feet, back working again and able to pay their rent,” President Brunner said. “These funds are there and we’re trying to work with these groups and make sure those funds are distributed to the folks in need.”

Local organizations - including JFS and CAA - have an estimated $70 million to distribute. So far, combined they have assisted approximately 10% of the renters in Hamilton County. As the need increases, working with landlords to absorb past due rent is a great way forward to keep tenants in their homes.

“CAA has distributed more than $16 million in funding to over 5,000 households,” said CAA President/CEO Mark Lawson. We still have funding that can be used to help more tenants. Training landlords on our portal is a great way to provide the assistance needed.”

“I am encouraged that these organizations and agencies came together to connect resources to residents who may be facing eviction,” said Hamilton County Commissioner Denise Driehaus.

“To keep children and families in their homes, getting what is an unprecedented amount of rental assistance out to everyone who needs it will require unprecedented partnerships,” said Cincinnati Councilman Greg Landsman. “I am so grateful for the Apartment Association and all of our rental assistance providers for coming together the way they are. It will make a huge difference in staving off thousands of evictions.”

GCNKAA 2022 TRADE SHOW BOOTHS NOW ON SALE! The Greater Cincinnati Northern Kentucky Apartment Association’s 2022 Trade Show is scheduled for TUESDAY, March 15 at Sharonville Convention Center. Due to your feedback, we are keeping the good ideas and adding more to the 2022 show. Here are the top reasons you won’t want to miss out! But act soon! The price rate of $800 per booth expires on Tuesday, February 15! After that, the price increases to $900 per booth!

1. The Invitation Only VIP Preview Hour. Building on 2021, we will personally invite key decision makers at each owner and property management company that is a member of the Greater Cincinnati Northern Kentucky Apartment Association. This personal invitation allows each of them to attend a private preview of the trade show from 4 pm to 5 pm. This offers you more personal time to meet and greet potential new customers as well as conduct business with current customers without the interruption from other attendees of the trade show.

2. New Floorplan. Minor changes have been made again to the floorplan to encourage better foot traffic as well as accommodate more booths. This year the booths remain 8’ x 10’. All booths include pipe and drape, one table, two chairs, booth sign and wi-fi. Premier booths are an additional fee. Other booths are reserved for VIP Sponsors.

Electric, carpet and additional tables and chairs can be ordered separately through Sharonville Convention Center or Academy Rentals.

3. Expanded Education Rooms. By creating more education seminars that accommodate more students, we can guarantee a larger attendance of property managers, leasing agents and maintenance technicians when the trade show opens. At the end of these seminars, seminar attendees will flow onto the trade show floor where you have the opportunity to talk with each and every one.

4. More Sponsorship Opportunities. By creating new sponsorship levels, we enable you to get more bang for your sponsorship buck. Whether through signage, verbal recognition or company listing on gcnkaa.org and in the Apartment Advantage, we will find a way for you to get involved whether you have one employee or one thousand. We have also added several more benefits to the VIP Sponsorship including premier booth space. Watch for more information to follow regarding sponsorship opportunities. Sponsorships range from $300 for a logo or food sponsorship to $1000 for VIP Sponsorship.

2. Look at the floorplan and decide which booth you would like, then simply either: • Visit www.gcnkaa.org and go to the event calendar to reserve your booth online. Available booths will be listed on the registration page. Log in, complete your selection and submit your request immediately.

• OR fill out the booth contract, complete with your first three (3) booth choices and fax back to 513 407-7868. Michele will follow up with you to let you know which booth is available.

BOOTH RESERVATIONS AND PAYMENTS • After you have selected your booth with the Apartment Association, you must either forward GCNKAA a signed contract or remit full payment to reserve that booth.

• We will hold all booths for 14 days without signed contract or payment.

• You may pay for your booth with check or credit card or call the office for an invoice.

• We cannot hold a booth longer than 14 days without contract or payment. After those 14 days, if we do not receive a contract or full payment, GCNKAA will contact you for payment or contract. If no response, GCNKAA may release the booth you selected.

• Full payment of all booths must be received by February 15, 2022.

WRITTEN AND COMMUNICATED SAFE WORK PRACTICES – IT’S NOT JUST COMMON SENSE Courtesy of Sedgwick

Through the years I have heard employers express the sentiment that their employee was injured because they were not using common sense.

Even when someone says they can do the job or have had prior experience that may not be true. Common sense does not necessarily help your employee understand the true requirements of a job task.

Guidance for employees in the form of written safe work practices is important for a clear understanding of job requirements and responsibilities. The objective is to communicate safe work practices so that employees have a clear understanding of how to safely accomplish their job requirements. Both general and jobspecific safe work practices must be identified, documented, and made available. Have all employees sign a statement to indicate they have read, understood, and will follow all safe work practices.

Examples of general safe work practice knowledge expected of most employees include: • Good housekeeping • Personal protective equipment • First aid procedures • Ergonomic principles • Hazard recognition and abatement • Emergency Action Plan Job-specific safe work practices apply to operations and tasks that involve recognized hazards and risks associated with those specific tasks. Job-specific safe work practices must be posted or made readily available in the work area. Examples of job-specific safe work practices include: • Respiratory protection • Lockout/tagout procedures • Confined space entry • Hazard communication • Powered industrial truck operation • Bloodborne pathogens, if applicable • Personal protective equipment (PPE) • Machine/equipment operation • Material handling procedures IMPLEMENTATION After the general safety orientation, the supervisor provides new employees with job-specific safety training. Employees should not be allowed to start a job until they have received instructions on how to perform the job properly and safely.

If an employee will perform a hazardous job, the supervisor should complete a Job Safety Analysis (JSA) on that job and incorporates the JSA into the job-specific safety training. JSAs emphasize the identification and control of the potential hazards associated with each step of the job.

Safe work practices are essential for any organization because

they prescribe the accepted behavior that is expected from all employees. The safety team may be involved in the development of the employee safety handbook. The handbook includes general safe work practices and specific safe work practices that apply to each job.

Safe work practices usually are printed in an employee safety handbook. The first page of this handbook should include a Safety Policy from senior management.

When providing employees with a safety handbook, review the material with them annually and ask questions to ensure their comprehension. Training should thoroughly support all content.

Have employees sign a statement certifying that they understand the safety rules and policies and agree to abide by them. Maintain this signed statement in the employee’s personnel file.

The Division of Safety & Hygiene’s safety, industrial hygiene and ergonomics specialists can help you develop effective strategies to make your workplace safer and healthier. They can visit your workplace or consult with you by telephone or email. These services are available for any private or public employer. BWC also offers specialized options for certain employers. Holiday Cheers Party at Kenwood Country Club. All members and the general public will have a full week of bidding opportunities for silent auction items beginning on December 2 and will culminate on December 9 with the live auction, Rapid Raffle, Mystery Bags and raffle ticket items.

If you do not have an item to donate or the time to buy something to donate, we can go out and purchase items for you. Cash donations are acceptable and will be used to buy items for the benefit in your company’s name. This is one event that will not be possible without the support of all our members and the surrounding community. Through the help of the Holiday Cheers Committee, spearheaded by Gerry Johnson with RentPath and Tonya Beckner with Miller Valentine Group, this is an event that will be a huge success.

In addition to all other rules and regulations relating to the Vendor’s attendance at the Tradeshow, Vendor agrees to comply with All COVID-related procedures that may be implemented by the Greater Cincinnati Northern Kentucky Apartment Association and Sharonville Convention Center, including, but not limited to, testing, mask-wearing and social distancing requirements and restrictions on certain activities that carry higher COVID-related risk, in order to protect as much as possible the health and safety of all Tradeshow Vendors. GREATER CINCINNATI NORTHERN KENTUCKY APARTMENT ASSOCIATION EXHIBIT RULES & REGULATIONS 1. AGREEMENT By signing the Exhibit Space Application and Contract, the Exhibitor agrees to abide by these Rules and Regulations and all amendments thereto and the decisions of Show Management. For purposes of this Agreement, the terms “GCNKAA” shall mean the Greater Cincinnati Northern Kentucky Apartment Association, “exhibit hall” shall mean the Sharonville Convention Center, and “Exhibitor” shall mean any company, firm or person who has applied for or been allocated any space at the Exhibit Hall.

2. UNDESIRABLE ACTIVITIES The Exhibitor agrees that his exhibit shall be admitted into the Show and shall remain solely on strict compliance with all the rules herein described. GCNKAA reserves the right to reject, eject or prohibit any exhibit in whole or in part, or any Exhibitor with or without giving cause. GCNKAA’s liability for rejection without giving cause shall be limited to a refund to the Exhibitor of the amount of rental unearned at the time of ejection. However, if an exhibit or Exhibitor is ejected for violation of these rules or any other stated reason (with cause), no return of rental shall be made. Exhibitor shall not exhibit any merchandise other than that specified in the application.

3. BOOTH ASSIGNMENTS Booth selection by Exhibitor is available on a first-come, first serve basis and there is no first right of refusal. GCNKAA’s confirmation of requested booth space is final and shall constitute an acceptance of the Exhibitor’s offer to occupy space. Confirmation will be made only after receipt of the Exhibitor Agreement and the appropriate booth fees. After confirmation, space location may not be changed, transferred, or canceled except upon written request and with the subsequent written approval of GCNKAA. Not withstanding the above, GCNKAA reserves the right to change location assignments at any time, as it may, in its sole discretion, deem necessary.

4. SPACE RENTAL Exhibitor fee includes a 8’x 10’ exhibit space, materials to define exhibit space (pipe & drape), a two-line sign showing Exhibitor’s company name and booth number, one 6’ table with skirting, two chairs and wifi access. No signs or advertising devices shall be displayed outside the exhibit space other than those furnished by GCNKAA. Booth displays not to exceed nine (9) feet in height across the back. No backdrops or booths higher than five (5) feet in height are permitted along the sides of the booth. Booth displays cannot block neighboring booths. Electric, carpet, additional table and chairs, and landlines are available at Exhibitor cost through separate contracted vendor.

5. USE OF DISPLAY SPACE A. Restrictions on Space Rental: Exhibitor may not sub-let, sub-divide or assign his space nor any part thereof, nor purchase multiple booths for the purpose of subletting or assigning to third parties, nor permit in his booth non-exhibiting companies’ representatives without the express written permission of GCNKAA. Only companies or individuals that have contracted directly with GCNKAA shall be allowed on the show floor as an Exhibitor. Failure to comply with this provision shall be sufficient cause for GCNKAA to require the immediate removal of the exhibit and/or the offending Exhibitor at the expense of the Exhibitor. Failure to comply may also result in forfeiture of all further rights to exhibit at future shows sponsored by GCNKAA together with all fees paid.

GCNKAA may lease any space so forfeited to another Exhibitor and retain all revenues collected.

B. Exhibitor shall design and maintain the general theme and tenor of show.

6. INSTALLATION AND REMOVAL GCNKAA reserves the right to fix the time for the installation of the booth prior to the show opening and for its removal after the conclusion of the show. Installation of all exhibits must be fully completed at least 30 minutes prior to the opening of the Show. Failure to adhere to this requirement could restrict Exhibitor’s entry into any future shows produced by GCNKAA. Any space not claimed by 3:30 p.m. on Monday, March 14, 2022, may be resold or reassigned without refund. All exhibits and booth materials must be removed by 9 p.m. on Tuesday, March 15, 2022.

7. EARLY REMOVAL OF EXHIBITS NOT ALLOWED No exhibit shall be packed, removed or dismantled prior to the closing of the Show without written permission from GCNKAA. If the Exhibitor acts in breach of this provision, it shall pay as compensation for the distraction to the Exhibition’s appearance, an amount equal to one-half of the total space charge for the Exhibitor’s allocated area, in addition to all sums otherwise due under this Agreement.

8. EXHIBITOR APPOINTED CONTRACTORS (EAC) Any exhibitor using an EAC agrees to notify GCNKAA of such appointment and agrees to indemnify and hold harmless GCNKAA, the exhibit facility, and their respective officers, directors, staffs, employees, and agents and all official contractors from any and all liability or losses for any act, complaint, damage, or loss to any other Exhibitor, the exhibit hall, the property of any contractor or any consequential damages arising out of any such act of loss from the time the independent EAC first arrives at the hall until the final move-out is complete. The Exhibitor further agrees that GCNKAA may prohibit the EAC from working in the hall if the EAC does not fully comply with all rules and regulations set forth for them at this event. Any Exhibitor using an EAC agrees to advise its EAC of all rules and regulations.

9. PROHIBITED ACTIVITIES A. All demonstrations, sales activities, and distribution of circulars and promotional material must be confined to limits of the Exhibitor’s booth.

B. Exchange of money or consummating the sales of goods or services on the exhibit floor is prohibited. Orders may be taken for future delivery only.

C. Exhibits which include the operation of musical instruments, radios, sound motion picture equipment, public address systems, or any noise-making machines must be operated so that the noise resulting from there will not annoy or disturb adjacent Exhibitors or their patrons. Exhibitor represents and warrants

that no musical work protected by copyright will be staged, produced or, otherwise, performed via either “live” or “mechanical” means, or by or on behalf of Exhibitor, unless Exhibitor has previously obtained written permission from the copyright owner’s designee (e.g., ASCAP, BMI, or SESAC) for such use.

D. Exhibitors are prohibited from displaying any devises or objects in the booth that exceed the height of the back wall (9 ft.) without prior written approval from GCNKAA and the exhibit hall. No backdrops or booths higher than five (5) feet in height are permitted along the sides of the booth. Booth displays cannot block neighboring booths.

E. Exhibitors are not allowed to conduct any activities that could be considered an illegal lottery under Ohio law.

F. Electrical equipment that is not UL approved may not be used in the exhibit hall. No wiring, installation or spotlights or other electrical work shall be done except by the electrical contractor authorized by GCNKAA or exhibit hall.

G. Approval for distribution of food items must be obtained by the Sharonville Convention Center prior to the event.

H. Sharonville Convention Center prohibits the use of glitter, confetti guns, fireworks and helium balloons inside their facility.

I. Live animals (except service animals) and firearms are prohibited inside SCC. 10. CANCELLATION BY EXHIBITOR The Exhibitor specifically recognizes and acknowledges that GCNKAA will sustain losses if the Exhibitor cancels its exhibit space after it has been assigned and confirmed by the GCNKAA. Due to the difficulty of determining said losses, the Exhibitor agrees to pay the following amounts as liquidated damages, and not as a penalty, all cancellations must be received in writing. Booth cancellations received after November 1, 2021, and prior to February 15, 2022, will be issued a refund minus a $100 administrative fee. Booth cancellations after February 15, 2022, will forfeit all booth fees and will be responsible for full booth payment. Upon cancellation by the Exhibitor, GCNKAA has the right to resell the space and retain all revenue collected.

11. CANCELLATION OR POSTPONEMENT OF SHOW In the event that any unforeseen occurrence shall render the fulfillment of this Agreement impossible by GCNKAA, the parties shall mutually amend or terminate the agreement at GCNKAA’s option. The Exhibitor hereby waives any claim against GCNKAA for damages or compensation. GCNKAA may return a portion of the amount paid for space after deduction of any amounts necessary to cover expenses incurred in connection with the show. Such expenses include, but are not limited to all expenses incurred by GCNKAA as a result of contracts with third parties for services or products incidental to the show, and all overhead expenses attributable to the production of the show. No monies will be returned should the dates or location of the show be changed by GCNKAA, but Exhibitor will be assigned space that the Exhibitor agrees to use under these same rules and regulations. GCNKAA shall not be liable in the event the show is interrupted, canceled, moved or dates changed except as provided herein.

12. ERRORS AND OMISSIONS GCNKAA assumes no responsibility or liability for any of the services performed or materials delivered by official show contractors or other suppliers to the show, their personnel, or their agents.

13. LIABILITY AND INSURANCE A. All property of the Exhibitor remains under its custody and control in transit to and from exhibit facility, during installation and removal, and while it is within the confines of the exhibit facility. Neither GCNKAA, the service contractors, the management of the Sharonville Convention Center nor any of the officers, staff members, or directors of any of the same are responsible for the safety of the property of Exhibitors from theft, damage by fire, accident, vandalism or other causes. The Exhibitor expressly waives and releases any claim or demand he may have against any of them by reason of any damage to or loss of any property of the Exhibitor.

B. Exhibitor understands that neither GCNKAA nor any sponsor carries business interruption and property damage insurance coverage for loss or damage of Exhibitor’s property. The Exhibitor agrees to obtain adequate insurance during the dates of the trade show, including move-in and move-out days, and shall be prepared to furnish a certificate of insurance to GCNKAA. 15. ENFORCEMENT OF REGULATIONS GCNKAA has full power to interpret and enforce all regulations of the show and the power to make amendments and/or further regulations, orally or in writing, that are considered necessary for the proper conduct of the show. Such decisions shall be binding on Exhibitors. All Exhibitors agree to be bound by terms of GCNKAA’s agreement with the facility in which the show is held.

16. CONFLICTING MEETING AND SOCIAL EVENTS In the interest of the entire Show, the Exhibitor agrees not to extend invitations, call meetings, or otherwise encourage absence of members, Exhibitors, or invited guests from the educational sessions or exhibit hall during the official hours of the sessions or show. Hospitality suites may not be reserved without prior approval of Show Management.

17. WAIVER Waiver by either party of any term or condition or breach shall not constitute a waiver of any other term or condition or breach of this agreement. The rights of GCNKAA shall not be deemed waived as specifically stated in writing and signed by an authorized representative of GCNKAA. 18. SEVERABILITY In the event any provision of this Agreement is held invalid or unenforceable then neither the remaining provisions of this Agreement nor other applications of the provisions involved shall be affected thereby.

Reserve your booth and submit your complete booth contract to the Greater Cincinnati Northern Kentucky Apartment Association. You can fax this information to 513 407-7868 or email directly to michele@gcnkaa.org. Upon receipt at the GCNKAA offices, a confirmation email will be sent to the trade show representative listed upon contract. Booth price of $800 (or $850 for premier booth) includes one table, two chairs, pipe and drapes and booth sign ONLY. The price will increase to $900 per booth after February 15, 2022.

I would like to thank the Greater Cincinnati Northern Kentucky Apartment Association (GCNKAA) membership for its incredible generosity this year in support of the Apartment Association Outreach (AAO). I also want to thank the AAO Board of Directors for their commitment, leadership, volunteerism and financial support to our mission in 2021 (100% Board contribution participation). And lastly, I would be remiss if I didn’t share my gratitude for Susan Peck, Patty Braun, Kellie Jones from Jeff March BRG, and, of course, Mark and Rebecca for all of their effort to run our growing program, especially during the continuing Covid-19 pandemic. THANK YOU ALL!!

As a result of the 5K 4Rent, the Night Out for Outreach, the launch of Champions for Outreach, and our upcoming Holiday Cheers, our multi-family community will raise more than $350,000 to support our intention to provide basic needs and emergency assistance to families and individuals in crisis. We have been able to help thousands of people in our community, especially through rent assistance and food pantry donations, and I could not be more grateful for your collective generosity.

HOLIDAY CHEERS On December 9, we will celebrate the 24th Annual Holiday Cheers Benefit at Kenwood Country Club from 5 pm to 8pm, and proceeds from the event will benefit Outreach. There will be an online silent auction beginning on December 2 and bidding will last for the week prior to Holiday Cheers which will culminate on December 9 with the live auction, Rapid Raffle, Mystery Bags and raffle ticket items.

AAO ADDITIONAL UPDATES Santa Maria Community Services: On October 12, several members of the AAO Board and staff toured the facilities of Santa Maria in Price Hill to learn more about the important work that this organization does to help those in need in this community. We had great interaction with President and CEO H.A. Musser, Jr., Susan Conrad and other members of Santa Maria’s dedicated team. AAO provides significant rental assistance, and we were pleased to learn about the wrap-around services provided by Santa Maria to lift community members up to provide a more permanent and better life. We are proud to partner with this fine organization, and hope these site visits will lead to an even deeper and more meaningful relationship.

Childhood Food Solutions (CFS): On October 13, AAO volunteers went to the Villages at Roll Hill and assembled groceries and Halloween treats to provide to the low income children in the neighborhood. I would like to thank Jamie Thiel of HKC Roofing for working with Lisa Hyde-Miller, the Service Coordinator at Roll Hill and the current Board Chair of CFS, to put this important activity together. AAO was well represented by Tonya Beckner, her daughter Tressie, Heather Denney, Amy Winkelman, and Christine Ryan of Miller Valentine Group, Liz Werner and Susan Peck. CFS works to develop solutions to combat childhood food insecurity, and it provides sacks of groceries to elementary school kids, especially during school breaks in late March, June, July and December when food insecurity is at its worst. We are proud to assist with the important work of this AAO partner.

Finally, I wish you and your families a very special Thanksgiving holiday, and I hope we all take the time to enjoy our loved ones and reflect on our many blessings. Thank you for sharing some of your blessings to support the critical work of Apartment Association Outreach, Inc.

MARKETING YOUR COMMUNITY’S POSITIVE RESIDENT EXPERIENCE

So, you’ve succeeded in creating a relatively positive resident experience at your property, but how do you effectively market it?

After all, your property is providing a service, probably the most important service of all: A place to call home. Plus, with the current trend of apartment communities offering resort-style amenities to entice more renters, the service aspect has never been more in play. Or, on the flip side, if your property doesn’t have many amenities, then your staff’s personal touch really needs to shine.

Either way, marketing your positive resident experience is key to getting more new leases. Here are a few effective and easy ways to do it: 1. DOCUMENT + SHARE YOUR MOVE-IN PROCESS A seamless move-in process is an important component for a positive resident experience and, therefore, a higher renewal rate.

In fact, a Kingsley Associates study found that the renewal rate for residents who were satisfied with the move-in process was 59% higher than the renewal rate for residents who were dissatisfied.

There’s no question that prospective residents will love to know that moving into one of your apartments is quick and easy— it may even become the deciding factor to signing a lease.

A great way to show an easy move-in process is by documenting a new resident actually moving in from start to finish. You can do this by having the leasing agent take simple videos and pictures of everything. We also recommend getting a few quotes from the resident if possible. Obviously, you will have to secure permission from the incoming resident, but usually a gift card or discount on the first month’s rent will do the trick.

However, if you can’t get permission or don’t feel comfortable, you can still document what the general process looks like without a physical resident or have one of your staff stand in.

As for marketing this content, an easy way is to share the videos to your Instagram stories and save them all as a “MoveIn Process” highlight. This way, it will permanently stay on your profile and prospective residents can check it out whenever they

want. You can even refer to it in your social posts, lead emails and tours to continue informing prospects that it’s there.

2. Share Reviews It’s a big win whenever your community receives a positive review online. So, when it comes to pumping up your positive resident experience online, it should be treated as such! It’s time to share every positive review your property receives loud and proud on both social media and your website!

For social media, a tool our marketing team loves to use for quick graphics like this is Canva—an incredibly user-friendly graphic design platform. With this tool, you can create a crisp graphic with the review quote in the foreground and property images or other fun design elements in the background. Plus, in Canva, you can upload your property’s brand colors and logo to use in the graphics.

It’s incredibly reassuring for prospective residents to see positive reviews when they visit your social media platforms or website. It may also help combat any potential negative reviews they see on Google.

3. POST CONTENT OF RESIDENTS ON PROPERTY There’s nothing more reassuring to someone who’s gearing up to move than seeing residents being actively happy at the community where they’re thinking of living.

Seeing real residents living their best life is much more persuasive and impactful than a headline on your website that says.

“Live your best life at our property.” To be clear, I’m not knocking a good headline, it’s just helpful to back it up with photo proof.

A great way to keep up this strategy is to set a routine where a designated staff member swings by some of the amenities and community areas on certain days to take quick videos or photos of residents utilizing and enjoying the spaces. If you keep finding that you’re not able to capture too many residents “in the moment,” then think about their routines and the times they are most likely to use the amenities.

Additionally, when your staff or one of your residents hosts an event, that’s the perfect time to snap away!

No Experience Left Behind...

No matter how you choose to do it, get the word out that your residents have a positive experience leasing with your community!

There’s no question it’s great to advertise your amenities and unique features, but too few properties really market the great service they offer and the level of satisfaction of their current residents. This is a mistake, especially considering how resident experience has become such a hot topic in the industry.

Make it your goal this week to implement one new strategy for showing off your happy residents and incredible staff!

DEVELOPING AN EMERGENCY PREPAREDNESS PLAN TO MANAGE SUPPLY CHAIN DISRUPTIONS

Public safety emergencies such as COVID-19 are challenging for everyone in a multitude of ways. In the rental-housing industry, economic pressures can escalate quickly in times of emergency as the impact on the supply chain becomes more evident.

But quick and confident planning, including having an emergency preparedness system with suppliers in place, can ensure fast access to critical supplies.

During the session, “Developing an Emergency Preparedness Plan to Manage Supply Chain Disruptions” at NAA’s Apartmentalize, various industry professionals discussed how they overcame supply chain challenges by working closely with supplier partners.

“These days, one supplier is just not enough. You’ve got to have backups,” said Andy Haynes, Strategic Growth Director for Avendra LLC. “See who else can provide you the materials you need in case that primary supplier, as much as they want to help you, might not be able to.”

Second, communication is of the utmost importance when it comes to creating a preparedness plan. Panelists advised to have a routine communication plan in place with both suppliers and residents.

Lack of communication creates panic, so be sure you can relay crucial information to the right people at the right time.

As the pandemic began, operators across the country faced multiple challenges simultaneously. However, a common challenge that they all shared was the uncertainty of the times and its impact on the supply chain.

“The largest supply chain problem was that this was very unscripted. Nobody knew what environment we were getting into, and that included our suppliers,” said Wais Khairzada, Corporate

Director of Residential Services for The Bozzuto Group. “So primarily for us, and certainly in our multifamily space, the biggest challenge was getting the plexiglass dividers, the masks, all of the PPE supplies and things like that.”

Resolving supply chain challenges entailed different approaches, but it was establishing and maintaining multiple relationships with corporate and local suppliers that really kept operations moving.

“The relationships with our vendors across the country were a huge proponent of navigating COVID and what our orders looked like,” said Kayt Watts, Director of National Accounts at Advanced Catastrophe Technologies, Inc. “Because ACT was proactive when the Pacific Northwest was being hit, we automatically started making those phone calls to the rest of the country and asked what their turnaround time was. We basically planned for the worst and hoped for the best.”

Emergencies change perspectives on what it means to be prepared, and insurance is a part of preparedness that many operators took for granted pre-pandemic.

“Know the devil in the details of your insurance policies,” said David Abbenante, President of HRI Management. “We’ve spent weeks, if not months sometimes, analyzing our insurance policies and getting prepared. You’re always now going to think of opportunities or concerns as it relates to this pandemic well in advance.”

Old practices don’t always hold up with changing times and the challenges that arise. Operators should learn from previous challenges and create new practices when developing an emer-

gency preparedness plan, according to the panel.

“We’ve got several preparedness manuals in place, whereas we didn’t have a manual format before. There’s also very robust communication plans in place,” Khairzada said.

Panelists noted that implementing an effective preparedness plan consists of four parts: Have a written plan. A written plan should be stored where other team members can access it and find the key information and protocols necessary to handle an emergency if your point of contact is unavailable.

Gain the commitment of your supply partners. Foster and maintain supplier relationships and communicate who they are so that team members are aware, avoiding scammers who are attempting to take advantage of emergency situations.

Ensure your onsite teams understand the plan. Having a plan is crucial, but team members being familiar with and knowing the plan is just as important.

Review and revise your plan at least annually. Things change, like new team members coming onboard or regulations evolving.

An annual review will help your plan stay relevant as changes occur.

“When you are expecting the worst and you have those plans in place, it’s so much better when things are going smoothly because you’re doing it with the confidence that if something goes wrong, you’re ready,” Haynes said.
