The GCNKAA Holiday Cheers Benefit provides FIVE different opportunities in which you can participate. First, you may purchase raffle tickets and try your luck at winning an item in the raffle. The live auction offers you the chance to outbid your competitors on those once-in-a-lifetime items. Of course, the rapid raffle returns this year. You can purchase raffle tickets for $10 each or 3 for $20 and win one of several cash prizes of up to $600 each. And finally - making its return this year - for only $40 you can

All net proceeds benefit the Apartment Association Outreach, a 501(c)3 charitable organization dedicated to providing rent assistance payments to people who cannot afford to pay their rent due to a personal emergency or conflict beyond their control. Each month, the Outreach supports the housing departments of the Free Store Foodbank, Citizens Active in Northside (CAIN), Jewish Family Service, and Santa Maria Community Services with payments totaling more than $148,000 per year.

Admission to the event is $75 per person. Free parking, free food, free soft drinks and two (2) drink tickets good for your choice of drink will be sponsored by the Association. Please note that Kenwood Country Club does not accept credit cards at its bars. Please be sure to bring enough cash if you would like to purchase alcoholic beverages.

A MESSAGE FROM THE PRESIDENT

By Don Brunner, President Hello everyone. Well, this is my last issue. It has truly been my honor to serve as your President of the Greater Cincinnati Northern Kentucky Apartment Association (GCNKAA) these past two years. We truly have a great organization and staff. It has been my pleasure working alongside each of them.

During these last two years we have overcome many obstacles. Obviously, COVID! Even with the challenges that Don Brunner the pandemic presented, our associaBRG Apartments tion stayed strong, worked together, and pushed through each issue. We quickly established zoom meetings - and with the continued support of our Diamond Partners - we were able to stay the course financially.

If the previous challenge wasn’t enough, we had two long time staff members leave the association this past year. The first being Charles Tassell. Charles did a tremendous job representing our association for more than 20 years. As someone who followed Charles around to many meetings with elected officials, he made things easy because everyone knew who he was. We were able to have access to officials that we might not otherwise have had the

opportunity to meet. Charles, thank you for your service to this association.

Next, after 28 years of leading this association, Mark Franks has decided to retire from the GCNKAA allowing him time to consider his next chapter. Mark, you were a tremendous leader, you put our association on the map and helped take it from the brink of bankruptcy to being financially stable and on the right path. Thank you for all you have done for this association. We all are grateful for your time with us.

As you have read, we had challenges to overcome, and we have. Tonya Beckner with Miller Valentine Group will be leading our association as President in 2022. We have hired Rebecca McLean as our Association Executive Vice President. And Pat Crowley is now our Vice President of Governmental Affairs.

Rebecca and Pat have moved into their roles well, settled in quickly, and will be great assets for Tonya and the association as we move into 2022.

Once again, this has truly been my honor to serve you - this great association. I appreciate all the in-person, zoom, and financial support you have given the GCNKAA during my time as President. I ask that you continue this same support for Tonya in 2022.

This heading deals with housing & legal issues within the Governmental structure.

GCNKAA SUPPORTS CINCINNATI ORDINANCE THAT HELPS RESIDENTS REMAIN IN THEIR HOMES

By Pat Crowley, Vice President of Governmental Affairs With the support of the Greater Cincinnati Northern Kentucky Apartment Association (GCNKAA), Cincinnati City Council has unanimously passed an ordinance that is designed to prevent evictions and help property owners receive late rental payments.

The Affirmative Defense Legislation ordinance, sponsored by Councilmember Greg Landsman, requires property owners Pat Crowley and managers to halt an eviction if the tenant can pay all past due rent and late fees.

The ordinance will help ensure that an eviction is prevented, people can stay in their homes and landlords are made whole, Landsman said.

Even if a tenant can’t secure the money by the time they end up in court, as long as they have a letter from an agency or organization with access to federal relief funds indicating they will pay, the eviction proceeding will be stopped. Those agencies include Hamilton County Job & Family Service (HCJFS) and the Community Action Agency (CAA), which have millions of dollars in federal rental assistance that has yet to be dispersed.

“Residents who have been impacted by COVID will need to work to access these funds and must then proactively apply for these funds to have the protection under the Affirmative Defense Legislation,” President Brunner said. “With our agreement both HCJFS and CAA will work to ensure that landlords are receiving past rental payments in a timely fashion.”

GCNKAA has taken a leading role in working to connect residents with federal rental assistance. In October, GCNKAA joined HCJFS, CAA, The Cincinnati Metropolitan Housing Authority and the Legal Aid Society of Southwest Ohio in a training session designed to show property owners and managers how to assist tenants in applying for federal rental assistance.

More than 30 companies representing 30,000 housing units participated in the training.

“Our association is concerned with housing stability and has diligently worked with Legal Aid, Hamilton County Jobs and Family Services and the Community Action Agency to educate landlords on the various funding options available to their residents so that the disbursement of federal relief funds can be expedited and put into the hands of those who need it,” President Brunner said.

CITY OF COVINGTON HOUSING CHOICE VOUCHER PROGRAM LOOKING FOR PARTICIPANTS The City of Covington Housing Choice Voucher (HCV) program is looking for new property owners to participate. GCNKAA 2022 TRADE SHOW BOOTHS NOW ON SALE! The Greater Cincinnati Northern Kentucky Apartment Association’s 2022 Trade Show is scheduled for TUESDAY, March 15 at Sharonville Convention Center. Due to your feedback, we are keeping the good ideas and adding more to the 2022 show. Here are the top reasons you won’t want to miss out! But act soon! The price rate of $800 per booth expires on Tuesday, February 15! After that, the price increases to $900 per booth!

1. The Invitation Only VIP Preview Hour. Building on 2021, we will personally invite key decision makers at each owner and property management company that is a member of the Greater Cincinnati Northern Kentucky Apartment Association. This personal invitation allows each of them to attend a private preview of the trade show from 4 pm to 5 pm. This offers you more personal time to meet and greet potential new customers as well as conduct business with current customers without the interruption from other attendees of the trade show.

2. New Floorplan. Minor changes have been made again to the floorplan to encourage better foot traffic as well as accommodate more booths. This year the booths remain 8’ x 10’. All booths include pipe and drape, one table, two chairs, booth sign and wi-fi. Premier booths are an additional fee. Other booths are reserved for VIP Sponsors.

Electric, carpet and additional tables and chairs can be ordered separately through Sharonville Convention Center or Academy Rentals.

3. Expanded Education Rooms. By creating more education seminars that accommodate more students, we can guarantee a larger attendance of property managers, leasing agents and maintenance technicians when the trade show opens. At the end of these seminars, seminar attendees will flow onto the trade show floor where you have the opportunity to talk with each and every one.

4. More Sponsorship Opportunities. By creating new sponsorship levels, we enable you to get more bang for your sponsorship buck. Whether through signage, verbal recognition or company listing on gcnkaa.org and in the Apartment Advantage, we will find a way for you to get involved whether you have one employee or one thousand. We have also added several more benefits to the VIP Sponsorship including premier booth space. Watch for more information to follow regarding sponsorship opportunities. Sponsorships range from $300 for a logo or food sponsorship to $1000 for VIP Sponsorship.

2. Look at the floorplan and decide which booth you would like, then simply either: • Visit www.gcnkaa.org and go to the event calendar to reserve your booth online. Available booths will be listed on the registration page. Log in, complete your selection and submit your request immediately.

• OR fill out the booth contract, complete with your first three (3) booth choices and fax back to 513 407-7868. Michele will follow up with you to let you know which booth is available.

BOOTH RESERVATIONS AND PAYMENTS • After you have selected your booth with the Apartment Association, you must either forward GCNKAA a signed contract or remit full payment to reserve that booth.

• We will hold all booths for 14 days without signed contract or payment.

• You may pay for your booth with check or credit card or call the office for an invoice.

• We cannot hold a booth longer than 14 days without contract or payment. After those 14 days, if we do not receive a contract or full payment, GCNKAA will contact you for payment or contract. If no response, GCNKAA may release the booth you selected.

• Full payment of all booths must be received by February 15, 2022.

When an injury or illness occurs, it may be a symptom that something is wrong in your organization’s safety process. A thorough, welldocumented incident/accident investigation will identify this problem and lessen the chance of its recurrence.

The principal investigator for all injuries and work-related incidents and accidents is the employee’s supervisor. The supervisor understands the process and knows the injured worker. The safety process coordinator is available to assist the supervisor with the investigation of the incident that led up to the injury or illness.

The key to good injury and illness investigations is having qualified investigators. The BWC Division of Safety & Hygiene has resources that can help your supervisors improve their investigative skills.

What injuries and illnesses should be investigated? At a minimum, all OSHA recordable injuries and illnesses should be investigated. Some employers also investigate near-miss incidents and frequently occurring first aid cases.

A basic injury and illness investigation includes: • Care for the injured • Inspect the scene

• Interview witnesses and the injured employee • Determine the causes of the injury or illness • Identify corrective actions to prevent recurrence • Complete a supervisor’s accident investigation report • Implement recommended corrective actions • Follow-up periodically to ensure the problem has not resurfaced The safety process coordinator receives a copy of all supervisors’ injury and illness investigation reports and reviews each one for quality and thoroughness. The safety process coordinator follows up to be sure the appropriate corrective action has been taken to prevent this injury or illness from happening again.

The safety process coordinator should be familiar with OSHA recordkeeping and injury and illness reporting requirements. These responsibilities can be delegated to a clerical person, but the safety process coordinator should train this person and conduct periodic audits to ensure required procedures are being followed.

The Division of Safety & Hygiene’s safety, industrial hygiene and ergonomics specialists can help you develop effective strategies to make your workplace safer and healthier. They can visit your workplace or consult with you by telephone or email. These services are available for any private or public employer. BWC also offers specialized options for certain employers. GREATER CINCINNATI NORTHERN KENTUCKY APARTMENT ASSOCIATION EXHIBIT RULES & REGULATIONS 1. AGREEMENT By signing the Exhibit Space Application and Contract, the Exhibitor agrees to abide by these Rules and Regulations and all amendments thereto and the decisions of Show Management. For purposes of this Agreement, the terms “GCNKAA” shall mean the Greater Cincinnati Northern Kentucky Apartment Association, “exhibit hall” shall mean the Sharonville Convention Center, and “Exhibitor” shall mean any company, firm or person who has applied for or been allocated any space at the Exhibit Hall.

2. UNDESIRABLE ACTIVITIES The Exhibitor agrees that his exhibit shall be admitted into the Show and shall remain solely on strict compliance with all the rules herein described. GCNKAA reserves the right to reject, eject or prohibit any exhibit in whole or in part, or any Exhibitor with or without giving cause. GCNKAA’s liability for rejection without giving cause shall be limited to a refund to the Exhibitor of the amount of rental unearned at the time of ejection. However, if an exhibit or Exhibitor is ejected for violation of these rules or any other stated reason (with cause), no return of rental shall be made. Exhibitor shall not exhibit any merchandise other than that specified in the application.

3. BOOTH ASSIGNMENTS Booth selection by Exhibitor is available on a first-come, first serve basis and there is no first right of refusal. GCNKAA’s confirmation of requested booth space is final and shall constitute an acceptance of the Exhibitor’s offer to occupy space. Confirmation will be made only after receipt of the Exhibitor Agreement and the appropriate booth fees. After confirmation, space location may not be changed, transferred, or canceled except upon written request and with the subsequent written approval of GCNKAA. Not withstanding the above, GCNKAA reserves the right to change location assignments at any time, as it may, in its sole discretion, deem necessary.

4. SPACE RENTAL Exhibitor fee includes a 8’x 10’ exhibit space, materials to define exhibit space (pipe & drape), a two-line sign showing Exhibitor’s company name and booth number, one 6’ table with skirting, two chairs and wifi access. No signs or advertising devices shall be displayed outside the exhibit space other than those furnished by GCNKAA. Booth displays not to exceed nine (9) feet in height across the back. No backdrops or booths higher than five (5) feet in height are permitted along the sides of the booth. Booth displays cannot block neighboring booths. Electric, carpet, additional table and chairs, and landlines are available at Exhibitor cost through separate contracted vendor.

5. USE OF DISPLAY SPACE A. Restrictions on Space Rental: Exhibitor may not sub-let, sub-divide or assign his space nor any part thereof, nor purchase multiple booths for the purpose of subletting or assigning to third parties, nor permit in his booth non-exhibiting companies’ representatives without the express written permission of GCNKAA. Only companies or individuals that have contracted directly with GCNKAA shall be allowed on the show floor as an Exhibitor. Failure to comply with this provision shall be sufficient cause for GCNKAA to require the immediate removal of the exhibit and/or the offending Exhibitor at the expense of the Exhibitor. Failure to comply may also result in forfeiture of all further rights to exhibit at future shows sponsored by GCNKAA together with all fees paid.

GCNKAA may lease any space so forfeited to another Exhibitor and retain all revenues collected.

B. Exhibitor shall design and maintain the general theme and tenor of show.

6. INSTALLATION AND REMOVAL GCNKAA reserves the right to fix the time for the installation of the booth prior to the show opening and for its removal after the conclusion of the show. Installation of all exhibits must be fully completed at least 30 minutes prior to the opening of the Show. Failure to adhere to this requirement could restrict Exhibitor’s entry into any future shows produced by GCNKAA. Any space not claimed by 3:30 p.m. on Monday, March 14, 2022, may be resold or reassigned without refund. All exhibits and booth materials must be removed by 9 p.m. on Tuesday, March 15, 2022.

7. EARLY REMOVAL OF EXHIBITS NOT ALLOWED No exhibit shall be packed, removed or dismantled prior to the closing of the Show without written permission from GCNKAA. If the Exhibitor acts in breach of this provision, it shall pay as compensation for the distraction to the Exhibition’s appearance, an amount equal to one-half of the total space charge for the Exhibitor’s allocated area, in addition to all sums otherwise due under this Agreement.

8. EXHIBITOR APPOINTED CONTRACTORS (EAC) Any exhibitor using an EAC agrees to notify GCNKAA of such appointment and agrees to indemnify and hold harmless GCNKAA, the exhibit facility, and their respective officers, directors, staffs, employees, and agents and all official contractors from any and all liability or losses for any act, complaint, damage, or loss to any other Exhibitor, the exhibit hall, the property of any contractor or any consequential damages arising out of any such act of loss from the time the independent EAC first arrives at the hall until the final move-out is complete. The Exhibitor further agrees that GCNKAA may prohibit the EAC from working in the hall if the EAC does not fully comply with all rules and regulations set forth for them at this event. Any Exhibitor using an EAC agrees to advise its EAC of all rules and regulations.

9. PROHIBITED ACTIVITIES A. All demonstrations, sales activities, and distribution of circulars and promotional material must be confined to limits of the Exhibitor’s booth.

B. Exchange of money or consummating the sales of goods or services on the exhibit floor is prohibited. Orders may be taken for future delivery only.

C. Exhibits which include the operation of musical instruments, radios, sound motion picture equipment, public address systems, or any noise-making machines must be operated so that the noise resulting from there will not annoy or disturb adjacent Exhibitors or their patrons. Exhibitor represents and warrants

that no musical work protected by copyright will be staged, produced or, otherwise, performed via either “live” or “mechanical” means, or by or on behalf of Exhibitor, unless Exhibitor has previously obtained written permission from the copyright owner’s designee (e.g., ASCAP, BMI, or SESAC) for such use.

D. Exhibitors are prohibited from displaying any devises or objects in the booth that exceed the height of the back wall (9 ft.) without prior written approval from GCNKAA and the exhibit hall. No backdrops or booths higher than five (5) feet in height are permitted along the sides of the booth. Booth displays cannot block neighboring booths.

E. Exhibitors are not allowed to conduct any activities that could be considered an illegal lottery under Ohio law.

F. Electrical equipment that is not UL approved may not be used in the exhibit hall. No wiring, installation or spotlights or other electrical work shall be done except by the electrical contractor authorized by GCNKAA or exhibit hall.

G. Approval for distribution of food items must be obtained by the Sharonville Convention Center prior to the event.

H. Sharonville Convention Center prohibits the use of glitter, confetti guns, fireworks and helium balloons inside their facility.

I. Live animals (except service animals) and firearms are prohibited inside SCC. 10. CANCELLATION BY EXHIBITOR The Exhibitor specifically recognizes and acknowledges that GCNKAA will sustain losses if the Exhibitor cancels its exhibit space after it has been assigned and confirmed by the GCNKAA. Due to the difficulty of determining said losses, the Exhibitor agrees to pay the following amounts as liquidated damages, and not as a penalty, all cancellations must be received in writing. Booth cancellations received after November 1, 2021, and prior to February 15, 2022, will be issued a refund minus a $100 administrative fee. Booth cancellations after February 15, 2022, will forfeit all booth fees and will be responsible for full booth payment. Upon cancellation by the Exhibitor, GCNKAA has the right to resell the space and retain all revenue collected.

11. CANCELLATION OR POSTPONEMENT OF SHOW In the event that any unforeseen occurrence shall render the fulfillment of this Agreement impossible by GCNKAA, the parties shall mutually amend or terminate the agreement at GCNKAA’s option. The Exhibitor hereby waives any claim against GCNKAA for damages or compensation. GCNKAA may return a portion of the amount paid for space after deduction of any amounts necessary to cover expenses incurred in connection with the show. Such expenses include, but are not limited to all expenses incurred by GCNKAA as a result of contracts with third parties for services or products incidental to the show, and all overhead expenses attributable to the production of the show. No monies will be returned should the dates or location of the show be changed by GCNKAA, but Exhibitor will be assigned space that the Exhibitor agrees to use under these same rules and regulations. GCNKAA shall not be liable in the event the show is interrupted, canceled, moved or dates changed except as provided herein.

12. ERRORS AND OMISSIONS GCNKAA assumes no responsibility or liability for any of the services performed or materials delivered by official show contractors or other suppliers to the show, their personnel, or their agents.

13. LIABILITY AND INSURANCE A. All property of the Exhibitor remains under its custody and control in transit to and from exhibit facility, during installation and removal, and while it is within the confines of the exhibit facility. Neither GCNKAA, the service contractors, the management of the Sharonville Convention Center nor any of the officers, staff members, or directors of any of the same are responsible for the safety of the property of Exhibitors from theft, damage by fire, accident, vandalism or other causes. The Exhibitor expressly waives and releases any claim or demand he may have against any of them by reason of any damage to or loss of any property of the Exhibitor.

B. Exhibitor understands that neither GCNKAA nor any sponsor carries business interruption and property damage insurance coverage for loss or damage of Exhibitor’s property. The Exhibitor agrees to obtain adequate insurance during the dates of the trade show, including move-in and move-out days, and shall be prepared to furnish a certificate of insurance to GCNKAA. 15. ENFORCEMENT OF REGULATIONS GCNKAA has full power to interpret and enforce all regulations of the show and the power to make amendments and/or further regulations, orally or in writing, that are considered necessary for the proper conduct of the show. Such decisions shall be binding on Exhibitors. All Exhibitors agree to be bound by terms of GCNKAA’s agreement with the facility in which the show is held.

16. CONFLICTING MEETING AND SOCIAL EVENTS In the interest of the entire Show, the Exhibitor agrees not to extend invitations, call meetings, or otherwise encourage absence of members, Exhibitors, or invited guests from the educational sessions or exhibit hall during the official hours of the sessions or show. Hospitality suites may not be reserved without prior approval of Show Management.

17. WAIVER Waiver by either party of any term or condition or breach shall not constitute a waiver of any other term or condition or breach of this agreement. The rights of GCNKAA shall not be deemed waived as specifically stated in writing and signed by an authorized representative of GCNKAA. 18. SEVERABILITY In the event any provision of this Agreement is held invalid or unenforceable then neither the remaining provisions of this Agreement nor other applications of the provisions involved shall be affected thereby.

Electric Connections Rates quoted for electrical connections cover only the bringing of service to the booth in the most convenient manner and do not include any special wiring. The Apartment Association Outreach, Inc. LETTER FROM THE PRESIDENT

It has truly been an honor and a privilege to serve as Outreach President for the past two years, and what a two years it has been!

Together, we have made a significant, positive impact on our community assisting those who are the most in need. While 2020 and 2021 will be remembered for the pandemic, I will remember it for the record breaking amount of support that we have provided to our community due to your generosity. I would like to thank the Apartment Association Outreach Jeff March (AAO) Board, our committee chairs who led our efforts, our army of volunteers, our partner agencies and our incredible membership. We have assisted thousands of our fellow citizens during Covid-19!

On December 9, we will celebrate the 24th Annual Holiday Cheers Event at Kenwood Country Club, and you can help us raise more money to support Outreach by bidding on and winning great items that our amazing committee has procured. The evening will culminate with the live auction, Rapid Raffle, Mystery Bags and raffle ticket items … you will not want to miss out on this opportunity to purchase great items and to further our mission.

During the past two years, here is what we have accomplished together. We have provided emergency assistance of more than $7,500; educational scholarships of close to $10,000; and backpacks and school supplies in an amount of about $30,000 to help deserving children. In addition, we have welcomed a new partner in Gateway Community and Technical College by assisting them with the opening of a new food pantry on their Edgewood campus; AAO has continued volunteer support for Childhood Food Solutions to help feed children and families; and we have provided support to deserving low income seniors. And FINALLY, Outreach has provided nearly $300,000 in RENTAL ASSISTANCE and more than $150,000 to our FOOD PANTRY partners! Wow, what an incredible impact we have made on those in crisis in Cincinnati and Northern Kentucky … THANK YOU!!

I would also like to thank our Champions for Outreach sponsors who helped us raise $300,000 in 2021 to support our three fundraising events and our mission. Brian will be leaving the Outreach Board, but he has left an indelible mark on our organization through his commitment of time, talent and treasure. I am grateful for the leadership Brian has provided, particularly having served as AAO President and having chaired the Night Out for Outreach event twice with his wife Michele.

APARTMENT INDUSTRY EMBRACES AUTOMATED LEASING

Virtual leasing assistants bring greater convenience and efficiency to today’s 24/7 prospective resident.

The era of automated leasing is upon us. And it may not be an exaggeration to say that the pandemic created 10 years’ worth of apartment industry technology in about 100 days.

Smart-home technology is alive and well. Move-in and moveout features are in place. Offerings similar to Amazon Go – a grocery store with no clerk – are making their way into communities to better serve residents on the go. Amenity reservations became necessary during lockdowns, but residents are still finding them useful and convenient on an app.

But the technology with perhaps the greatest penetration – and growing – are virtual leasing assistants. Typically, they are found in the form of bots that can deliver answers to key questions from resident prospects 24/7.

Just like Artificial Intelligence (AI), which “grows smarter” the more it’s used, these virtual leasing assistants are delivering time and cost savings for busy onsite teams, relieving them of mundane but necessary tasks such as providing rent rates and setting up touring appointments by phone, text and chat.

Technology is here to lead the new way of onsite leasing operations and more communities are buying in for all of the right reasons, which was the focus of the “Autonomous Leasing” panel at the 2021 Apartment Innovation and Marketing Conference (AIM).

“Today, the volume of incoming calls to apartment communities is significant,” LeaseHawk’s EVP and Chief Revenue Officer, Brock MacLean says. “More than 50 percent of prospect inquiries are happening over the phone. Apartment companies are spending so much time to produce leads, how can they not be exhausting their teams with things like chasing leads that aren’t likely to convert?”

“No longer are there so-called ‘office hours.’ Most missed calls happen during the day. You’re busy, you’re hiring challenged. Virtual experiences are today’s consumers’ expectations.

LeaseHawk data show that about 87% of callers won’t leave a voicemail; and most will never call back if their call goes unanswered.

Bots are capable of answering hundreds of questions, but really, at this point, they are being asked mostly the same ones by any prospect who engages with them.

The Top 5 Leasing Questions Asked by Prospects: • 44.5% Pricing and Availability • 14% Rental Qualifications • 9% Application • 5.9% Pet Policy • 4.2% Property Amenities MEETING RESIDENTS WHERE THEY WANT, HOW THEY WANT Kitty Callaghan, VP of Marketing at Wasatch Property Management, said virtual leasing assistants were practically a gift from the pandemic.

“We all use it now, we can thank the pandemic to bring it realtime into our industry,” she says. “We as an industry have proven to be really flexible. We can adopt quickly. We see now that with any problem, there’s always more than one right answer.”

She says that autonomous leasing is meeting prospective residents where they want, and how they want.

“For residents, this lets them say, ‘I’m doing it the way I want,’” she says.

The property doesn’t control all of the information anymore, Callaghan says, and that’s a good thing.

“It used to be that the resident had to come into the leasing office to get anything done: Ask a question, submit a work order, pay their rent,” she says. “That’s very inconvenient for residents. With automated leasing, we can provide the optimal experience to each resident, as they would want it.”

Callaghan says that on average, per community, per month, the bot creates 375 conversations with 220 unique prospects. She says that having bots there to answer the easy questions enables the onsite team to adjust its priorities and frees up leasing staff to handle things that can’t be done through automation.

“This has reduced our call volume by 20 percent,” she says.

“We are now able to redirect an average of 56.3 hours per month to other duties. That’s a lot. Meanwhile, 90 percent of self-scheduled appointments result in the prospects coming to the property for the tours. Our aim is always to reduce the length of the leasing cycle, and we’re seeing that bots can save a day or two off the leasing cycle.”

DELIVERING CONSISTENT, ACCURATE INFORMATION IS CRITICAL Programmed bots provide consistent and accurate information about the community. Prospects use multiple platforms during their search, and this way, “we can make sure the information we are providing is consistent across all of those platforms,” Callaghan says. “Paid advertising is not enough anymore. We need to be creating conversations with our prospects and those can get started through the bot.”

Development at Security Properties Residential (SPR), said that pre-pandemic, her portfolio only offered in-person tours, with just a few exceptions.

“When the pandemic hit, we had to get moving; and give prospects the chance to see or tour our rent-ready units to give them the confidence in wanting to rent with us,” Zacher says. “We wanted a selfservice model. We had to handle waivers for prospects to be able to see us. We had to use locks that could be moved around, because we didn’t want to go full IoT.” SPR sought technology that could scan driver’s licenses and upload those files with the waiver.

“These important steps were a big burden on our onsite team,” she says. “I recommend finding a tech partner to help with this to make it easier. If you can be really clear about what the problem is that you need to solve, you can have much more beneficial conversations with the technology service providers you are meeting with.”

SHOOTING LIVE TOURS IS A MARKETING BOON SPR also issued phones to all of its staff members and trained them on how to produce live video tours. The company had started with none, but quickly began to develop them for floorplans at all of its communities. The result was a video library that had 148,000 “views” on expenses of just about $3,000 overall.

“Not bad,” Zacher says. “Before this, it was zero. We didn’t

have any. Now our available homes are shown to a global audience. India is home to our second-highest viewership. We’ve got a 5.8 percent click-thru rate on them.”

SPR hosted the videos, with closed captioning, on YouTube so they could be presented in a better organized fashion within different folders. YouTube also helped SPR improve its search results.

“The key early on was to make sure the videos were shot in landscape (not vertical) to fit the display space. Videos were kept to 1 minute or less. The onsite team narrated the tours. The videos began from the middle of the apartment home (not the front door) because we found that reduced some of the clumsiness of the action by the camera holder.”

Zacher found it best to let the leasing agents inject their own personality to the videos. She was sure to bookend community branding at the start and end of the video by including a logo and a call to action.

Zacher also found that using a $40 Gimbal stabilizing device, purchased from Amazon, was critical to ensure a smoother video.

The device helps to avoid any shaky movements as the tour was conducted.

She said SPR typically has a 9% lead-to-lease conversion rate but with these tours, and self-guided tours, the rate was about 12.4 percent.
