In corporate event planning, business partnerships are still king

Whether you’re a small business planning your first corporate event or a seasoned organizer consulting a stacked digital rolodex, maintaining close, loyal relationships with local vendors is key.

Nikki Lyons Lahey, vice president of community outreach for Make-A-Wish New Hampshire, has found that strengthening business relationships leads to successful events.

For example, if a vendor offers them great customer service, Make-A-Wish New Hampshire will grow that business connection. Lyons Lahey recalls the success of its Breakfast for Wishes event at the DoubleTree by Hilton in Manchester.

“The team there has continued to be supportive, creative and flexible with our needs. We’ve had the same experience with the town of Meredith and local businesses in the Lakes Region, all really getting behind our event, welcoming our participants as customers, and having it be a mutually beneficial experience,” Lyons Lahey said.

Lauren Getts, Greater Manchester Chamber vice president of economic development and strategic communications, agrees that fostering authentic vendor partnerships creates winning business gatherings and long-term savings.

It’s one reason why New Hampshire planners have the advantage over organizers navigating larger cities.

“One of the biggest advantages of planning events in New Hampshire is the ability to build real relationships. Strong partnerships with venues and vendors often lead to more flexibility, whether that’s waived fees, bundled services or creative solutions to meet budget constraints,” Getts said.

Bumping into the same contacts can create new costsaving ideas.

“Especially in the Manchester area, even as the largest city north of Boston, venues still operate with a very personal, collaborative approach. Over time, you get to know staff well, and they’re often willing to work with you to adjust layouts, packages or timing to help stay within budget,” Getts said.

Lyons Lahey said Make-A-Wish supports businesses who have also been wish recipients.

“Recently we had two well-known individuals in the restaurant industry host a benefit dinner for us,” she said. “They chose Make-A-Wish because one of them was a wish dad and the other, his sister, had a wish granted. We had been supporting their businesses as customers for years, and that brought it to the next level.”

In addition, staying dedicated to the same sponsor partnerships annually creates cohesion for the organizer and familiarity for the guest.

“Our sponsor partners are essential in helping us deliver high-quality, cohesive events. Their support allows us to maintain a strong attendee experience without need-

ing to cut corners in ways that would be noticeable,” Getts said.

“We are grateful to have the continued support of all our sponsors. We truly appreciate the increased generosity from Marmon Electrical, Marmon Defense and Marmon Utility,” Lyons Lahey said.

Don’t overlook recommendations from trusted local sources, either.

“We always look for local businesses to work with. We love using someone who comes to us recommended by a friend of the organization or a colleague from another organization doing similar work. Our mission has touched a lot of families across our state, so whenever we can support a familyowned business, we do as well,” Lyons Lahey said.

Dig into details to cut costs

Getts said the Chamber seeks out venues with meeting packages that include A/V equipment services and other collaborations.

“Look for venues that include essentials like furniture and on-site coordination,” said Jen Abou Raad, director of sales and programming at Arts Alley, an event venue in Concord.

Venues that offer supplies like this can create big savings.

“It also helps when venues offer in-house catering and can guide the planning process from start to finish. Having fewer moving parts makes a big difference,” said Abou Raad, who said Arts Alley, the Grappone Conference Center and the DoubleTree by Hilton, all in Concord, offer similar deals.

Even reusing event supplies is a valuable cost-cutting measure.

“Over time, we’ve built up our own inventory of event materials — tablecloths, candle holders, tea lights, signage, easels and podiums — which helps reduce recurring rental costs and gives us more control over event setup,” Getts said.

Getts calls another smart, cost-effective way to maximize a venue’s meeting space “right-sizing events.”

“We’ve become more intentional about event formats. Smaller, more focused gatherings can be just as impactful as large-scale events, often at a fraction of the cost,” Getts said.

Abou Raad advises startup small businesses to save costs by starting bite-sized and building up.

“Keep it simple, and don’t try to do everything at once. Focus on a few things done really well and lean on experienced vendors when you can. Your sales manager should help you along the way,” Abou Raad said.

Pre-planning and having a simplified idea will also reduce stress the day of the event.

“The best events usually start with a clear vision. When you know the vibe you’re going for, everything else (layout, flow, menu) tends to fall into place,” Abou Raad said.

Block Party Social Event Sales Manager Candace Maynard-Barker said the full-service Hooksett company notes a trend toward team-building activities and employee-recognition events. Their services pair food and drink with unconventional activities like laser tag, axe-throwing and Krazy Darts.

“What today’s clients are really looking for is a space that encourages both meaningful conversation and shared experiences. They want an environment where guests can connect naturally, while also having access to activities that break the ice, lighten the mood and foster genuine team-bonding,” Maynard-Barker said.

As tariffs and rising food prices are ongoing, planners continue to make adjustments to food and beverage costs.

“We’ve shifted toward simpler menus, smaller portions or heavy appetizers instead of full plated meals. Attendees have been very understanding, and it often reduces waste as well,” Getts said.

Sometimes cost savings reveal themselves simply by booking a different date.

“Choosing off-peak days or seasons can significantly reduce costs. Many venues offer more favorable rates midweek. Book as early as possible to lock in specific rates,” Getts said.

If all else fails, go with who you know.

“I truly believe everything is about relationships — treating people with respect and kindness. So many times in our work, if someone cannot help us, they know someone who can. And that’s the beauty of it,” Lyons Lahey said.

“Flexibility, creativity and strong partnerships go a long way. Thoughtful, well-executed events don’t need to be overbuilt to be valuable,” Getts agrees.

Lahey encourages small businesses to listen to all advice, no matter where it comes from.

“Be creative. Be flexible. Be open to new ideas — especially listening to our younger generation’s ideas. We’ve had some incredible ideas come from individuals who are not on our staff team but are giving of their time and talents (from their heart),” Lyons Lahey said.

Business retreats should not be business as usual

Corporate and board retreats, employee gather-

ings and other off-site events may not have the “big” feel of an annual dinner or gala, but they are important, and getting things right pays dividends.

Such off-site meetings vary from dozens to hundreds of attendees with formats varied by the scope of the meeting, such as team building or training. A common goal is to provide productive and enjoyable experiences that don’t feel like simply working outside the office. Accomplishing that involves advance planning typically

said. “You can ski right to a meeting room and take your gear off.”

McIver said organizations looking to book an event should consider the type of package they need. Do they need three meals a day, and what is the expected number of meetings rooms and guest rooms required?

“No matter where you are going to stay, that’s the three things people will ask,” he said.

Other key details include whether the group will require audio/visual equipment, if they want to meet classroom style, theater style with no tables and do they have presenters. Also, if they want a red-carpet style evening to cap the event.

beginning with selecting a location.

Business gatherings differ from galas as they tend to span multiple days, so planning includes making accommodations for meetings as well as lodging. There are venues in New Hampshire from the coast to the lakes to the mountains. Location is often part of the experience.

The Mountain Club on Loon in Lincoln sits in the White Mountains and general manager Jeffrey McIver said winter is a popular time for business retreats.

“You’re holding meetings in between ski runs,” he

“We try to find out what the group is looking for and accommodate them,” McIver said.

The Lake Estate on Winnisquam in Tilton is a new luxury resort and one of New Hampshire’s newest options having opened in the summer of 2025. Joe Ouellette, director of sales and marketing, said the southern Lakes Region is an attractive option for meeting planners.

“We are 90 minutes from every New England experience,” Ouellette said. “History tells us 90 minutes is that sweet spot for traveling to business events. Even beyond 90 minutes, there’s enough here that it’s worth it for them to make the trip.”

Ouellette said business retreats differ from large annual dinners and galas, because they often involve smaller groups seeking a more intimate experience.

“They want smaller, more bespoke environments,” he said. “Larger groups still want to break into smaller groups and then connect together throughout the event.”

Meals, especially lunches, are a big part of successful business meetings, as time is of the essence.

Sherri Ferns, director of sales and marketing for Duprey Hospitality, which includes the Grappone Conference Center in Concord, said the center’s in-house catering can move 200 people through lunch in 20 minutes and 500 people in 30 minutes for buffet-style or plated lunches. It also offers box lunches for corporate events focused on training where attendees don’t necessarily stay the entire event. The center also offers dietary options including vegan and vegetarian, something that should not be overlooked by event planners.

Easterseals NH Military & Veterans Campus offers meeting and event space for outside groups. (Courtesy)

The Grappone Conference Center’s central location helps make it popular for conferences and its flex-space meeting room layout does see days with multiple groups. Ferns said the center has clients who ask if there will be a competing entity at the center, or they will even rent the whole space.

“If it has anything to do with politics, they will ask,” she said. “We are internally mindful and there are times when you have a competing event. A lot of times, venues won’t say who but will confirm that there are no competing

interests. Or we say you should consider picking another day.”

The Easterseals NH Military & Veterans Campus in Franklin provides a community for veterans, military members, first responders and their families. It also provides a unique meeting and event venue for Easterseals as well as outside groups. The 15-acre riverside campus features recreational opportunities for team building and corporate events including 50-plus miles of rail trails.

“The campus is so beautiful here, and there are so many options,” said Ana McKenna, interim director of Easterseals Military & Veterans Campus. She added that holding a business event at the campus is a great chance for companies and groups to give back and help sustain the campus.

Michele Talwani, chief communications and marketing officer, Easterseals NH & VT, said while event planning and hosting is not a focus for the campus, it helps support Easterseals’ overall mission. Easterseals hosts golf tournaments and the Red, White & Brew Craft Beer and Wine Festival to support Veterans Count, which businesses can join as an off-site event.

Quality events are mission critical for nonprofits

Community-focused events should keep the guest experience top of mind

Planning events may not be the mission of nonprofits, but they are mission critical. Annual dinners, galas and other events raise funds and awareness, promote other programming and assist in member and sponsor recruitment. The guest experience should always be top of mind.

Friends of Aine supports children, teens, young adults and families grieving the death of a loved one. Friends of Aine’s work includes support programs at its Manchester center and outreach and educational efforts across the state. Its Annual Gala in March at the Manchester Country Club balanced a fun night out and sharing the importance of its work.

“Our mission is simple, but it’s tough to fit what we do into the elevator pitch, so to speak,” said Jenna Bee Wolf, director of philanthropy. “The gala allows us to share more of the essence of our story that attendees are able to share with the larger community.”

Finding a venue comes early in the planning process. Premium days are midweek in the spring and fall, which makes advance booking a priority.

“In New England, if you want to be anywhere in

October, you should reach out a year in advance to get the days you want,” said Sherri Ferns, director of sales and marketing for Duprey Hospitality, which includes the Grappone Conference Center in Concord.

Checklists grow after securing a venue to include creating a comfortable setting that doesn’t feel overly large or congested. Audio/visual should not be too

loud or muddled. Quality food with vegetarian and gluten-free options is important but shouldn’t break the budget. Be sure to have enough bar staff to minimize lines during cocktail hour networking, and script an engaging program within the posted schedule.

All this planning can pull staff away from day-today duties, especially for nonprofits without dedicated event staff. That’s why Friends of Aine partners with Purple Finch Events of Portsmouth.

Purple Finch Events Founder and CEO Kate Malloy said planning starts with the question: How do we tell their story in a limited amount of time? Planners must answer that question in advance and with the event’s logistics in mind. The budget is a central piece.

“We really try to get their budget as small as possible,” said Malloy, who added the biggest challenge

The Business & Industry Association’s Annual Dinner and Awards Celebration in October at the DoubleTree Hotel in Manchester draws up to 800 people, making it New Hampshire’s largest networking event.

for nonprofits is creating sponsorship levels. “The goal is to have event costs 100% covered by sponsorships going into the event, so money made at the event goes directly to programming. Know the budget first before you establish sponsorships.”

The Business & Industry Association’s Annual Dinner and Awards Celebration in October at the DoubleTree Hotel in Manchester draws up to 800 business, political and opinion leaders, making it New Hampshire’s largest networking event. The statewide chamber of commerce and leading nonpartisan business advocate has hosted its flagship event for 112 years.

“It makes or breaks our budget and literally underwrites our mission for powering progress for business in New Hampshire,” said vice president of events and membership Lora McMahon, who has planned the last 11 dinners.

Logistics includes an itinerary that allows time for cocktail hour networking, dinner and the formal program. Adhering to start and stop times respects attendees, McMahon said. BIA staff spends about a month crafting the script while overall planning begins about six months before the dinner.

“Many events go over the scheduled time,” McMahon said. “We give sponsors and honorees a set time to speak, and we stay on script.”

Malloy of Purple Finch Events said the run of show is critical if an organization has active fundraising such as a live auction and direct asks of attendees. Galas typically have a 3.5-hour max, and Malloy said the most valuable time is the last 15 minutes.

“The end is mission critical,” she said. “If you’re interrupting this time by clearing tables and making noise,

you can cost tens of thousands of dollars. The minute that person is on stage, you can’t make a sound.”

Malloy said cocktail hours are also important, and parking is key when choosing a venue.

“If you lose 25 minutes looking for parking, I don’t

have you there for cocktail hour, “Mission moment 1,” when we’re sharing about the organization,” she said.

The NH Tech Alliance produces, hosts and promotes over 100 events annually, including the Innovation Summit and Product of the Year celebration. Its six signature events attract 150 to 300 people. Alex Horton, director of engagement and events, said events are extremely important, as the Tech Alliance exists to connect people and strengthen New Hampshire’s tech ecosystem.

The Tech Alliance, like other hosts, surveys event attendees for suggestions for potential enhancement, and Horton seeks participant feedback during events.

“We are focused on offering what people are looking for,” she said. “We’re always evaluating what works best, what our membership wants to see from us.”

The seven regions of NH

New Hampshire is made up of seven very different regions, each as exciting as the next. The Seacoast, Dartmouth-Lake Sunapee, Lakes Region, Merrimack Valley, Monadnock Region, White Mountains and Great North Woods are filled with natural beauty, cultural events and classic New England living. It’s one family vacation idea after another, and the only way to truly appreciate it all is to see it for yourself. Use the list below to learn more about each of New Hampshire’s distinct, yet equally unforgettable, regions.

 GREAT NORTH WOODS

Halfway between the Equator and the North Pole, the Great North Woods is at once rugged and inviting. This is where travelers over the centuries have come in search of beauty, adventure and inspiration, while enjoying legendary North Woods hospitality.

Here is where you can go take a hike to watch the sunrise before breakfast, go fly fishing after lunch and get dressed up for an elegant dinner at a grand hotel.

Whatever your passion, from fine dining to snowmobiling to camping under the stars, the Great North Woods is a destination in which to indulge it.

 WHITE MOUNTAINS

If one New Hampshire region is synonymous with recreation, it’s the White Mountains. Fortyeight 4,000-foot peaks are found here, along with the highest mountain in the Northeast, 6,288-foot Mt. Washington, but it is the 800,000-acre White Mountain National Forest that truly shapes the region.

 LAKES REGION

The Lakes Region: The name alone stirs memories of blissful, sunny days spent on the water, the joy of vacations, boat rides and camp, when everything moved at a slow summer simmer, and you connected with people and places that still resonate with you today.

Summer may be the Lakes Region’s best-known season, but wrap the hillsides in spring green, the blazing colors of fall or a thick blanket of snow, and it is every bit as magical. While there are 273 lakes and ponds in the Lakes Region, one lake dominates them all: Lake Winnipesaukee.

 DARTMOUTH-LAKE SUNAPEE

If only one region of New Hampshire could be known as a study in contrasts, it would be the Dartmouth-Lake Sunapee Region. Named for Dartmouth — Hanover’s Ivy League college — and Sunapee — the crystal clear lake, State Park and mountain, all of the same name — the region includes quiet country roads and rolling farmland, pristine lakes, a bustling hub of higher education and medicine, and some of today’s favorite family activities and recreation.

 MONADNOCK REGION

For the New England of picture books, you need go no further than the Monadnock Region. Here you’ll find small villages where white clapboard churches and town halls edge manicured town greens.

Rolling fields with neatly planted rows quilt the hillsides, and country roads lined by rock walls invite exploration at a leisurely pace.

 MERRIMACK VALLEY

In New Hampshire, where the capital’s name, Concord, is a synonym for harmony, it’s not surprising to find music and the performing visual arts central to life in the city and the entire Merrimack Valley Region. The state’s three largest cities — Concord, Manchester and Nashua — have an especially rich cultural life, with a variety of offerings year-round.

 SEACOAST

New Hampshire’s seacoast captures the essence of New England’s oceanfront. In just 18 miles of coastline, there are long, sandy beaches, working ports, offshore islands, surf-stung rocks, and popular resort towns and villages that date back nearly 400 years.

Many visitors begin their tours of New Hampshire along the coast, drawn by the sound and scent of the sea, and intrigued by all the region offers.
