Policy Handbook
REGISTRATION AND FEES
• A minimum payment of $500 per camper per enrolled session is due at the time of registration. The camper’s registration is not complete without this deposit.
• Families will then be placed on a payment plan with payments charged on the first of each month from November to March. Alternate payment arrangements may be discussed with the camp office.
• All camp fees must be paid by March 1, 2024. Camp Wise reserves the right to cancel registrations with unpaid balances.
FINANCIAL AID
• Application requests for financial aid must be submitted at the time of registration.
• A minimum payment of $100 per camper per enrolled session is due at the time of registration.
CANCELLATION DEADLINES
• All camp fees are refundable for any reason prior to Feb 1, 2024. Cancellations between Feb 1, 2024 and Mar 1, 2024 will forfeit a $500 processing charge. After Mar 1, 2024, all fees are non-refundable and nontransferable.
• For campers enrolled in a 7-week session: Prior to Feb 1, 2024, all camp fees for a dropped session are refundable. From Feb 1, 2024 – Mar 1, 2024, fees for a dropped session are refundable except for a $500 processing fee. If both sessions are dropped, a $1,000 processing fee will be withheld. After Mar 1, 2024, all fees for one or both dropped session are non-refundable and non-transferable.
LATE ARRIVAL / EARLY DEPARTURE
• Any requests for arriving or departing on dates other than the designated start and end date of sessions must be submitted to the camp office for approval prior to the start of the session.
• There are no deductions for a camper arriving late or leaving early, including a late arrival due to illness, including COVID-19.
• Camp Wise is not responsible for loss or damage to camper’s property.
• Camp Wise is authorized to take campers out of camp on supervised trips and activities.
DISCOUNTS
• To be eligible for member rates, you must have an annual JCC membership for a period of one year. It must be valid at the time of registration and extend through the camper’s last 2024 camp day. JCC memberships at out of town JCCs will be honored. Families may also qualify for the member rate if they live more than 30 miles from a Jewish Community Center.
• Any registration with payment of at least $500 made on or before Sep 29, 2023, will receive an Early Bird Discount of $150. The SIT and ILS programs do not qualify for this discount.
• Families registering more than one child receive a Sibling Discount of $350 for each additional child after the first. Discounts cannot be combined. (For families with multiple children, only the first child is eligible for the Early Bird Discount while siblings are eligible for the Sibling Discount only)
• Participants in our ILS and SIT programs are not eligible for discounts, including but not limited to Sibling and Early Bird.
REASONS FOR DISMISSAL WITHOUT REFUND
• Camp Wise reserves the right to dismiss any camper without refund who:
– willfully disregards camp rules, the camper code of conduct or endangers the safety of themselves or others.
– physically, psychologically or verbally abuses another member of the camp community.
– destroys camp property or the property of another member of the camp community.
– requires greater supervision than can reasonably be provided by camp staff.
– possesses or consumes alcohol, tobacco products or any illegal drugs while at camp.
• Camp Wise may use any photo, slide, video recording, audio recording or likeness of campers for promotional purposes.
• Additional information, policies and procedures will be in the Parent-Camper Handbook.
PHYSICAL AND MENTAL HEALTH
• Prior to a camper’s arrival, Camp Wise requires full disclosure of all medical and psychological treatments (past and present), a complete medical form signed by a physician, as well as immunization records. Camp Wise reserves the right to postpone or cancel camp attendance for any camper based on their physical or mental health condition. If Camp Wise is unable to serve a camper due to physical or psychosocial challenges, and it is discovered that information was not fully disclosed on medical or camper forms, no refund will be issued for early dismissal.
• Camp Wise requires all standard vaccines as required for school attendance by the Ohio Department of Health. Additionally, Camp Wise
encourages campers and staff to be fully vaccinated and “up-todate” with the current vaccine for COVID-19 as defined by the CDC. Cancellation due to missing vaccinations results in a forfeit of camp fees.
• Camp Wise and medical staff are authorized to act on the behalf of a parent or guardian according to their best judgment.
• If it is determined by the camp staff that returning home prior to the end of the session, for either physical or mental health treatment, is in the camper’s best interest, camp fees may be refunded on a pro-rated basis, with proof of treatment.
• If a family chooses to withdraw their camper prior to the end of the session of their own accord, then no refund will be issued.
