The question has been popped and answered. Now, the day that you’ve always dreamed about is a reality. As the euphoria begins to settle there are a million details to plan and prepare — but where to begin?
We sat down for a chat with Chelsea Carhart Lehmann from Home Town Events, a Hamilton-based wedding and event planner, to learn more about how a Wedding Planner helps couples make their big day happen.
So, what does a wedding planner actually do?
Your wedding planner guides you through all the steps leading up to and on the wedding day. Most couples look to hire their planner a year out from their wedding day, so basically right after their engagement. We sit with you and talk through the vision for the day to understand all the details: how everything should feel, the theme, the colors. Basically, we’ll take your Pinterest board and make it come to life! Then we also help with all the logistics from finding the venue, to planning how to move people from the ceremony to the reception, and generally making the day flow well.
How do you work to help a couple’s vision for the day come to life?
Our first meeting will be to learn about you and your event — what you like and don't like, if the ceremony will be religious or non-religious, and so on. We also talk about the event budget and priorities. For example, are you willing to spend the big dollars on your catering but less on a DJ? We’ll help manage that balancing act. We use a planning checklist that is shared with you to keep track of what’s booked and what still has to be done. This keeps everything very organized — and it’s much less stressful for everyone!
It’s important to take the time to get to know your wedding planner before signing on with them to see where they specialize. Some wedding planners really shine as event designers. They’ll give the couple a chance to openly share all the cool things they want to do, and then from that initial conversation they can put a whole plan together and present ideas. Others are more the “doers” where a couple can come with their Pinterest board and say “This is what I want to have”, then the planner will take it from there.
Well, we can either help you find all your vendors — or we can take your ideas and manage all the contracts and coordination. We can help source quotes and also negotiate with the vendors based on expected guest counts. After you decide on a vendor, we’ll create the contract, double-check all the details, then forward it to you to sign and pay the deposit. We do all the homework to make sure you’re working with fully insured and professional vendors.
We’ll also be your go-between with the venue coordinator at the selected venue. The venue coordinator works for the venue and can help organize furniture or equipment — but I work for you to make sure everything goes exactly as planned.
Will you be on-site during the wedding day?
There are often different levels to wedding planning services ranging from complete planning to wedding management to consulting.
Complete Planning is the full package where your planner will take care of everything and help build the day from scratch. This includes managing your budget, coordinating vendors, designing the event, and ensuring every detail aligns with your vision.
Wedding Management focuses more on coordination and communication with vendors, confirming their services and making a timeline for the day for the couple. This approach can be flexible. For example, some couples may already have a vendor in mind, but they ask us to help coordinate.
Consultation is a shorter session where couples can ask questions like: “Do these quotes look okay? Am I being ripped off or is it a good price?” It's a lower commitment, but the couple still gets helpful direction and guidance.

Absolutely! We’ll also be on-site during the rehearsal to see the space and confirm the set up. Then on the wedding day we’ll be there to make sure everything runs smoothly.
Say the flowers didn’t meet expectations or a shuttle is stuck in traffic, we manage the situation and coordinate with all parties. Essentially, we’re problem solvers who can keep the day running smoothly. Then the burden doesn’t fall onto a groomsman, bridesmaid or relative. You want those people to also be having fun on your day. They're part of your life and you want them involved — but not in that capacity.
We create a timeline for the day with you in advance, which helps anticipate and solve problems before they happen. Then we can be an extra set of hands as needed. If your wedding is Friday night and another group has the venue booked Saturday morning, who is going to help with cleanup? Your wedding planner helps make this happen rather than the burden falling on a parent or the bridal party at the end of a long day.
I’ve seen a trend towards non-conventional ceremonies where there is a twist on some of the more formal ways a ceremony might be held. For example, one idea is to have a “runway aisle” with chairs facing in towards the aisle, so the bride walks in like in a fashion show. Or another approach is to have the

officiant stand in the aisle so the couple faces the guests during their vows. These little details are simple, but often I hear people say “Oh my God, I love that!” and it just adds more personality to your day.
Lastly, what do you find special about Madison County?
If you're into the country, rustic barn setting, this is the place! But you can also certainly have a glamorous wedding here. For location, it's not out of reach for people from New York City or Pennsylvania, or for anyone who moved away, but still considers Madison County “home” and wants it as the backdrop for their special day.
I feel like we have a really good core group of people who work diligently and genuinely love what they do to provide these venues and services for people who want to have a beautiful day without breaking the bank!
