Long Island University Virtual Networking and Career Fairs Step-by-Step Guide for Employers Step 1: Register for the Fair 1. Register for the fair by clicking link in that you received via email or through Handshake.

If you did not receive a link, please contact alex.schimel@liu.edu.

2. Click the Register button in the upper right corner.

3. Under Registration Options, choose the appropriate registration type (usually there is only one option).

4. Identify who will be the “Schedule Owner” from your organization (most likely, it will be you, the person reading this guide!). This is the person who will be primarily responsible for scheduling events and adding participants from your company. This must be a user that is already registered with Handshake (you can add additional team members later).

If your organization has multiple divisions registered in Handshake (uncommon), you can indicate which division is participating in the fair. If not, you can ignore that prompt.

5. Indicate whether you are currently hiring for open roles at your organization. If the positions are posted on Handshake, you can search for them and associate them with your registration.

6. Indicate what types of jobs you are recruiting for and what types of candidates you wish to meet.

7. If you want to limit interactions to particular majors, click Select Major Groups (see green button above). It will open a menu that allows you to choose specific majors.

8. If there is a fee associated with the event, provide your payment information. Even if the event is free, Handshake still requires you to select a payment method. In that case, you will not need to enter any payment information in this space.

Select Manual. If the event is free, you can leave the Billing Address blank. Confirm acceptance of the refund policy.

Then click the blue Create Registration button in the right corner.

9. The first step of registration is complete! Please await confirmation from our office within 1-2 business days.

Once your registration is confirmed by us, you will receive additional instructions via email and a link to the next very important step: Creating your schedule (see Step 2).

If you do not receive a confirmation email within 2 business days, please contact Alex Schimel (alex.schimel@liu.edu). Make sure to check your spam folder and ask your IT department to unblock @notifications.joinhandshake.com and @joinhandshake.com

Step 2: Create Your Schedule 1. The registration confirmation email (which will arrive within 2 business days) includes a link to create your schedule. Click the red button that says Add Schedule.

This email usually includes other advice and guides to ensure that you are ready for the event. We recommend that you save this email for future reference.

2. If you did not receive the registration email, or you can’t access the link, just log back in to Handshake and select the event under Upcoming Career Fairs.

From the event home screen, click Schedule.

3. Click Add Sessions.

4. Add team members who will be participating in this event on behalf of your organization. You will see a list of team members who are already active in Handshake.

Start by adding yourself and any other expected participants that you see.

If your organization has many Handshake users, you can search for them in the search bar.

If you don’t see some of the people that you wish to add to the fair, you can manually add them now (or come back to that task later). If you found all of your team members, you can skip the next two steps.

5. To add someone who isn’t already on Handshake, click Add Teammate Manually.

6. Complete the New Teammate form. This will create a new user associated with your organization. Your colleague will receive an email with instructions to confirm their account and create their password.

We suggest that you also contact your colleague directly, to ensure that they received the instructions and complete the steps.

You can move on to the next step while their confirmation is pending. If you need to create more user accounts later, see this guide.

7. Add Group Sessions. These sessions are 30 minutes and can have up to 50 student participants. Group sessions are great way to share information about your organization, answer questions, and network with candidates.

Include a specific description, to help students understand why they should attend. If you wish to host multiple group sessions (at different times, or on different topics), click add another session. You can also add additional group sessions later in the process.

We strongly recommend that you select Handshake video session, which will allow you to host your session directly within Handshake. The built-in video tools are very easy to use and include all of the customary features (like mute, chat, and screen share).

Hosting your sessions directly in Handshake makes it much easier for students to find and join your session (as opposed to distributing links for Zoom, Google, Teams, etc.).

If you’re concerned about using an unfamiliar platform, you can test your device to make sure it is compliant and run practice sessions later in the process. Handshake also provides instructions for your IT department to ensure that your device is properly configured. (We will send you all of this information by email too.)

8. Add 1:1 Sessions. These sessions are 10 minutes. 1:1 sessions are a great way to have brief personal conversations with students, just like you would at an in-person fair.

Click Add 1:1 session next to the name of the team members who will be meeting with candidates. (Multiple team members can host 1:1 sessions at the same time.) Then click Assign Team. This will create back-to-back available appointments for the duration of the fair. Students can then view the schedule and book 1:1 appointments.

If you add 1:1 sessions for team members other than yourself, it will send that person an email notification to “claim their schedule”. The email will include instructions. We suggest that you also contact your colleagues directly to ensure that they take the necessary steps.

9. You can set qualifications for 1:1 sessions, if you only wish to meet with candidates who meet certain requirements (such as class year, GPA, etc.).

10.Click Assign team.

11.Click Confirm schedule and invite team.

12.If you don’t see your schedule on the next screen, click Reload.

13.If you want to view your schedule or make changes later, you can click on Schedule from any screen within the fair.

14.You can see your entire event schedule and make changes from this screen.

15.If a team member wishes to block off certain times to prevent 1:1 sessions from booking, click the three dots next to the session and click Mark as busy. Handshake will automatically remove 1:1 booking slots for team members who are participating in a Group Session at the same time.

16.To add additional sessions (group or 1:1), click Manage Sessions and Create new. You can also edit existing sessions from this tab.

17.To return to the fair later, log in to Handshake and click Fairs. Then select the event under Upcoming Career Fairs.

You can return to the Career Fair page to check your schedule, RSVPs, and to launch your sessions on the day of the event.
