About TO Meeting

Team of Officials meeting as stated in the IFMSAKurdistan constitution and bylaw is as follows: please read the bylaws carefully.

Regulations for Team of Officials Meetings

(3.2.1) The Team of Officials shall meet at least three times every term either online or in person. Under extraordinary situations, when the TOM can’t be held in the time span mentioned before, the EB can ask for SupCo's approval to postpone the TOM.

(3.2.2) The mandatory attendees are TO members and LPs.

(3.2.3) The team of officials shall hold a preparatory meeting, TOM 0, within two weeks after all the TO positions have been filled. This preparatory meeting is not counted as one of the minimum three TO Meetings that must be held during the term but follows the same rules.

(3.2.4) The quorum for a Team of Officials meeting is 2/3 of the Team of Officials members provided that the President, VPM, or the VPA is present.

(3.2.5) All Team of Officials members have speaking, proposing, and voting rights at the Team of Officials meeting and each of them has one vote.

(3.2.6) TO members who cannot attend have to inform the VPA and submit their activity report in writing in advance.

(3.2.7) Time and place of the Team of Officials meeting are decided by simple majority within EB. Each TO member should be informed of the exact date and time at least one week in advance.

(3.2.8) The Team of Officials takes decisions with simple majority.

(3.2.9) An agenda for the Team of Officials meeting is prepared by VPM and shall be sent out to the Team of Officials members and LCs by VPA at least one week before the meeting. The agenda for the Team of Officials meeting shall contain at least the following points: activity reports by NOs, SD directors, and financial reports by the VPF.

(3.2.10) Team of Officials members who are not present can submit written proposals in advance. 3.2.11! Minutes shall be taken which comprise a summary of discussions, decisions taken, and reports presented. These minutes should be prepared by the VPA and to be made available to the Team of Officials members and LCs within 2 weeks of the end of the meeting.

1. TO Meeting Attendance: If a TO member doesn’t participate in two of the TO meetings, and he/she didn’t provide EB with the excuse, he/she will receive a warning letter and an investigation will be opened on that member.

2. TO Meeting Report Submission: If any of the TO members didn’t send the report requested from him/her before the deadline for each TO meeting, he/ she will receive a warning letter and 10 scores will be subtracted from his/her score.
