“Day-of Wedding” Coordinator: Personal Stress-Relief for a Wedding Day to Remember By Cynthia V. Mitchell, M.Ed. Founder of A Beautiful Florida Wedding
We have heard it all after 20 years of being at couples’ weddings and before that, behind closed doors, as counselors who helped couples deepen their love for one another. Yet, as wedding planners, just when we thought we’d heard it all, someone will say something that causes our jaws to drop. “How did this happen? Why didn’t I think of that? Can you please call the caterers, again?” Couples with well-thought-out plans, with well-intentioned help... just too stressed to enjoy their own wedding day. Did you know that stress over happy things is called distress? And, just because weddings are supposed to be a wonderful, beautiful time, does not mean they come without stress. Well, move over stress and distress, couples are taking a stand. They’re not willing to let stress rob them of their happiness on their wedding day! Most couples recognize that on their wedding day they want to be free to enjoy, rather than orchestrate, their wedding. Seasoned wedding planners know through experience that the wedding couple will be in such high demand on their wedding day that other designated their go-to people are essential. It is not surprising then that this new trend is catching on even with “do-it-yourself ” (DIY) wedding couples. Whether you plan your own wedding or hire a wedding planner, consider the value of a “day-of wedding” coordinator (DOC) as your personal stress reliever. A snapshot of a DOC checklist we use with our couples begins to tell the story. Our checklist covers, pre-ceremony, ceremony, cocktail hour, reception, and post-reception. Here are just a few of our checklist items: 1. Oversee florist setup of wedding arch, or setup white tiki /garden torches with floral. 2. Tie sashes on ceremony chairs. 3. Set out rug for guest’s shoes and arrange flip flops for

guests to wear on the beach. Setup the Welcome table. Rake sand and arrange starfish and aisle lanterns. Arrange flower petals down the aisle. Setup Sand Ceremony with table, linen and overlay.
And that’s just the pre-ceremony! A case in point: Maria and Tom are getting married this year. They pulled together most of the wedding details, themselves. “But, we need someone to do help Gran get to the beach”, Tom says, “And, I need someone I can trust; someone to oversee the procession at the rehearsal, someone to put out favors, and photos, and placards... someone to surprise this guy by setting something special I have for him on the wedding table.... and I don’t want my mom or cousins to do it, because I want them to have fun, and enjoy my wedding!”. That someone is a DOC. How much is a DOC worth? Ask any couple who has hired one. They’ll tell you that a DOC is like an orchestra conductor, pulling together all the individual instruments to create a beautiful harmony of sound. When asked about the value of the service of a DOC, I will usually ask our couple, “First tell me, what is your first dance song? “Now”, I say, “I want you to imagine you are on the dance floor and about to listen to your favorite song and someone cues up your song from the middle not the beginning. How do you feel?” Most will say “shortchanged”, others might say “disappointed”, “upset”, or “stressed”. A quality DOC would not let this happen. Like an orchestra conductor, your DOC ensures that everything is done to perfection, and that harmony and happiness is all you “hear” during your wedding day. Perhaps, at this point you’re convinced you could use the help, but still have a couple of questions. How much should I budget for my DOC? We recommend one DOC for every 50 guests. We recommend you estimate the cost for each hour of coordination or for a full day. Usually
“Day-of Wedding” Coordinator...” continued the fee for a second DOC is not that much more. In our company, it’s only an additional 20% for the second DOC. Look at your wedding budget. For 8 hours of stress-relief, directing the flow of all things wedding day, you would need to invest between $1,000 to $1,500. Most budgets only need to add a small percentage to pay for this service. You might even consider adding the service to your registry, if you have one. If I get push-back, what can I say to my parents or spouse-to-be, so that they will understand how important hiring a DOC is to me? Talk to them about what matters to them. •
If saving time and exchanging stress for no stress matters to them, tell them how a DOC can do that for all of you.

If saving money and keeping you worry-free matters to them, then share how sad it would be to spend all the money your wedding will cost just to waste it on a day that does is disorganized or, worse yet, demands that you or they manage everything rather than enjoy the wedding!

We hope you hear your guests saying: “This is the best wedding I have ever been to. It’s so beautiful, so organized, and the couple is soooooo happy.
