Holiday Safety Tips

As we approach the festive holiday season, it is essential to prioritize safety. The holidays bring joy and celebration, but it's crucial to remain vigilant to ensure everyone's well-being.

Please take a moment to review these holiday safety tips:

CLINIC UPDATES Safety Bar in the CBHR Stairwell: As a reminder, only pull the safety bar in the stairwell leading to the TCHATT/CPAN area. Pushing it will cause damage.

Stratus Reminder: When utilizing the Stratus video interpreter devices please ensure that they remain on the TCHD5 wifi network as this is the only network in which they will function appropriately. If connected to Datamix they will not connect correctly to the interpreter and you will experience extreme lag times and a black screen.

BH Clinic Holiday hours: Our clinics will be closed on Monday, December 25 and Monday, January 1.

Cybersecurity: Be cautious of online scams and phishing attempts, especially during the holiday shopping season.

Avoid clicking on suspicious links or downloading attachments from unknown sources.

Travel Safety: If traveling, plan your journey well in advance and inform someone of your itinerary.

Check weather and road conditions before embarking on any road trips.

Keep an emergency kit in your vehicle, including essentials like water, a first aid kit, and blankets.

Personal Security: Be aware of your surroundings, especially in crowded places such as shopping centers and public events.

Keep personal belongings secure and be cautious of pickpockets.

If attending holiday parties, arrange for a designated driver or use rideshare services to ensure a safe return home.

Health and Wellness: Ensure you get enough rest and manage stress during the busy holiday season.

Stay hydrated and make mindful food choices to maintain well-being.

Employee of the Month - Faie Chavez Faie is a Patient Access Call Center Representative and has been with JPS for more than 9 years. She is dependable, reliable, and knowledgeable about the BH Call Center. Faie is often recognized by staff and patients for her care and concern in all that she does. Having been in her role for many years she has a plethora of knowledge about the Outpatient BH department she is always willing to share that knowledge with others. A coworker shared that Faie is always on top of any scheduling requests sent to the queue and responds promptly with details stating what the result was.

Thank you for all that you do, not only for staff but for the patients you serve!

Ensuring Clinic Safety We want to take a moment to address recent events at the Center for Behavioral Health Recovery Clinic and provide you with updates on how we are enhancing our safety measures. In the recent incident, there was a random breakin at our clinic, however no staff members were physically injured, and there were no threats made. The situation was promptly and efficiently handled by everyone involved. Your well-being is our top priority, and we are committed to maintaining a secure environment for all.

Both Zelia and Chief Hayen recently visited our clinic to assess our space and explore opportunities for improvement. If you had the chance to speak with them, thank you for sharing your insights. Chief Hayen emphasized a crucial reminder: if you arrive in the morning and believe you are the first to do so, and the alarm is NOT armed, please do not enter. Instead, turn around and call JPS PD. They will send an officer to ensure the security of the building.

Our clinic is equipped with alarms, motion detectors, and both external and internal cameras. In light of recent events, we are actively reviewing our alarm system and existing security measures to identify any potential "blind spots" and consider additional enhancements. Rest assured, your safety is being handled with the utmost care. During the security review meeting with Chief Hayen, several valuable tips were shared to ensure your safety while at the clinic: Alarm Awareness If you are the first to arrive, do not enter the clinic if the alarm is not set.

Belongings Security Do not leave your belongings in public areas, including hiding valuables in your car.

Vigilance If you see something, say something.

Awareness When walking to your car, be mindful of your surroundings and avoid distractions like looking at your cell phone.

As a reminder, if you have specific concerns or questions, please reach out to a leader. They are here to address any issues, provide clarity, and ensure your peace of mind. Managing Public Calls with Care As a public entity, our team often finds itself required to share information with other agencies and the public.

Whether it's media inquiries, calls from law enforcement, or requests from public entities, maintaining the confidentiality of sensitive information is paramount. Below are some best practices for managing public calls and ensuring that we uphold the highest standards of privacy.

HIPAA and Confidentiality: Our Top Priority First and foremost, it's crucial to reiterate the importance of safeguarding protected health information (PHI). Under no circumstances should anyone on our team disclose any patient-related details, including information covered by the Health Insurance Portability and Accountability Act (HIPAA).

This extends to avoiding discussions about electronic medical records (EMR) such as EPIC or any patient charts.

Credentials Matter: Verify Before Sharing Information When dealing with public inquiries, especially from media or law enforcement, always verify the credentials of the individual making the request. Ensure they have a legitimate reason for seeking information and that their request aligns with our policies. Never hesitate to ask for identification or contact information for follow-up verification.

Information Escalation Protocol Not every request can be easily handled by the first point of contact. If you find yourself uncertain about the nature of a request or if it involves sensitive information, be prepared to escalate the matter to a designated leader or authority within the organization. Our escalation protocol is in place to protect the organization and the privacy of our patients.

Documentation and Record Keeping Maintain detailed records of all public inquiries, including the nature of the request, the credentials of the individual making the inquiry, and the steps taken to address the request. Documentation is essential for accountability and serves as a reference in case of audits or internal reviews.

By following these guidelines we can ensure our interactions with the public reflect the high standards of professionalism and confidentiality that define our organization. Thank you for your dedication to maintaining the privacy and trust of our patients and the public.

Clinic News continued Gearing up for Mock Survey and TJC Triannual Survey As we gear up for our Mock Survey and TJC Triannual Survey, your assistance in monitoring and maintaining office spaces and common areas is crucial to ensure nothing is overlooked during clinic sweeps or tracers. In addition to your support, we've designated site captains to conduct weekly checks of both clinical and non-clinical areas. They will be examining items such as cardboard and chemicals not listed on SDS sheets, along with quizzing staff on basic knowledge that surveyors might inquire about. Your cooperation with these weekly rounds is appreciated as it helps prevent last-minute scrambles during the survey week.

To help you prepare for both the mock survey and the upcoming triannual survey below is information that you might be asked, things that will be looked for, and items that might be cited.

Things you may be asked: Question: How do you know you have the right patient?

Answer: I ask for two (2) patient identifiers such as full name and DOB. E.g. “Can you verify your name and DOB please?”

Question: What acronyms can you use in the event of a fire?

Answer: RACE (Rescue, Alarm, Contain, Exit or Extinguish) and PASS (Pull, Aim, Squeeze, Sweep for extinguisher).

NOTE: If the fire is larger than a 33 gallon trash can, you evacuate. If it is smaller you would attempt to extinguish, focusing the extinguisher at the base of the fire.

Question: How long do you have to pull the fire alarm after you notice an event within the environment of care?

Answer: 60 seconds Question: What would you do if a patient is actively suicidal?

Answer: First, I never leave the patient alone. I would notify the provider and PD and stay with the patient to monitor them until help arrives. All patients who are actively suicidal must remain under constant unobstructed observation until cleared by a provider or PD. Recent Observations and Reminders: Dress Code All team members must wear badges above the waist, and lanyards must be breakaway.

Badges should reflect the current role and not be faded.

No hoodies, fleece jackets.

No head scarfs or hats; head coverings should be single-use and worn only in applicable procedures.

No artificial nails; nails should be short, and only regular nail polish is allowed.

Closed-toed shoes are mandatory in clinical areas.

Environment of Care Ensure supplies are not expired.

Separate office and patient care supplies; liquids should be placed at the bottom to prevent spillage.

AED, refrigerator logs should be complete with only the current month available for review.

No shipping boxes in clinical areas.

Labels on items in clinical areas must be wipeable.

No personal lotions or medications in clinical areas.

Doors cannot be propped open.

No stained or chipped ceiling tiles.

Nothing stored within 18 inches of the ceiling.

Remove tape residue.

No boxes stored on the floor; watch for biohazard boxes in the soiled utility room.

Bandage tape rolls and tissue boxes are single-use items.

No fans or unapproved heaters in patient care areas.

Drinks only in approved areas.

Staff belongings should not be on the floor should be secured.

Medications must be secure.

Turn off grow lights for plants each night.

Remove large area rugs blocking office doors.

No staff food or drink in patient refrigerators.

"Flame retardant" or "Flame resistant" artificial decorations are allowed; keep the packaging for proof.

Please ensure you manage-up any required work orders promptly.

Congratulations Dede - 25 Years at JPS!

Chili Cook-off: Results!

We extend our appreciation to all participants for their involvement in this year's Chili Cook-off. The final results are as follows: Two individuals tied for first place, each accumulating 11 votes for their delicious chili. Congratulations to Kat Newland and Julie Ennis for winning the title of Chili Master and sharing the prestigious Red Ladle Trophy.

Our very own Deandrea (Dede) Darden celebrated 25 years here at JPS with all of those years serving in the behavioral health department. We wanted to know just what it was about JPS and behavioral health specifically that has kept Dede with us. Her dedication to behavioral health and our patients has provided meaningful encounters that accentuates our mission and vision for the future. Here's what we learned: What is your current job title?

I am currently a Patient Access Representative and I started this position 13 years ago.

Tisha Calhoun claimed second place, while Mackenzie Schnapp achieved third place. Congratulations to both for their wins at the chili competition. We also want to acknowledge all volunteers who helped with the event by aiding in setup, providing additional items, and participating in post-event cleanup. Your assistance significantly contributed to the success of the event!

We hope all participants enjoyed the tasting and evaluation of the diverse chili entries. We look forward to hosting the chili cook-off again next year.

What were all the departments you worked for here at JPS? I started on the Psychiatric Emergency Center (PEC) in 1998. I also helped out at Trinity Springs Pavillion.

What motivates you?

My family and my JPS team members motivate me.

Why do you like JPS and specifically BH? I like JPS because they do so much for the community, and they take pride in making sure that our patients needs are met and working in Behavioral Health is such an exciting learning experience. Even though I have been in the psychiatry field for a long time, I am still learning new things thanks to the management team and other team members constantly working to improve the Department.

What trait most defines who you are?

Dependable.

What is your favorite work memory?

My favorite work memory is when my team members recognize and celebrates each other's accomplishments.

What has changed the most since starting work here?

When I came to JPS, I think there was only one outpatient clinic and no Behavioral Health inpatient or outpatient services for the Adolescent population. Now we have several outpatient services to serve our community.

What surprised you the most working at JPS? What surprised me the most is the psychiatric emergency center. I had no idea there was an emergency service for Mental Health which is amazing to me.

What advice would you give a new employee?

I would advise new employees to stay updated on new information coming from the JPS news feed as well as e-mails that we receive.

JPS is constantly changing for the better.

What are you most proud of?

I am most proud of my accomplishments with the help of my team members always encouraging me. Because of JPS I am able to follow the Rules Of The Road. Own it, Seek joy, and Don’t be a jerk.
