Once your meeting needs have been established, one call to Explore Fairbanks or a visit to www.meetfairbanks.com starts the process by informing local industry partners of your needs and allowing them to provide proposals. Responses are gathered and sent to you in one easy-to-read, customized bid packet as a PDF attachment, which allows you to compare the offers you receive and select the businesses that will best suit your particular meeting. This service is provided at no cost, so you can focus on the remaining details of your event.

Theater Rows of chairs facing the front of the room, usually with a center aisle.

Standard set up for sessions that do not require extensive note-taking. Maximizes room occupancy, but is not recommended when food is being served.

Classroom Rows of tables with chairs facing the front of the room, usually with a center aisle.

More comfortable than theater-style seating for longer sessions, but allows for fewer attendees. Useful when presenters distribute materials, attendees have laptops or workbooks, and when food and beverages are being served.

Hollow Square Rectangular tables placed end to end to form a square (or rectangle) with chairs placed around the outside. Facilitates communication within the group when there is no presenter. One side of the square may be left open for a U-shape. U-shape is more useful if there is a presenter. Tables may be arranged with no hollow space in the middle for smaller groups. This is called Conference or Boardroom.

The Convention Industry Council defines a green meeting or event as one that incorporates environmental considerations to minimize its negative impact on the environment. Green meetings can save money, are good for the environment and underscore your corporation’s or association’s commitment to social responsibility. Your event can make a promise to protect Profits, People and the Planet, as well as to Reduce, Reuse and Recycle. There are a number of things that you can do to “green up” your meeting: The First Step: Write it down.

Establish an environmental statement or policy for the meeting. Share the policy with the host facility, suppliers, delegates and speakers. Enlist support for your green meeting and encourage everyone to be part of the effort.

Example: “We commit to minimize our environmental impact by using recycled materials and reducing the amount of solid waste from our meeting.”

Pick and choose what works for your meeting’s needs: • Use online registration to reduce paper usage.

• Create a website for the conference; email notices and confirmations; prominently display your “Green Policy” here.

• Provide an opportunity for your attendees to purchase carbon offsets as a part of their registration.

• Use water pitchers and glassware, not bottled water.

• Use coffee cups, linen napkins, and silverware or compostable products instead of disposables.

• Collect name badge holders after the meeting for reuse. Explore Fairbanks offers reusable and inexpensive name badge holders.

• Fully utilize technology—distribute all presentation notes on jump drives, have them available for download or have them available to conference attendees on your website.

• For materials that must be printed, utilize a local printing company.

• Offer vegetarian and healthy menu options; request locally grown food when possible.

• Use conspicuous recycling containers in meeting rooms and public spaces; make announcements reminding attendees to use them.

Post-Event: Wrap it up! Survey your attendees to get their feedback on your efforts. Provide an emailed and online report of the results of your efforts. Let people know that they made a difference! Share your success with delegates, speakers and the media. Green efforts are contagious!

EIELSON AIR FORCE BASE

Eielson Air Force Base is located 25 miles from Fairbanks, just south of the community of North Pole, and serves over 3,000 military members. Eielson is home to the 354th Fighter Wing which hosts multiple RED FLAG-Alaska exercises each year and the 18th Aggressor Squadron flying the F-16 Fighting Falcon. Eielson is also host to several tenant units including Alaska’s Air National Guard 168th Refueling Wing and the Arctic Survival School.

From a small cold-weather test station to one of the Army’s largest training areas, Fort Wainwright (or Ladd Field, as it was originally known) has come a long way. The soldiers and families that are stationed at Fort Wainwright are an integral and important part of our community. Today, Fort Wainwright is home to over 6,900 soldiers and 8,170 family members. Aurora Season, August 21

through April 21, offers a great chance of seeing the beautiful and mysterious curtains of light also known as the northern lights. Fairbanks’ position under the “Auroral Oval”—a ring-shaped region around the North Pole—makes it one of the best places in the world to see the aurora borealis. Our location offers a great balance of clear nights, occurrence frequency and activity that draws people from around the globe. When nights are clear and dark enough, there will be aurora visible an average of four out of five nights. If you stay a minimum of three nights and are actively out during the evening hours, your chances of seeing the aurora increase to 90%.

The midnight sun transforms life

in the far north in pleasing and wondrous ways, energizing people to be on the go at all hours. Although the sun sets, it never goes far enough below the horizon for the sky to get dark. As a result there are 70 straight days of sunshine from May 17 to July 27, when Fairbanks doesn’t experience darkness, just brief twilight. Favorite middleof-the-night activities include hiking, running, golfing and even baseball.

The local Alaska Goldpanners baseball team plays their historic Midnight Sun Game every year on June 21 starting at 10:30pm and never have to use artificial lights.
