Dear colleagues,

Our Congress in Bruges was a great success and clearly demonstrated that after three years, we are still here and still very strong.

So many accomplishments after three years. The changes to our Articles and By-Laws serve to make us a stronger association and allows the Board of Management to better serve our members. I would like to again thank everyone for their support in electing me as your new Chairperson and am honoured to take on this challenging role. The section of our new Board members is very exciting with new and young faces who will energize and add new perspectives.

The Future of IELA session was a great tool and provides us with direction and focus to move forward in the upcoming months and will allow the Board to guide the evolution of IELA as we move forward. Thank you to all who participated and provided their valuable input and suggestions. As I said in Bruges, this is our association – your association - and so your ideas and recommendations are always welcome.

I must again thank our Secretariat, Elizabeth and her team who worked tirelessly to make our event a seamless triumph.

After the Congress in Bruges, the new Board had our first meeting to plan for the future and set our goals and targets for the coming year . Some exciting highlights from our meeting are:

The appointment of our new ViceChairperson, Bas Wiendels. The appointment of our Treasurer, Daniel Mithran. The creation of a new working group –Sustainability Working Group under the guidance of Orphee Beinoglou Junior. This will allow us to take an active role in the Net Carbon Zero initiatives. Further work will be done

to move forward on the IELA Academy which will enhance our reputation as an industry leader in education and training.

• A new, revised and improved IELA Survey will also be created for this year.

Since Bruges, we have also:

• Approved Bas Wiendels as our new representative on the UFI Operations & Service Committee , replacing Guido Fornelli.

• Selected a venue for our Malta Congress next year – more to come on that exciting bit of news from the Secretariat.

We have also decided that the Winter Seminar 2023 will take place in Cape Town, South Africa. This was primarily based on the reasoning to allow us to utilize financial deposits made for the 2020 Congress that were to expire next year. Again, more to follow on this exciting news from the Secretariat.

I am also compelled to mention Guido Fornelli’s contribution to our association. His term as Chair was likely the most difficult and challenging in the history of IELA: the global lockdowns and near -destruction of our industry, the war in Europe and supply chain shortages just as we were resurfacing. Guido was also the driving force behind our new Articles and By-Laws. To accomplish this, we were having zoom board meetings every other week all spring! Thank you again Guido, I’m sure it was not what you imagined when elected.

As well our former board members cannot go unmentioned for their contributions and hard work over their terms. Christoph, Matthias, Jacqui – thank you for your service to our association.

We still have challenging times ahead. Some countries/areas are still under COVID lockdowns and still unable to rebuild. The market continues to be volatile and unpredictable and the supply chain issues remain. The war in Ukraine continues, affecting our European members. Sustainability is a major component in our future as we learned in Bruges.

Better days are coming and we will re-establish and restore our industry. We will continue to work hard to support you in these times. Please reach out to any Board member at any time with suggestions, ideas and recommendations. t

In addition to the oversized trailer, the customs for temporary and permanent import into Norway for 8 ldm of material was also under the responsibility of Clamageran which was very challenging due to the tight time period allowed for dismantling in Stockholm on ‘’day 1‘’ in the afternoon and build up ‘’day 3’’ in the morning in Oslo having cleared customs.

WEL INTRODUCES ITS NEW VISUAL IDENTITY

After many months of brainstorming, the choice was driven by 3 main factors:

1. In a world becoming more digitized with fast-paced change, WEL believes that human interaction remains at the core of what they do. Throughout history, global commerce and exchanging ideas has been about people.

2. The face of a woman, is a reminder of the fragility of products being taken care of everyday. “Handle with care” has become second nature for WEL.

3. 2023 will be WEL’s 20th birthday and will be modestly celebrated by bringing more humanity to a very transactional business. WEL strives to achieve exceptional customer service and will maintain this philosophy for the next 20 years (and beyond!).

The WEL Group hopes that these values will resonate with all their partners, historical and future. t

Please meet Wiseman Thora who joined us as a porter in 2002 when he was young & just out of school. He had the pleasure of working with our late Director, Clive & he never thought that it was possible to not only learn how to drive a forklift with such skill, but also to become a supervisor & mentor to young people coming in to work on the show site. If you catch him in a quiet moment he will share with you all the adventures he’s had over the many years of working in our industry.

Please meet Chuma May who joined us as a porter many years after Wiseman, also young & out of school. As he was always the first person to volunteer to assist Wiseman on the forklift, Wiseman decided to mentor him in the same way Clive had done for him, with grace & humility.

Post Covid, these 2 men were so excited when our industry re-opened again, they joined forces to source & train people hungry to work. They both work closely with our clients & at the same time supervise & train the crews for many of the local events in Cape Town.

We are really proud of their achievements & we thoroughly enjoy working with them.t

Dear Members,

The return to live IELA events was a pure celebration! It may have not been the largest get-together but one of the most business-driven in IELA’s history.

As a business accelerator, we identified new ways of how IELA can deliver better member benefits and value (see the FUTURE OF IELA session) and how IELA can accompany its members AND the industry in anticipating customer expectations and responsibility for a better industry (see Net Zero Carbon Events).

The new leadership, with the most diverse and young Board ever, will shape a new era post-pandemic. Building the future has never been as important as it is today.

We have no doubts when it comes to the future of IELA being bright. Expertise, performance and contingency spearheaded by cooperation among partners has never been as important as today.

Dear members, the best is yet to come! Be an active future-shaper by joining the Working Group activities, boosting discussions and providing new input via the IELA REPORT. Raise your voice to enable brave projects which matter to our beloved industry.

On June 28th, IELA set up 45 tables in the Burgh ballroom for 12 slots of one-to-one meetings, gathering 154 delegates from 91 member companies from over 41 countries.

Networking is the art of getting to know more people which facilitates sharing information and makes it easier to do business. This sums up the real power of the IELA Congress.

Once again this year, IELA provided its members with the ideal environment for meeting both old and new business partners, with pre-arranged meetings via the MyAgenda platform t

TESTIMONIALS

Even though it was not the largest congress in terms of participants and number of prearranged meeting, it has clearly been identified as the best congress ever in terms of quality business contacts. Ravinder

Sethi with R.E. Rogers India highlighted that “Our primary aim of sending the biggest contingent to Bruges was to reconnect with friends and partners to get a feel of our postpandemic world. To our very pleasant surprise, Bruges was probably the most productive and enjoyable Congress for Team Rogers till date“.

Eve Novikova with Caspian Freight Services LLC based in Azerbaijan commented that “It was an absolute pleasure to meet all the colleagues and friends at the IELA Congress in Bruges this year. Over the last two years all the companies involved in events and exhibitions went through a very difficult time. This meeting in person helped us to put this horrendous period thoroughly behind us: we shared lessons learned, our experiences, best practices and simply had some fun catching up with one another. It was so lovely to see that absolutely everyone is snowed in with projects and looking for staff, loads of new opportunities and plans for the future”

Networking

Laura Kao , with TWI Group Inc. (USA) explained that “The past 2.5 years may have separated us and kept us on survival mode, but IELA brought us together again. It’s more than just networking, it provides a great platform for exchanging ideas, collaborations, working on solutions, better our practices & industry, reconnecting, building strong partnerships and much more. I am also excited about our new Chairperson, (go Sandy!) and seeing new blood at BOM. Technologies will advance, virtual meetings will progress, but nothing can replace the connection of face-to-face, a firm handshake, a genuine smile, and a friendly hug”.

INDUSTRY RELATIONS WG

The IRWG meeting at the 37th IELA annual congress in Bruges was emotional as we all met again in-person after a couple of years of pandemic. There was a hybrid session also available.

‘The Journey to NET ZERO CARBON’ as the headline fit one of the topic discussions which will continue to be discussed at our next online group meeting with our active and devoted 17 members!

We are proud to continue to build the bridges between IELA and all key players of the exhibition industry worldwide. On behalf of our existing and new ambassadors in their respective countries, we will all continue strongly together to share worldwide with our local associations the common goal: Sustainability!

Some tasks planned for the end of 2022 and 2023:

•To continue improvement of IELA’s relationship with International associations and also locally through our Ambassadors.

•To enhance mutual support for the exhibition industry worldwide and partnerships with IELA.

•To present IELA Sustainability Guidelines to our local associations.

Welcome all 17 members to our next meeting! t

During the past months we have made attempts to schedule some meetings. Fortunately for all of us, we have had a lot of work but possible meeting dates coincided with obligations at work. We know however that in November work will slow down a bit and then we will have the opportunity to schedule a virtual meeting and be able to be with our members to discuss some important topics such as:

• White spot treatment

• Transforming the white papers to infographic form or videos

• Payment system (“having a Payment Protection Mechanism between its affiliates… to protect members’ working capital from the financial problems of members who don´t pay their bills”).

We look forward to a very busy 2023 for all members of our working Group and IELA members in general.

See you soon. t

EDUCATION & TRAINING WG

The E&T WG is working on three projects: the 2023 IELA Winter Seminar, the update of the IELA Training Manual and the IELA Academy.

We are very glad that the WS23 is back to a physical event and we are proud it is 100% funded as part of IELA’s Membership Benefits 2023. The Winter Seminar will not take place as usual in Zurich, Switzerland but in Cape Town, South Africa. Every IELA member has the right to register one delegate free of charge, (travel cost excluded) and the participation fee for a second student will be confirmed by the IELA Board of Management in November 2022.

The ITM is currently being updated and we will inform the Membership when the new update will be ready.

We are also excited with restarting the project of the IELA Academy, with a new format that has been presented to the Board on October 6th. The IELA EDU Programme is an international training programme for members of IELA and related partners. It is designed as a Live Training Programme for decision makers, managers and newcomers and will be carried out in cooperation with a contracting partner t

TIM COLE THE BEST IS YET TO COME

The discussion was opened by Keynote Speaker Tim Cole who explained why “The Best Is Yet To Come” . In his latest book, “All Means Business”, scheduled for release in October, he warns against complacency in dealing with the effects of digitalization and urges entrepreneurs and managers to take action. t

The 2022 IELA Congress assigned its annual Forum to discussing how to respond to market changes by rising up again, adapting services to new needs and in particular to business sustainability.

THE NET ZERO CARBON EVENTS INITIATIVE

THE PLEDGE + THE ROAD MAP + HOW TO GET STARTED CHRISTIAN DRUART UFI, Research Manager OLIVIA RUGGLES-BRISE GREENVIEW, Consultant

Christian and Olivia shared the advancements in the Net Zero Carbon Events Initiative which began over 6 months ago with the Glasgow COP26. They shared the IELA input and then discussed the next steps.

Logistics is a component of the footprint, but not major compared with e.g. travel & accommodation. A lot of areas are out of the direct control of our industry, also for logistics providers. Roles and responsibilities have to be shared. The Net Zero Carbon Events initiative provides the opportunity to work together.

Three domains identified in the Road Map:

1. Reduction of transport that happens anyway: lower carbon transport options, developing electric vehicles, infrastructures, availability and focus on last mile efficiency.

2. Develop measuring & communicating approach

3. Offsetting is very interesting and not so daunting: efficient packaging, using local suppliers and storage of equipment, consolidation of operations, possible rethinking of event calendar etc.

In conclusion, Christian and Olivia advised us not to be frightened but do it anyway and together t

IELA THINK CAMPUS THE NET ZERO CARBON EVENTS TRANSITION

The programme continued with the third edition of the successful IELA THINK CAMPUS, moderated for the third time by Florent Jarry, Partner at AMR International Limited who placed the Net Zero Carbon Transition at centre stage. The panel consisted of representatives from major players in the industry who are making their way down the sustainability path in daily operations.

Florent Jarry commented “the IELA Conference offered an exceptional opportunity to discuss the impact of the net zero carbon pledge with representatives of the entire exhibitions value chain. Participants highlighted the importance of mindset changes and, crucially, of cross-industry collaboration”.

Beginning with the exhibitor’s perspective , Mputu Schmidt from Convergent Group, Belgium explained how important it is to exhibit at shows in order to find distributors and explore new markets. The main priority has become to use local services in order to avoid transport costs and travel. Measuring the footprint is included in the criteria when making transport decisions but

matchmaking sustainability and cost cutting remains a challenge. The stand solution provider’s perspective given by Edwin van der Vennet from BeMatrix, Belgium reiterated this point by saying “Sustainability does not have that return on investment, but it does not need to be more expensive as long as we start doing things differently, and we accompany them (meaning our clients)”. He sees the key in supplying reusable goods to stand builders and local storage is also a good starting point.

The push for change comes from all sides: Clara Touillon from GL Events, France explained, from the contractor’s perspective, that their “customers are pushing and it changes the way suppliers are operating” . Nowadays it is not sufficient to say that the solutions on offer are sustainable. The client expects a full explanation of the definition, requesting methodologies and carbon footprint assessment of logistics services and materials. It is required now that logistics providers give this information. Pierre Darrason, Viparis, France outlined a few of the measures taken by venue owners at shows to reduce the carbon footprint emissions and accentuated

how compulsory it has become that “every actor must integrate sustainability in their activity”. It has become an important point on the agenda and venues and organisers programme meetings together to discuss how their events can become more sustainable.

Sonia Prashar from NürnbergMesse India gave us an insight from the organiser’s perspective in India. She commented that “in order to be future ready, we need to embrace business practices that are sustainable” and this will be possible only through “partnerships beyond business”. Edwin van der Vannet seconded this opinion by saying “we have to rethink a market. Collaboration is key”. He explained how they worked in collaboration with customers to reduce shipping, hotel rooms etc. and concentrate on using local people and services.

Mputu Schmidt defined the situation as a “switch from a commercial relationship to a partnership”. Everyone was clear on the point that the whole value chain is being addressed and time is of the essence to fight against global warming. t

Lina Jasutiene, from the insurance’s perspective, defined the pandemic as a ticking bomb for smaller shippers. She explained that precautionary measures should be taken during this period on transport insurance and its claims. Cargo claims immediately rose as “every penny counts”.

The second half of the Forum centred the discussion on the INDUSTRY RISK AGENDA. The TRANSPORT INSURANCE aspect being presented by Lina Jasutiene, RECOUPEX, Switzerland, and a podium discussion moderated by IELA Board Members Alexandra Erdmann with Swiss Expo Logistics Ltd. and Sudhir Dhavan with R. E. Rogers India Pvt. Ltd., which addressed the unprecedented challenges confronting the SEA AND AIR FREIGHT INDUSTRY and its partners after a difficult period. An explanation was offered on dealing with volatility to ensure that future growth is secured.

The main problems identified as causing stress in the industry are the higher freight charges and a lack of capacity. The panel member Bart Van Gills from The Agency in Belgium, specialised in international road transport, explained how they were hit by volatility and high freight rates, and that demand remains at a high level together with the pressure on the price, capacity and the people.

Tom Hautekiet from the Port of Antwerp-Bruges, Belgium, agreed that the situation is very challenging, with disruption due to a high number of incidents.

He explained what precautionary measures are being implemented (minimizing congestions, shortage of containers, etc.) and explained that everyone in the supply chain is now prepared to come around the table to discuss on digitalisation, efficiency and future modes of transport to find solutions to avoid saturation in ports, staff shortages, late arrivals, full warehouses, are just some of the topics.

Daniel Bosshard from rom RTW Air Service which represents several carriers in the Swiss market, explained that adaptation was quick to manage the new situation.

With fuel prices increasing weekly and capacity issues complicating the market, innovation is being driven in areas such as synthetic fuel.

Balancing demand and supply remains a challenge. Strategic plans involve the introduction of a more efficient digital system and new software being available in the air cargo business Interconnectivity in ports is fundamental in intensifying the operational role of ports. A very positive point is that collaboration between supply chain partners has been strengthened

The IELA Forum: The Future of IELA

After a two and a half year period of surviving a two dimensional world with hardly any turnover from exhibitions and events, the board felt it would be very relevant to get input from our members in Bruges during our congress about what would keep IELA relevant for the members towards the future.

Of course we are heading towards a Net Zero Carbon future. But this will take more than a working generation to get there.

As we know, the IELA events will always be and remain the best networking event in our industry, and we do so much more than just that.

We experienced a lively session in Bruges where we could tell by the high number of attendees that this is an interesting issue for our members.

After the general explanatory session, we were able to focus on 4 major topics. The Congress Format, Membership, Payment & Mediation and Membership Standards.

These topics were then discussed during the second

Congress Format

1. Too intense 2. Day out – team building is Key 3. Most important is Social networking 4. Need a solution for partnering event (more agenda than congress is needed) 5. Future of IELA must be included in the content 6. Second day AM more relaxed start 7. One person during partnering 8. Content – online 9. Double check that the same person is not coming though different companies 10. Networking session time? 11. What has been done to raise the IELA profile 12. Content must be relevant 13. TESTIMONIALS

“The IELA Conference in Bruges was a first time participation for me personally. I had heard a lot about nice experiences from my colleagues at CHS about the venue, but it exceeded my expectations in almost all matters - the content, the personal meetings and the spirit.

I look forward to meeting all IELA members in Malta 2023”.

“Wonderful City. Wonderful People. Wonderful Event. For me, these 3 phrases aptly describe my experience at #IELAbrugges22. The setting was impressive to meet colleagues and friends from all over the world, to talk about personal life, professional life & above all - business. With Bruges still in my memory, I can’t wait to re-experience the infectious energy & passion, all over again, in #IELAmalta23”.

“What a magical city to experience the IELA event for the first time. After a long time of being isolated from the world, Bruges was the perfect setting to meet again with great friends -the ones international events have gifted me with- and to have the opportunity to meet new faces which, although not familiar, welcomed me just as warmly”.

THE 2022 PARTNERING EVENT NETWORKING - THE 2022 PARTNERING EVENT NETWORKING - THE 2022 PARTNERING EVENT NETWORKING

It was our extreme pleasure to host our 9th Partnering Event in Bruges.

After 2 long years of virtual meetings to meet in person was truly a tremendous experience. The response, the positive energy, the obvious strong desire to return to business was sincerely inspiring. It demonstrated without a doubt our industry’s resilience and provides us with genuine hope for our future. We did it – we got back to business, we started the rebuilding of our trade and proved that we are here to stay!

POST EVENT

Welcoming all industry partners interested in joining IELA

The IELA Partnering Event always includes an Induction Meeting in its programme, a prime occasion to connect personally with IELA. It is a formal event to present the Association, its structure and benefits, as well as to highlight the value of the IELA Network. It was chaired by IELA Chairperson, Sandi Trotter, with the collaboration of IELA Board Member, David Palomo Sánchez.

The delegates firstly profited from communicating within the association on a smaller scale before launching themselves later into the networking potential of the event on a much larger scale. They were able to reap immense benefits from attending the meeting t
