IMPORTANT INFORMATION AND DATES All exhibitors and event sponsors must comply with the following. IAAPA and ACOLAP do not guarantee your inclusion if you do not do so by the deadline.

Company Logo All exhibitors and sponsors must send IAAPA/ACOLAP their logo in high resolution.

Company Description Maximum 100 words. It can be sent to IAAPA/ACOLAP in English, Spanish, or both languages. Please include the type of products or services you offer so that we can clearly identify your company in the digital program.

Contact Information For the on-site digital program and the interactive application. A maximum of two contacts are allowed per exhibitor. Please include name, position, telephone number, and email address and send to IAAPA/ACOLAP.

Sponsor Presentations Gold and Silver sponsors (up to a maximum of four in each category) are entitled to a live or pre-recorded presentation of 5 minutes maximum.

Sponsors must confirm with Roberto Becerra, rbecerra@iaapa.org which of the two options they choose so they can be assigned a time slot in the conference.

We have offered a digital totem to sponsors who were unable to get a live performance due to space limitations. Material specifications for digital totems will be sent individually in February.

If you send a pre-recorded presentation, the specifications are as follows: • Record it with a professional camera, cell phone or computer, but always in horizontal format.

• Minimum resolution: FHD (1920 x 1080 pixels).

• Preferably, use a lapel microphone to record the video. If not available, record indoors in an echo-free room without external noise. DO NOT record outdoors without the help of a microphone.

• Deliver it in MP4 or MOV format.

Standard Furniture All booths are offered with a table, three chairs, lighting and an extension cord as shown in section #13 of the manual. Special booth designs can be ordered directly with Arakoz.

Additional Design Elements The manual includes a list of additional design elements that can be contracted at the exhibitor's expense directly with our general services provider, Arakoz, as indicated in section #14 of the manual.

Additional Needs If you require storage, stowage, insurance, special electricity and other facilities for your booth, please consult and contract them with our official general services provider Arakoz as indicated in the manual. Exhibitors who have not notified Arakoz by the deadline of any equipment that requires special installations will not be allowed to install it on the show floor.

Distribution of food and beverage Exhibitors planning to distribute food and beverage on the show floor must notify IAAPA/ACOLAP by the deadline to comply with applicable regulations.

No food and beverage can be distributed in the show floor without the organizers’ approval.

Graphic Booth Backdrop Send Arakoz the graphic files for printing the background that is offered as standard to all exhibitors in accordance with the specifications indicated in section #13 of the manual. Materials delivered between March 22 and March 31 will incur a cost of $50 USD. No materials will be received after March 31.

Event Registration In February you will receive an email with instructions to register your personnel according to the terms of your contract.

Interpretation on the Exhibition Floor Although conferences and tours will have simultaneous English-Spanish interpretation, we will not provide translation to conduct sales on the show floor. If required, you can contract these services through outside vendors.

Installation personnel For personnel and contractors to set up and dismantle the exhibition space, the Exhibitor/Sponsor must send Plaza Mayor a list with full names, duties, and telephone numbers. The corresponding certificates must also be attached for workers who perform high-risk tasks (work at heights, handling of dangerous energies, confined spaces, hot work). These personnel may only remain on the exhibition floor during installation and dismantling. Access will not be allowed for installation personnel who have not been previously registered by April 5th.

Technical personnel In case any technical personnel must be present during the exhibition to operate equipment, the Exhibitor must send ACOLAP/IAAPA a list with full names and functions. Technical staff will not be able to participate in the conference activities nor will we have catering for them. Access will not be allowed for installation personnel who have not been previously registered by April 5th.

Advance Shipment of Materials and Equipment Special booth exhibitors may send their materials in advance subject to warehouse availability and prior reservation with Plaza Mayor. This is an additional service operated by the Zona Franca team. Materials must be delivered by April 5th.

Installation The installation of special booths must always be coordinated with Arakoz, our general services provider.

• Special booths: April 13 between 8 a.m. and 6 p.m.

• Standard booths: April 14 between 8 a.m. and 6 p.m.

Booth Staffing All booths must be attended during exhibition hours, on April 15 from 9 a.m. to 6 p.m., and April 16 from 9 a.m. to 5 p.m.

Dismantling • Standard booths: April 16 between 5 p.m. and 7 p.m.

• Special booths: Between April 16 at 5 p.m. and April 17 at 6 a.m.

Transportation and Parking • Transportation will be offered at limited times to and from the Dann Carlton Medellín and Dan Carlton Belfort hotels on April 15 and 16 as indicated in the final event program.

• A social event will be held at Parque Explora at the end of the first day of the expo on April 15 at 6 p.m. The last bus will leave the Convention Center for Parque Explora at 6:30 p.m.

• Exhibitors can begin dismantling their booths at the end of the expo on April 16 at 5 p.m.

That day we will hold a social event at Happy City Viva Envigado. The last bus will leave the Convention Center for Happy City at 6:30 p.m.

• Exhibitors who register for the full event will be able to use the attendee buses that will leave at 8 a.m. from Dann Carlton hotels to Parque Tematico Hacienda Nápoles.

• The Convention Center offers parking at a rate of approx. $5 USD a day.

• Transportation will not be provided to and from the airport.

Transportation will not be provided during booth installation and disassembly times.

Cash and Direct Sales Buyers are not allowed to take equipment or product from the exhibition booths during exhibition hours and until after 5 p.m. on April 16th. Cash transactions are not allowed during the event.

Subcontracting booths Subletting, subcontracting or co-locating booths is not permitted. Exhibitors may be subject to the sanctions outlined in the contract.

Security The Convention Center will have general security during exhibition hours and at night. However, neither Plaza Mayor nor the organizers are responsible for personal items, including personal computers, tablets and cell phones. Exhibitors will be responsible for securing their products and equipment during and after exhibit hours.

Code of Conduct By signing the exhibition contract you agreed to be bound by the following code of conduct during the event: • The organizers have the right to expel from the event any participant who does not comply with this Code of Conduct. No refunds will be issued. Additionally, we request that both attendees and exhibitors report any observed violations to IAAPA or ACOLAP staff.

• Harassment: We wish to provide a harassment-free, respectful and inclusive experience for everyone, regardless of gender identity and expression, sexual orientation, disability, neurodiversity, physical appearance, body size, ethnicity, nationality, race, age or religion.

Participants must refrain from any harassing, degrading, abusive or discriminatory behavior, including inappropriate photography or recording.

Violence: There is a zero-tolerance policy for any manifestation of violence, threats of violence or violent language directed against another person. This includes profanity, obscene gestures, and offensive and sexually explicit language.

Suitcasing: Any non-exhibitor attendee soliciting business in the exhibition area or public spaces or at another company's booth will be asked to leave the event immediately without the right to a refund. Exhibitors must limit the distribution of materials within the contracted space and must not distribute them in any other space of the convention center.

Outboarding: Defined as marketing, sales and hospitality events held by exhibitors and others that take advantage of the presence of buyers and/or sellers attending the original event organizer. This practice is unethical and is subject to expulsion from the event of the participants involved.

Intellectual Property Exhibitors who consider the possibility of an infringement in their intellectual property as a result of content or material displayed at the event may resort to IP mediation on site through the event organizers. The IP Mediator will be available to confer on the phone to investigate such claims. If the infringement is proven, the violator may have to remove the offending material or display immediately. Other sanctions may also be issued when appropriate.

1. OBJECTIVE Define and regulate the duties, rights, responsibilities, and obligations of Exhibitors before, during and after IAAPA SUMMIT 2024 + LATIN AMERICAN AMUSEMENT EXPO regarding the rental of booths in Plaza Mayor Medellín Convention Center, ensuring best practices in carrying out relevant activities at the event.

2. GENERAL ACOLAP, IAAPA LATIN AMERICA, CARIBBEAN and its operator ARAKOZ DESIGN GROUP developed this document based on the policies and regulations of both the Event Organizers and the rental of the spaces provided by Plaza Mayor for the production of the event in order to guarantee compliance with the relevant aspects for their booths and other parties, ensuring compliance with the standards established by the Organizers and Plaza Mayor.

3. REGULATIONS These Event Regulations define and regulate the duties, rights, and obligations for this activity. We request that you fully comply with what is established in these regulations. Non-compliance will generate fines based on established policies. We appreciate avoiding this type of situation.

4. INSTALLATION AND DISMANTLING INSTALLATION SCHEDULE: For special or personalized booths: Starts April 13th between 8 a.m. and 6 p.m.

For standard booths: Starts April 14th between 8 a.m. and 6 p.m.

The maximum height allowed for all booths with special or personalized designs is 2.3 meters. If you wish to exceed the permitted height, you must request authorization and send a 3D design with dimensions (render) to info@arakoz.com with a copy to Moira Mercado comercial@acolap.org.co for consideration and approval according to location and visualization of other booths.

Note: Extension in times for installation or dismantling generate additional costs that must be paid directly to Plaza Mayor by the installing companies, exhibitor or sponsor, at the rate established in the current regulations.

DISMANTLING SCHEDULE For standard booths: April 16th between 5 p.m. and 7 p.m. only.

For special or personalized booths: Between April 16th at 5 p.m. and April 17th at 6 a.m.

•

The booth area that was stipulated for the event must be delivered under the same conditions in which ACOLAP, IAAPA LATIN AMERICA, CARIBE AND ARAKOZ DESIGN GROUP SAS, delivered upon rental.

•

Any damage caused to the facilities of the Plaza Mayor fairgrounds or its surroundings before, during or after installation and dismantling will be the responsibility of the Exhibitor/Sponsor.

•

ACOLAP, IAAPA LATIN AMERICA, CARIBBEAN AND ITS GENERAL SERVICES CONTRACTOR ARAKOZ DESIGN GROUP will inform the Exhibitors/Sponsors and will notify the convention center of any irregularity. They will not manage any intermediation with the exhibiting companies, exhibitor officials and/or contracted installation companies.

5. GENERAL CONDITIONS •

The exhibitor may conduct the installation and dismantling of the event during the hours established in these regulations.

•

Materials, equipment, and tools must enter and exit through the loading and unloading area. In accordance with the internal regulations of Plaza Mayor, the Exhibitor/Sponsor will be responsible for its control and security. Plaza Mayor, ACOLAP, IAAPA Latin America, the Caribbean and Arakoz Design Group are not responsible for loss, damage or theft of equipment or materials brought into Plaza Mayor.

•

Once the event is over, the Exhibitor/Sponsor must arrange for the total removal of the materials, equipment and tools brought in. Plaza Mayor, ACOLAP, IAAPA Latin America, the Caribbean and Arakoz Design Group are not responsible for whatever is not removed at the end of the installation period. These materials will be disposed of without the right to subsequent claims by the client.

Otherwise, the costs generated in the dismantling, storage, deposit, or disposal of goods that are not removed within the times established for dismantling must be assumed directly by the exhibitor.

•

Plaza Mayor, ACOLAP, IAAPA Latin America, the Caribbean and Arakoz Design Group do not supply installation personnel or tools and instruments to carry out decoration in the. Installation at Plaza Mayor is carried out without air conditioning. Assembly personnel hired by the company must use the bathrooms enabled and located within Plaza Mayor.

6. RESTRICTIONS The Exhibitor/Sponsor and/or the installation companies must not:

Introduce additional elements or affect the facilities.

•

Fix mats or floors with glue.

•

Paint, sand, polish, or drill in the rooms and hallways.

•

Carry out any type of drilling in floors, walls, and ceilings.

•

Place elements in exterior and interior structures.

•

Use items that require gasoline, diesel, fuels, or oils.

•

Introduce animals of any species, unless the objective of the event requires it, for which authorization from Plaza Mayor is required.

•

Intervene advertising in bathrooms, hallways, lounges, and outdoor areas without authorization.

•

Block, close or hinder emergency exits, access halls to classrooms, bathrooms, infirmary, food and beverage areas and common areas.

•

Leave garbage in the surroundings and back of the Convention Center, leftover from commercial samples, such as wooden structures, cardboard, scraps of fabrics with digital printing, etc. Any damage caused by these activities will be the responsibility of the Exhibitor/Sponsor.

•

Objects should not be hung from the ceilings because it would interfere with the air conditioning. If any special installation is required that involves intervention on floors, ceilings, or walls, you must consult in advance with Moira Mercado at comercial@acolap.org.co.

NOTE: The companies in charge of installing each booth must cover the back and/or side of the booth that are visible and/or have exposed cables and material. The coverage of these exposed areas, visible backrests, must be absolutely well presented in white only approved by the installation operator Arakoz Design Group.

7. INTRODUCTION OF MATERIALS Plaza Mayor may receive merchandise that arrives before the event dates according to warehouse availability and prior reservation through Plaza Mayor. This is an additional service operated by the Zona Franca team exclusively for special booths.

Materials must arrive no later than April 5, Monday to Friday from 9 a.m. to 5 p.m. to 12 p.m. and from 2 p.m. to 5 p.m.

•

The mounting material must be perfectly labeled:

•

Sender: Name of the company that owns the material.

•

Name of the event: IAAPA SUMMIT 2024 + LATIN AMERICAN AMUSEMENT EXPO.

•

Boxes and other material must have consecutive numbering of boxes 1/7, 2/7, 3/7 with a description of the contents. Only boxes or pallets that are duly sealed will be received; If unsealed merchandise 4

is presented, it must have express written authorization from the person responsible for the event.

Corresponding photographic and video evidence will be provided.

•

8. INTRODUCTION OF PERSONNEL AND CONTRACTORS For the entry of personnel, contractors and temporary workers for installation and dismantling of the exhibition space, the Exhibitor/Sponsor must send by April 5th the entry control form, listing personnel with name, identification number, social security form and, if applicable, the current certificates requested to perform any required high-risk tasks (work at heights, handling of dangerous energies, confined spaces, hot work). Access will not be given to installation personnel who have not been previously registered by this date.

All personnel involved in these activities must wear personal protection elements (helmet, harness, protection boots) and biosafety elements in accordance with the risks to which they are exposed.

Personnel wearing shorts, flip-flops, or sandals will not be allowed to enter.

The Plaza Mayor management, through its security department, will remove from the facilities any personnel working outside normal conditions (under the influence of alcoholic or psychotropic substances, among others) or due to immoral practices that may harm employees, people or assets of the company and/or the Client.

SPECIAL CASES If the exhibitor’s personnel need to work at heights to set up, install or dismantle the exhibition space, the exhibitor must inform Plaza Mayor and Arakoz in advance to fill out the established height permit form.

Exhibitor must also inform if the installation requires the use of ladders, scaffolding, equipment such as harnesses and others. The equipment must be certified with the corresponding document attached.

If the exhibitor/sponsor does not comply with these requirements, personnel will not be allowed to participate in the installation, execution and dismantling of the exhibition space.

9. SAFETY AND SECURITY AT WORK It is the responsibility of the Exhibitor/Sponsor to verify and comply with the standards regarding Safety and Health at Work for operational personnel, contracted suppliers and in general of any person involved in the installation, executing and dismantling, guaranteeing the well-being and safety of all participants in 5

the event.

The equipment, machines and furniture for the event will be installed based on current Occupational Health and Safety standards, without hindering or covering access and exit doors, evacuation routes, industrial safety equipment and other areas designed for the safety of attendees, ensuring a smooth event operation and the minimization of risks.

If high-risk actions are required in some events, the Exhibitor/Sponsor and contracted Supplier must ensure the implementation of prevention and protection measures, guaranteeing the integrity of the facilities and the safety of personnel.

Plaza Mayor, ACOLAP, IAAPA Latin America, the Caribbean and Arakoz will continually verify the Client's compliance with Occupational Health and Safety regulations. In case of non-compliance, the exhibit will be suspended until the legal regulations are met.

10. DISCLOSURE OF EXHIBITOR MANUAL Exhibitors and/or sponsors are responsible to inform and disclose these regulations and any related information to their collaborating employees and in general to the people who will attend the booth or contracted spaces at the event.

11. ADDITIONAL SERVICES It will be the responsibility of the exhibitor or supplier to assume the cost and care of any additional supplies, services, materials or products requested from the convention center. The operations staff will be available between 9:00 a.m. and 6:00 p.m. from April 13 until the event closed on April 17.

Plaza Mayor, ACOLAP, IAAPA Latin America, the Caribbean and Arakoz reserve the right to decide on aspects not contemplated in these regulations.

It is the responsibility of the organizers to ensure that exhibitors respect the rules contained in these regulations and to communicate their duties and responsibilities.

13. STANDARD ELEMENTS (INCLUDED IN BOOTH PRICE) PRINTED BACKDROP PANEL Please send Arakoz the art in AI, PDF, or CDR format with high resolution images and texts converted to curves, according to the dimensions described below. This will be reviewed by Arakoz, who will confirm if it is suitable for printing. The deadline to submit art for the standard backdrop is March 22. Materials sent between March 22 and March 31 will incur a cost of $50 USD. No materials will be received after March 31.
