Resident Services Roadshow

At 44 locations and over 500 employees, our fabulous Resident Services Leaders were on the road again this June with an emphasis on HVAC wiring and troubleshooting.

HVAC systems require accurate troubleshooting and safe handling to keep equipment running efficiently and minimize downtime. Through hands-on training, the Q2 Roadshow focused on diagnostic skills and real-world applications. Technicians and Supervisors alike learned step-by-step HVAC electrical troubleshooting, how to diagnose common refrigerant issues and avoid common misdiagnoses, as well as the basics of A2L refrigerant changes and safety.

We’ll see you all again on the road in Q4. Have a safe and productive summer!

Peak Season Is Here

The beginning of the quarter was about preparation, now it’s about execution.

This is our busiest time of year. Service requests increase, HVAC systems are working their hardest, and residents depend on us to deliver. The good news? We’ve trained, prepared, and are ready for the challenge.

Top 3 Focus Areas

1. Deliver Great Resident Service

• Residents may forget the repair, but they’ll remember the experience.

• Respond with urgency and professionalism.

• Communicate clearly and set expectations.

• Follow through and close the loop.

2. Stay Proactive

• The best way to solve a problem is before it becomes one.

• Keep up with preventive maintenance.

• Address small issues before they become large expenses.

• Report concerns early and often.

3. Take Ownership

• A service request isn’t complete because we visited the apartment— it’s complete when the issue is resolved.

• Use clear documentation.

• Verify repairs are complete.

• Eliminate open loops.

Key Operational Priorities

Maintain HVAC Systems

• Use proper diagnostics, not assumptions.

• Identify recurring issues early.

• Follow repair-versus-replace protocols.

• Document findings thoroughly.

Moisture Management

• Water doesn’t get better with time.

• Use moisture meters and psychrometers.

• Follow Suspect Growth protocols every time.

• Act quickly and escalate concerns when needed.

Training & Development

• Training only works when it’s applied.

• Take what you’ve learned from the HVAC Roadshow and put it into practice.

• Continue sharing knowledge, asking questions, and developing your technical skills.

Bottom Line

Peak season tests preparation, teamwork, and consistency. Stay proactive, communicate well, support one another, and take pride in the work you do every day.

Protect the resident experience. Protect the asset. Finish the season strong.

News You Can Use!

The month of May brought a few exciting updates your way! Check out the highlights below!

Resident Portal Enhancement

To improve move-out balance collections, we made an important update to our resident portal. The resident portal will now remain active for 30 days post move-out, extended from the previous 10-day window. Adjustments were also made related to the timeline for when move-out balances are sent to ARS/Assurant, providing former residents additional time to conveniently submit payments online, while giving your team a greater opportunity to resolve outstanding balances before accounts are transferred!

Guarantor Programs, Corporate Applications & Employee Applications - Approval Process

Beginning in May, application approval requests are to be routed through your RM, with approvals completed by your RVP directly in Yardi. This eliminates the need for you or your teams to enter a Software Support request for assistance and ensures a seamless process.

Quick Tip:

Are you experiencing an issue generating reports in Yardi Voyager? Frequently pulling the same reports can cause your browser to use old/stored data. If you experience this issue, you may need a browser refresh! By clearing cookies and cache from your internet browser (for all time), you force the system to load a “fresh” version of the report. If you are unsure how to complete this step, please enter a support ticket, and we are happy to assist!

What’s Next?! Coming Soon:

In the coming months, we will be making an upgrade to a new insurance table in Yardi Voyager. This will provide the ability to add specific insurance details currently unavailable with the way we house this information today.

Thanks to a recent suggestion by a Regional Manager, in the coming weeks we will be adding a feature to Rent Café that will allow you to add an occupant applicant in Rent Café to an existing resident, bypassing the need to manually add them in Yardi Voyager. Stay tuned for a future announcement related to this exciting enhancement!

More details to come as we launch these updates, and as always, you will receive training first. Every change will be explained step-by-step, with the Software Support Team by your side.

HR Happenings

As part of our ongoing commitment to maintaining a workplace that represents our company values of community, integrity, respect, authenticity, accountability and making a difference, we are pleased to announce the launch of our Anonymous Ethics Hotline. This resource is available 24/7/365 to every employee and provides a safe, confidential way to report concerns related to ethical conduct, policy violations, or workplace behavior.

The hotline is operated by an independent third-party provider, Ethics Point by Navex, to ensure complete anonymity. When you make a report via web, mobile, or contact the hotline, your identity will not be shared with the company unless you choose to disclose it.

You may use this service to report:

• Accounting & Financial Reporting

• Confidential & Proprietary Information

• Conflicts of Interest

• Data Privacy & Protection

• Theft/Misuse or Misappropriation of Assets

• Substance Abuse

• Other Business Integrity – any situation that feels unethical

How to Use the Hotline:

• Mobile Report Intake Site: www.hrplivingmobile.ethicspoint.com

• Web Report Intake Site: www.hrpliving.ethicspoint.com

• Phone: 833-470-8380

We encourage you to speak up whenever something doesn’t seem right when confronted with the above-mentioned concerns. Anything outside of these concerns should still be reported using Hawthorne’s Open-Door Policy. Your voice helps us ensure an ethical workplace aligned with our policies and core values. Retaliation of any kind for raising concerns in good faith is strictly prohibited.

Thank you for your continued dedication to our values and culture. Should you have any questions about the hotline or our reporting process, please submit an HRP Support Guru ticket and our HR Team will assist.

HERE’S

Five Star Resident Reviews

808 Hawthorne By: Anonymous / Apartments.com

Moving here was the best decision I’ve made! Apartments are beautiful!! The leasing office team made the entire application and move-in process completely stress-free and transparent. They are always incredibly welcoming, helpful, and organized. The property itself is beautifully maintained, quiet, and feels like a true neighborhood. Each apartment offers its own unique features. I love the community and events they host for residents. As scary as moving from another state could be, 808 Hawthorne has made me so sure of company care and safety that I have no doubt this is the best team and apartment for me.

Elevate Brier Creek By: Maya Hawkins / Google

I had a great experience working with Aiyanna, the Assistant Leasing Manager at Elevate. She was incredibly helpful, understanding, and professional throughout the entire process. I was dealing with some challenges from a past situation, and instead of making me feel judged, she took the time to listen and genuinely worked hard to help me find a solution so I could lease a unit. Her communication was excellent, and she made a stressful process feel much easier. I truly appreciate her patience, kindness, and dedication to helping future residents. Thank you again, Aiyanna!

Hawthorne at the Bend

I moved from Maryland and have lived in an apartment at Hawthorne at the Bend for a year now. It is the first time I’ve lived in an apartment, so I wasn’t sure what to expect. The management in the leasing office is wonderful and very quick to help you with any questions or issues you have. The grounds are beautiful and kept up year-round. There are socials for the residents, a gym, and a pool. I’m so happy my daughter found this apartment for me. I would not want to live anywhere else.

Peppertree By: Mary Alexander / Google

Truly a beautiful property, well-kept and at night it looks like a beautiful resort. I have been living here for 2 years. No bugs, which was my main concern. I love the layout of my apartment, the quietness and how secure I feel. The management and maintenance team is on top of things, providing excellent service. Chad and Xochitl are the managers, very kind, helpful, professional and they take care of business. Your issues are addressed and resolved in a timely manner, and I truly appreciate the entire team. You cannot ask for a better place to live. Great customer service. Thank you to the office and maintenance team at Peppertree Apartments.

Time with HRP?

About 8 months.

What do you love most about HRP?

The people, the culture, and how focused they are on customer service and brand reputation.

What do you do outside of Hawthorne?

Spend time with my family and friends.

If you had 3 wishes, what would they be?

I wish my daughter could have a wonderful life. I wish I could grow old with my wife. I wish that my dad were still alive and that my mom could live for many years.

Time with HRP?

Just over 8 months.

What do you love most about HRP?

I genuinely appreciate the people at HRP—the camaraderie is strong, and I’ve consistently been impressed by everyone’s willingness to step in and help. Prior to joining, I assumed, like with many companies, that the “Live It” slogan was just something that sounded good on paper. However, seeing it consistently demonstrated in day-to-day interactions has truly been a breath of fresh air.

What do you do outside of Hawthorne?

Oh, so many things! I’m a mother first and foremost, so much of my time is spent with my children and their activities. We also have quite a full house with dogs, a horse, some absolutely feral cats I’m convinced will eventually love me back, and a flock of fluffy chickens. We’re slowly building our own little mini-farm at home. Between the kids and the animals, free time is limited, but I do enjoy painting when I can, and I also have a knack for taking on overly ambitious DIY home projects.

If you had 3 wishes, what would they be?

Healthy, thriving, happy children and family.

Natural leadership that inspires and uplifts others effortlessly.

Unlimited financial security with wise stewardship.

Also, to be the kind of person who enjoys the gym.

FeedNC goes beyond the traditional food pantry model by offering hot meals, a grocery market, culinary workforce training, and access to community resources. Through its mission of creating connections to food, education, and support, the organization helps individuals and families build pathways toward greater stability and self-sufficiency.

Volunteer opportunities like this embody the spirit of Hawthorne’s Live It culture, bringing associates together around a shared purpose of service and community engagement. By investing their time and energy, the Charlotte team helped further FeedNC’s mission while making a meaningful difference in the lives of those they serve.

the

Support Your Team Needs

When posting an open position, consider what level of support your team truly needs:

• Tech Level 1: Dependable, coachable teammates eager to learn and grow

• Tech Levels 2–3: Certified techs ready to tackle HVAC, electrical, plumbing, and complex service requests from day one

TA Recruiter Tip

Look for candidates from construction, skilled trades, vendor maintenance, or manufacturing. Often, these candidates are dependable, mechanically inclined, and thrive in hands-on roles.

Hire for Attitude, Train for Skill

Technical skills matter, but attitude, reliability, and willingness to learn often matter more. Don’t get caught up on minor resume flaws. Focus on coachability, work ethic, responsiveness, and someone who will positively contribute to your team culture.

Some of our strongest hires come through referrals, so encourage your team to take advantage of our Employee Referral Program!

TA Recruiter Tip: Text Them!

Customer Experience as a Growth Driver

A report from McKinsey & Company highlights a clear business advantage: organizations that prioritize and optimize customer experience can achieve significant performance gains, including increased revenue growth, improved customer satisfaction, and stronger retention. McKinsey notes that companies investing in customer journey improvements often see measurable financial impact, with CX transformations driving both topline growth and operational efficiency.

This insight reinforces the importance of a customer-first mindset. Every interaction across the customer journey, from initial inquiry to ongoing service, directly influences perception, loyalty, and long-term value. When organizations focus on reducing friction, improving consistency, and delivering seamless experiences, they create stronger emotional connections with customers while also improving business outcomes.

Customer experience is not a single initiative, it is a strategic approach embedded across operations, culture, and decision-making. Companies that excel in customer experience consistently outperform competitors by aligning teams around the customer journey and continuously improving key touchpoints that matter most.

At Hawthorne, this principle is central to how we operate. By prioritizing experience at every stage of the resident journey, we strengthen trust, enhance satisfaction, and build long-term community loyalty that supports sustained success.
