Section 1: Introduction Welcome

Welcome to Connelly School of the Holy Child and to the 2015-2016 school year! I hope that you had a summer full of fun and rejuvenation. I am excited about the upcoming school year and am confident that together we can make it the best one yet! I look to getting to know our new faculty and staff better as the year progresses and will be touching base with everyone on the faculty and staff throughout the year and scheduling one on one meetings sometime throughout the school year.

As this handbook states, Holy Child’s reputation and success are determined by the work that we do and the employees that represent us. I know we will continue the Holy Child tradition of excellence and integrity; together we are each essential to the success of our students.

Please review this handbook carefully, as there have been several edits made over the summer. Feel free to bring forward any questions or comments to your immediate supervisor. I look forward to working with each of you and thank you for your commitment to the mission, philosophy, and vision of Connelly School of the Holy Child.

About This Handbook This handbook is intended as a means of communicating our policies and procedures to you in order for you to better understand how we, your employer, operate. It is presented as a matter of information only and its contents should not be interpreted, and are not intended, as a written employment contract between the school and any of its employees or a guarantee of continued employment. The information contained in this handbook applies to all employees of the school uniformly and supersedes all prior policies and procedures. All employees are subject to the policies outlined in this handbook, except as otherwise provided under their individual contracts. The school reserves the right to suspend, modify, or amend any policy or procedure at any time.

History of the School Connelly School of the Holy Child was opened in 1961 by the Society of the Holy Child Jesus as a college preparatory school for girls; the Middle School opened in 1989. The School is part of a network of 33 Holy Child schools in the United States, Europe and Africa, which is guided by the educational philosophy of Cornelia Connelly (1809-1879).

When Cornelia Connelly founded the Society of the Holy Child Jesus and established the first Holy Child schools in England in 1846, her ideas about education were considered very advanced. She insisted that teachers should “lead their pupils by love rather than by fear” and “take the trouble to study the character of each child.” Within the context of the curriculum, the teacher should “let each child develop her own style.” While most 19th century school schedules were rigid and monotonous, Cornelia introduced variety and time for recreation. She wanted her students to take pleasure in what they were doing. A caring environment and attention to each student as a whole human being have been hallmarks of Holy Child education for over a century and a half.

School Philosophy Connelly School of the Holy Child, Potomac, a Catholic school for young women in grades six through twelve, is founded on Cornelia Connelly’s tradition of educational excellence and Christian commitment. As a community of faith, the School seeks to instill in all students a love of God and a strong sense of Christian values. The academic program and extracurricular activities provide for growth in critical thinking, problem solving and decision making necessary to meet the demands of a changing world. In Holy Child’s nurturing environment, the relationships of mutual trust and respect enable each student to discover and develop her unique abilities and talents. Conscious of her relationship with God and society, a graduate of

School Mission Connelly School of the Holy Child is a Catholic, college preparatory school, committed to the intellectual, spiritual, artistic, physical and social development of young women in grades 6 through 12. The School emphasizes academic challenge, joy of learning and education of wellrounded women of faith and action. The Holy Child community welcomes students and families of different faiths and diverse backgrounds. In keeping with the philosophy of our founder Cornelia Connelly, Holy Child values the uniqueness of each individual and fosters a life of service to others.

Network of Holy Child Schools GOALS Goal 1 – To foster a faith commitment that engenders a joyous personal response to God in the challenges of the world.

A. The faith experience within the School is drawn from an active and joyous appreciation that God is among us as expressed in the continuing mystery of the Incarnation.

B. Each member of the School, including trustees, administrators, faculty, staff, students and parents, actively supports and contributes to the faith life of the community.

C. The School demonstrates that this faith commitment is a priority through the use of its resources and structures including personnel, time and scheduling, finances, place of worship and prayer, quality of the religious education and sacramental programs.

D. In conjunction with doctrine, scripture and moral development courses, the School has a religious education program which includes liturgies, worship services, retreats and a structured service program.

E. The School as an institution within the Catholic tradition welcomes people of all faiths who support its mission and goals, and the program provides opportunities for students to share their religious heritage.

F. While the School community respects the diversity of other religious traditions, all students attend religion/theology classes and each member participates actively in the worship life of the community.

G. The School staff includes a person(s) who provides effective leadership for a quality religion/theology program.

H. The School fosters the development of skills for Christian leadership and ministry and encourages students to assume these roles in the School, Church and civic communities.

Goal 2 – To deepen an understanding of Christian community A. Students, parents, faculty members and trustees perceive the School as a community of faith, wisdom and service and actively participate in it.

B. The faculty distinguishes itself as a community of faith by praying together as well as by providing time for retreats and discussions, demonstrating their concern for the world and their support of one another and the students in times of need.

C. The School community prays together regularly.

D. The School includes, as an integral part of the program, activities which build and strengthen community.

E. The School provides an outreach to the parents and alumnae by means of theology lectures, prayer groups, liturgical services, including family liturgies, etc.

F. The life of the School community is deepened by an understanding of the purposes and evolving traditions of Holy Child education.

G. The School participates in the national Network of Holy Child Schools.

Goal 3 – To provide an intellectually challenging and creative program of study that fosters academic excellence A. The curriculum and methodologies are designed so that students are challenged to realize their potential.

B. Varied methods of instruction are used to develop adaptability, independence, creativity and inquisitiveness throughout the learning process.

C. The program provides skills for growth in critical thinking, problem solving and decision making necessary to meet the demands of a constantly changing world.

D. The program includes the effective use of technology in all areas.

E. The School integrates community resources into its program.

F. The School provides support for students with learning differences and makes use of other professional services when needed.

G. The curriculum is evaluated periodically by administration and faculty in accordance with these Goals.

H. An ongoing program of administration, faculty and staff development and evaluation is evident.

Goal 4 – To work for Christian principles of justice, peace and compassion in every facet of life A. Structures and policies within the School model these principles in terms of  consistent procedures and policies for students;  scholarships and financial aid policies;  lines of authority and governance structures;  clear channels of communication to examine needs and problems;  faculty salaries, benefits and scheduling;  hiring and termination procedures;  system of evaluation for faculty, staff and administrators.

B. Administration and faculty model these principles by responding to students’ needs in terms of their age, socioeconomic status and educational backgrounds.

C. These principles are integrated into the content of the specific disciplines of the curriculum.

D. The educational program emphasizes the dignity and interdependence of all people across boundaries of geography, age, sex, race, nationality, culture and creed.

E. In the curriculum and programs, attention is given to persons who are poor or marginalized and, in particular, women and children.

F. The educational program emphasizes the importance of our conscientious care of the earth.

G. The School provides programs for students, faculty, parents, alumnae and the wider community that allow for discussion of these principles and promotes reflection that leads to action.

H. The School requires specific activities and programs to incorporate service as a value on a volunteer basis and/or as a career option.

I. The School participates in a larger effort to shape educational policies and patterns which reflect these social principles by working in conjunction with the Church and independent school groups.

Goal 6 – To further the integral human development of all who participate in the life of the School A. The School provides opportunities for the development of positive relationships among the students and with the faculty, staff and their parents.

B. The School provides support for the social and emotional development of each student and has effective college, career and personal guidance programs which make use of appropriate counseling when needed.

C. The educational program includes and integrates the humanities and fine arts in accordance with the SHCJ educational heritage.

D. The School provides a program of physical and health education that includes substance abuse, AIDS awareness, eating disorders and other health-related issues.

E. The School provides a program that fosters understanding and integration of the emotional, psychological, moral and physical aspects of sexuality.

Goal 7 – To plan for the development of Holy Child education in the School A. Holy Child educational philosophy and heritage are clearly articulated to all who wish to become part of the School community.

B. An ongoing program exists to develop an understanding of the Holy Child mission and philosophy for all members of the School community.

C. The total program is developed and evaluated cooperatively by administrators and faculty in consultation with Trustees, parents and students according to the standards put forth by the Society of the Holy Child Jesus in the Mission Effectiveness Process and by other accrediting organizations.

D. The School has an updated long-range/strategic plan in place that is reviewed regularly and includes, but is not limited to  fiscal viability  marketing  development  property and building maintenance and acquisition  recruitment and retention  educational and faith development E. The Trustees and the Head of School communicate regularly with the appropriate leadership of the School Corporation and Society leadership, fulfill their respective roles and responsibilities as set forth in the bylaws, contractual agreements and policies, contribute to the Holy Child Network of Schools and participate in Network meetings and activities.

F. The Trustees, administration, faculty and staff work collaboratively with the Director of the Holy Child Network of Schools and with other Network Schools.

Section II: Standard Workplace Policies and Practices Equal Employment Opportunity It has been and will continue to be the policy of Connelly School of the Holy Child to be fair and impartial in all of its relations with its employees and applicants for employment and to make all employment related decisions without regard to race, color, national origin, age, sex, or any other categories protected by federal, state, or local law. This policy applies to recruitment, hiring, training, promotion, and all other personnel actions and conditions of employment such as compensation, benefits, layoffs, reinstatements, training, professional development funding and disciplinary measures. Decisions regarding employment and promotion will be based solely upon job-related factors.

Any employee with questions or concerns about any type of discrimination in the workplace are encouraged to bring these issues to the attention of their immediate supervisor or the business office. Employees can raise concerns and make reports without fear of reprisal. Anyone found to be engaging in any type of unlawful discrimination will be subject to disciplinary action, up to and including termination of employment.

Employment Authorization The Immigration Reform and Control Act of 1986 requires Connelly School of the Holy Child to ensure that employees are authorized for employment in the United States. Therefore, the school will employ only individuals lawfully authorized for employment in the United States.

Federal law requires that every employee hired by the school after November 6, 1986, complete the Employment Eligibility Verification Form (commonly called the I-9) within three workdays of the start of work. Failure of employees to provide such documents within two weeks will result in termination of employment.

This information and documentation will be used only for compliance with the Immigration Reform and Control Act and not for any unlawful purpose. If your employment authorization changes or terminates after the start date of your employment, please inform the school immediately.

Persons with Disabilities Connelly School of the Holy Child is firmly committed to complying with the Americans with Disabilities Act (ADA) and other federal and state legislation designed to ensure equal employment opportunities to persons with disabilities. The school prohibits discrimination on the basis of disability in regard to all employment practices or terms, conditions and privileges of employment. Consistent with this policy and applicable law, the school will make reasonable accommodation to the known physical or mental disabilities of qualified applicants or employees, unless to do so would cause an undue hardship on the operation of the school.

Policy Against Harassment Connelly School of the Holy Child expects that all employees will treat each other with fairness and respect. Harassment on the basis of race, religion, color, gender, age, disability, or national origin, or as provided under state or local law, will not be tolerated and is strictly prohibited.

Offensive language is viewed as harassment, is strictly prohibited, and will not be tolerated.

Any person who believes that s/he is the victim of any type of discriminatory conduct should bring that conduct to the immediate attention of his/her supervisor, the business manager, or any senior administrator. The school will conduct a prompt and thorough investigation of all the circumstances surrounding the alleged incident in a confidential manner. If the investigation discloses that an individual has committed an act of discrimination, that individual will be subject to appropriate disciplinary action, up to and including termination. Retaliation in any form against an employee who, in good faith, complains of discrimination or harassment is strictly prohibited and will result in appropriate disciplinary action. Any supervisory employee to whom an employee brings a complaint of harassment but who fails to take appropriate action to resolve it will also be disciplined.

Policy Against Sexual Harassment Sexual harassment as well as gender-based discrimination is illegal and contrary to the policy of the School. Connelly School of the Holy Child is committed to being a community in which every individual is treated with sensitivity and respect and in which each student and teacher has an equal opportunity to work, learn and develop to his or her full potential in an atmosphere free from all forms of sexual harassment. Futhermore, because the School's primary concem is the well-being of students, sexual activity between staff and students is strictly prohibited, regardless of whether the activity is consensual.

Sexual harassment creates unacceptable stress for the entire organization, adversely affects morale, demeans the individual so treated, and could cause potentially devastating costs to the School. The School believes that courteous, mutually respectful, pleasant, non-coercive interactions between employees will best serve the wellbeing of each individual and the school.

All employees, both male and female, are strictly prohibited from sexually harassing or making improper advances toward other employees or harassing other employees as a result of their gender.

Sexual harassment is defined as unwelcome sexual advances, requests for sexual favors and other inappropriate verbal, written or physical conduct of a sexual nature that takes place under the following circumstances:

1. when submission to such conduct is made, explicitly or implicitly, a term or condition of instruction, participation in school activities or employment; or 2. when submission to or rejection of such conduct by an individual is used as the basis for academic or employment decisions or benefits; or 3. when such conduct has the purpose or effect of substantially interfering with an individual's academic, extracurricular or work performance, or in creating an intimidating, hostile or offensive school environment or working environment.

This policy applies to sexual harassment by staff or students against staff or students of the same or opposite sex.

Implementation of Policy – 1. Information and Education/Training –  All students will be informed of the policy through age-appropriate instruction and discussions.  The policy will be distributed to all current staff and added to the Faculty Handbook which each staff member receives in the fall of each year. The guidelines and procedures of the policy will be discussed as part of the faculty orientation at the beginning of each school year.

2. Hearing Complaints by Students – The close and positive relationship which exists between staff and students at Holy Child is an important quality and strength of the School, and students should feel comfortable discussing any School-related concern, including sexual harassment, with a teacher, the School counselors or a member of the administration. Working with the student, the teacher or counselor must refer a complaint of sexual harassment to one of the following people: the Head of School or the Assistant Head of School.  Any complaint of sexual harassment by a student will be investigated thoroughly and promptly. The investigating administrator will consider all the circumstances in determining whether the alleged improper conduct occurred and whether that conduct constitutes sexual harassment. To the maximum extent possible, Holy Child will protect the privacy of the parties involved.  Any attempt to interfere with or influence the investigation of a sexual harassment complaint is strictly prohibited.  The administrator will prepare for the Head of School a written report which contains a synopsis of the allegations, the results of the investigation and a recommended disposition of the complaint. The Head of School will take appropriate action.

3. Hearing Complaints by Staff – If a staff member feels he or she has been the victim of sexual harassment, the staff member should immediately discuss the situation with a member of the administration.

Any complaint of sexual harassment by a staff member will be investigated thoroughly and promptly. The administrator to whom the complaint is brought will consider the totality of circumstances in determining whether the alleged improper conduct occurred and whether that conduct constitutes sexual harassment. To the maximum extent possible, the School will protect the privacy of the parties involved.

The investigating administrator will prepare for the Head of School a written report which contains a synopsis of the allegations, the results of the investigation and a recommended disposition of the complaint. The Head of School will take appropriate action.

4. Confidentiality of Records – Holy Child will make every reasonable effort to maintain confidentiality and protect the privacy of the parties involved in the investigation of a sexual harassment complaint. All written materials related to the investigation of allegations of harassment will be placed in confidential files, which are separate from student and personnel records. Reasonable effort will be taken to ensure that access to these records is limited to senior administrators and others on a need-to-know basis.

4. Disciplinary Action – Any staff member or student who is found to have committed an act of sexual harassment as defined by this policy will be subject to remedial action including warning, counseling, suspension or expulsion/termination. In addition, some forms of sexual harassment such as sexual relations between an adult and a minor may also violate criminal laws. Holy Child will cooperate with local authorities in the investigation of any alleged criminal activity.

Guidelines for faculty and staff members regarding interactions with students Teachers and Staff hold a unique position of influence and trust that should not be violated or compromised. They exercise their responsibilities in ways that recognize that there are limits or boundaries to their relationships with students.

The following examples outline some of those limits. A professional relationship will be violated if a teacher or staff member: -

Uses sexual innuendo or inappropriate language and/or material with students

Touches a student without a valid reason

Has a sexual relationship with a student

-

Holds conversations of a personal nature or has contact with a student via written or electronic means including email, letters, telephone, text messages, social media or chat lines, without a valid context

Is connected with current students via social media 17

Provides gifts, which could be reasonably perceived as being used to influence them

-

Invites a student or students back to their home or goes to the student’s home without valid reason and express permission from school administration, particularly if no one else is present

-

Is in a car or any place alone with a single student without parental consent

-

Provides Alcohol/drugs to a student or uses alcohol and drugs with a student

Drug-Free Workplace Connelly School of the Holy Child is committed to maintaining a drug and alcohol-free environment for its students and employees in compliance with applicable state and federal laws. There is to be no adult consumption of alcoholic beverages on the School campus unless at a School-sponsored event and with the express permission of the Head of School.

If, in the opinion of the Administration, the job performance of an employee appears to be adversely affected by the use of alcohol or any other legal substance, the Administration will refer the employee for treatment but also reserves the right to terminate employment.

Confidentiality All employees of Connelly School of the Holy Child are required to respect and maintain the confidentiality of all information, including but not limited to, school records, documents, reports, files, correspondence and communications, to which the employee has access in carrying out responsibilities and duties both during and after employment with Connelly School of the Holy Child. All employees of Connelly School of the Holy Child are also required to respect and maintain the confidentiality of all information, including but not limited to, student enrollment and/or performance records, documents, reports, files, correspondence and communications, to which the employee has access in carrying out responsibilities and duties both during and after employment with Connelly School of the Holy Child. With the exception of student work removed for the purpose of grading, none of the aforementioned may be copied or removed from the premises of the School. All employees are expected to show the highest regard for the privacy of each student and the School will strictly observe the confidentiality of records and other information associated with students and the School.

Confidentiality is essential to the sound relationship with our students; it is also a legal and ethical matter of the utmost importance. All personnel will be careful to discuss confidential information only when necessary and appropriate in the context of School operations. Care should be taken to prevent confidential discussions from being overheard by other students, parents, or staff members who are not involved (i.e., discussing problems in the hall or 18

reception area). Furthermore, it is essential that prior to having conversations with service providers including psychologists, testers, and other educational professionals, parents or guardians sign permission slips authorizing such discussion. Calls, letters or other forms of communication from legal counsel should be directed to the Head of School.

Any discussion of confidential information outside the property or similar violation of those standards will result in disciplinary action.

Personal Information Connelly School of the Holy Child works hard to maintain accurate records on every employee.

Any change of name, address, telephone number, emergency contact, beneficiary, marital status, professional license, number of children or other dependents or exemptions for your W4 form should be reported promptly in writing to the school. This personal information is needed for emergencies, payroll deductions, insurance benefits, social security, etc. This information will not be used as a basis for any employment decision.

A list of employee contact information is maintained at the School for the purpose of contacting employees for business purposes. Employees using this information inappropriately face disciplinary action up to and including termination.

Personnel Files Personnel files are maintained in the Office of the Head of School and are the property of Connelly School of the Holy Child. Access to information contained therein is restricted.

Employees may request to see their personnel files but must give the Office of the Head of School 10 days notice to respond to the request. No employee can change or remove any items that are contained in his/her personnel file.

All medical records, if any, will be kept in a separate confidential file. The School will keep this information in the strictest confidence and may not use or disclose medical information without the employee first having signed an authorization form permitting such use or disclosure.

Mandatory Reporting of Child Abuse Child abuse or neglect is defined as behavior or acts resulting in imminent risk of serious harm, death, serious physical or emotional harm, sexual abuse or exploitation of a child by a parent or caretaker who is responsible for the child’s welfare.

The State of Maryland requires that any suspected cases of child abuse be reported to the State within 48 hours. Teachers or staff must immediately report their concerns regarding suspected child abuse directly to the Head of School, the Assistant Head of School, the Dean of Academics, or Dean of Student Life. Then the administrator to whom he or she has spoken reports the case of suspected abuse to the State. Montgomery County Police/Family Crimes Division: 301-2798000. Employees who, for any reason, are unable to report suspected abuse or neglect to one of these individuals may contact the State directly, but should follow up that contact with a report to the Head of School as soon as possible.

VIRTUS Training All faculty and staff members must receive VIRTUS training through the Archdiocese of Washington by July 1, 2016. Class schedule may be found on the Archdiocese website (adw.org) under Child Protection Training. Certificates of completion of this training should be given to the Assistant to the Head of School.

Section III: Other Workplace Policies Open Door Policy We strongly believe in an open door, open communication policy as it is an important benefit to both the School and its employees. If you have problems or concerns regarding this handbook or any workplace issue, you are encouraged to come forward and discuss them with your 20

supervisor in order to resolve the issues quickly and efficiently. However, if your immediate supervisor is not able to satisfy your questions regarding the interpretation or application of this handbook or any other workplace issue, then you are free to contact the next higher level of supervision.

Hours of Work Connelly School of the Holy Child’s regular work week is 40 hours. All full-time teachers must be at work from 7:45 am to 3:45 pm or until the end of the meeting on days of faculty meetings. If for any reason the teacher needs to leave the School during these hours, she/he should tell the Assistant Head of School and sign out at the receptionist’s desk. All other administrators and staff are asked to inform the receptionist before they leave the building.

The school’s classroom day begins at 8:10 am and ends at 3:20 pm, Monday through Friday, except holidays. Students may arrive at school as early as 7:15 am and may remain on the premises until late in the evening for activities and events. The employee sponsoring after school events is responsible to remain on campus until all students participating in the event or activity have been picked up. Therefore, actual work schedules may vary by employee.

Employees should discuss their individual work schedule and expectations with their supervisor.

Conflicts of Interest Employees should avoid any situation that involves or may involve a conflict between their personal interest and the interest of Connelly School of the Holy Child and its students. As in all other facets of their duties, employees dealing with students, parents, suppliers, contractors, competitors, or any person doing or seeking to do business with the School are to act in the best interest of the School and its students. Each employee shall make prompt and full disclosure in writing to his/her supervisor of any potential situation that may involve a conflict of interest. Such conflicts include:  

 

Ownership by the employee or by a member of their family of a significant interest in any outside enterprise that does or seeks to do business with Connelly School of the Holy Child Serving as director, officer, partner, consultant, or in a managerial or technical capacity with an outside enterprise, which does or is seeking to do business with Connelly School of the Holy Child unless the Board of Trustees has provided prior approval Acting as a broker, finder, go-between, or otherwise for the benefit of a third party in transactions involving or potentially involving Connelly School of the Holy Child or its interests.

Any other arrangements, or circumstances, including family or other personal relationships, which might dissuade the employee from acting in the best interest of Connelly School of the Holy Child

Any violation of this policy may lead to disciplinary action up to and including termination. Any Connelly School of the Holy Child employee having knowledge of any violation of this policy shall promptly report such violation to the appropriate administrator. Each administrator is responsible for compliance in his/her area of responsibility. Employees with any concern about any aspect of this policy should contact the Chief Financial Officer.

Policy against Nepotism The employment of relatives, spouses, members of the same household, or those in a romantic relationship with an employee of Connelly School of the Holy Child is allowed by the school, subject to certain limitations. Such persons may not be hired if employment would: (1) create a supervisor/subordinate relationship with such a person; (2) have the potential for creating an adverse impact on work performance; (3) create either an actual conflict of interest or the appearance of a conflict of interest or (4) place both employees in the same department.

Employees in this situation should be aware that the separate department restriction might limit opportunities for promotion or transfer. Employees in such a situation or who have applied for consideration for a job that would place them in this situation should notify their supervisor or the Chief Financial Officer.

Personal Belongings and Employee Privacy For your protection, employees are discouraged from bringing personal luggage or parcels to work and are advised to keep the personal belongings you carry with you to a minimum.

Remember to exercise good common sense and take steps to safeguard purses and wallets at all times. The school cannot be responsible for items that you may leave unsecured or overnight. The school reserves the right to look through its own premises, including premises and property issued to employees for their use, such as desks, lockers, filing cabinets, and offices, regardless of whether those premises or property are issued for any employee’s sole use.

Modifications to School Property To protect its significant investment in property and equipment and to ensure that the school remains in compliance with all relevant safety codes, the school must insist that all employees obtain permission from the Head of School before modifying or attempting to modify school property. This includes installing or removing shelves, dividers, window treatments, or any other permanent or semi-permanent fixtures (other than posters, photos, and other ordinary framed decorations appropriate to the school environment). Modifications to the laptop computer issued to all faculty members may not be done without the permission of the Director of Technology.

Safety

Connelly School of the Holy Child takes the safety of its employees, students, parents, visitors, and other members of the Connelly School of the Holy Child community very seriously. Each employee is responsible for protecting his/her own safety as well as the safety of others. All employees must maintain safe work practices at all times when they perform their jobs or are present on school premises, and must obey all applicable safety rules. Safe working conditions are important throughout the school. If you observe any unsafe conditions, you should report them to your supervisor. Examples of unsafe conditions include, but are not limited to, slippery floors, hazardous equipment, defective or broken equipment, careless handling of combustibles, and cluttered hallways, stairs, exits, and entrances. Employees should familiarize themselves with the school evacuation plan so that they are informed and prepared in the event of an emergency and can assist students in exiting the building and reaching the designated meeting place.

Security Connelly School of the Holy Child is concerned about the increased incidence of violence in society, which has filtered into many workplaces and schools throughout the United States.

Accordingly, the school has taken steps by installing keypads for entry to the school to help prevent incidents of violence from occurring at our school. As a rule, no one should be permitted to use any School facilities who does not have business with the School. Faculty should ask all visitors to check with the reception office and should report any strangers to a member of the administration.

All faculty and staff members are required to wear School identification badges at all times while on School property.

Visitors All visitors to the School must sign in at the main reception area, where they will receive temporary identification badges to wear throughout their visit. At all times, employees remain responsible for the actions of their guests. Visitors should be escorted while on School premises and should not be left unattended. Members of the public visiting the School to attend public events, such as an open house, athletic competition, or public performance may proceed directly to the event venue without visiting the main reception area.

Use of School Vehicles Employees requiring the use of a school vehicle must hold a valid driver’s license for the vehicle to be used, must be eligible for coverage by the school’s vehicle insurance, and must obtain prior approval for use from the Director of Facilities. While using a school vehicle, employees

must obey all applicable traffic rules and laws, including laws prohibiting the use of cell phones while driving.

Emergency Procedures Policy The school has developed emergency procedures for responding to events requiring evacuation of the school (i.e., fire alarm), or sheltering in place (i.e., police activity near the school). These procedures exist to protect the safety of employees, students, and other persons on the School premises and preserving order to ensure prompt rescue and medical treatment as needed.

These procedures may be tested from time to time, as in the case of fire drills. Unless otherwise instructed, however, employees should regard any activation of these procedures as an actual emergency – not a drill. Employees should review the emergency procedures and discuss them with their supervisor to determine their own responsibilities in the event that these procedures are activated. Any employee having questions or concerns about the procedures or his/her responsibilities under the procedures should contact his/her supervisor or the Director of Facilities to discuss and resolve these issues.

Fire Drill – When the alarm rings, all students and personnel leave the building at once, following the exit routes that are posted in each room. There is no running, pushing or talking.

Upper School students go to the athletic field; Middle School students go to the front field.

Students line up alphabetically in homerooms. Teachers go to their homeroom group and check the roll. Homeroom advisors for a given grade should consolidate their lists of students missing onto one sheet of paper. One teacher per grade should turn in the attendance tally to the Dean of Student Life or the Assistant Head of School. Teachers who are not responsible for a homeroom, plus administrators and staff, assemble on the field next to the seniors. No one is to re-enter the building until permission has been given by administrative personnel.

Evacuation Codes – The following procedures are used in a non-fire emergency that threatens the safety of those on campus.

1. Code Yellow: (Exit the building as instructed) a. Go to designated area i. 50 feet away from building – Congressional Court ii. 300 feet away from building – Norwood School b. Stay calm c. Listen for the “All Clear” call 2. Code Blue: (Emergency/Crisis at or near Holy Child) a. Stay in classroom - Classroom instruction continues with controlled class changes b. Students are cleared from hallways and common areas – all students are accounted for c. Stay calm d. Listen for further instructions 24

3. Code Red: (Emergency/Crisis at or near Holy Child – Lockdown*) a. Clear all hallways and common areas b. Students go to nearest secure classroom/location c. Faculty locks doors, closes windows, draws blinds and turns off lights. All move away from doors. d. Stay calm e. Listen for further instructions f. Silence is kept until the “All Clear” call has been issued. *Total Lockdown – no one comes in/no one goes out Additional Points regarding Code Red: 1. Information will be posted on the Web site as we know it 2. Megaphones will be used if electricity is not working 3. If access to Virginia is blocked, we will keep the students at Holy Child, overnight, if necessary.

4. We have emergency supplies of food and water 5. Teachers and Administrators are expected to stay on campus for the duration of the emergency unless other arrangements have been made with the Assistant Head of School.

Exposure Control Plan The School has developed a Blood borne Pathogens Exposure Control Plan in accordance with federal health and safety regulations. This exposure control plan is designed to assist all of us in maintaining a safe working environment. Please see your supervisor or the Director of Facilities if you have any questions about the plan.

Exposure Determination - The job classifications in which some of the employees have occupational exposure to blood and/or infectious material include     

Teachers: P.E. teachers who work with students involved in contact sports and a certified first-aid faculty member who is on call in emergencies School Nurse The Head of School or the administrator who calls in emergencies Coaches who work with students playing lacrosse, field hockey, soccer, basketball and softball, where there is an increased likelihood of injury Maintenance person who is called to clean up after emergencies

The individuals in these job classifications are eligible to receive the Hepatitis B vaccine free of charge. At-risk employees who decline the Hepatitis B vaccine must sign a copy of OSHA's HBV declination. Signed permission and declination forms will be kept in the main office.

Implementation of Standards – Beginning in September, 1993, all employees at Holy Child will: 25

Wear disposable gloves when touching any bleeding wound on a student Wear disposable gloves when touching blood or any body fluid Wear disposable gloves when touching any object or material which appears to be contaminated with blood or body fluids Dispose of all trash contaminated with blood or other body fluids measuring greater than two teaspoons (with the exception of soiled sanitary napkins) in containers designated for infectious material. The red bags dispensed to teachers should be disposed of in the biohazard box located in the School Nurse's office

Procedure for the Evaluation of Circumstances Surrounding Exposure Incidents – All exposure incidents should be reported to the School Nurse as soon as possible. She will inform the Head of School and submit a written report to her. Employees who have been exposed to bloodborne pathogens must be seen by a doctor at least one time.

The Head of School will file written documentation of the exposure incident that will include:    

The name of the individual exposed The name of the source of exposure A description of what happened The date and time of the incident

The report will be kept with the health records for the period of time specified by OSHA, which is thirty years past the exposed individual's time of employment at Holy Child.

Training - The School Nurse and the Director of Facilities will conduct a training session on the standards for new occupationally exposed employees each September, or as needed. The training program will include:          

How to obtain a copy of the OSHA standards Information on the epidemiology and symptoms of bloodborne diseases Ways in which bloodborne pathogens are transmitted Explanation of the Exposure Control Plan Information on how to recognize tasks that might result in occupational exposure Explanation of the use and limitations of gloves as well as the proper technique of gloving and removing contaminated gloves Information on Hepatitis B vaccine such as safety, benefits and methods of administration Information on whom to contact in an emergency or exposure incident Information on hazardous material signs and what to do with contaminated waste Question and answer session on any aspects of the training

Training records will be kept in the main office for at least three years from the date of the training session. These records must include:    

Date of training sessions Material covered Names and qualifications of the trainers Names and job titles of the trainees

This Exposure Control Plan will be reviewed and maintained by the Director of Facilities and updated each September or whenever new or modified tasks and procedures affect occupational exposure.

Contagious Infections Connelly School of the Holy Child recognizes and appreciates our employees’ dedication to performing their duties and to assuring that the needs of our students are met. At the same time, however, we must ensure that employees do not unintentionally jeopardize the health or safety of the school community by spreading contagious infections to students or other employees. For that reason, we ask that employees with contagious infections take necessary, reasonable steps to avoid the spread of infection during the contagious period.

Emergencies and Inclement Weather Employees are expected to make an effort to get to work during periods of inclement weather, but it is not the intention of Connelly School of the Holy Child to require employees to take risks that may endanger their safety. In times of inclement weather, Connelly School of the Holy Child will follow the announced schedule for the day from the Montgomery County School System.

Snow/Cyber Days-- In the case of excessive missed school days due to inclement weather or unforeseen causes, faculty will be required to conduct cyber lessons via their Veracross teacher page. After the first three snow days of the year, faculty members are expected to post assignments for students adhering to the follow policies and procedures: 1. Lessons must be posted to Veracross by 10am on the fourth snow day of the year.

2. Faculty should be available for “online office hours” from 3:00-4:00pm.

3. Lessons should not take students more than 30 minutes to complete; this includes homework assignments.

4. Lesson directives should be entered as a “Quick Post” or “New Post” on Veracross so that they populate a teacher’s “newsfeed.” Necessary attachments should be added to the post.

5. Faculty are encouraged to use the “Discussion” feature when appropriate to encourage interaction between students.

6. Students are not required to complete cyber lessons on days when the course would not typically meet. Faculty should specify on their post which blocks are required to complete the lesson.

7. Students must log on to Veracross and complete the assignments to turn in to their teacher during the next class meeting.

Professional Development Connelly School of the Holy Child actively encourages continuing education for all of its employees. As a condition of employment, at least once a year faculty members are required to participate in some type of professional development on their own in addition to the schoolwide professional development activities provided by the administration. Attending meetings or workshops and visiting other schools are examples of professional development that directly impact the curriculum and are, therefore, actively supported by school administration.

Administrative support includes hiring substitutes to cover classes, allocating necessary funds and including professional development reports on the agenda of faculty meetings. Teachers are expected to share their experiences with their colleagues, thereby enhancing the development of the curriculum in the School.

All faculty should continue to develop their professional interests and expertise. To that end, funds have been allocated in the following three ways: 1. Administrative Level Funds: These funds are used at the discretion of School administrators for school-wide staff development. Outside speakers, faculty retreats and orientation workshops are examples of the types of activities covered by these funds.

2. Departmental Budgets: Professional memberships, meetings and workshops directly related to a teacher’s present academic assignment are paid from the Department’s professional budget. These funds are allocated at the discretion of the Department Chairperson in the Upper School and the Assistant Head of School in the Middle School.

Activities covered by departmental funds include required workshops and subject area meetings.

3. Individual Professional Development: Up to $1,000 per year per individual has been set aside for full-time faculty development (prorated for part-time faculty). This money can be rolled over from one year to the next for a total of not more than $2,000. This fund is designed to be used for an individual faculty member’s professional advancement.

Coursework and extended training as well as necessary related travel are examples of the types of expenses covered by this fund. Decisions regarding dispersal of this fund will be made by the Professional Development Committee consisting of the Assistant Head of School and faculty representatives from both divisions. Applications for this

fund can be found in the faculty mail room and on the faculty page of the school website.

Personal professional development funds are used only for items/experiences which cost over $250. Faculty members must write a proposal, get it signed by their supervisor, and then, once the proposal has been approved, a PO should be written up (where it says “To”, the name and address of the payee should be entered – if a faculty member paid on their own and needs to be reimbursed, his/her own name should go in that box) and given to the chair of the Professional Development Committee to sign. The committee meets only once a month so proposals should be given to me at least 6 weeks ahead.

Any items under $250 should be paid for from the faculty member’s department budget (for Upper School faculty) or the Middle School budget (for Middle School faculty). The PO should be completed in the same manner but signed by the department chair.

New Teacher Meetings – Orientation day for new teachers takes place in late August and is followed by regular mentoring meetings. This program is designed to give new teachers the opportunity to ask questions, hear from others and learn about School procedures and traditions. These required meetings are chaired by a variety of experienced teachers and administrators as well as one coordinator throughout the year.

Advanced Degree Notification Connelly School of the Holy Child takes great pride in the academic achievements of its employees. We have been fortunate in our ability to attract and retain the highest caliber of faculty and staff. To keep the school informed of the academic advancement of our employees, we request that employees obtaining or holding an advanced degree provide the Chief Financial Officer with a copy of the confirmation of the receipt of the degree from the granting institution.

Performance Appraisals Performance appraisals allow us formally to recognize and evaluate your performance. Under ordinary circumstances, each new employee will receive at least two written performance appraisals per year. Veteran faculty will receive at least one written performance appraisal every three years. Employees should understand, however, that Connelly School of the Holy Child monitors and evaluates performance on a continuous basis. This evaluation considers the quality and quantity of your work, demonstrated job skills, initiative, attendance, personal conduct, and general attitude toward your job, your colleagues, students, parents, and other members of the Holy Child community. While Connelly School of the Holy Child will try to assist employees with unsatisfactory performance to make improvement, the ultimate responsibility for improving performance rests with the employee.

Professional Goals – During orientation, all employees generate two professional goals for the year and indicate ways in which they hope to achieve these goals. Copies of teachers’ goals are given to the employee’s supervisor. The supervisor helps the individual develop a goal that is realistic and attainable and communicates through observations if the goal is being reached. In May/June, teachers review their goals in writing and evaluate the progress that they have made in meeting them.

Classroom Observations/Formal Evaluations – For faculty members, classroom visits occur throughout the year with a view toward sharing the best teaching ideas and techniques. These visits, both formal and informal, give teachers, Department Chairs, Dean of Academics, Assistant Head of School and the Head of School an opportunity to see the many excellent teaching activities taking place in classes.

Each teacher will become a member of their own Development Team which will include the following individuals: the Department Chair, Dean of Academics (US), and the Assistant Head of School (MS). The faculty Mentor Teacher will also be available for consultation, but will not be responsible for evaluation.

New Faculty: Each new faculty member will be evaulated twice annually by the chair of his/her department and the Dean of Academics and/or Assistant Head of School. The visit is preceded by a pre-observation conference and followed by a post-observation conference to review the written evaluation which considers the content of the lesson, the teacher’s particular strengths, feedback addressing the areas of the teacher’s concerns and in areas in which improvement is suggested by the Development Team.

Together, the faculty member and their Development Team will decide what specific steps the teacher will take to improve. Any subsequent obeservations will focus on the teacher’s implementation of the suggestions.

Veteran Faculty: Veteran faculty are teachers who have been teaching at Holy Child for at least three (3) years. As such they are trusted to implement best practices and employ the school’s mission through their teaching on a continuous basis. Therefore, veteran faculty will be formally evaluated on a three year cycle. During non-evaluation years, faculty will still be appraised of performance via impromtu walkthrough observations. Walkthroughs are intended to provide an opportunity for members from the Development Team to provide feedback to teachers with a growth mindset intention. However, should an issue of concern become apparent at anytime, the teacher will be formally assigned a Professional Improvement Plan (PIP). A minimum of three walkthroughs should be conducted by members of the Development Team by January 31st each year. Completing these walkthrough observations should follow these procedures: 1. Each member of the Development Team will conduct their first round of walkthrough observations by the end of the first quarter.

2. The observed teacher should receive feedback from the walkthrough no later than one week following the observation. This feedback will be shared electronically.

3. The observed teacher should complete the walkthrough form by reflecting on the feedback and submit the completed form to the Dean of Academics (US), or the Assistant Head of School (MS).

4. Some time during the first week of the second quarter, all faculty should administer the Student Performance Indicator Survey to each of their classes. Teachers are responsible for collecting, analyzing and reflecting on this data. A completed reflection form should be submitted to the Dean of Academics (US), or the Assistant Head of School (MS) by Thanksgiving each year.

5. The Development team will then schedule a post-conference with the observed teacher, to be completed before January 31st to review the completed documentation and discuss future plans for growth.

Should a faculty member wish to contest or add to the content of a formal performance evaluation, a meeting will be held with the faculty member, his/her direct supervisor and the Assistant Head of School. A decision will be made at that meeting determining whether the faculty member will write a formal response to the evaluation or whether a new evaluation may be done in place of the original.

Department Chair Peformance Review—Each Department Chair will be evaluated by the Dean of Academics and Assistant Head of School based upon their leadership in the ares of mission, pedagogy, and procedure, on an annual basis. Performance reviews will occur by the end of January each year. When necessary, Department Chairs may be assigned a performance improvement plan (PIP), in which case a second performance review will occur not less than 30 days following the issuance of the PIP to measure improvement. If it is deemed necessary following the improvement period, the chair may be asked to step down from their position of leadership.

Remediation Procedures – When there is a serious concern about the performance of a teacher or staff member, he or she is placed on a formal Professional Improvement Plan (PIP) provided to the employee in writing and setting out specific criteria for improvement. In addition, conferences, classroom observations when appropriate, follow-up meetings and specific help appropriate to the situation are provided by the employee’s supervisor. If, after a remedy period of not less than 30 days and after consulting with the Head of School, it is the opinion of the supervising administrator that the specific criteria for improvement have not been achieved, the employee’s contract can then be terminated, with 30 days written notice, for failure to successfully remediate the conduct about which there were concerns. Faculty members will be notified by March 1 in those cases where the Head of School is considering not issuing a contract because of serious concern about the performance of a teacher.

Professional Development Walkthroughs – All teachers, but particularly those new to teaching or new to the School, are encouraged to visit other classrooms, both within and outside their own discipline as a means for professional growth and to build collegiality. All teachers are required to perform at least two walkthrough observations at least twice per quarter/trimester.

Feedback following a walkthrough should be provided to the observed teacher no less than one week following the walkthrough. The completed walkthrough form should be submitted to the Dean of Academics (US), or the Assistant Head of School (MS) within two weeks of the walkthrough.

Contracts – All faculty members are on year-to-year contracts. Upon the recommendation of the Assistant Head of School, the Head of School extends an offer of employment for the following year. Ordinarily, contract offers will be made on or before April 1. Note that full-time positions will be filled before part-time positions are offered.

Background Checks It is State legislation that all employees of private and non-public schools hired on or after November 7, 1986 should submit to a criminal background investigation. All faculty and staff members must provide the following:  I-9 Form  Criminal background check & fingerprint cards  Copies of official transcripts It is imperative that the students of Connelly School of the Holy Child are in a safe and secure environment and that the integrity of our School is beyond question. To this end, claims and allegations of inappropriate contact with minors, abusive behavior, and other acts of violence are taken very seriously. Connelly School of the Holy Child strongly supports the professionalism and reputation of each and every staff member and wants to assure the protection of all. Should you be accused or investigated for any alleged infraction or misconduct involving a minor or any act of violence, notice of such accusation or investigation must be reported to the Head of School immediately. The school will make the determination as to how to best assure the privacy and protection of all parties involved.

Section IV: Workplace Conduct Standards of Professionalism Connelly School of the Holy Child’s reputation and success are determined by the work that we do and the employees who represent us. Regardless of whether you are interacting with students, parents, trustees, alumnae, suppliers, fellow employees, or the public in general, the manner in which you conduct yourself should reflect the standards of professionalism, quality and integrity embraced by Connelly School of the Holy Child. Such attributes as personal appearance, behavior, habits, and communication skills play a major role in projecting the 32

school’s image. The school’s reputation and success are determined by the quality of our working environment. Employees are expected to treat each other with respect and courtesy at all times.

Discipline The school recognizes that, in a professional work environment like ours, most employees take responsibility for ensuring that their own behavior complies with School standards.

Unfortunately, it may become necessary for the school to take disciplinary action when an employee fails to meet the School’s performance, attendance, conduct, or other expectations.

The School has sole discretion to determine whether circumstances warrant disciplinary action and, if so, what type of discipline is warranted. Examples of possible disciplinary action include but are not limited to oral warnings, written warnings, suspension, and termination of employment. The school is not limited to the actions previously described and may apply any of those actions it deems appropriate, or any other disciplinary actions, at any time, with or without notice. Nothing in this policy alters the “at will” nature of employment.

Employee Conduct The orderly and efficient operation of Connelly School of the Holy Child requires that employees maintain proper standards of personal conduct. Fortunately, the vast majority of our employees have the desire and self-discipline to follow common sense rules. These rules are necessary to protect the Connelly School of the Holy Child and our employees and to ensure that the school meets its commitments to our community.

While every situation cannot be anticipated, the following section provides examples of types of impermissible conduct that may result in disciplinary action including immediate discharge.

In all instances, the School administration will determine the appropriate discipline to be imposed. Commission of any of the following or similar acts is considered serious and provides grounds for disciplinary action up to and including termination of employment.

Without limiting Connelly School of the Holy Child’s right to discharge an employee at any time, with or without cause, the following acts of misconduct are provided as nonexclusive examples of unacceptable activity.    

Misusing, defacing, destroying, stealing, or wrongfully possessing property of the school or school employees, students, vendors, or visitors Possessing weapons, firearms, or ammunition on school property Possessing, using, distributing, or being under the influence of illegal drugs at any time while conducting school business or while on school property Committing a criminal act in conjunction with job performance, or which victimizes or is abusive to a School employee, student, parent, vendor, or visitor 33

Supplying false or misleading information when applying for employment, or at any time during your employment Altering, destroying, willfully misplacing, discarding or falsifying school records Failing to maintain any privilege or the confidentiality of school information, including but not limited to, documents, reports, records, files, correspondence, and communication Publicizing your relationship with the school in the furtherance of any outside business, political, or philanthropic pursuit without the express written approval of the Head of School Engaging in any unethical conduct, including soliciting or accepting any gratuity, favor, gift, or entertainment from anyone who reasonably believes they might benefit from your connection to the School.

Uttering, publishing, or distributing false, vicious, or malicious statements concerning the school or any of its employees, students, parents, or trustees Being tardy excessively, failing to report to your supervisor, being absent from work without proper permission, or misusing leave Using abusive language or engaging in disrupting or discourteous behavior adversely affecting employees, students, parents, vendors, trustees, or visitors Performing duties in an irresponsible or unsafe manner, or behaving in a manner not conducive to a safe and healthful work environment, including engaging in horseplay or throwing objects on school property Deliberately or through gross negligence causing injury to another person, or committing gross negligence or carelessness Smoking or otherwise using tobacco on school property Making or receiving excessive personal phone calls Refusing or failing to perform assigned work, to follow a supervisor’s instructions, or committing any act of insubordination Violating any policies or procedures contained in this handbook.

Attendance and Punctuality Meeting our commitment to provide the best educational experience to our students requires that all employees perform their jobs in an efficient and timely manner. Satisfactory attendance and punctuality is necessary for the efficient operation of the School. To ensure that we meet our commitments to our students and to our colleagues, the school requires all employees to be present between 7:45 a.m.and 3:45 p.m. unless they are absent due to school business or approved leave.

In case of illness, teachers should not communicate their absences by e-mail. Upper School faculty members should call Mary Hopkins at (301) 437-6162 to report that they will be absent.

If necessary, the teacher should leave a voice mail message. Faculty members should also contact their Department Chair to report that they will be absent or late.

Administrators must call the Head of School to report that they will be absent or late. Staff members should call their immediate supervisors.

Teachers are required to leave assignments which will last the full class period and the time and room number for each class. Assignments should be left on the teacher’s desk. A copy of these plans should be emailed to the Assistant Head of School. Teachers are required to develop an “Emergency Sub” folder with substantive assignments for those times when circumstances may make the communication of lesson plans impossible. There should be a copy of the “Emergency Sub” folder in the Assistant Head of School’s Office.

If a teacher will be late to School because of traffic or other unexpected circumstances, she/he should call the School and ask the receptionist to relay the information to the appropriate person. Do not leave a message on voice mail since it may not be received in a timely manner.

In other instances, when the teacher has a reason to request substitute coverage, such requests must be approved by the Assistant Head of School; requests need to be made at least three days in advance. Teacher Substitution Request forms are in the mailroom. They should be filled in and given to the Assistant Head of School as early as possible so that a substitute may be assigned to cover the classes. There may be times when the classes of most of a department will need to be covered (i.e., Religion Department on Retreat days). It is helpful for the department to coordinate activities so that fewer substitutes will be needed. When a substitute is needed, faculty members may be asked to cover a colleague’s class.

Repeated, excessive, or unreported failures to arrive at work on time will result in discipline up to and including termination. Similarly, repeated or excessive unauthorized early departures from work may result in discipline, up to and including termination. Repeated, excessive, or unreported absences from work will result in discipline, up to and including termination.

Personal Dress and Appearance Standards Connelly School of the Holy Child expects all employees to dress and groom themselves in accordance with accepted social and business standards. A neat, tasteful appearance contributes to the positive impression you make on our community. You should be suitably attired and groomed during working hours and when representing the School, whether on the premises or at another location.

Clothing also must be suitable for the academic environment and set an appropriate example for students. Therefore, the following is NOT ACCEPTABLE even on tag days: spandex; short shorts (more than 3” above knee); tight or revealing clothing; the observable lack of undergarments and/or exposed undergarments. Jeans may be worn ONLY on tag days.

Attire and grooming should be a matter of concern for each employee. If your manager feels your attire and/or grooming is out of place, you may be asked to leave your workplace until you 35

are properly attired and/or groomed. Employees who violate dress code standards may be subject to appropriate disciplinary action.

No Solicitation Except for fund drives directly related to raising funds for Connelly School of the Holy Child, the conduct of non-school business, such as canvassing, collection of funds, pledges, circulation of petitions, solicitation of memberships, or any other similar types of activity is not permitted during working time of either the employee doing the soliciting or being solicited or at any time in student or public areas.

The distribution of non-school literature, such as leaflets, letters, or other written materials by an employee is not permitted during working time of either the employee doing the distributing or the employee to whom the non-school literature is being distributed, or at any time in working areas or in student and public areas.

Business Equipment and Electronic Privacy All of Connelly School of the Holy Child’s business equipment, including copiers, printers, fax machines, postage meter, computer systems (including e-mail, internet systems, and electronic storage), and telephone equipment (including voicemail) are the School’s property and are intended for School purposes only. There is a cost to the School associated with the use of all of its business equipment, and the equipment must therefore be used only for work performed for the school.

The School recognizes that, in limited circumstances, it may be necessary for an employee to make or receive a personal phone call or electronic mail during working hours. With regard to faculty members, work-related calls should be made during a teacher’s prep time or lunch time.

Faculty members should not use cell phones for personal communications during class time.

Only for emergencies should a teacher leave a class or other duty for a phone call.

The use of the email system may not be used to solicit for commercial ventures, religious or political causes, outside organizations, or other non-job related solicitations. Furthermore, the email system is not to be used to create any offensive or disruptive messages. Among those that are considered offensive are any messages that contain sexual implications, racial slurs, or any other comments that offensively address someone’s age, sexual orientation, religious or political beliefs, national origin, or disability. In addition, the email system shall not be used to send (upload) or receive (download) copyrighted materials, trade secrets, proprietary financial information, or similar materials without prior authorization.

Connelly School of the Holy Child has the right to monitor voice mail or email messages. The School will inspect the contents of computers, voice mail or email in the course of an investigation triggered by indications of unacceptable behavior or as necessary to locate needed information that is not more readily available by some other less obtrusive means.

Connelly School of the Holy Child does not condone the illegal duplication of software. The copyright law is clear. The law protects the exclusive rights of the copyright holder and does not give users the right to copy software even for backup purposes unless the manufacturer does not provide a backup copy.

Network and Telecommunication Acceptable Use Policy The purpose of the Holy Child Network is to provide its users with the ability to share resources, search databases, retrieve information and communicate with others both in School and with the unique resources of the Internet. Telecommunications use at Holy Child is for educational purposes and should be used to enhance and enrich learning. The Curriculum at Holy Child encourages students to explore and investigate information and ideas from a wide variety of resources. Learning how to access this wealth of information available on the Internet and how to communicate electronically are skills necessary for success in life and work in the 21 st century.

Because access to the Internet provides connections to computer systems located all-over the world, students (and parents of students), faculty, staff, and guest users must understand that Holy Child cannot control the information available. Some information available is controversial and/or offensive.

The Holy Child Network cannot be responsible for harm caused directly or indirectly by its use. It cannot be responsible for lost data or for the accuracy of the information obtained. While precautions are taken to safeguard the privacy of e-mail, users must assume that electronic communications are not completely private.

Use of the Holy Child Network is a privilege, not a right. Holy Child network users are expected to use the service in a responsible and courteous manner. Unacceptable uses of the network include, but are not limited to, the following activities: *Attempting unauthorized access to system networks, other user accounts, and private files.

Unauthorized altering of data, hardware or software Violating copyright laws Communicating threatening, abusive, otherwise objectionably language or material in either public or private messages (Internet bullying) Accessing sexually oriented/explicit material Using the network for illegal activities, for lobbying or for commercial purposes Disrupting network use by others Reposting of personal communications without the author’s consent Communicating your personal address or telephone number over the network 37

Internet instant messaging programs not used for educational purposes are prohibited.

Social Networks such as Facebook, Instagram, and others are not permitted without faculty supervision.

Uploading private and sensitive School information to unauthorized cloud services. Please contact the Technology Department for a list of authorized cloud services.

The Holy Child Network is for use by authorized individuals only. Any unauthorized access to this network is prohibited and subject to civil and criminal penalties under Federal Law (PL 83-703 and 990474). Individuals using this network are subject to having activity on this network monitored. Anyone using this network expressly consents to such monitoring. User privileges may be suspended without warning.

All personal Internet devices including but not limited to tablets, laptops, netbooks, and smart phones using our Holy Child Guest wireless network are guided by the same principles specified in the unacceptable use of the network and telecommunications section. Failure to follow the network and Internet usage guidelines can cause the suspension of user privileges without warning.

Social Media Policy Because the use of Social Media can bridge both the work life and personal life of employees, some conflict of responsibilities may occur. Members of the Faculty/Staff should understand that they are accountable for their postings and other electronic communications that are job-related, particularly online activities conducted with a School email address. Faculty and Staff members serve as role models and as such must exercise appropriate discretion when using Social Media, even for personal communications, that may impact their role at the School.

Holy Child does sponsor a Facebook page for development, alumnae relations, and marketing purposes. All postings to this site will be intiated under the direction of the Development Department.

Members of the Faculty/Staff should not initiate or accept social media ‘Friend’ requests from current students of any age or former students under the age of 18. Professional discretion should be used when friending alumnae of 18 years of age or older. When doing so, it is important to recognize that many former students have online connections with current students and that information shared between recent alumnae is likely to be seen by current students as well.

Employees are also discouraged from friending parents of current or prospective students due to inherent conflicts of interest that maybe raised.

When posting messages to blogs (i.e., meant to broadly include a variety of online discussion forums), Faculty/Staff members may not state or imply their connection to the School without prior written consent of the Head of School. Care should also be exercised with postings of personal profile data to ensure that this does not reflect poorly on the ability to serve as a role model. Furthermore, Faculty/Staff members are not permitted to use the School’s logo, trademarks, official photographs or any other intellectual property materials without written consent of the Head of School.

Any employee who violates this policy or uses the email system for improper purposes may be subject to discipline up to, and including, termination.

Use of Campus Facilities Campus facilities may be reserved by School departments, faculty, and staff for School business, and by recognized student organizations or sponsored non-school organizations for use that is consistent with the School’s missions and goals in education, culture, or community service.

All non-school activities must be coordinated and approved through the Chief Financial Officer.

Approved private social gatherings hosted by individuals or organizations affiliated with the school may be held in certain campus facilities if no academic use is contemplated for the facility at the time the event is scheduled, and only if the event will pose no conflict with School activities.

Workplace Tobacco Use To protect the health and safety of our employees and students, and to set a positive example for students, Connelly School of the Holy Child maintains a tobacco-free workplace. There is no smoking or tobacco use in any office space. This includes private offices, conference rooms, restrooms, lunchrooms, hallways and stairwells.

Dental Insurance Dental Insurance is a separate plan from health insurance. Premiums are deducted on a before tax basis, but the school does not contribute to this plan. Eligibility is 60% of full time for faculty and 24 hours per week for 12 month employees.

Flexible Compensation Plan This plan allows employees to have amounts withheld from their compensation to be used to pay certain qualified medical and dependent care expenses. Amounts contributed to the plan are not subject to federal, state, social security or Medicare withholding. The maximum amounts that can be withheld are $2,550.00 for medical expenses and $5,000.00 for dependent care.

AFLAC Aflac is a separate plan from health insurance and short term disability. Premiums are deducted on a before tax basis, but the school does not contribute to this plan. Aflac pays cash directly to the employee to help with daily expenses due to a covered illness or accident. Please see the business office for more information.

Legal Benefit For a $20.00 enrollment fee and $19.00 per month (deducted on an after tax basis from your paycheck) Legal Resources offers 100% coverage of many legal needs such as will preparation to a 25% discount on more complicated issues. Please contact the business office for more information.

Deferred Compensation Employees may elect to contribute a portion of their compensation into a separate qualified 403(b) retirement plan at TIAA-CREF. Contributions are tax deferred and there is no waiting period for participation. Limitations on contributions and withdrawals are in accordance with regulations issued by the Internal Revenue Service. If you would like to start deferring compensation or change the amount of your deferral, please come to the Business Office for the appropriate form.

Pension Holy Child makes a contribution to a 403(b) retirement account with TIAA-Cref for all eligible employees who have completed one year of continuous service, work at least 1,000 hours per year. The employee is fully vested in all contributions made by Holy Child to the plan. The employee selects the type of investments from various funds offered by TIAA-Cref. Holy Child’s contribution is 5% of the employee’s pay and is independent of the employee’s election to participate in the deferred compensation plan.

Group Life and Accidental Death and Dismemberant Insurance (AD&D) The employer paid life insurance plan provides coverage in an amount equal to 200% of an employee’s annual earnings (rounded to the next thousand dollars) or $50,000, whichever is less. The employee is covered as long as he/she is employed at Holy Child. Employer paid AD&D pays a benefit if you are dismembered as the result of an accident. It will also provide benefits for accidental loss of eyesight, hearing or speech, loss of a limb use do to paralysis, disfiguring third-degree burns or coma. Your basic coverage for Life and AD&D will reduce when you reach a certain age.

Eligibility is 80% of full time for faculty and staff.

Long Term Disability (LTD) The employer paid long-term disability policy provides 60% of basic monthly earnings to a maximum monthly benefit of $5,000. LTD covers injuries and illnesses that are both workrelated and non-work related. You must submit a claim and be approved by Aetna to receive benefits. The monthly benefit may be reduced if other disability benefits are received. There is a 90-day elimination period after the onset of the disability before benefits are received. The maximum monthly benefit is $5,000.00.

Eligibility is 80% of full time for faculty and staff.

Short Term Disability (STD) The employer paid STD plan pays a 60% weekly benefit of your pre-disability earnings for a covered disability. You must submit a claim and be approved by Aetna to receive benefits. STD pays benefits for illnesses or injuries that are unrelated to your occupation or workplace.

Normal pregnancy is covered, with any pregnancy-related complications treated same as illness. Benefits begin 8 days after a covered injury or illness and end at 13 weeks or recovery, whichever comes first.

Eligibility is 80% of full time for faculty and staff.

Employee Assistance Plan Holy Child has an employee assistance plan (EAP). This benefit offers professional and confidential counseling services at no cost to the employee and dependents for the initial phone call and three face to face sessions. The phone number is: 1-855-283-1915. This is available anytime.

Family Medical Leave (FML) An employee who has been employed for at least 12 months and worked at least 1250 hours during the previous 12 month period is entitled to a total of 12 weeks of unpaid leave during any 12 month period. The 12 month period will be calculated on a calendar year basis. Family and medical leave may be taken for one or more of the following reasons:   

The birth of a child of the employee and to care for the child Placement of a child with the employee for adoption or foster care To care for a parent, spouse, or child with a serious health condition; or a serious health condition that makes the employee unable to perform his/her job function

An employee must first use any accrued vacation, sick or personal leave as part of their leave period Medical coverage for an employee enrolled under our group health plan will continue while on FML, under the same terms and conditions as when the employee was working. If an employee fails to return to work from FML, the employee must reimburse the school for the premiums it paid for continuing medical coverage. Annual sick and personal leave do not accrue during the FML.

COBRA All employees who are currently covered by Holy Child’s Health/Dental insurance are eligible for COBRA when employment is terminated either voluntarily or non-voluntarily. The former employee will pay the entire cost of the premium as well as an administration fee. COBRA is out-sourced through a third party administrator.

Vacation All 12-month full time employees will earn vacation after completing 3 months of service.

During the first two years of service, vacation will accrue at 10.0 hours per month (three weeks annually). In all subsequent years, vacation will accrue at 13.34 hours per month (4 weeks annually). Employees may accrue up to 8 weeks of vacation. The maximum leave that will be paid at termination is four weeks.

Sick/Personal Leave All eligible employees are entitled to 10 days of sick/personal leave per year, accrued ratably through the year. Employees may accrue up to 30 days of sick/personal leave. This leave is not to be used as additional vacation and is not paid upon termination.

Section VI: For Faculty Only Teaching Duties Each full-time teacher is responsible for teaching assigned classes and assisting with auxiliary duties which promote the general well-being of the School. These duties include serving as advisor to a homeroom, supervision of lunch, attending retreats and field trips, as well as substituting for a colleague, writing student recommendations and other duties which may from time to time be assigned by the Head of School or Assistant Head of School. Every effort will be made to staff auxiliary duties on an equitable basis that takes individual schedules into account. The Head of School, in consultation with the Assistant Head of School, may reassign faculty members during the School year, based on the needs of the School, enrollment and specific personnel requirements. In cases of reassignment, the faculty member meets with the Head of School and a new contract is issued.

Members of the faculty and administration are committed to enabling each student to realize her greatest academic and individual potential. It is the essential role of the entire staff to recognize and nurture the talents and abilities of each student. As Cornelia Connelly urged all of her teachers to take the trouble to study each child, the faculty of this School varies the work within the classes to suit individual abilities and learning styles. Faculty members provide individual help for the students as needed at a mutually agreed upon time. This help may be given during the School day or before or after School. Faculty members do not charge tutorial fees to students currently enrolled in their classes.

Faculty members are encouraged to use a variety of methods in evaluating a student's performance and to consider diverse means of assessing a student's achievement. They are also asked to stress the importance of the School's Honor Code.

Bells are rung at the end of classes in the Upper School only. Teachers should have all assignments given before the end of the period. It is important that assignments be written on the board, as well as given orally, since different students receive information in different ways.

Assignments must be placed on teacher web pages.

Since early or late dismissals disturb other classes, teachers are required to keep students in class for the full period but not beyond. Upper School students should not be dismissed from

their last period class until announcements have been made. No class or part of a class may be canceled without permission of the Assistant Head of School.

Classroom Care -Each teacher is responsible for the classroom she/he is using. At the end of each day teachers should close windows and turn off lights. Classrooms should be relatively neat at all times with nothing on the floor to impede movement. Approriate school personnel should be notified if there is a problem with the functioning of any furniture or equipment in the classroom.

Classroom Displays - Lively, interesting displays enhance the classroom immeasurably. Each teacher is responsible for providing an attractive atmosphere. Colored paper for classroom displays is available in the art room.

Supervision of Students – Teachers are responsible for the supervision of students assigned to them for class. In an emergency, should a teacher need to leave the classroom, students should be instructed to continue their work while one student reports the teacher's absence to the office. In the event that a teacher or his/her substitute is not present within ten minutes after the scheduled start of class, one student should report the situation to the Assistant Head of School. All other students remain in the classroom. Students who dismiss themselves will be considered to be skipping class. Each teacher is asked to review these policies with students at the beginning of the year.

Student Discipline – All faculty members are responsible for fostering the spirit of trust and cooperation in the School just as they are responsible for effective teaching. Teachers are to remind any student if she is not behaving in a manner which is acceptable.

Teachers need to enforce all school rules - Teachers are expected to be familiar with and to adhere to the guidelines printed in the Student/Parent Handbook regarding attendance, uniform rules, student behavior and general guidelines. Teachers need to see the Dean of Student Life about any consistent behavioral problems or any student exhibiting unusual behavior. Teachers should give detentions for infractions of school rules such as lateness to class/homeroom, improper cell phone usage, chewing gum and improper behavior, but not for late homework or failure to bring books to class. To assign a detention, teachers in the Upper School should completely fill out the Detention/Referral to the Dean Notice (including the detention date) and give the bottom copy to the student and the top two copies to the Dean of Student Life. Teachers in the Middle School oversee their own detentions after notifying their Grade Level leader.

Taking Attendance – Accurate attendance must be recorded electronically each class period in Veracross. If the Veracross database indicates that a student should be present in your class and she is not there, please mark her absent and contact the Assistant to the Dean of Student Life immediately.

Plagiarism – These steps are to be taken in cases of suspected plagiarism: 1. All teachers are required to report to the Dean of Student Life or Assistant Head of School all suspicions of plagiarism, copying or cheating.

2. The teacher should meet with the student to determine if there has been a violation of the Honor Code.

3. The Dean of Student Life or Assistant Head of School will meet with the student involved.

4. If plagiarism has occurred, the Dean of Student Life or Assistant Head of School will call the student’s parents. The student will be warned that a second offense may result in suspension and a third offense may result in expulsion.

Plagiarism, cheating and copying will result in serious disciplinary action. In all offenses, the student may receive a grade of zero for that particular assignment. In the case of a paper, the student may also be required to complete the paper properly to receive credit for the course.

Grade Reporting – All major assignments (tests, papers, projects) must be returned to the students before the next assignment of the same type is given. Students must have all assignments returned before taking end of term exams. At the end of the year, students may come in to pick up their exams during the week of end of year faculty meetings.

Grades must be updated in the Veracross database every two weeks at the minimum.

No incompletes may be given at the end of a term without the permission of the Assistant Head of School or the Dean of Academics. No incompletes may be given at the end of the year.

Upper School Progress Reports – Progress reports are a primary means of fostering a partnership between teachers and parents for the sake of enhancing student learning. They serve as a means of communicating a teacher’s learning objectives, specific teacher observations of student performance, and an opportunity to offer strategies to be employed by students to deepen their learning.

Midway through each quarter, Progress Reports will be made accessible through Veracross.

Even if a teacher has emailed a parent regarding grades, if there is any type of concern, a formal progress report should be sent as well. Formal progress reports should be issued under the following circumstances: 1.

All faculty should complete mid-quarter progress reports in the first three quarters for each of their students.

During the fourth quarter, faculty are required to write progress reports for any student earning a C or below.

Third quarter progress reports should include feedback on student performance on their mid-term examinations, if taken, as well as course recommendations for the next school year when applicable.

Faculty teaching semester courses should write progress reports for each of their students during the first quarter of the course, and are required to write a progress report for any student earning a C or below for the remaining quarter.

All faculty are highly encouraged to write progress reports for students, even when not required, to provide productive feedback about student learning to parents and students alike.

Middle School Progress Reports – Progress reports for all Middle School students are mailed home in the middle of each trimester. Any “not satisfactory” mark assigned must be accompanied by a written comment. The comment should include the reason for the concern and steps the student should take to improve her academic standing.

All Faculty – Are required to communicate via email to parents anytime a student’s grade drops below a C- or drops an entire letter grade. The Upper School Dean of Academics should be copied on all emails sent to Upper School parents regarding academic concerns. The Assistant Head of School should be copied on all emails sent to Middle School parents.

If a student's behavior causes concern, the parents and Dean of Student Life should be notified.

Teachers should make an anecdotal record of telephone calls or conferences with parents.

Format/Content Expectations 1.

Faculty should include a brief narrative on the course expectations and learning objectives for the quarter in which the report is being written. This narrative should be included in the “Curriculum Explanation” box on Veracross under the “Grades and Comments” tab.

For each individual student, faculty should include specific observable behaviors related to student learning, performance and achievement, followed by specific strategies that the student can employ to improve.

Parent Conferences – In the Upper School conferences are scheduled during the second and third quarters and in the Middle School during the first trimester. Student-led parent conferences regarding student portfolios occur in the 6th-11th grades during February.

Homework – Students in grades 9 through 12 should average 2 to 3 hours per night with approximately 2 1/2 hours of homework per subject per week. Students in the Middle School may be given 20 minutes per subject per night. Teachers should assign papers and projects well in advance of the due date and take into consideration the overall workload of the students when assigning nightly homework. Teachers do not assign homework over Kairos, Christmas Break or Spring Break, with the exception of work assigned in AP classes.

Test Calendar – The Upper School test calendar may be found online through Veracross. The Middle School test calendar may be found in the Middle School faculty room. Teachers should record tests, projects and major assignments such as research papers on each grade test calendar, as appropriate. A student should not have more than two full-period tests or major projects assigned for the same day. If she does, she has the right to reschedule the third assignment for a day and time on which she and her teacher agree. The teacher whose test or assignment was on the calendar last will be the one that is rescheduled. The expectation is that all teachers will utilize the test calendar.

Upper School Examinations – Upper School examinations offer students the opportunity to gain exposure to longer, cumulative examinations to demonstrate their mastery in their courses. This opportunity helps prepare them for what to expect in college and provides both students and instructors with student performance data that will help inform future practice.

Upper School Examination Schedule— 1. The last day of classes before exams in the Upper School is Reading Day, during which all classes may meet and students have an opportunity to prepare for exams for a final time with their teachers. No quizzes or tests should be given on this day; no new material may be taught.

2. Upper School and 8th grade mid-term exams (Religion, World Language and Mathematics) occur in the day and a half leading to Christmas vacation in December while final exams occur in June following graduation at the end of each academic school year.

3. Senior final exams will occur prior to their two week internship in May. Only seniors taking an AP examination during Senior Exam Week may postpone a course exam to the following week should it fall on the same day as their AP examination.

Faculty Responsibilities-1. All faculty are required to post an exam study-guide at least one week prior to Exam Reading Day to their Veracross teacher page.

2. On Reading Day, all blocks will meet. Faculty may not introduce any new material or conduct any assessments. Reading Day should be used for review only.

3. All Faculty are required to conduct office hours from 2:00-3:45pm on the day prior to their exam during finals week. During midterms, faculty are required to conduct office hours from 3:15pm-3:45pm and are encouraged to conduct after school review sessions if possible.

4. Faculty should notify any senior earning a 90% average or better for the year and who has been deemed exempt from their exam on or before Reading Day during the final exam period. This applies to semester courses during mid-terms.

5. Faculty should prepare and sort their own exams to be distributed on the day of their exam. Faculty will be responsible for delivering prepared exams to the designated areas. Administrator copies should be given to the Dean of Academics on or before Reading Day. 6. Faculty should review mid-term examinations during class time upon the return from Christmas vacation. Faculty should be prepared to meet with students about end of year exams during the week of closing meetings and should coordinate student meetings around end of year responsibilities.

7. Faculty should submit graded student exams with an answer key to the Dean of Academics before leaving for summer vacation.

Proctoring Responsibilities-1. Faculty proctors are required to arrive to the testing location 30 minutes in advance of the exam start time to make sure the room is appropriately arranged and to prepare testing materials.

2. Students should be asked to leave all backpacks/accessories either at the front of the room or in the hallway before the exam begins.

Proctors should collect student cellphones, to be kept at their desk, as students enter the testing location.

3. Faculty floaters should provide proctors with a break at least every 45 minutes during the exam period.

4. Faculty may admit students to their exams no later than 15 minutes past the exam start time. Faculty should not add extra time at the end of the exam period if a student is late.

5. All students must keep their exams for at least one and a half hours before they are permitted to turn it in to the proctor. Students may quietly read or study one book that they may keep with them at their desk for the duration of the exam period.

6. Extended time students may be dismissed at the two (2) hour mark if they are finished with their exam.

Middle School Examinations-- In the Middle School, seventh grade students take exams at the end of the year in four subjects (Language Arts, Math, Foreign Language and Religion). One exam is given each day first thing in the morning for an hour and a half. Seventh grade exams cover only material from the third trimester. Eighth grade students take exams in three subjects (Math, Religion, and Foreign Language) in December and in all subjects at the end of the year.

Eighth grade exams are given first thing in the morning and last an hour and a half. End-of-theyear exams cover the entire year and two exams are given each day. Review classes are held in the afternoons during Middle School exams.

Teacher Web Sites – Teacher web pages are a primary means of communication for students and parents. Teacher web pages should help facilitate learning and clarification of student expectations regarding classwork, assignments, and assessments.

Content and Maintenance of Teacher Web Pages— a. Web pages must include class policies and procedures, and a general scope and sequence of each course taught by the teacher. b. All faculty are required to enter all upcoming course assignments and assessments into the Veracross Assignment Calendar on a weekly basis by Friday at 4p.m. c. All faculty are required to enter daily lesson plans into the “Lesson Plan” feature on Veracross by Friday at 4p.m. for the upcoming week. Lesson Plans should include daily learning objectives/goals and in-class activities. d. Because timely feedback has been proven to be vital to student achievement, Veracross Gradebooks should be updated at a minimum once every two weeks to provide students and parents, feedback on various assessments.

Academic Support Accommodations-- In the fall of each year, the Academic Support Office will issue accommodation plans for all students with educational testing. The following are the various accommodations provided at Holy Child: Extended Time on Tests: Students may receive this accommodation because of a learning disorder, ADHD, or anxiety disorder. It benefits the student who needs more time than her peers to process information in order to fully demonstrate her knowledge of the subject matter. (While this accommodation only applies for tests, teachers have the option of granting it on longer quizzes.)

Preferential Seating: Students who have difficulty focusing and maintaining attention receive this accommodation. For most students this means sitting towards the front of the room, but for others the back or away from the windows may be more beneficial.

Note Taking Assistance: This accommodation is for students who have poor auditory processing skills. They usually also have difficulties with language processing speed, expressive language, attention, organization, and working memory. Pairing the student with one of her peers who can share notes or providing power points and outlines while she takes her own skeleton notes will allow her to focus on the lesson and better organize her class notes.

Computer for essays/testing: Students with language organization weaknesses, processing speed, and executive functioning weaknesses receive the accommodation to use a word processor for tests or exam essays. Students with fine motors skill problems who have poor handwriting also benefit from this accommodation. A student may also have this accommodation so they have access to spell check and grammar check.

Recognition Testing: Students with working memory deficits benefit from a word or formula bank. These students have difficulty retrieving information stored in long term memory. A word/formula bank helps prompt the recall of this information. Multiple choice and matching are other forms of recognition testing. Teachers may create a word bank or assign the student to do so before the test.

No penalty for spelling on in-class assignments: This accommodation is given to students who have visual memory and/or encoding deficits. ADHD students also benefit from this accommodation due to their difficulties with attention to detail. This accommodation only applies to handwritten assignments or assessments completed in class.

Mark directly in test booklet: For students with executive functioning, visual tracking, or fine motor skill weaknesses, scantron or other separate answer sheets pose difficulties. The accommodation of marking answers directly in the test booklet ensures that errors due solely to a student’s disability do not occur.

Calculator: This accommodation is given for students with either a math disability or a poor memory. It allows the student to progress in higher level math without the struggle to recall basic calculations.

Accommodations that may be recommended but are not put on an accommodation plan (these accommodations are only given on an individual basis based on a student’s specific needs and situation): *Test in separate room: To reduce distractions and/or to have the ability to read aloud to oneself. * Reader: Students with a reading disability have the opportunity to have the test read to them or may take the test using text to speech software.

Procedures for Providing Accommodations: 1. Reviewing Accommodation Plans: a. Plans should be reviewed by all teachers and homeroom advisors upon release in the

Academic Support Office. These files are kept in the Academic Support Office and may not be removed.

2. Extended Time Accommodations a. Students who receive the extended time accommodation should receive either 50% or 100% extended time on all in-class tests or essays as indicated on their accommodation plan. b. It is the teacher’s responsibility to be aware of the students’ accommodation and, at the beginning of the school year, invite the student to make arrangements for all future assessments. Keeping in mind that periodic prompting by general announcements to class prior to assessment is a best practice. It is our goal to teach our students to advocate for herself in coordinating her extended time appropriately.

Student Failures-- Anytime there is a concern that a student is in danger of failing a course for the quarter, the semester or the year, the course instructor should notify the Dean of Academics or the Assistant Head of School (in the case of a Middle School student) immediately. It is then expected that the course instructor will maintain close communication with the student and her parents in an effort to help the student pass the course in advance of the end of the term.

Should a student fail a course, the instructor should notify the Dean of Academics or the Assistant Head of School (in the case of a Middle School student) immediately. The Dean of Academics or the Assistant Head of School will be responsible for meeting with the student and her parents to discuss the ramifications of the failure and the requirements to make up credit.

Upper School students who fail a course must retake the course either over the summer at another independent school, or during the next school year. The failing grade will be reflected on the student’s transcript and factored into their GPA. The repeated course grade will also be reflected on the student’s transcript to demonstrate that credit was received, but the grade will not calculate into the student’s GPA. Middle School students who fail a course may not be allowed to return the following school year.

Upper School Course Recommendations-- Faculty members are asked to make thoughtful recommendations for students in the subsequent year. Recommendations should be based on a combination of factors including but not limited to: course grades, teacher recommendation, 53

exam results (when applicable), student work samples, and a demonstration of a strong work ethic and passion for the content area. The ultimate objective should be placing students in courses that will afford them an appropriate challenge. All students should be given the opportunity to express interest in advanced level courses and should be considered based on the criteria stated above.

II.

I. Recommendation Process and Timeline: 1. Department Chairs will attend and present during a course registration information meeting for parents and students at the end of January.

2. Department Chairs should work to facilitate informational meetings for students, either led by them or the teachers of the advanced level courses, by the second week in February following student-led conferences.

Meeting times should be requested in advance of Christmas vacation so that the Dean of Academics can publish a coordinated schedule for students.

3. Student work samples should be collected by the end of February.

Requests for conducting timed student work should be requested before Christmas vacation so that the Dean of Academics can coordinate a schedule.

4. All course recommendations should be finalized and entered into Veracross by the beginning of March.

5. To accommodate the need for more time for faculty to make course recommendations, while also allowing ample time for the Dean of Academics and College Counselor to provide adequate counseling to students, student meetings will begin at the beginning of February.

Students will be encouraged to apply for and/or take advanced level courses when appropriate.

6. Students will enter their requests after faculty have entered course recommendations during the first week in March. The Dean of Academics will then review the requests. Should a student’s request conflict with a recommendation, students will be asked for a follow-up counseling session. If a student is determined, she will be asked to complete the appeal process. All student appeals must be made before Spring Break.

7. Faculty must make a final determination on an appeal no later than Wednesday of faculty closing meetings, in order to account for performance on final exams. If a determination is made after students leave campus, it is the responsibility of the faculty member to communicate the final decision and rationale to the student and her parents.

Faculty Contracts

1. Because Faculty contracts are in large part dependent upon student enrollment, contracts will be issued by April 1st, but may need to be revised depending on final student enrollment numbers.

Field Trip Policies and Procedures - Teachers who are planning field trips and retreats should 1. Discuss the content, dates and details of proposed field trips with the Assistant Head of School. In the Upper School, teachers should refrain from scheduling field trips during the end-of-quarter tests, the two weeks prior to the end of the first semester and during the month of May. 2. Check the test and activities calendars to be sure there are no conflicts, submit in writing to the Assistant Head of School the proposed dates, with alternative dates and then schedule the field trip.

3. Make reservations for a bus, if needed, with one of the bus companies whose telephone number are in the office.

4. Email the faculty information concerning the field trip at least two weeks before the proposed trip: date and destination, name of class, time of departure and return, name of teacher and list of students involved. In the Upper School, email a copy of the list to your Department Head, the Attendance Officer and the Assistant Head of School.

5. Present the field trip to the class, complete the information required on the permission form and give a copy to each girl to have signed by her parent.

6. Inform students that they do need to wear uniforms unless asked to do so by the sponsoring teacher. Appropriate dress should be discussed with the students before the trip and should follow the set guidelines in the Student/Parent Handbook.

7. Collect all permission forms before the day of the trip and arrange the forms in alphabetical order. Permission forms should be handed in to the Assistant Dean of Student Life (Upper School) or the Assistant to the Assistant Head of School (Middle School) before the trip. No one is allowed to go on the field trip without a permission form signed by her parent. Permission by phone is not acceptable nor is a fax on the day of the trip.

8. Remind students that they are responsible for turning in on time any work due the day of the field trip.

9. At least one teacher supervising a field trip must carry a cell phone, turned on during the entire trip.

Accountability for field trip finances is with the department that sponsors the field trip. Debits and credits for the field trip will be made to the department’s budget. All money from students for the field trip should be collected by the faculty member sponsoring the trip and turned into the Business Office; please encourage the students to bring in checks rather than cash. Any expenditures for the field trip must be approved by the Assistant Head of School.

Substitutions – Full time faculty members may be asked from time to time to substitute for one of their colleagues during a free period. Once this has happened five times during the course of 55

the year, faculty members will be paid $25 per class period that they substitute. (Part time faculty members are always paid for substituting for colleagues.)

Non-Teaching Duties Homeroom Advisor – The advisor/advisee program is important to the Holy Child experience.

We believe that each student should have at least one adult within the School who knows her well. This relationship can serve to reduce occasional feelings of isolation. Accurate feedback from a caring adult is essential in developing a healthy self-image. We ask Homeroom Advisors to take a personal interest in each of their advisees and to guide each girl academically, socially and spiritually.

Homeroom Advisors are responsible in a special way for the well-being of their advisees. They encourage each student to work to her ability and guide each student to reach her full potential. The student may choose to ask the advice of her advisor in personal matters. The advisor should respond in a mature and discreet way, giving help when possible and asking advice from or making referral to the Counselor or other appropriate personnel when her/his own experience and knowledge are not adequate to meet the student's need.

The special responsibilities of an advisor include communicating an authentic interest in each advisee and concern for her progress by 1. meeting with advisees as a group on a regular basis 2. scheduling individual conferences to assess her adjustment to school life 3. conferring as needed with the Personal Counselor and Dean of Academics or Dean of Student Life regarding advisee's progress 4. contacting the advisee by phone during extended illness 5. participating in referral conferences within the School when the student needs this type of support 6. communicating with parents as appropriate 7. reviewing progress reports with students Advisors should be in their homeroom by 8:00 a.m. each day. When homeroom begins at 8:10 a.m., advisors should 1. Ensure that students are in proper uniform. If warranted, issue detentions for uniform infractions; if there is a question about the detention, issue the student a detention and she may discuss the situation with the Assistant Dean of Student Life.

2. Lead the students in prayer or assign a student to do so.

3. Read Tiger Times to the students or assign a student to do so.

4. Conduct class or homeroom group business as needed.

5. Homeroom advisors must NOT dismiss students early from homeroom.

Advisors are required to sit with their homerooms and take attendance at all school assemblies, liturgies, class activities and meetings.

Upper School J Block Supervision – J Block is a multi-use, mutual “free” period for the entire Upper School community, and occurs every Tuesday, Wednesday and Thursday each week. In addition to participating in chorus, dance, yearbook or newspaper meetings, students use this time to study quietly, go to the library or see teachers for extra help. The following describes the policies and procedures to be followed during the specified J Block periods: 1.

J Block study periods will occur every Tuesday and Wednesday. Thursday J blocks will be reserved for the following meetings: a. Club b. School Climate c. School assembly Any student not participating in chorus, dance or yearbook must report to study hall at the beginning of the period. If a student must finish an assessment, or meet with a teacher they must first check-in at the study hall location and provide the teacher(s) a pass to account for the students whereabouts. Students participating in chorus, dance or yearbook will not be permitted to utilize their extended time accommodation during J Block. Teachers must enter the student’s temporary location in Veracross when taking attendance.

At the conclusion of the first quarter all seniors in good academic standing (earning a C or better in all classes) will earn their “free J block” privilege.

Should a senior earn a C- or lower at any mid-quarter or end of quarter marking period, they will immediately lose their “free J block privilege and will be required to attend the study hall.

Middle School Supervision--In the Middle School and Upper School, full-time teachers supervise students in the cafeteria and during Break on a rotating basis. A schedule will be given to teachers at the beginning of the year. It is the responsibility of the teacher to obtain a substitute if she/he cannot supervise on the assigned days.

All Middle School students must be under the direct supervision of a faculty member during Break. During this time, students may obtain extra help, attend meetings, rehearse with the band or chorus, or relax at recess. Detentions may also be served under the supervision of the faculty member who issued the detention.

Calendar Reservations—All community space reservations should be made through the Assistant to the Head of School at least two weeks in advance of the reservation date. Community spaces include: 1. Gym 2. Billingsley Hall 3. US Conference Room 4. Library 5. Chapel 57

6. Fitness Center 7. Cafeteria

Club Moderators – Moderators should instruct student leaders on effective leadership, including the delegation of responsibility. Club moderators accept this responsibility on a volunteer basis. Students will approach faculty members with a proposal to serve as their faculty leader. The main role of a club moderator is to support and guide the studentleadership team.

They work with the club president to ensure that the club meets regularly. They should see that the following occurs during one of the first meetings of the year:   

Specific goals of the club are discussed and agreed upon. Minutes of this meeting should be taken and a copy submitted to the Assistant Dean of Student Life A list of club members is made and a copy submitted to the Dean of Student Life Members are informed of specific criteria required to maintain active membership in the club (e.g., number of absences from club meetings allowed, participation in clubsponsored events, etc.).

Club moderators are responsible for holding the student leadership team accountable. They should ensure that meetings are occurring as required, that agendas are set in advance and that minutes are sent out following each meeting.

Moderators are asked to maintain an active folder of all information relevant to their clubs; e.g., field trip information, expenses, etc., and to submit a brief end-of-year report to the Dean of Student Life.

Moderators of after-school activities must supervise the students, ensure that the space used is clean and the building locked. Moderators remain with the students until the last one is picked up.

Each club that has any financial transactions needs to have a student treasurer who will keep an up-to-date, accurate summary of all transactions and the club’s current balance. Accountability for club finances is with the club moderator through the Dean of Student Life. All money collected by a club should be counted and turned in to the Dean of Student Life; encourage the students to pay by check rather than cash, whenever possible. Any expenditures or deposits by the club must be approved by the Dean of Student Life; fill out a purchase order and give it to the Dean of Student Life for her signature.

The process for any fundraising activities is as follows: 6. When sponsoring a tag day, on the prior day please prepare homeroom envelopes with a list of homeroom members on the outside of the envelope. Place envelopes in the mailbox of the homeroom teachers.

7. On the day of the event, funds should be counted and delivered to the Middle or Upper School Office with a completed purchase order. Funds and purchase orders will be delivered to the Business Office.

8. The teacher sponsor should email the Middle School or Upper School office a draft cover letter to accompany the check. The letter will be formatted to Holy Child stationery and held until the Business Office is ready to send a check.

9. Within one week after the event, the teacher sponsor signs the cover letter in the Business Office and the check will be sent by the Business Office.

Section VII: Department Chairs/Grade Level Heads Responsibilities 1. attend Department Chairs meetings called by Dean of Academics (held at least twice a quarter) 2. hold department meetings (at least every other week) in order to maintain departmental communication, further departmental goals, set standards for examinations, etc.

3. submit minutes of all department meetings to the Assistant Head of School no more than one week following the meeting 4. assist in hiring, orientation, and mentoring of new teachers 5. observe the classes of all first year teachers new to the department (or grade level) at least once before mid-November and to observe all other teachers in the department at least once before mid-January. All observations should be followed by a conference.

Copies of the observation form should be submitted to the Dean of Academics.

6. keep a department budget and plan for future budgets (US only) 7. encourage and provide opportunities for faculty development and enrichment 8. keep students informed of educational opportunities available to them 9. update, administer, and grade placement tests as needed 10. act as department or grade level spokesperson when called upon to do so 11. submit course offerings and select textbooks 12. keep department/grade level records including a list of prizes and honors 13. identify one member of department to serve on Mission Effectiveness Committee and one member to serve on Middle States Committee 14. submit an annual report to the Assistant Head of School by June 15 which consists of a summary of the year’s activities, professional growth activities, any curricular changes, field trips, a list of any special prizes awarded to both students and teachers, new equipment purchased, etc.

Section VIII: Job Descriptions Head of School The Head of School is the sole employee of the board of trustees. Responsibilities include the following:   

The Head of School shall be a member ex officio of all standing committees of the board.

She shall be the representative of the board in its relations with the faculty, staff, students, and the patrons of the corporation.

The Head of School shall select and hire properly qualified persons to serve as members of the faculty and administration (including some members of the board in an advisory role for those key hires of other administrators who interface regularly with the board, such as admissions, finance, development officers in particular).

General duties of the Head include (but are not restricted to) the following:      

To embody, manifest, and advocate the mission of the School To articulate the vision for the School and its future To monitor and address all matters of School climate and culture To manage the sometimes competing demands of the various constituencies of the School To provide to the board of trustees various scenarios and possibilities for the board to consider as it does its work focusing on the strategic future of the school.

To work with the board of trustees, its chair, and its committees in carrying out established school policies; to review those policies and make recommendations for changes; to attend meetings, prepare reports, maintain board records, and keep trustees informed on all aspects of the school’s operation.

To supervise the all programs of the school (academic, athletic, ethical, and other extracurricular programs); to monitor curriculum, grading, testing, and reporting to parents; to prepare for and conduct periodic program evaluations; to submit reports to external agencies as required; to establish disciplinary policies and standards of conduct.

To supervise the business manager in the preparation of preliminary and final budgets; to monitor income, expenditures, collections, and cash flow; to maintain appropriate financial records; to oversee the employee benefit program.

To supervise the admissions director in determining programs for the recruitment of students, including marketing and outreach, information dissemination, applicant testing and interviews and acceptance and decisions.

To represent the School to all of its constituents including neighborhood, parents, students, alumnae, business community, faculty, and staff.

To supervise the development director and development efforts to cultivate and effect generous support of the school.

To handle all matters regarding employment, retention, and dismissal of personnel; salaries and contracts; job assignments and performance evaluation; and orientation and training.

To represent the school in its relations with state and federal agencies and with local, state, regional, and national educational organizations and accrediting agencies.

To act as liaison with the other organizations to ensure fulfillment of the school's contractual obligations; to coordinate schedules, arrange for rentals, and coordinate procedures where the interests of both organizations are involved.

Makerspace Coordinator and Help Desk Assistant The Makerspace Coordinator and Help Desk Assistant position is a full time position reporting to and working closely with the Director of Technology. Learning Specialist The learning specialists report to the Director of Academic Support. The Academic Support Office is a resource for all students, parents and teachers. Our learning specialists keep abreast of the recent research and developments in educating students with learning differences. They attend workshops on assistive technology, brain research, and current teaching practices. We offer study skills classes for students with a diagnosed learning disability, which is taught by one of our experienced learning specialists.

The US Dean of Students reports to the Assistant Head of School and is responsible for all issues relating to the well-being of the students during their attendance at the School. These include, but are not necessarily limited to, the following areas:  

Coordinating all preseason set up including checking for proper game equipment, check physical plan for practices and home games, obtain a certificate of insurance for all away contests not in our league, ensure all athletes have proper health and consent to treat forms with assistance from the office of Student Life.

Educational preparation for the school nurse should be at the baccalaureate level, and the school nurse should continue to pursue professional development and continuing nursing education. To hold regularly scheduled meetings with new teachers for open discussion of educational issues, to maintain records of these meetings, and to provide minutes of such meetings.

Homeroom Advisor 88

The Homeroom Advisors report to US Dean of Student Life. The advisor/advisee program is important to the Holy Child experience. We believe that each student should have at least one adult within the School who knows her well. This relationship can serve to reduce occasional feelings of isolation. Accurate feedback from a caring adult is essential in developing a healthy self-image. We ask Homeroom Advisors to take a personal interest in each of their advisees and to guide each girl academically, socially and spiritually.

Homeroom Advisors are responsible in a special way for the well-being of their advisees. They encourage each student to work to her ability and guide each student to reach her full potential. The student may choose to ask the advice of her advisor in personal matters. The advisor should respond in a mature and discreet way, giving help when possible and asking advice from or making referral to the Counselor or other appropriate personnel when her/his own experience and knowledge are not adequate to meet the student's need.

Responsibilities include the following:       

To meet with advisees as a group on a regular basis To schedule individual conferences to assess her adjustment to school life To confer as needed with the Personal Counselor, and US Dean of Academics or US Dean of Student Life regarding advisee's progress To contact the advisee by phone during extended illness To participate in referral conferences within the School when the student needs this type of support To communicate with parents as appropriate To review progress reports with students

Advisors should be in their homeroom by 8:00 a.m. each day. When homeroom begins at 8:10 a.m., advisors should:     

Ensure that students are in proper uniform. If warranted, issue detentions for uniform infractions; if there is a question about the detention, issue the student a detention and she may discuss the situation with the Assistant Dean of Student Life.

The Director of Communications is responsible for leading the School’s communications and marketing efforts, both internally and externally. Working closely with the Director of Development (supervisor), Head of School, Admissions Director, other school leaders and volunteers, the Communications Director ensures that the strategic direction of communications aligns with the School’s mission and goals. The main areas of responsibility are as follows: Website and digital media ~Responsible for overseeing all aspects of the School website, from design and functional enhancements to systems for keeping content fresh; primary liaison with website provider.

Consult on database delivery of content to community. ~Direct weekly website tasks of communications associate and IT lab supervisor; write, produce pages and smaller elements as needed; uphold quality standards in content and design to align with branding. ~Oversee social media presence, working with communications associate on direction/style and posting as needed. Direct entry into new platforms as appropriate. ~Maintain working knowledge of basic Web/database capabilities; coordinate with IT department on implementing emerging functionalities that require more technical expertise.

The Director oversees the creation, design, and execution of all school publications and online platforms and coordinates all outreach strategies to ensure clarity and consistency in branding and positioning.

The primary objective of the Director of Communications and Marketing is to tell the unique story of Connelly School of the Holy Child by accurately showcasing our 21st-century approach to an all-girls’ education guided by the values of our founder, Cornelia Connelly. Creating an overall messaging strategy for all online communication tools including the Holy Child website (www.holychild.org) and official Holy Child social media platforms, delegating content responsibility to other departments as appropriate.

Working closely with the Head of School to establish and execute a clear messaging strategy specifically focused on raising the profile of the Head of School on online and social media outlets.

Monitoring the impact of communications activities by analyzing website, social media and survey metrics.

Working closely with the Advancement, Admissions, and Business offices to support specific initiatives and outreach efforts.

Conducting market research to analyze current trends and discover emerging opportunities to promote Holy Child’s 21st-century education.

Developing relationships with and provide content for local and national media through press releases and targeted media relations campaigns.

Designing and implement strategic advertising campaigns as needed.

Acting as public spokesperson for the School when appropriate.

Managing the School’s relationships with external vendors including website, photographers, graphic designers and printers.

Developing a comprehensive crisis communications plan.

Supporting a variety of school-wide events, including various fundraising initiatives.

Supervising and lead Department staff members and manage Communications Department budget.

Communications Associate/Photographer The Communications Associate/Photographer reports to the Director of Communications.

Responsibilities include the following: Photography  Taking photos for Web and print use.  Photographing school wide events and shooting portraits or other subjects as needed through the year.  Managing, along with the IT department, photo archives.  Keeping consistent organizational standards.  Maintaining working knowledge of digital equipment and techniques.  Building familiarity with Photoshop as well as increasing understanding of composition and quality in imagery.

Social Media  Creating and managing daily postings on Facebook and Twitter.  Coordinating with director and other divisions for appropriate messaging on each.  Maintain schedule to keep topics fresh and innovative.  Reporting on success/follow rates monthly.  Exploring other platforms and recommend implementation when appropriate.

Website/Veracross  Assisting content providers with photo or artwork identification/acquisition.  Conducting regular sweeps of site for updates; track job tickets and assist with implementing changes as directed by communications director and independently.

Determine sharing of duties with computer lab supervisor.  Creating at least one photo/media gallery per week on current events.  Keeping homepage and landing pages fresh.  Maintaining athletic section of the website and Veracross, including landing page, team pages, schedules, and rosters; quality control of syncing.

Jumbotron  Managing messaging on outside display terminal in coordination with communications director and other internal constituents.  Creating content (slides and imagery) on a weekly basis as well as schedule of all.  Maintaining quality standards, work with IT and communications director on templates and design.

Administrative  Assisting in the production of flyers and simple marketing pieces.  Assisting in the production in-house programs, signage, magazine, and assorted publications (from photo selections to corrections and printing).

Director of Annual Giving and Alumnae Relations The Director of Annual Giving and Alumnae Relations will work with the Director of Development to develop and then implement a strategic, integrated effort to build the donor base of parents, alumnae, parents of alumnae, and grandparents for the Fund for Holy Child. The Director of Annual Giving and Alumnae relations is responsible for establishing and building relationships with alumnae, locally, regionally, nationally and internationally to increase their involvement and loyalty to Holy Child.

Duties include but are not limited to;

Implements a coordinated matrix of communication and solicitation strategies involving email, direct mail, online giving, personal visitation, special events and volunteer engagement, all focused on shaping a sustainable tradition of annual support.



Fosters the growth of best practices in the support areas of gift processing, data management and donor relations as related to annual giving and Holy Child as a whole.



Works with Wealth Engine or other methods, website updates, and archival documents to research donors.



Coordinates with the Alumnae Association, ensuring strong and productive relationships between its members and the academic and administrative leadership.



With the Development team, Plans, implements and promotes alumnae events.



Ensures accurate and complete alumni database records; captures contact, biographical and career information of alumnae via LinkedIn, Facebook, and the Holy Child website.



Establishes and builds relationships with alumnae, locally, regionally, nationally and internationally; maintain regular communication with alumnae via direct contact, email blasts, alumnae web page, Facebook and print publications.



Educates graduating students about alumnae benefits and engage them in programs.



Collaborates closely with development colleagues in increasing support from constituents; routinely identifying and qualifying prospects for gifts.

Director of Special Events and Parent Programs The Director of Special Events and Parent Programs reports to the Director of Development.

Responsibilities include the following: 

    

Managing existing major fundraising events designed to not only increase resources but to attract parental participation in many layers - primarily for the Fall Classic and the Annual Gala.

Creating and managing all collateral print material for these events.

Managing all behind the scenes office activities for these events including, but not limited to reports, correspondence, invoices, acknowledgement letters, etc.

Managing all facility details, volunteers and outside vendors for these events.

Keeping the Director of Development informed on a weekly basis on event progress.

Managing and overseeing the Parents Association and the Fathers Club; creating meeting and exclusive event calendars for the school year, attending their meetings, 94

consult with club officers for volunteer and other needs, and maintaining an open avenue of communication between the officers of these clubs and the HC community.

Overseeing the Tiger Shop. This includes (but is not limited to) keeping regular shop. hours as well as additional hours for various school events such as Mayfield Market, Back to School Nights, etc., merchandise ordering, inventory control, volunteer staffing and shop management. It also involves keeping displays fresh and seasonal, maintaining a clean environment and maintaining an orderly stock room.

Supporting others in the Development Office when needed.

Director of Facilities The Director of Facilities reports to the Head of School. Responsibilities include the following: • • • • •

To oversee the physical operation of the entire School and its programs To create and oversee the careful maintenance and cleaning programs that keep the School’s appearance in exemplary condition.

To oversee and evaluate the work of a buildings and grounds crew To create and oversee an on-going equipment replacement program and PPRSM budget To develop, maintain and report all required environmental, health and maintenance standards as required by law and to work with the administration to ensure compliance with all regional, state and federal regulations and laws as they impact the School.

To arrange bids and develop specifications for all outside contractual work of more than $1,000 To oversee the work of all outside contractors to ensure compliance with contractual agreements and budgetary restrictions To serve as staff support for the Buildings and Grounds Committee of the Board of Trustees To perform other duties as assigned by the Head of School To support the school and its leadership

Director of Admissions The Director of Admissions reports to the Head of School. Responsibilities include the following:  

To oversee the program of admissions of new students to the school To present the school to prospective students and parents, which includes systematic and efficient handling of applications and communication with candidates and their parents; interviews with candidates and their parents; arrangements for admissions testing; securing of necessary student credentials; and communicating final decisions to the appropriate individuals

Chief Financial Officer (CFO)

The CFO reports to the Head of School. Responsibilities include the following: 

To prepare a monthly operating statement for the Head of School and the board of trustees To provide a monthly report of expenditures for use of each individual budget center within the School To establish a plan and schedule for the preparation of the annual budget that will permit the setting of the succeeding year’s tuition at a Board of Trustees meeting early in the calendar year To provide for the securing of an annual audit of the School’s financial records and financial positions.

Business Associate The Business Associate reports to the Chief Financial Officer. Responsibilities include the following:   

Maintaining all records on Parents and Students and enter new accounts onto computer system.

Processing all deposits and payments to Students’ accounts including setting up new FACTS payments.

Preparing Tuition Statements for billing.

To make journal entries for the reconciled accounts.

Monitoring invoices for 1099 vendors.

Processing and mailing 1099 forms and send 1096 to IRS. Integrating Veracross development into Veracross accounting.

Monitoring the correct accounts from development into accounting.

Overseeing the daily functions of Student Billing, Accounts Payable.

Assisting CFO with yearly Audit preparation.

Working with the CFO to ensure the best health, life and disability packages.

Advising employees of the different options available to them.
