Accommodation All houses assure well-appointed guest rooms in up to three categories: Classic, Premium, and Superior. All have tea and coffee-making facilities, free Wi-Fi, hairdryers, TVs, and en-suite bathrooms with toiletries. For an extra charge, our more spacious Premium and Superior guest rooms offer upgraded amenities.

Food & drink Full-board comes as standard and includes a cream tea on arrival, breakfasts, packed lunches, and three-course evening meals (including vegetarian options). Most dietary requirements can be catered for. Please inform us of any food intolerances or allergies at the time of booking.

Booking your groups holiday Could I be a Group Organiser?

Anyone who is booking a holiday on behalf of a group of people is a Group Organiser. You need 10 or more adults to enjoy all our group benefits. As Group Organiser you will be the key contact between your group and HF Holidays. All communications and payments will need to come via you.

We will not communicate with individual group members.

All types of groups travel with us from families and friends celebrating a special occasion or just wanting to get away together, to rambling clubs, social clubs, the WI or U3A; we can cater for any group.

What’s next?

When you book your holiday, you must pay the following non-refundable holiday deposit and any additional amount specified for additional requirements:

You will be assigned a dedicated Account Manager who will give you a free consultation with ideas about what options are available and which destinations might best suit your group.

Once you have decided on your preferred option, your Account Manager will send you a quotation featuring all the group discounts and other benefits that your group is eligible for.

Accommodation reservation

Once you are happy with your quote, your Account Manager can reserve your preferred accommodation while you confirm your final group numbers and collect deposit payments. If during this period the numbers of your group change, your quote will be amended accordingly.

Please discuss any special requirements you have with your Account Manager prior to booking, for example (but not limited to) ground floor rooms, coach access, meeting room space, guest speakers.

Special diets

Please speak to your Account Manager about any special dietary requirements that your group members have. Our UK country houses can easily cater for a variety of dietary requirements if advised in advance. Overseas, most hotels can cater for special diets.

Flights

If you choose the ‘without flights’ option for your overseas holiday, hotel transfers are not provided in these prices, but a private transfer can be arranged at a supplement. If you choose to book ‘with flights’, prices are based on departures from London, but other regional airport departures can be quoted for groups, additional supplements and deposits may apply.

For most of our overseas departures we have an allocation of seats on flights. Our ‘with flights’ price is for guidance only, pricing and availability of seats for your group will be confirmed on request.

Non-members can join our holidays by paying a fee of £30 per adult per holiday. Alternatively, full membership is available with the purchase if 100 x £1 shares. Please visit holidays/membership for more information.

Confirming your booking

Once we have received your booking and deposit, we will send a confirmation invoice (this will be by email if an email address has been provided at the time of booking).

Please check this invoice carefully. For holiday bookings with flights included it is essential that the names provided match the names as they appear in passports. Please advise us immediately of any errors. Any name changes after the balance of your holiday has been paid will be subject to a fee levied by the airline.

All the flights and flight-inclusive holidays in this brochure or on our website are financially protected by the ATOL scheme. When you pay you will be supplied with an ATOL Certificate. Should you, or any member of your party, decide to cancel your holiday booking you must advise us in writing, either by letter or by email. To cancel by email, please send a copy of your cancellation letter along with the original email confirmation to groups@hfholidays.co.uk. A cancellation will take effect from the date that written notice is received at our office.

You can pay your deposit by debit or credit card with no additional card fees charged. All payments are to be made by the individual Group Organiser on behalf of the group.

Should one or more member(s) of a party cancel, it may increase the per person holiday price of those still travelling and you will be liable to pay this increase.
