A special place for your special day The Hawk Conservancy Trust is a registered charity located within 22 acres of stunning woodland and wildflower grounds. The Trust is set in the beautiful Hampshire countryside and provides a variety of indoor and outdoor spaces for entertainment, your ceremony and photographs.

Each wedding at the Trust is as unique as the couple getting married and we will ensure that your wedding is one of a kind. Enjoy an intimate day surrounded by friends and loved ones, be entertained throughout the day with our world-class flying displays and come face-to-face with one of our feathered friends.

Be inspired Your wedding includes access to our inspiring flying displays. During the summer, we have three world-class, spectacular flying demonstrations daily, where up to 20 of our impressive birds fly in our serene surroundings. In the winter, our three flying demonstrations allow you to get close to a variety of birds that demonstrate their personality and skills that makes each species special. Each display takes place in a different arena with a different team of birds. You can expect to get very close to our birds as they swoop over your head whilst our passionate and knowledgeable team will provide a lighthearted and informative commentary.

If you would like to incorporate more of our birds into your day, we offer private flying sessions and bird encounters for an additional fee.

A ceremony to remember As a registered wedding venue, you can have your ceremony almost anywhere within our grounds, please ask your Weddings Manager for more information. The Hawk Conservancy Trust only allows one wedding per day, giving you full and exclusive use of the rooms and facilities therein. We have a variety of indoor and outdoor spaces that each have their own characteristics and features, making each special and different in their own way.

The Eyrie The Eyrie is a peaceful, airy space in the centre of the grounds that has large French doors that overlook our stunning Savannah Arena. A glorious bouquet of flowers decorates the head table where you can exchange vows which will be handcrafted and tailored to match your wedding colour scheme. The Eyrie connects to the Savannah Lookout balcony where you can enjoy drinks, socialise with guests, and enjoy our inspiring morning display from an amazing vantage point.

The Griffon Rooms The Griffon Rooms is our purpose-built venue, designed for celebrations and located in the heart of the grounds. It overlooks a large, grassed area which can be reserved for you and your guests to enjoy. Inside, there is plenty of room for family and friends to join your special day. The Griffon Rooms can be easily arranged for a wedding buffet, sit-down meal or a sociable BBQ or hog roast. A bar can also be added alongside, making this a truly versatile yet intimate venue for your special day.

Outdoor spaces The Hawk Conservancy Trust has a variety of outdoor spaces, each with a different feel and theme. You’ll be spoilt for choice with our outdoor areas such as the enchanting Woodland Arena, the glorious Reg’s Wildflower Meadow and the atmospheric Savannah Arena, all of which can also provide a beautiful backdrop for your photographs.

Feathers Restaurant Evening receptions can be held in our spacious and contemporary Feathers Restaurant. The restaurant is bright and comfortable featuring a part-glass ceiling yet retains the countryside charm of the Hawk Conservancy Trust with wooden beams and pillars, making it versatile to your personal wedding theme. The vast floorspace lends itself wonderfully to any layout you would need; from space for a dancefloor and live entertainment to a social environment for a seated meal. The restaurant has an almost entirely glass back wall, incorporating bi-fold doors which open onto a large patio for celebrations during summer months. A bar is included within the room hire for Feathers Restaurant and is fully stocked with a wide range of wine, beer, lager and spirits.

Food and drink The Hawk Conservancy Trust can offer both daytime and evening receptions.

Whether you are looking for a seated wedding breakfast, a BBQ or a more informal wedding buffet or hog roast, our catering team have an option for you. If our menus do not feature what you are looking for, your Weddings Manager would be delighted to discuss your requirements and tailor a menu to suit. Special dietary requirements can be catered for with advance notice given. We are fully licensed and can offer an extensive wine list, as well as a large choice of soft drinks, beers, lagers and spirits.

If our menus do not feature what you are looking for, your Weddings Manager at the Hawk Conservancy Trust would be delighted to discuss your requirements and tailor a menu to suit. Special dietary requirements can be catered for, from vegetarian and vegan, to coeliac or other intolerances and allergies, please let us know at the point of booking.

Planning your day We highly recommend a visit to the Hawk Conservancy Trust to view the facilities, and discuss the options available to ensure that your wedding day is perfect for you. Your dedicated Weddings Manager can take you through all of the packages in more detail, and answer any questions. You will be able to view the event spaces during personal tour around the grounds.

Your Weddings Manager can also check availability of dates, and make a provisional booking for you. If you would like to book with us, the next step would be to contact the Registration Office to confirm the date and agree a time. It is a legal requirement that a notice of your intention to enter into marriage be given by both parties. Fees for the Registrar and any associated documentation are paid directly to the Registration Office.

Please note, we cannot confirm any bookings until this step has been taken.

When you book your wedding with us, it includes full entry to the Trust’s grounds for all your guests, enabling them to make use of the wide range of facilities, features and activities available to visitors of our award-winning attraction. We can also incorporate private, hands-on experiences with our birds, a talk from our expert Bird Team or even a private evening display. If this is something that you would like to arrange, please inform your Weddings Manager who can add these to your day at an additional cost.

Our wedding packages Our wedding packages are designed to help with the planning of your day, and to make it as enjoyable and stress-free as possible. The packages are just a guide, as we pride ourselves on our ability to be flexible to your needs. Should you wish to plan a wedding with a special theme, all our weddings are tailor-made to your requirements and budget. We would be delighted to discuss this further with you to hand craft your dream wedding.

Your booking We are available to discuss your requirements every step of the way, from the first enquiry with us to your special day. If you have any queries, ideas or changes, your Weddings Manager is on hand to help.

Your Weddings Manager will remind you of any deadlines in advance, and will be able to answer any queries or questions you have, letting us keep an eye on dates for you and alleviate stress. If you are unable to meet any of these, for whatever reason, please let us know as soon as possible.

Once your date and time have been confirmed with the Registrar, we will make a provisional booking for your chosen ceremony space. An invoice will be sent for a deposit for the hire of the venue, and payment will be required within two weeks of the date of the invoice to confirm your booking. This deposit is non-refundable. If we do not hear from you after 14 days, your provisional booking will be automatically released.

Six weeks prior to your wedding we will request final numbers and any other details. A pro-forma invoice will then be issued, based on your requirements.

Payment of this invoice must be made at least six weeks before your special day.

A guest list, and if appropriate, seating plan, plus any music you require for the ceremony will need to be provided at least seven days prior.

Please note – before making any arrangements to have anything delivered to the Hawk Conservancy Trust (ie. cake/flowers/gifts), please check with your Weddings Manager, or pass their contact details to whomever you have delivering items, to ensure that it will be done at a time when the Trust is open, and someone is available to receive the delivery.

Useful information Accessibility The Hawk Conservancy Trust, its venues and its grounds are fully accessible. The Eyrie and Griffon Rooms have disabled access and lifts to allow access between the floors and our grounds are suitable for various accessibility needs, including wheelchairs. The Trust is able to provide manual wheelchairs if required, please consult your Weddings Manager if you require these for your wedding.

Accommodation The Hawk Conservancy Trust has no onsite accommodation, however we are able to provide a list of recommended local accommodations upon request.

Alcohol and catering The Hawk Conservancy Trust is licensed and offers an extensive wine list, and wide choice of beers, lagers and spirits as well as soft drinks. A full bar can be provided for your event upon request. Our catering team is able to offer a variety of food choices, from a finger buffet to delicious seated meal to a BBQ. We are also able to cater to a variety of dietary requirements (please let us know of any requirements in advance).

Please note that no outside catering or externally purchased alcohol, with the exception of celebration cakes, can be brought onsite for functions at the Trust.

Ceremony The content of your ceremony including music and readings must be agreed in advance between you and the Superintendent Registrar, as must any order of service, and must be of a secular (non-religious) nature. This is a Registrar requirement.

Please note due to the close proximity of our wedding venue to our Savannah Arena, we do not allow ceremonies to take place between 11.30am and 12.15pm whilst our first display of the day takes place, to avoid possible disturbance to the ceremony.

Children Children are welcome at the Hawk Conservancy Trust, but please note that we ask that they are accompanied by an adult at all times around the grounds and fully supervised whilst using the Griffon Rooms. The Trust has a lost child procedure in place, and all of our staff and volunteers have been DBS checked.

Confetti and decorations As the Hawk Conservancy Trust has birds and animals in close proximity to our corporate venue we ask that no confetti is thrown. However, real or dried flower petals may be used in moderation.

If you wish to decorate the room for your occasion using your own decorations, we kindly ask that only table decorations or balloons are used so that no damage is caused to the walls or ceiling in the room.

Extra experiences When you book your wedding with us, it includes full entry to the Hawk Conservancy Trust’s grounds for all your guests, enabling them to make use of the wide range of facilities, features and activities available to visitors of our awardwinning attraction. We can also incorporate private, hands-on experiences with our birds, a talk from a member of our expert Bird Team or even a private evening display. If this is something that you would like to arrange, please inform your Weddings Manager who can add these to your day at an additional cost.

First Aid If you should require first aid assistance during your day at the Hawk Conservancy Trust, there are always first aiders on duty and out of hours (for evening receptions).

Please ask any member of staff should you need assistance.

Flowers A floral table display will be provided for your ceremony - please advise us of any colour scheme for your wedding day. Should you wish to provide your own floral arrangements or additional table decorations please discuss this with your Weddings Manager. Please arrange for any deliveries to be completed at least three hours before your ceremony.

General public A marriage ceremony is a public ceremony and it is a legal requirement that any member of the public who wishes to attend must be able to do so.

Music Equipment is available for the playing of music during your ceremony, but please note that your music choice must be approved between you and the Registrar before your ceremony. Feathers Restaurant offers the facility to have live music or a professional DJ’s for your evening wedding reception and light background music is acceptable within the Eyrie and Griffon Rooms, provided this is agreed in advance with the Hawk Conservancy Trust. Due to the conservation projects and breeding of rare species that are carried out here at the Trust, discos and loud music are not allowed for any event that is held in the Griffon Rooms or the Eyrie.

Photography We are more than happy to discuss with you or your photographer suitable locations for your wedding photographs, and a member of staff will be on hand on your special day to provide access to available locations. The birds at the Hawk Conservancy Trust agreed prior to your day will be available to photograph with, and suitable equipment will be provided to safely handle the bird. The Trust has no restrictions on the use of camera equipment but please do not climb any barriers in order to take an image. Please be aware of the birds and avoid bright flashes, and respect other visitors to the Trust.

Smoking and vaping Smoking and vaping is not permitted anywhere around the grounds, except for in the smoking shelter near to the Savannah Arena, and in the car park.

Taxis Lists of taxi numbers are available at the Hawk Conservancy Trust, both in advance of your event and on the day. If your wedding and/or reception is being held at the Trust on a Friday or Saturday evening we advise that guests pre-book their taxi prior to the end of the reception.

VAT Please note that all of our prices exclude VAT which will be charged at the current rate.

Vehicles All guests are asked to park their vehicles in the main Hawk Conservancy Trust car park. Guests are welcome to leave their cars in the car park overnight, at their own risk. If you are doing so, please leave the registration number with reception or your Weddings Manager.

Booking Terms and Conditions A provisional reservation for the Griffon Rooms will be made upon confirmation of a date and time agreed with the Superintendent Registrar. An invoice for a nonrefundable deposit plus VAT will be issued, and payment will be required within 14 days of the invoice date to confirm your booking. If we do not hear from you after 14 days, your provisional booking will be automatically released.

Six weeks prior to your wedding we will request final numbers and any other details. A pro-forma invoice will then be issued based on your requirements.

Payment of this invoice must be made at least six weeks prior to your event.

Any deposits paid are non-refundable.

For cancellations within six weeks of your event 50% of the final invoice will be non-refundable.

For cancellations within two weeks of your event 80% of the final invoice will be non-refundable.

For cancellations of less than a week of your event 100% of the balance will be non-refundable.

Payments for your event can be made by cash, debit or credit card (not American Express), or cheque. Please make cheques payable to The Hawk Conservancy Trust.

If, due to circumstances beyond our control, the Griffon Rooms or Feathers Restaurant becomes unavailable for any pre-booked event, every effort will be made

by Hawk Conservancy Trust staff to find an alternative venue. If this is not possible then a full refund will be given.

The Hawk Conservancy Trust accepts no responsibility or liability (whether in negligence or otherwise) for loss or damage to any property or persons belonging to any member of the wedding party, their guests, contractors or agents occurring on the Trust’s premises. All guests use the facilities provided by the Trust at their own risk.

The hirer is responsible for any damage caused to any Hawk Conservancy Trust property or equipment during an event. Any damages, breakages or missing items must be reported immediately and payment made for replacements or repair.

The Hawk Conservancy Trust reserves the right to refuse entry to, or request the departure, of anyone displaying unacceptable behaviour within the Trust. We ask all guests to be considerate to other visitors to the Trust, their surroundings and the animals on site. A member of staff will be available at all times, but please note that the Trust cannot be held responsible for any injuries or damage that may occur.

Children must be supervised by an appropriate adult at all times.

Please be aware that bird handling is an outdoor activity, and in adverse weather conditions we reserve the right to make alterations to these sessions.

If alcohol has been included on your menu selection, please note this can only be served to persons aged 18 and over. Anyone who looks under the age of 25 may be asked for identification with date of birth. Please note that only alcohol purchased at the Trust may be consumed within the grounds.

Any event catering must be provided by the Hawk Conservancy Trust, the use of outside caterers is not permitted.
