Getting Settled

THANK YOU! Thank you again for ensuring that students who are unable to travel here with their own loved ones, family, or friends are given a warm friendly welcome from their new Georgetown community.

INTRODUCTION Please call or text the new student to introduce yourself as their Project Move-In Volunteer (as a volunteer with GSP), give the student a warm 'Hello!', and re-confirm the student's arrival details. Please feel free to shoot them a text! Texts are often answered more than calls these days :) Tell the student a little about yourself and find out a little about the student.

Please make sure flight/train/bus details (date | timing | trip # | arrival location) are correct and explain that you'll be checking arrival status online in case of a delay. We’ve confirmed this in advance but sometimes travel plans can change. If the student misses their flight/train/bus, have them call you. If you can accommodate their later arrival time, we'd appreciate you picking the student up at the new arrival time. If you can't, please reach out to the GSP Office so we can arrange alternatives.

REMINDERS Confirm where you'll meet the student. You may want to tell them what you’ll wear that day like Georgetown gear or a bright color. Please exchange cell phone numbers and ask the student to save it in their phone. Have them call you once they have collected their baggage. If you've made one, let them know that you will bring a welcome sign. Please share a picture with us, they light up our day!

Please ask the student to share their move-in email (this is typically sent to them by GU in early August) which has information on their Residence Hall off-loading zone, check-in time, Key Pick-Up, etc. Remind the student to bring their important items (like their IDs, cell phone, and charger) with them– i.e., not packed on the day of travel! Those phones know when to die when you really need to reach someone! Please remind the student to call you when they arrive or if any problems arise.

MOVING DAY! Bring something identifiable the day of - perhaps wear some Hoya gear. Please snap a pic with your student the day of and share with us! Check flight/train/bus status before leaving to ensure it is on time. Send them a text to make sure everything is going alright. Moving to a new place is stressful, and this could really help a nervous student! Meet the student at the arranged location. Chat and help them with their bags.

Very thoughtful but not mandatory: Please consider bringing water and a snack (fruit snacks or granola bars are universally good). Especially after a long trip, this would be MUCH appreciated! These little niceties go a LONG way.

The real beauty of Project Move-In has materialized when our volunteers have made students truly feel at ease and “at home” on the Hilltop.

DRIVING & PARKING AT GU If arriving by car, please enter campus via the assigned entrance for your student’s dorm. Each student is assigned a move-in time specific to the building they will be living in to avoid congestion and traffic backups. Please note parking location and restrictions on-campus. If parking on city streets, obey posted parking signs to avoid any tickets! Your student will receive detailed instructions for arrival via vehicle. Vehicles will queue through campus until a space is available at the designated unloading zone outside their residence hall. Once there, move-in aides will meet you and assist in loading items into move-in carts. Keep in mind that during Move-In Days (August 20th and 21st) campus will experience increased traffic. The line to get into the loading areas and parking garage can often be a long wait, but load out should be fairly quick! There should be plenty of move-in staff to help with any questions! Please review detailed information as it pertains to the different dorms on Residential Living's Fall 2026 New Student Move-In Webpage. If you are dropping a student off at the Capital Campus, make sure to keep in mind the Freedom 250 Grand Prix impacts on move-in. Take note of the construction on campus!

GETTING SETTLED Extra move-in carts may be available for checkout from the Harbin 104 Key Room for use if needed. It may be helpful to have some painters tape and a sharpie for last minute labels! Bedding: If your student requested bedding from GSP, they can pick up their bedding from the GSP Student Lounge on the ground floor of Healy Hall on Thursday, August 20th and Friday, August 21st. Your student will be emailed the distribution details to their GU email! We should be your second stop of the day (your student will want a set of free hands to carry their box)! How to get to the GSP Student Lounge: We are located right by the front gates. Our dedicated entrance is right under the Healy Steps that lead into the Healy Foyer! We ask that you and your student enter through there if you are able (the entrance has stairs) and exit where directed to ensure a smooth pickup process. The campus map tool can help you navigate to our space! Settle into the room, meet the roommate, all those fun things! If you find items in need of repair during the move-in process, encourage your student to submit a ticket. Useful Resources: Students have received informational guides over the summer. Encourage your student to review these guides if they haven’t already! Very thoughtful but not mandatory: If your schedule allows, you may also offer the student a trip to the store in case they want to stock up on essentials. It may be nice to offer to share a meal with the student if your schedule allows. It’s a small touch, but they make Project Move-In that much more impactful!
