Preparing a Flight Plan to ACCOUNTING IN THE CLOUD Cloud technology has evolved greatly over the last few years. It was initially embraced by those who work on the move. Now almost any software that exists on a server or desktop has the ability to be accessed in the cloud. Moving software to the cloud has many benefits. Your software is always up to date without the worry of conflicting desktop versions causing operating issues. The need to maintain expensive servers is reduced or eliminated since your cloud space is professionally maintained and can expand without additional investment. Existing computers will increase their life span since they become access terminals and no longer need the technology to do the actual computing. The workforce of today expects resources to be available 24/7 regardless of location. A well prepared move to the cloud will bring increased information, flexibility and satisfaction from both customers and employees.

Below are some considerations to create a smooth flight into the cloud: Cost - Instead of paying for software and an annual maintenance fee, you will likely have a combination of upfront fees to get started plus fees per user based upon the options you select and the anticipated amount of data you will need. Make sure you understand the fee structure. Sometimes businesses decide to “share” user accounts between employees. This negates one of the strongest control functions and can greatly reduce productivity when users need to coordinate their time.

By: Kathy Wileczek

Data - Know who owns the data. What are the backup and data recovery procedures in place? What happens if you want to leave the cloud? How will you access historical information? What if the software company goes out of business? Features and Operations - Do not assume the cloud version operates like the desktop version. This is especially true about software that has been adapted to the cloud as opposed to written for the cloud. Speed, Interruptions and Support - The best software in the world is useless if it is slow or interrupted. Make sure you test drive during peak times. Get references from current users that are comparable in size, complexity and number of users. Involve and Consult - Changing software is a huge commitment that will require hard work and cooperation from everyone in your organization. Involve your employees in the process. Consult with your IT people and your accountant. Dream - Make a wish list of things you would like your accounting software to do. What features will help build your business, increase your customer relationships, provide information and enhance the performance of your employees. It’s not just about the debits and credits. Once you have all the input you will have the knowledge to make the necessary financial and time commitment.

New Business Checklist: 8 STARTUP TIPS FOR ENTREPRENEURS If you’re thinking of starting a new business, chances are your head is spinning with a ‘to-do’ list a mile long. But no matter how busy you are, it’s important to make sure the legal formalities and requirements are handled correctly. Even if your business has been up and running for a while, you can use this checklist to make sure everything is set up as it should be: 1. Avoid naming conflicts. One of the first steps in establishing a new business is naming it, but before you order your stationery and signage, be sure the name you have selected can be legally yours. You can perform a trademark search for free by going to the U.S. Patent and Trademark Office’s website (www.uspto.gov) and check the name availability in Pennsylvania on the PA Department of State website (www.corporations.pa.gov/search/ corpsearch). 2. Choose the right business structure. Many new business owners initially choose to operate as a sole proprietorship, but you can’t be sure this is right for your business until you are fully aware of the advantages and disadvantages of each business structure. A discussion with a business planning lawyer can help you understand if your business will function best as a sole proprietorship, a partnership, a limited liability company (LLC) or a corporation. 3. Register the name of your business. If you have chosen to operate as a partnership, LLC or corporation, your business name will be registered when you file your business formation paperwork with the Department of State. However, if you choose to operate as a sole proprietor under a name other than your own personal name, you will need to register the name of your business by filing a Fictitious Name Registration form with the Department of State. 4. Get a Tax ID Number. Partnerships, LLCs and corporations are required to have a Tax ID number (also called an Employer Identification Number or

‘EIN’), which the IRS uses to track company transactions. If you are a sole proprietor, you should also register for a Tax ID number so you don’t have to share your personal Social Security number with customers or vendors. 5. Learn about taxes. Determine what local, state and federal taxes your business will need to pay, register for or collect (for example, sales tax). Useful PA tax information can be found at the Department of Revenue website (www. doreservices.state.pa.us/BusinessTax). 6. Apply for business permits. Depending on the nature of your business and where you will operate, you may be required to have business licenses and/ or permits from the city, county or state. 7. Learn about employment laws. If you plan to hire one or more employees, you will need to understand your legal obligations as an employer and implement the proper policies and procedures to ensure you are fully compliant with state and federal employment law. You’ll also need to familiarize yourself with your obligations regarding employment taxes, withholdings and contributions such as unemployment compensation and social security. You can find a variety of useful information for PA business owners at www.pabizonline.com. 8. Don’t go it alone! It’s been said that delegation is one of the most important skills of a successful business owner. At the outset, assemble a trusted team of advisors to provide guidance or even to handle the matters you don’t have the knowledge or time to handle on your own, freeing yourself up to focus on the day-to-day running of your business. Don’t know where to start? Think LIFT: Legal, Insurance, Financial, and Tax. If can get these 4 key areas covered from day one, your business will have a solid foundation for success.

A Long Shot Comes In THE BARCLAY GROUNDS ARE SAVED! As the summer of 2013 faded into the dog days of August, lawn signs began sprouting all over West Chester. Their bold red letters spelled, “SaveTheBarclayGrounds.org.” Named after the nursing home that once occupied the site, the Barclay Grounds are the park-like lawn in front of the historic Hartshorne mansion, bounded by N. High, W. Marshall, and N. Church Streets. It is one of the few undeveloped plots in West Chester, and contains many historic specimen trees, some dating back to the 1860’s. Over the years, the grounds had been threatened several times since the nursing home moved out, and each time fierce opposition had saved them. The man behind the eponymous SaveTheBarclayGrounds.org lawn signs was John Cottage, a marketing executive. The signs quickly attracted many supporters, and a petition to save the grounds garnered 2,000 signatures. Since a developer had the right to build on the lot, the borough’s only hope of saving the land this time was to buy it. Although members of borough council were sympathetic, the borough had no money. So Cottage’s grassroots group offered to raise the money if council would start the acquisition process. The group became the Barclay Grounds Preservation Alliance (BGPA), a 501c3 non-profit. It backed up this offer with a promise to raise at least $200,000 in donations! In the head-spinning span of three months, the developer and the borough negotiated a deal which gave BGPA at least a year to raise the money. As 2013 drew to a close, BGPA delivered on the first part of its promise, $20,000 needed for the down payment. The rapid progress was boosted by the support of State Senator Andy Dinniman and State Representative Dan Truitt. Along with his boundless enthusiasm, Dinniman played a pivotal role in securing one

of the grants. In addition to borough council, West Chester’s mayor, Carolyn Comitta, added her strong support. Also helping were Bill Gladden of the Chester County Open Space Preservation Department, the Natural Lands Trust and the Brandywine Conservancy. It took two years instead of one; the borough secured two state grants, one from the county, along with BGPA’s promise of $200,000 of donations. On April 22, 2016, Earth Day, all the players who worked to save the Barclay Grounds came together to celebrate the borough’s newest park (its 12th) at a symbolic ribbon-cutting to formally open the park.

The Chester County Historic Preservation Network announced it was giving its 2016 “Grace Under Fire” award to the BGPA, in recognition of “what citizens can do to preserve significant resources within their community.” But the story isn’t over. The BGPA is still raising its $200,000 share of the total cost. Donors giving $1,000 or more will be recognized on a plaque in the park. An Adopt-A-Tree program is planned to allow other donors to sponsor each of the trees. There is also the “Give a Little, Get a ‘Lot’” program, where small “virtual” lots are being sold to grateful supporters of the park’s preservation. More information is available at www.SaveTheBarclayGrounds.org. Last minute efforts to stop land from being developed often fail. What is remarkable about this success story is the public-private partnership between the citizens of BGPA, the Borough of West Chester, the Commissioners of Chester County, and the Commonwealth of Pennsylvania.

IoT, An Acronym That Will Define Our Time

By: Paul Dolnick

IoT, is the Internet of Things. You may have heard the buzz; people talking about a world in which more and more ‘things’ are connected.

account to theirs. We live in a time where our wristbands measure our vital signs and our physical exertion, communicating with apps on our phones which let us know if there is room in our daily caloric budget for dessert. These are new and connected times indeed.

Your car, your garage door, your thermostat, perhaps the feeder for your pet; the options are seemingly limitless. All controlled by your phone or watch. The home of the future is here; the world of the future is unfolding before us. The Internet of Things is here.

Yes, there are two sides to every coin, a downside for every upside. In the case of IoT, there are expected concerns and somewhat fringe “Orwellian” possibilities.

The promise is grand; interconnectivity, convenience and information. Concerns follow, the murmur of which are drowned by the enthusiasm of those who market the products and by the early adopters. Let’s look a bit deeper. Our world is largely completely connected. With the faster broadband speeds that brought cloud services to life, we have relatively reliable and faster cellular speeds; combined, these afford us nearly uninterrupted access to software that can connect and control any number of devices. Over the last few decades, control mechanisms evolved from mechanical to digital circuitry, leaving only a connection to durable wireless to make them controllable remotely. Long have we been able to control our TV from the couch, unlock our car doors as we approach . . . why not start the coffee maker from the upstairs bathroom as we brush our teeth in the morning, or as we pull down the driveway after a long day? Home automation is evolving and is seemingly the natural progression in a world where we tap our phone in a retailer to move money from our

These devices are controlled by software which can be, as software often is, affected by glitches in code and unapplied patches and updates. Sounds innocuous enough until your electric bill is double because every weekday afternoon, while you’re away, your thermostat runs the air conditioner at full. Software that is connected to the internet is also susceptible to viruses and hacking; I know, who would hack your HVAC system . . . ask that of Target. If the bad guys hack your car, could they open your garage door? Could your thermostat tell them, predictably, that you aren’t home? For those who read Mr. Orwell, it is not a stretch to consider those cute little driving monitors will stop giving discounts and start raising rates, based upon driving habits. Let’s hope that legislators never make these a vehicle safety requirement. It continues to be a brave new world; full of accessibility and ease. We have a world which is, and will become even more, integrated; adopt it, embrace it, though do it wisely.

Paul Dolnick is the Director of Sales and Marketing at Computer Systems Resource, Inc. The West Chester based company is offering clients network installation, administration, multiple platform integration and disaster preparedness with prompt consistent service. 610.430.3308 | csri-qt.com
