Manager’s Corner With the beginning of a new year, many of us will make resolutions for the upcoming year. Some will fall by the wayside before the end of January, hopefully the more important and meaningful resolutions will not only make it through 2024, but for many years in the future. The thought of New Year’s resolutions got me thinking of resolutions that you, as homeowners, might want to consider for 2024. As Members of the Grayhawk Community Association here are a few resolutions that may be beneficial in 2024: • Take an active role in your association by volunteering to serve on a committee, attending or participating in the many social events/activities offered by the association, or running for election to the Board of Directors. • Be considerate of your neighbors and your community by abiding by the restrictive covenants and community regulations that you agreed to when you purchased your home. • Get to know your neighbors. • Keep your homeowner information up-to-date with the association office (i.e., billing address, phone number, e-mail address, emergency contact information). • Invoke the “Golden Rule” (treating others as you would like to be treated) when dealing with association staff members and the association’s contracted service providers, such as security and landscaping personnel. These are just a few suggested resolutions for you to consider as a member of the Grayhawk Community Association. Many of you already subscribe to most or all of these recommended resolutions and the association thanks you for being a good neighbor and association member. For those of you that do not abide by some or all of the resolutions listed above, please make 2024 the year that you make the most out of being a member of the Grayhawk Community Association. LOOKING AHEAD: The March 20, 2024, Grayhawk Community Association (GCA) and Retreat Village Association (RVA) Annual Meetings, you as homeowners in Grayhawk will elect three GCA Board members and, if you live in the Retreat Village, two RVA Board members to serve your community for the following two years. With strong effort the association has been able to gain greater community involvement in the election process. Our efforts have proved to be successful, resulting in an increase in homeowner ballots submitted in the past two elections via electronic voting, but we know we can do better. We would like to thank all of you for your participation in past Board of Director elections. This month you will be mailed information regarding the Annual Meeting and how to become a candidate for election to either the GCA or RVA Boards. We know that there is a wealth of talented homeowners who would make excellent Board members and we are encouraging you to seriously consider serving your community by becoming a candidate for election to either the GCA or RVA Board of Directors. Grayhawk Master Association Board of Directors Meeting – December 4, 2023 HOMEOWNER FORUM Ruth Lesby, Renaissance, inquired about assessment increases. DEVELOPMENT COMMITTEE Paul Alessio discussed both DMB Open Houses that took place in November with one being held at Grayhawk Community Association and the other at The Boys and Girls Club. A representative from DMB shared that they have plans to replace a portion of office space with multi-family decreasing the project density and allowing for additional open/landscape areas. DMB held these Open Houses to solicit feedback from the community. There were also two city council members present at the Open Houses. OPERATIONAL REVIEW COMMITTEE Don Morse expressed thanks to the committee for their dedication and community involvement. The laser calibration truck arrived to evaluate the paving reconstruction on Grayhawk Drive. The committee is looking forward to a full report regarding the road work. GardaWorld has begun transitioning to digital reporting which involves utilizing smart phones with QR code scanning and will fully transition after the holidays. The committee discussed the current Barrier Arm Damage Policy and ways to improve the overall appearance of the barrier arms. LANDSCAPE COMMITTEE Arlene Smith reported that the Educational Garden Ad Hoc committee met on November 28 to finalize plant selections for each of the specific garden sections. The winter rye grass in the common areas is healthy and thriving and DLC is addressing a few specific bare areas in the community.

A timeline for a proposed community plant infusion was presented. The Landscape Committee will be evaluating an upcoming project on 76th Way and 76th Street to use as a template to propose taking through the community. COMMUNITY ENHANCEMENT COMMITTEE Ashley Scott reported that the committee did not meet. EVENT PLANNING COMMITTEE Jennifer Sheets reported that the committee met this month and finalized Spring 2024 events. The most recent community events which included the Welcome Back Snowbirds Mixer, Holly Jolly Mixer and Santa Party were all well attended and enjoyed by all. The Hanukkah Party is scheduled for next week. COMMUNICATIONS COMMITTEE Jennifer Sheets reported that there has been an increase in Room Rentals for the holidays. Updated club and group agreements are being finalized. ARCHITECTURAL REVIEW COMMITTEE Paul Alessio reported that since the last Board meeting, the committee met on November 9 (fourteen submittals) and November 24 (seven submittals). The committee is continuing to see a wide range of enhancement and great submittals. EXECUTIVE COMMITTEE David Van Omen reported that the committee met on November 27 and discussed the cell tower leases, 2023 Audit/Tax Engagement Letters, Ramada and Mailbox updates, Annual Meeting Voting, HR, checking the holiday lightings and security cameras.

An architectural proposal to redesign all 26 mailboxes and nine (9) mailboxes throughout Grayhawk was discussed. The proposal was submitted by Studio KZ, designer of the recent guardhouse. The design was shared with the board to review and consider. No action needed at this time. BUDGET/FINANCE COMMITTEE Derek Moore reported that the committee did not meet. NEW BUSINESS Management has been contacted by both Verizon and AT&T regarding terms to renew their cell tower leases early. The current lease for Verizon is $ $7,056.72 per year through 2025 with no additional renewal terms. Previous renewal terms were at a 110% escalator per term. The renewal offer is $7,762.39 per year effective September 1, 2025 with a 10% escalator every 5 years for 4 additional renewal terms. BOARD BRIEFS continued lease for AT&T is $ $661.25 per month through 2030 with no additional renewal terms. Previous renewal terms were at a 15% escalator per term. The renewal offer is $629.00 per month effective November 27, 2030 with an 8% escalator every 5 years for 5 additional renewal terms. Motion to approve both contracts as presented. Seconded and Motion Passes. A proposal from Studio KZ was received to update the mailboxes and ramadas within the community. This proposal was based on a continuation of the guardhouse project design and would be a community enhancement project if approved. The board discussed this being an enhancement to the community and their desire to see 3D renderings including the cost to produce them. At the November 2023 open session, the GCA board requested a comparable bid to be obtained to provide audit and tax preparation services. Arizona state statutes require that the GCA must have an audit/annual report of the association prepared within 180 days of the end of the fiscal year. In 2014, the association audit and tax return contract was awarded to Mansperger Patterson and McMullin (MPM). Since MPM’s proposal reflects a slight increase in cost from last year’s proposal. Fees for the audit and other services other than the preparation of the tax returns will not exceed $8,225 and $275 for the preparation of the tax returns. A second proposal was received from Butler Hansen for fees for the audit and other services other than the preparation of the tax returns will not exceed $9,250 and $250 for the preparation of other documents. Motion to approve the proposal from Masperger Patterson and McMullin as presented. Seconded, and Motion Passes. In 2022 Grayhawk Community Association began utilizing electronic voting options for the convenience of homeowners. Management procured cost and platform information from three widely used election companies with the board awarding the contract to Vote HOA Now. The second year of electronic

voting in 2023 we received over 1001 votes. Motion to approve the proposal for Vote HOA Now for $1,955 for election processing costs and up to $3,800 for additional printing/ postage costs. Seconded, and Motion Passes. TREASURER’S REPORT Derek Moore reported that Revenue for October was approximately 20k over and that administrative expenses were approximately 17k over budget. The main reason for these overages is collection fees and revenue which offset. MANAGEMENT REPORT Stacey Harvey reported a permit for height indicators at the guardhouses were obtained. A long awaited order of park benches were delivered.

The Role of the Board Every January, there is a call for candidates for both the Grayhawk Community Association and Retreat Village Association Board of Directors. Serving on the Board of Directors is a great way to get involved in your community, but many residents don’t know what is involved in serving. Here are answers to some of the most common questions:

What is the role of the Board of Directors? Board members are elected to represent and speak for the residents of the community. They make decisions with what is best for the community as a whole in mind. While the management company is hired to run the day-to-day operations of the community, the Board of Directors is elected to represent community members and make decisions on behalf of homeowners.

What kind of decisions does the Board make? The Board of Directors reviews recommendations made by the various committees in Grayhawk and makes decisions on everything from selecting vendors to funding projects, approving the budget and addressing homeowner concerns.

What is the time commitment for Board members? Board members should expect to spend about 3-5 hours per month on board business. Both the GCA and RVA Boards meet monthly (both general and executive session) and typically each board member also serves as a liaison to one of the Grayhawk committees, many of which meet monthly. In addition, there are training or information sessions to stay up to date on changes in HOA laws as well as occasional special meetings.

What You’ve Been Missing Did you know that you can find information on all eight Grayhawk committees online? This includes a brief description of which each committee does as well as information on how often each committee typically meets. You will also find the application to serve on a committee. To access the information, just log in and visit grayhawkcommunity.org and then navigate to Resident Resources/Governance/Committees.

What are the requirements to be a Board member? The only requirement is to be a homeowner who is in good standing and has a desire to serve the community. Good standing means the resident must be current on all assessments. While a background in HOAs or planned communities is nice to have, it's not required at all. New board members go through training sessions to learn about Arizona's open meeting laws for planned communities (A.R.S. 33-1804), how board meetings work, the purpose of executive sessions, and other board specific topics.

How can I get more involved without serving on the Board of Directors? One of the best ways to get involved in community governance is to join one of the committees. It is actually highly recommended to serve on a committee prior to running for a board position as it gives insight into how the community runs. The committees include the community enhancement committee, operational review committee, landscape committee, budget-finance committee, development committee, communications committee, architectural review committee and event planning committee. All of the committee do have a charter that governs the responsibilities of that committee and also dictates a maximum number of committee members, which means that not all committees will have openings at any given time. Generally, if there is an opening, new members are welcome! Applications for these committees can be found on grayhawkcommunity.org by visiting Resident Resources/ Governance/Committees. If you have any questions about applying to be a board member or join a committee, please reach out to the Grayhawk staff who will be happy to answer any questions you may have.

As resolutions take center stage and the pursuit of a healthier lifestyle gains momentum, incorporating a nutrient-dense smoothie into your morning routine can be a delicious and satisfying choice. Packed with essential vitamins, minerals, and, most importantly, a generous dose of protein, this vibrant concoction not only fuels your body but also sets a positive tone for the day ahead. Pumpkin Spice Protein Smoothie

Invest in a Good Blender: You will need a high-power blender or bullet to ensure all ingredients are well mixed in and to avoid chunks of fruit or greens. Frozen vs. Fresh Fruit: Frozen fruit will give a smoothie a creamier texture than fresh fruit. Thicker Smoothie: If you want a thicker smoothie or to make it more of a smoothie bowl, consider the following: • Add nut butters • Add oatmeal or cooked quinoa • Use less liquid • Use ½ frozen banana Balance Ingredients: You want a good balance of ingredients. Too many greens may not too strong of a taste. Also, too much fruit will make the smoothie very high in fructose and drive-up blood sugar.
