Here s to another 50! I
t’s our 50th issue and my last as editor of Meetings SA. What an incredible journey this past year has been. Thanks so much to all of you, our readers, for your ongoing support. I’ve met some amazing people, been to absolutely exquisite places and attended many conferences and events – most recently the Tourism Indaba at the ICC Durban in May. You’ll see from my editor’s picture one of the incredibly creative artworks we came across at Indaba. Besides the festivities in Durban during the four days, some great business networking were achieved too and I’m happy to say that the South African MICE and business tourism industries are alive and well. This month there’s the South African Association for the Conference Industry’s annual congress and exhibition to look forward to at the new Boardwalk Convention Centre in Port Elizabeth and we’re also off to Botswana for the Botswana Consumer Fair. In this issue, you can read about the top conference venues in the Mother City, meetings with a difference on Southern Africa’s luxurious trains and the latest craze of ‘glamping’ (glamorous camping). Martin Hiller will be taking the reins as editor of Meetings SA and the SA Conference Directory and website. He’s been working in the media industry for seven years and comes with a wealth of digital, design and writing knowledge. He is passionate about the brands and has some fabulous ideas up his sleeve. Until we meet again, yours in business tourism,

Shows and exhibitions like these don’t happen overnight. It takes months of planning – from the security at the entrance to making sure the food is up to scratch, no stone is left unturned. Security at a venue as big as the JEC is imperative. The security manager, Dan Nsthanana, makes sure visitors are welcomed accordingly from the point of entry at the gate. Nsthanana has been with the JEC for over a decade and his experience and knowledge of the venue is invaluable. The first point of contact at any company is extremely important; first impressions

o far, 2013 appears to have heralded a return in business optimism,” says Sally Grierson from destination marketing company Cape Point Route. “Market trends show that Cape Town companies are looking for two-day/one-night corporate getaways focusing on conferencing on the first day and team building or a group activity on the second.” Time out of the office can be expensive, as can travel costs, so companies are looking to ‘escape’ closer to home. “Western Cape corporate getaways are gaining popularity among companies in other regions of the country too – all positive signs for business travel in the region and the South African economy as a whole,” adds Grierson. Cape Town – and the Western Cape – offers a diverse range of sights and attractions as well as good hotel and conference venue infrastructure. Companies require first-rate technology equipment, and a big drawcard is venues with sustainability and environmentally friendly ratings – all very prevalent in the Western Cape. And the cherry on top is the beautiful beaches, mountain ranges, wildlife, forests, fine wines and delicious cuisine.

REGIONAL FOCUS • Western Cape West Coast charm Club Mykonos, on the shores of Langebaan, has been awarded a Four-Star Self-Catering grading by the Tourism Grading Council of South Africa. The grading comes after a recent focus on developing the facilities and services the resort offers, in particular the Athene Conference Centre. “We’re delighted at our new four-star grading,” says Club Mykonos’s marketing manager, Michelle Goldschmidt. Although well-known as a family holiday destination, corporates are increasingly taking notice of the resort as the perfect work and play solution for their employees.

REGIONAL FOCUS • Western Cape Relax by the Protea Hotel President's pool
A team building outing with a difference – a theatre production Pieter Buitendag, general manager of Protea Hotel President in Cape Town, gives us his top conferencing tips. The most frequent requirements from CLIENTS and PCOs about MICE locations are: Technology It’s very seldom that one sees anyone at a conference nowadays without tablets or laptops, which are often used as part of the organisation structure such as delegate registration. Unavailability of high-speed internet can nowadays be a deal-breaker, so hotels have to get up to speed. Meeting spaces Being flexible is key. There’s a large move towards meetings that are less formal, so venues outside of traditional conference rooms need to be options. Being rigid about traditional meetings spaces will lose business. Green credentials A lot of conference queries, particularly those from overseas, incorporate questions about carbon offsets and they, too, can be deal-breakers. We offer green conference packages that support a number of South African NGOs, but each hotel in the Protea Hospitality Group works with several charities at any given time and those organisations always welcome donations of money, food, blankets and even just time. Entertainment When the working day is done, while some delegates might just want to kick back in their rooms others will want to work off the stresses of the day. This is why choosing the right location for your conference type is critical. If the idea is to team-build in an uninterrupted fashion, a bush lodge might be the answer. Tailor your venue to your people and the conference will be a success.

he South African events industry is dynamic and unpredictable at best; however, there’s hope for industry suppliers. This lies in the influx of ‘big brands’ that continue to shift their traditional advertising budgets to below-the-line events and one-on-one consumer interactions,” explains Etienne Erasmus, MD of Rain Productions. He continues: “Along with the increased opportunity this affords local suppliers, there is of course a sense of increased competitiveness. Gone are the days of ‘a chair is a chair’. Brands are looking for suppliers that can offer innovative solutions to their practical event infrastructure requirements, without breaking the Suppliers are required bank. As a result, suppliers are required to continuously to continuously refresh their range of refresh their range furniture and decor items to keep up with of furniture and international trends and stay ahead of decor items the game. “From wedding clients through to large corporates, there’s a definite trend towards ‘customised’ event spaces,” Erasmus adds. “An easy way to achieve this is to offset more traditional furniture elements, such as lounge furniture, with a few high-tech or customised pieces that can transform an otherwise run-of-the-mill space into a brand experience for consumers.” An example of this is to combine traditional furniture elements with a few LED statement pieces, Emile Erasmus, Rain Productions’

creative director, elaborates: “The Aurorae range of LED furniture, which we launched in November last year, consists of lightweight lounge furniture with built in LED lights. These can be set to glow one of 19 different colours. By simply setting the elements to the brand colour, a space can be completely transformed in a brand-owned area while providing the practical seating – a necessity.” Correct and sufficient furnishings determine the level of comfort and practicality at any given gathering. biggest trend we’ve seen is the preference for white pieces. White is definitely the most in-demand colour for furniture items at the moment,” says Naidoo. “Each event differs. Exhibitions may require more functional and packaged solutions like office set-ups or display cabinets for each exhibitor.” One factor you can’t get around is the standard and quality when hiring furniture for any event. It sets the precedent for the experience and any damaged or substandard goods could cause irreparable reputational damage. Naidoo continues: “The market is price sensitive but still willing to pay for quality furniture and good service – it’s such an important element and it should communicate quality to the audience. The furniture and decor determine the status of the event and must be well integrated to ensure that the client’s objectives are met. their heads high as ‘must-visit’ gems for many international tourists. Towns that come to mind are Cradock (Eastern Cape), Heidelberg (Gauteng) and Darling (Western Cape). There’s a similar pattern to each of these small towns as far as revival is concerned. Each one has an entrepreneurial champion who’s envisioned the financial spearheading of their own project that can bring personal profit. This assists other residents to resurrect the essential infrastructure in order to gain and prosper. From the MICE industry perspective there’s an equal amount of opportunities. Event managers would certainly consider a MICE gathering with such rich local heritage – it’s different and enlightening of our nation’s history.

Referral
NO-NOs We ve all known at least one person who has ruined their chances of getting referrals just by trying to be seen as a jack of all trades .
properly qualified they don’t require the hard sell. If you do, the result will be people avoiding you. • Publicly asking for help and advice, then arguing with it or not doing anything about it This has two effects on the person you are seeking help from. Firstly, the initial impact on the person that tried to help is they won’t bother wasting time like that again. But it also might communicate a form of one-upmanship. • You don’t need to ask for help if you are only going to ignore the advice given This will demonstrate that the advice wasn’t needed in the first place, and that you thought you knew better. This doesn’t create a great overall impression. • Not giving (but expecting) referrals I’m not talking here about “oh, you should really talk to xyz, he might know people that need your help”, but proper referrals – a qualified introduction to someone that needs your help (and is willing to pay for it). Result? People get fed up with your taking attitude and don’t bother with you. • Not connecting with people at a deep enough level Until people really understand what it is you do, how can you expect them to give you referrals? Let alone trust you enough to refer you to their biggest client, where their reputation and credibility is on the line? So make sure that you are coming across as the leading expert in your field – and add some confidence in there too.

“The volume of Chinese outbound travel has hit a record high.” Jeffrey Xu, CIBTM, project manager
Meetings SA sat down with Jeffrey Xu, CIBTM project manager. What are your expectations for the show? We have high expectations for the show this year and are delighted to confirm that there’ll be a number of new and returning exhibitors – regional and international – covering a full range of products and services for the meetings and events sector. This year will see the launch of CIBTM Knowledge, CIBTM’s new look education programme.
buyers, planners and suppliers of all levels of experience. Why is CIBTM so important, not only for China’s business travel and exhibition industry, but for the rest of the world too? China is an emerging, dynamic and fast-growing country that provides a wealth of business opportunities for international and regional suppliers. China’s total business travel spend has increased by an average of 15.5% per year from 2000 to 2012 and has a
projected expansion of 16.9% in 2014 – more than twice the rate of the US market. In addition, the volume of Chinese outbound travel has hit a record high of US$79 million (R808.09 million),
with the sum total of expenses at US$80 billion. These figures demonstrate the importance of both MICE and the business travel market in China, and the potential return on investment it offers. CIBTM is also important as it showcases China, and particularly Beijing, as a major MICE destination. It highlights the potential for business in the country, the high-quality MICE venues and infrastructure available to the global stage, thereby encouraging international inbound business to all areas of China. CIBTM works closely with China National Tourism Administration to showcase Beijing and the rest of China to attendees as a MICE destination.

D
id you know that a recent US dipstick survey revealed that food was the number one ‘differentiator’ for function delegates,” states Townhouse Conference Centre manager Theoné Williams. “Of course, with food from our Michelintrained executive chef, Stefan Schmidt, our guests always come back for more. “At Townhouse, we offer a great range of menu options: multicourse banqueting, finger food for work-through-lunch meetings, health menus and much more. Or ask us to customise something unusual, like a ‘make-your-own sarmie’ deli spread for your creative workshop. We’re able to cater to local cultural eating habits and tastes too – we can serve a hearty pap and vleis just as easily as haute cuisine. Since we’re big on responsible hotelling, we source local, fair trade and eco-smart – we even grow some of our own rooftop greens. “Food is just one feature of our offering, which includes 500 m² of modular event spaces (convertible for needs large or small), a city-central location and our well-known four-star hotel,” Williams concludes.
