Venue Access & Parking

Venue Access

Event-day access: 8:00 A.M. – 11:00 P.M.

Vendor arrival: No earlier than 9:00 A.M., unless pre-approved.

Makeup and hairstylists are exempt from this rule

All décor, rentals, and personal belongings must be removed by 11:00 P.M.

Rehearsals:

Saturday clients – Friday, 3:00–6:00 P M

Sunday clients – Friday, 10:00–11:00 A.M. (or day-of, as scheduled by client).

Note: Sunday clients may not decorate or drop off items in advance

Parking

Guests and wedding party: Main lot (right side upon entering gates).

Vendors: Kitchen/catering cove side of building

Reserved spaces: Five designated spots at the front entrance for parents and grandparents. Handicap, bridal, and groom parking are clearly marked.

Overnight parking requires prior approval Vehicles must be retrieved by 10:00 A.M. the following day. Glass Hill is not responsible for items left in vehicles.

Venue Access & Parking

Bridal & Groom Suites

Suite access: 8:00 A.M. until 30 minutes before the ceremony. All bridal party belongings (including food) must be moved to the bridal closet before the ceremony. The suites remain accessible only to the bride and groom during the event

Suites will be cleaned during the reception; items left will be relocated to the bridal closet

Prohibited: nail polish/remover ($250 fine for damages), rearranging furniture, coolers of alcohol, or hard liquor Small quantities of beer/wine may be stored in the suite refrigerator

Deliveries & Rentals

Deliveries may only occur during rehearsal or setup windows No early or Thursday deliveries.

All rental items must be removed by the end of the event

Catering & Alcohol

Catering & Food Service

Caterers are responsible for their own setup, breakdown, and cleanup

Kitchen must be left clean: floors swept and mopped, water removed from heating unit, refrigerator and appliances wiped down.

Rental glassware must be stored in designated areas (box truck or trailer).

All trash must be disposed of in designated areas

Items left in the kitchen after the event will incur a $250 cleaning fee

Alcohol

Beer and wine are permitted. Liquor is allowed only when served by an approved bartender for signature cocktails.

Alcohol may not be stored in vehicles or consumed outside of service.

All alcohol must be served by Tabby Bennett Bartending Services

No kegs or outside liquor permitted

Guests under 21 may not be served; IDs may be checked

Staff reserves the right to refuse service or remove intoxicated guests

Last call: 45 minutes before exit

Bar closure: 30 minutes before exit

Decorations

Fires & Candles

Fires permitted only in designated pits, managed by GHV staff

Indoor fireplace may only be lit by GHV staff.

S’mores are not permitted over fire pits or gas logs.

Client candles: Must be fully enclosed in glass with no exposed flame. Wax damage to linens will incur a $20 fee per linen Clients are responsible for wax cleanup

GHV candles/decor: Floating candles may only be used in GHV-provided hurricanes (candles provided by client) Wax candles may not be used in GHV votive holders; LED alternatives will be provided

GHV Décor

Any GHV décor items you wish to use for your wedding must be included with your day-of documents, submitted two weeks prior to the event.

GHV Mirrors may be used for signage and seating charts Adhesives must be fully removable Cricut vinyl is prohibited due to residue Peel-and-stick wax seals and washable markers are permitted

GHV Mirrors must be cleaned by the client at the conclusion of the event

A GHV inventory list is available; please contact Megan Boyd to request a copy Please note that décor availability is subject to change due to ongoing inventory adjustments

Decorations

Decorations

Nothing may be affixed to walls (no tape, nails, screws, wire, command strips, or hot glue).

Prohibited: glitter, rice, confetti, silk petals, hay, water beads, or vibrant petals.

Permitted farewells: neutral biodegradable petals, bubbles (outdoors), sparklers (gravel only), LED wands, ribbon sticks, and birdseed (outdoors)

Pyrotechnics are not permitted

Arbor fabric must be installed by a florist or the client

All décor must be removed by 11:00 P M

Additional Details

Music & Noise

All outdoor music must conclude by 10:30 P M

DJs should be advised: Wi-Fi is intermittent and should not be relied upon for streaming.

Smoking

Smoking and vaping permitted only in designated outdoor areas

Strictly prohibited inside bridal and groom suites

Children

Children must be supervised at all times

Pets

Pets permitted outdoors with prior approval and current vaccination records (submitted 30 days in advance)

Pets are not permitted indoors unless the weather requires the ceremony to move inside

Owners are responsible for cleanup

Additional Details

Liability & Safety

GHV staff may close alcohol service, stop music, or mandate shelter during hazardous weather.

GHV is not responsible for lost or stolen items, or for vendor equipment. Coordinators are responsible for compliance with venue policies and must remain onsite until all guests have exited

Layout & Rain Plan

Layout changes are not permitted on the event day unless required by inclement weather.

GHV reserves the right to enforce the rain plan for safety.

Final layout must be submitted 2 weeks prior to the event. Limited changes may be made at rehearsal Layout must include:

Number of chairs per table

Sweetheart table name (if using GHV items)

Table numbers (if using GHV package)

Staffing & Contact Information

Glass Hill Venue provides limited staff support to ensure events run smoothly:

Rehearsal: One GHV staff member will be onsite to assist.

Event Day: Two GHV staff members will be onsite. Staff arrives three (3) hours prior to the ceremony to prepare the venue and assist throughout the event

Please note: GHV staff does not replace professional day-of coordinators, caterers, or vendors Our team is present to oversee venue operations, enforce policies, and support logistics as needed
