Excerpts from the Execs: July 2013

From June 26-30th, Circle K’ers from around the world gathered in the beautiful city of Vancouver, Canada, alongside Kiwanis, to celebrate a year of success with their annual 2013 CKI International Convention (ICON). Between the various workshops, caucuses, house of delegates, Eliminate Project Walk and Eliminate Dance, it was a week of service and success! The Georgia CKI District was lucky enough to take home four distinguished trophies, including Distinguished District, two club awards, and an honorable mention. Kiwanis also celebrated electing Vice-President Susan A. Petrisin, who will look to become the first woman Kiwanis International President in October 2015. On top of that excitement, the Distinguished 2013 World Service Medal was given to Sarah McLachlan, who performed live on stage. I invite you to attend next year’s Large-Scale Service Project and International Convention, called “Convention X” which will be held in sister district KentuckyTennessee in music capitol of the world, Nashville, Tennessee!  Brittany Horton

Secretary Please don't forget to turn in your Club Monthly Report by the 5th of every month.

One of the main purposes of turning in the report is to report on the service and other events your club has done during the month. A service hour is defined as one hour planning, traveling to, or attending a service project or fundraiser where all the profits go toward a charity. The treasurer works closely with the club secretary to coordinate the collection and disbursement of money. Accurate record keeping is imperative to this position. In many cases, the college or university will require the club to process all transactions through the college or university business office. The treasurer will need to learn about the college or university’s procedure for the collection and disbursement of club monies. Club Treasures should consult Faculty or Kiwanis Advisors regarding all financial matters.

• Collect and record member dues.

• In coordination with the secretary, forward dues and membership invoice to the International office.

• Prepare the budget and ensure that club activities adhere to the budget.

• Maintain accurate financial records.

• Transact business through a bank or school account.

• Inform the club of its financial strengths and weaknesses.

• File appropriate forms with the Internal Revenue Service (US only) if necessary.

• Inform the Kiwanis club of the club’s financial status.

• Disburse funds and pay bills promptly as approved by the board of officers.

• Reconcile bank statements.

• Invoice members for unpaid dues.

With Circle K clubs doing so many things throughout the year, it is crucial to get information across to all of the members. Sometimes a quick email will get the word out, but Georgia Circle K clubs are so active and involved in their communities that often, they need to regularly post updates about everything that they’re doing.

This is where a club’s editor comes in. The editor organizes and helps to write a club’s newsletter for distribution to the members. The newsletter not only keeps members informed, but it can show off the awesome things that members are doing and help to show potential members what Circle K is all about and get them interested in the organization. It helps a lot of people to have something they can physically hold in their hand—or at least scroll through and look at the pictures! We as a district love to see all the different kinds of club newsletters that you write, so please feel free to send us a copy and don’t forget to apply for the Club Newsletter award at District Convention!

If you’re lost about how to lay out your publication or are overwhelmed with all of this information, there are guidelines and templates offered by Circle K International. CKI has also released new graphic standards, suggestions for making your publication look like others throughout the organization. I’m am so proud of Elizabeth “Lizzy” Ludlow. She works tirelessly to make a difference in our district and has been a productive, caring member of Circle K for almost six years. It definitely reflects in her job as Secretary this year. She’s already completed and sent out the CMR to club secretaries, resent it with changes, updated an collected information for the Peachbook, distributed board minutes in no time at all, posted the committee directives, done tons of service hours, trained club secretaries, won a Distinguished award at ICON, assisted the Governor with sending out the agendas, all the while maintaining a home and her family. Lizzy is an amazing woman who inspires the best in people, and I’m proud to give her this well -deserved recognition. Thank you for all that you do Lizzy!  Governor Brittany Horton
