Notes
The CRM sales Pyramid
The sales pyramid & nurturing theory
Why NURTURING IS the key to success
Rather than relying on high-volume cold outreach alone, modern sales combines prospecting with an immediate engagement sequence, often refered to as ‘Nurturing’.
How it works.
As soon as a prospect is identified and a marketing email is sent, they should be enrolled in a nurturing pathway.
Data shows that prospects who receive targeted, relevant content are dramatically more likely to convert.
So it is a huge benefit to know the things your prospect is interested in, business wise and personally because through nurturing, your conversion opportunity increases by 90%.
The Synergy Principle
Effective engagement, nurturing, turns ‘marketing-qualified leads’ into ‘sales-ready prospects’, making every subsequent sales conversation more productive.
Prospecting fills the top of your funnel. Engagement drives prospects to the bottom of it.
Without engagement, you are doing half the job. With it, your 30% conversion window opens; and that is where accounts are won.
What does this mean for your KPIs?
Your pipeline KPIs are measured against each stage. A healthy pipeline shows roughly equal numbers across Marketing Emails, Follow-Ups, Engagement Emails, and Engagement Follow-Ups.
If your Marketing Email count is high but your Engagement Email count is low, it is a direct indicator that prospects are not interested in what you are saying.
The Sales Funnel & Conversion ratios
Each step of the CRM process represents a stage in the sales funnel. Converting a prospect increases as you move them through the funnel, but only if the correct actions are taken at each stage.
Ready to buy - contacting them at the right time.
Open to buying.
Ready to buy but don’t know it.
Happy with what they have but persuasion could peak interest.
Not interested at all.
Why probablity INCREASES through nurturing
At the nurturing stage, you should be sending targeted content such as pricing, special offers, social value, or even social events that are all directly relevant to the prospect. This is where your efforts to identify the prospects interests will pay dividends. Do not allow a propsect to go cold, continue contacting them in your nurturing cycle.
The PERSONALISED approach to sales
This personalised approach through nurturing activities, dramatically increases the chance of a positive response.
Failing to understand the prospects or their likely interests reduces your ability to hit the sweet spot & can stall at the 7% probability ratio. Condider the fact that every nurturing email not sent is a missed sales opportunity.
Create the company, then add the contacts.
Call and/or send a Marketing email from the library.
Create the Action Note & then Create Action for 48 Hr Follow Up
Send an email from the Nurturing Library to help hook the prospect.
After adding your note, make sure to create your ‘nurturing’ follow up.
The GOAL is achieved. Now move on CROSS SELLING.

D. You will now be asked to create a Follow-up. Select yes and the follow up screen will appear.

The follow-Up will appear in My Actions, which is your daily diary of actions to complete.
CREATING ACTIONS - FFOLLOW UP’s
To create a manual follow-up select the Follow Up option (F)
This will open the Follow Up Action Screen (below).
Make sure to add the follow-up date and to enter your notes - so you can recall what the follow-up is about.
Prospecting is designed to create a strong first impression, establish early engagement, and move the prospect confidently toward a meeting and finally the completion of a credit application form.
Consistency at this stage is critical: it ensures clean CRM data, professional communication, and a clear understanding of the prospect’s needs.
This helps you to manage your sales pipeline effectively, ensuring that best practice is always followed, so you don’t have to waste time while converting new business.
Within your prospecting process, it is very important to ensure you identify the best approach based on your knowledge of the prospect and their needs. This will ensure you increase your likelyhood of early engagement.
The library of emails play an important role in propsecting. These have been created to save you time. They already include an overview of First Response and have links to brochures, so you don’t have to waste time searching. These emails can be easily edited, so you can tailor them to your won needs.
Following the process will help to ensure you meet your KPI’s.
Database Selection
The aim is to compile a list of companies in our CRM that fit within our target markets, gather further information about the customerand/or prospect and determine who the decision makers are: i.e. site manager / HQ buyer or procurement services. Time invested in this should reflect the value and likelihood of a sale.
It is a good idea to understand the different ways in which you can search, so you can filter by target market or job role. This makes it easier to identify the best emails to send, whether marketing or nurturing. This data is likely to be old, so best practice would be to search on the companies website or on LinkedIn to check the contacts we have are still the correct ones. Preparation is everything.
Target Markets
• Construction / Building Contractors
• Shop Fitters / Fit out Companies
• Infrastructure Development
• Civil Engineering
• Heavy Civil Construction
• Agricultural / Landscaping Companies
• Utility Construction
• Facility Maintenance Frame Works
• Demolition and Decommissioning

When the email template has been select, you can easily edit the content. This will allow you to personalise your communication.
However, be careful you do not remove any of the links to brochure that may be active within the eamil body.

Inbound Prospect STEP 3
Prospect Replies to your Marketing Email
Although this may seem an unlikely scenario, remember the 3% rule. These prospects are likely to be ready to buy and your email introduction landed at the right time.
An Inbound Prospect should be treated as a priority. Do not delay in responding as their response suggests they may be looking for an alternative supplier.
The Aim
The aim hers is to respond quickly and directly with the decision-maker.
Identify which Core Products the customer requires and arrange to meet withy the prospect, after conducting your internal research on their core products.have.
Recording Core Products
Suggestions
Open with: “What did you find particularly interesting in my corresppndence?”
Identify areas where FRSS can genuinely improve their situation
Listen and note which products / services generate most interest.
Identify Core Products and record these in the ACTION NOTES.
If they are ready to meet; Agree a date within 6–10 working days & proceed.
If not yet ready to meet; proceed to the Nurturing Cycle, sending prices for their core pproducts and any other information they may require.
After this process you should have a clear picture of which FRSS products and services are most relevant to this prospect.
Record these in the ACTION NOTES field. This information is used to select the most appropriate Nurturing email and create a tailored price list for the prospect.
As the Prospect has responded to your communication, the prospect will already exist in your Sales Pipeline.
In order to progress you will need to go to ‘Contacts’ on the CRM menu and locate the Prospect:
Following the prospects call, they may have requested further information or pricing before proceeding to a meeting.
It is therefore important that you have identified where their key interest lies. In most cases your initial nurturing email will contain pricing.
The Nurturing cycle should now be followed:
The Nurturing email contains targeted, relevant content based on what you now know about the prospect’s Core Products and needs. There are a number of nurturing emails contained within the Email Library. These email templates include:-
Pricing Email - Default Choice
In most cases, the Nurturing email should include PRICES.
Prospects who receive relevant pricing are significantly more likely to engage, it removes ambiguity, demonstrates transparency, and gives them a concrete reason to book a call.
If prices are genuinely not appropriate at this stage (for example, the prospect has specifically asked not to receive pricing yet, or the situation requires a different approach), you may select an alternative nurturing email from the library. However, the pricing email should be the default choice.
Nurturing email templates are vailable from the Email Template Library withn the CRM.
Remember, all the emails contained in the library are completely editable, so you can make personalise these and reflect the conversation you may have had.

The 48 Hour follow up is recommended for all activities. This is an Action where you will call the prospect to follow up an email or previous conversation, the aim of which is to secure a meeting. Once the telephone conversation has taken place this is the procudure to follow:

PROSPECT S4 NURTURING CYCLE (ACT-00109781
STEP 5
What is this step?
When a prospect agrees to a meeting, either following the initial call or after the engagement email, you must confirm the meeting and prepare thoroughly.
The meeting is the most important step in Stage 1.
Having followed the pre-meeting confirmation steps & having met with the propect, you should follow the numbered procudure on the right.
Meet and Agree Terms
Attending the meeting & positioning Sales Stage 2
During the Meeting
Ask questions and listen; listen more than you speak
Identify and record all objections before presenting solutions
Use the meeting to position Stage 2: Cross Selling
Use a trial close: “From what you have seen, does this look as if it might meet your needs?”f
Prior to the meeting you should have completed the following:-
1. CONFIRMATION EMAIL
- 24 Hours before meeting
Once the meeting has been confirmed, an email confrmationemail should be sent confirming the details of the meeting.
2. CREATE ACTION - PRE-MEETING CALL
- 24 Hours prior to meeting
This Action is to warm them up, refer to previous conversations, recap solutions discussed, and ensure the meeting is fresh in their mind.
This action does not appear in the main action trail, you should create this as a standalone diary entry.
When you select the email from the templates, it will open ready fr you to send. Before sending, you will need to edit the email and tailor ot specifically for the prospect before double checking and sending.
(or create a MANUAL follow -up).
Now you have edited and sent the email, you will be prompted to create a follow-up. Select 48Hr Follow-Up from the list of options, enter your notes and set the follow up date:-
You aim now is to secure a completed Credit Application Form during your follow-up call or nurturng email.
What is this step?
Once you have met with the Prospect and it has been agreed a credit application will be completed, it is important you monitor this does in fact get sent.
Do not let this drift.
Regularly check with the Accounts team (Justine) at FRSS. Create a follow-up action to contact the Prospect to request the Application Form.
Credit Application Received
Once the prospect returns the completed credit account application form, the application is assessed. There are two possible outcomes. Handle both promptly and professionally.
The credit application has been SUCCESSFUL
Send the Credit Account Approved email, confirm trading terms and progress the account to Sales Stage 2 - Cross Selling
The credit application was UNSUCCESSFUL
Send the ‘Account Declined’ email and close the action approiately in the CRM.
Credit Application - Approved
Credit Application - Declined
Search for your Actions:
