NORAH KENNEDY executive director When I look back on what we have accomplished in the past 12 months, I shake my head at the sheer impudence in thinking we could accomplish it all. But accomplish we did! I extend my congratulations to the entire Staff, Management and Board of FTP on their remarkable accomplishments this year. Each and every one brought their passion, vision and commitment to this agency, the people who use our services, and to their work every day.

Over the past year, on top of the regular work of supporting and sheltering women and their children and educating youth, FTP initiated an agency and program evaluation process, completed the final year of a three year Accreditation process which culminated in being awarded our very first Agency Accreditation (AND achieved 100% in the process!), and went through a very positive but very indepth strategic planning process.

All of these initiatives were separate projects, although intricately linked. The process of reviewing all our policies and procedures for the Accreditation involved people at all levels of the agency and allowed us the opportunity to really look at how our policies and our practices are aligned and where changes need to be made. The policy review process contributed directly to the evaluation process, as we developed Logic Models and deliberately thought about the outcomes we are working to achieve in each program. The rollup of the evaluation data allowed us to take feedback from staff, and so importantly, from the people who use our services. Their feedback was used to inform the Strategic Planning process, as Board, Staff, Management, Service Users and Community Partners were consulted and then determined FTP’s strategic direction for the next three years.

Entitled, “Steadfast in Our Purpose; Riding the Winds of Change”, the new Strategic Plan for 2016-2019 sets a powerful direction, building on the work of the last Strategic Plan. The new plan emphasizes the need to continue as we have begun, remain steadfast – keep our work firmly rooted in our vision of a Community Free of Abuse, and be proactive in our efforts to ensure that our service delivery meets the needs of a rapidly changing community. With population growth, increasing cultural diversity and clients with ever more complex needs, this Strategic Plan will ground and direct our work over the next three years. We remain “Steadfast” in our belief that by continuing to provide Safety and Support for those who need to find it here at Family Transition Place and by continuing to advocate and educate for healthy relationships and violence free lives in our homes, schools and community, FTP will remain viable and relevant until such time as we are no longer needed in our community.

While providing Safety, Support and Hope to all who enter their doors, they also had the courage and commitment to their clients to examine how effective the agency is in providing service. Receiving 100% in their FOCUS Accreditation achievement is a clear demonstration of the commitment each member of FTP has to the women, children and men that need their support.

This exceptional dedication extends from their inspirational leader, Norah Kennedy, to her senior team, counsellors, front line and support staff, volunteers and the Board of Directors. This year also marked the achievement of goals set by a three year strategic plan, and creation of a new strategic plan fostering a dream inspiring the agency to an even greater level of impact for the community they serve. I encourage you to be part of the movement to end violence against women, to mentor and guide our youth, and to bring about the FTP vision of a community free of abuse where all women, children and men are treated with respect and equality, and living in healthy relationships within their families.

Family Transition Place (FTP) is an agency serving Dufferin and Caledon, dedicated to supporting women and their children who have experienced abuse and unhealthy relationships.

FTP was founded in 1984 and currently offers services in five program areas: Emergency Shelter, Second Stage Housing, Transitional Support Services, Counselling (Addictions, Sexual Assault & Women Abuse), and Youth & Community Education.

YEAR IN REVIEW We are proud to share some of our highlights for the year: •

Accreditation: After a three year process that involved Board Members, staff, service users and community members, we have achieved our goal of becoming a fully accredited agency. FTP was the first organization within FOCUS Accreditation to receive a score of 100% in meeting all standards!

Evaluation: In keeping with our goal of Service Excellence, we worked with Knowledge to Action Consulting to evaluate our agency programs. Results indicated that 96% of clients reported that FTP staff are respectful, supportive, and welcoming, and that their first contact was positive. 94% of clients found the information provided useful and would recommend the program to others. 92% of clients had a good experience in their program and reported that staff had the skills to provide high quality services that met their needs.

Strategic Planning: Board Members, Management and staff went through an in-depth Strategic Planning process, culminating our new Strategic Plan, entitled “Steadfast in our Purpose”, which will guide the agency throughout the course of the next three years.

Staff Engagement: FTP is committed to creating the best possible work environment for our employees.

This year’s Motivation, Engagement and Health (MEH) initiatives offered various fun activities designed to show our staff how much we appreciate them!

•

New Staffing: A new Food & Nutrition Specialist position was created for our residential program. This position enhances the experience for the women and children residing in the shelter. Along with tasty, nutritious meals served nightly to shelter residents, we are now able to offer women basic cooking lessons, help mothers/women with meal planning, budgeting skills and teaching the importance of healthy diets in their children’s development and in supporting their own emotional recovery and well-being. Furthermore, our Specialist has reached out into the community and developed partnerships and relationships with the food bank and other food vendors, which has helped in cost cutting measures for FTP.

As part of the “It’s never Okay” Ontario Government’s Sexual Violence Action Plan, new funding was extended to hospital based Sexual Assault /Domestic Violence Programs to enhance counselling services.

connected to the Ontario Telehealth Network (OTN).

FTP clients needing to connect with psychiatry or other health professionals outside our immediate area now have the opportunity to do so via the OTN network.

Healthcare Sexual Assault/Domestic Violence Program, FTP was able to hire a two day a week, Sexual Assault Clinical Counsellor to supplement existing services. This funding is in place for two years.

Program Developments: FTP provides shelter for women who need to access space due to abuse as well as women who find themselves needing shelter due to homelessness. An abuse stay was eight weeks and a housing stay was four weeks. What we have learned over the years is that there are risks to both situations and women who are homeless are also at risk of abuse as a result of unsafe living conditions. For this reason, we now offer an eight week stay to women regardless of the reason why they need shelter. Just another way that we are trying to keep women safe.

100 men participated in the inaugural Walk in HER Shoes fundraiser that was hosted by the MENtors Committee; a volunteer group of men that supports ending male violence against women, through education and awareness initiatives.

FTP ran its first “Caring Dads” program in partnership with Dufferin Child and Family Services (DCAFS) over the course of 18 weeks in the fall of 2015, with financial support from The Fyfe Foundation. This program is designed to support men who want to improve their ability to connect with their children in non-violent/ aggressive ways.

•

To better serve our clients, and with thanks to our partners at Supportive Housing in Peel (SHIP), we are now

The demand for our Youth Education programs in local schools was exceptional again. Staff was at capacity delivering 64 programs, all which were booked prior to the school year starting. Schools continue to be big supporters of the cost-recovery nature of these programs and continue to believe in the validity of programs that build skills and attitudes that foster healthy life-long relationships.

FTP is fortunate to be able to take part in the Dreams Take Flight program, which provides a whirlwind trip to Disney World to children who might otherwise never get the experience. Four lucky children of FTP clients were invited to take part and make happy memories that will last a lifetime.

•

The Hope Project and International Women’s Day Luncheon Fundraisers were both sold out events and provided much needed funds to continue supporting FTP’s critical services, especially the Youth Education Program which is unfunded and depends on fundraising and fee for service in order to deliver programming in our schools.

All staff interviewed, talked about the open door policy at Family Transition Place and there was a lot of feedback about how all staff at all levels, understand the importance of modelling good communication for the clients served.

The overall financial status of the organization is faultless. The extensive reporting, investing policies, the prudent investments, the consideration in the budget for staff development, is all at the forefront of the organization. A funder noted that, “FTP is impeccable with their transparency, reporting and detail, there are absolutely no concerns”.

RESIDENTIAL CLIENTS Residential clients consistently indicated that they felt staff responded to their needs in a respectful, caring manner and that staff were present and available when needed. Staff were described as non-judgmental, sensitive to individual needs and always ready to listen.

Residential clients have access to specialized staff who are knowledgeable about trauma informed work with children and adolescents and are responsive to their particular needs.

COMMUNITY CONNECTIONS

GOVERNANCE, LEADERSHIP & ACCOUNTABILITY One Board Member noted, “The overall culture at FTP is one of caring and support. Being an FTP Board member I feel my voice is acknowledged and has an impactful role in the running of the organization”.

FTP has created and nurtured excellent comprehensive and cohesive community connections encompassing both the private and the public sectors. Quality, professionallooking marketing vehicles, provide exceptional opportunities to positively influence and educate the community both around Violence Against Women and FTP.

HEALTH & SAFETY | RECORDS MANAGEMENT

ORGANIZATIONAL LEARNING & IMPROVEMENT Organizational learning and improvement is an overall strength of Family Transition Place. Staff meetings and individual supervisions are seen as opportunities to learn and many commented on the “open door” policy of management as a very helpful way to check in whenever required. The organization seeks input from all stakeholders on a regular basis both formally and informally.

FTP uses a gender and anti-oppression exploration to understand violence against women and staff have participated in training on intersectionality.

Any health and safety concerns are seen to promptly by management and minimal delays occur to address the concerns. It was noted that very few concerns become “issues” as management is excellent in addressing health and safety concerns.

Consistently within the organization, files – whether it be HR, Volunteers, banking, financial reports, planning documents – were so very accessible and known to staff. The immaculate record keeping was seen time and time again across all departments of the organization.

Strategic Plan Finale 2015/16 marked the final year of our 2013-2016 Strategic Plan entitled, “Momentum”. It was an ambitious plan from the outset, but one that acted as a guide to the Board, Leadership team and the agency as we worked to meet its goals.

During focus groups and conversations with staff, Board, service users, community partners and funders we not only determined FTP’s Strategic direction for the next three years, but we also reviewed and re-wrote our Mission and Vision Statements to be more inclusive and to reflect the community in which we live and work.

A primary theme evolved out of the discussions regarding the significant barriers faced by women seeking to leave abusive or violent home lives, specifically the risk of poverty, and the lack of affordable housing. It was expressed clearly at this time that too often women must make the choice between staying in an abusive situation and taking their children into poverty. This reality was the foundation for the strategic focus for the next three years.

FTP committed to become more ”woman-centred “– adopting a more holistic approach to supporting women, regardless of where they were at on their journey. Eliminating most of the rules in the shelter, putting a focus on increasing staffing and staff capacity in the areas of mental health and addictions helped us meet this goal. Through a new partnership with SHIP and new funding from the Central West Local Health Integration Network, we were able to start a program that has allowed us to permanently house nine of our clients with moderate to severe mental health challenges in independent apartment units in our community and provide them with ongoing support.

We re-committed to educating and engaging our community in the work to end violence against women in our community. The Headwaters White Ribbon Campaign became the MENtors and this committed group of male volunteers continued to strengthen

and grow their awareness work as over 100 men joined them for the inaugural Walk in HER Shoes Event last June. FTP’s Board made a commitment to the sustainability of the Youth Education Program and a fee for service model to help defray the costs of this unfunded program was well received by the schools. Our team is as busy as ever, providing children and youth with the skills and attitudes they need to develop healthy relationships throughout their lives.

This Strategic Direction embedded being a “vibrant, rewarding sustainable agency and employer” as a key element of the Plan.

We have a highly skilled and experienced staff and through a concerted effort to foster wellness and engagement we worked to demonstrate the value the Leadership team places on each individual who works here at FTP. The Strategic Plan also committed us to modeling program excellence and best practices.

FTP committed to become more “woman-centred” – adopting a more holistic approach to supporting women, regardless of where they were at on their journey.

To that end, the Agency Evaluation, FOCUS Accreditation process and an external expert review of our Youth Education materials and programs helped us meet that objective.

I am proud to have been able to deliver such positive outcomes from this recent plan – and look forward to diving into the work outlined for us in our new plan, approved by the Board of Directors in March 2016 for the period 2016–2019.

Risks, Issues & Challenges Once a year, the Executive Director (ED) uses a Ministry of Community and Social Services risk assessment tool to help determine the level of risk for the agency.

Each year, FTP scores a very low level of risk, determined by a risk assessment tool. Factors that are considered risks to the agency, include, but are not limited to: the overall risk score, environmental factors, program level risks, the ED’s experience with the agency, the appropriateness of the risk mitigation strategies, and/or estimates of likelihood and the impact of the risks materializing.

The Governance and Organizational risk structure scored low risk for various reasons, one being the regular interaction of the Board of Directors. The Board is comprised of nine community members who reflect a variety of diverse skills and experience. They meet monthly and review financial statements and projections regularly, and also help guide a strategic planning process every three years.

The ED presents a “risk assessment dashboard” quarterly to the Board to identify any potential risks to the agency.

Risk mitigation strategies are also presented. Current areas for mitigation include the development of a succession plan for the Executive Director position.

The low risk score is also due to good service delivery processes that include an internal complaints process and emergency protocols.

Service delivery also scored low in risk management due to the regular review and processes currently in place.

Staff sit at numerous community planning and advisory tables to ensure we are meeting the needs of our community and our service users.

In the finance category, FTP scored very low risk because the agency has no outstanding loans, has clean financial audits and follows all Ministry, Canada Revenue Agency and accounting guidelines for financial policies.

FTP’s recent strategic plan achievement also allowed us to examine policies and procedures with an in depth focus to ensure that risk management is in place.

FTP is governed by a volunteer Board of Directors comprised of individuals who have a broad range of experience and a commitment to ending violence in our community. The Board governs through policies that set the organizational goals, the processes to achieve these goals, and management limitations. The Board of Director’s key role is to provide strategic leadership and to focus efforts that support the agency to meet the changing needs of our community, while simultaneously ensuring that FTP’s mission and values are front and centre. Board members, individually and collectively, will evaluate their effectiveness and efficiency annually, in order to identify areas for growth and development.

New Board members are recruited by the Governance Committee.

This committee is also responsible for reviewing the terms and expertise and diversity reflected in current members, and identifying expertise gaps.

Once a new Board member is recruited, they are included in the slate of directors which is put forth for election at the Annual General Meeting held each June. New members are given a comprehensive orientation as dictated by Board policies and procedures. Board meetings are held monthly throughout the year and require a five person quorum for decisions that will affect the operation of the agency.

VOLUNTEERS In conjunction with Volunteer Appreciation Week, FTP hosts an appreciation event yearly.

These loyal and committed individuals bring diverse educational and experiential perspectives that continue to lead us in a direction of credibility and allow us to continue to improve the quality of our community life. Our people

STAFF FTP employs approximately 45 full-time, part-time and relief staff. Annually, each full-time staff member identifies a list of specific goals and objectives that relate to the agency’s mission and strategic plan.

The Executive Director and Managers oversee the agency’s operations to achieve these goals within the parameters of the limitations identified by the Board. Monthly reports are delivered to the Board to ensure the agency’s goals are met and to ensure that there is ongoing discussion of risks and challenges to safeguard risk.

Staff work tirelessly and in partnership with each other in order to provide the best possible service to our community.

FTP is a supportive employer and has ensured that it has incorporated this philosophy into the three year strategic plan by stating, “We want to retain skilled experienced employees through the development of a recognition and reward strategy for staff contribution and loyalty.” This can be challenging in the not-for-profit environment due to lack of resources, however, a small committee of managers formed to create the Motivation Engagement Health committee. This committee was challenged with the task of finding innovative and cost effective ways to show support and appreciation for staff on a limited budget.

Knowing the importance of capturing staff’s needs and desires, employees were asked at the annual staff meeting to put forth suggestions and ideas on what would make their workplace more satisfying.

The agency cares about the staff and understands that by the very nature of our work – helping women overcome enormous barriers in their lives – any given day can be demanding and difficult. Regular staff meetings are held for the departments to have open lines of communication and allow for debriefing.

FUNDRAISING MAKING A DIFFERENCE FOR OUR YOUTH

We believe that by educating youth and children about the importance of respect, self-esteem, and non-aggressive behaviours, we can influence the next generation of families, to break the cycle of violence.

The agency’s cost of fundraising is watched closely by our Executive Director and Board Members. We strive to be efficient, transparent and effective with our donor dollars. Fundraising efforts consist of various activities including direct mail asks, engaging the community to encourage support for third party event fundraisers, the purple scarf campaign and other fundraising merchandise, a raffle, online/ social media solicitation and two major fundraising events – our spring International Women’s Day Celebration Luncheon & the HOPE Project fundraiser held in the fall.

Our fundraising strategies align with our mission, vision and values and allow us to simultaneously fundraise, while advocating for systemic change. We also publish two magazines a year –

Celebrating Women & HOPE magazine; each featuring stories and articles that provoke reflection and discussion about women’s issues.

These two publications are released at each event and circulated throughout the community and are available digitally online. They also serve as an additional fundraising source.

Every donation helps us in our mission to provide safety, support and hope through delivery of the critical programs and services to the women and children that need our services; and to help create a community free of violence through our youth education programs.

PARTNERSHIPS FTP strives to collaborate with local businesses as part of fundraising efforts and awareness-building initiatives such as Woman Abuse Prevention Month, Sexual Assault Awareness Month, and commemorating the National Day of Remembrance and Action on Violence Against Women on December 6th (vigils held in both the Dufferin and Caledon Communities) with the hope of further developing community partnerships, and enhancing FTP’s public presence.

FTP makes every effort to promote education and awareness about domestic abuse within the community by partnering with various agencies including, but not limited to: County of Dufferin, Dufferin Child and Family Services, Orangeville Police Services, Supportive Housing in Peel, Choices Youth Shelter, Early Years Centre, Canadian Mental Health Association, Salvation Army, Victim Services, Victim Witness Assistance Program, Headwaters Hospital, John Howard Society & Central West LHIN Narcotic Strategy.

COMMUNITY ENGAGEMENT & ADVOCACY

1 Family Transition Place strives to influence, educate and partner with the community to end violence against women and to promote the array of services that the agency offers to its community. Here are a few examples of community engagement and advocacy this year: 1. Scotiabank branches in Orangeville (shown in image) and Bolton partnered with Family Transition Place to sell Wrapped in Courage purple scarves during Woman Abuse Prevention Month in November to raise awareness and funds for the agency.

2. Family Transition Place hosts an annual vigil to commemorate the National Day of Remembrance and Action on Violence Against Women in Orangeville and in Bolton.

3. For the fourth consecutive year, the Ferguson Memorial Walk was held by organizers Gus and Penny Bogner in memory of their daughter Heidi, who lost her life due to a tragic domestic dispute with her estranged husband. In remembrance of her life, the event was created to raise awareness and prevent future violence against women and has helped raised over $60,000 in the past four years for education initiatives to prevent future tragedies.

4. Honourable Helena Jaczek was a guest at our 6th annual International Women`s Day Celebration Luncheon Fundraiser at the Best Western PLUS Orangeville Inn & Suites.

5. The MENtors are a volunteer committee made up of men from the Dufferin and Caledon communities that are committed to ending the cycle of violence against women. They host the annual Walk in HER shoes event in support of FTP.
