Committee Members

Setting up committees to assist you in planning your reunion is important because it helps others to feel included, forms a familial bond and allows everyone to share the work. Below you’ll find some examples of committees that your reunion may need.

Chairperson (The Angel)

• Provides coordination between other committees

• Provides the big picture guidance for planning the reunion

• Manages pesky details

• Delegates to others what tasks need to be done

• Diplomatic in solving any problems

• This role is perfect for someone in the family that everyone listens to and respects.

Treasurer (The Collector)

• This is an important role and should be carefully selected.

• Collects money and keeps reunion costs within budget

• Pays the bills and sends out invoices for family dues

• Any expenditures need to go through this person for approval

• Once you find a great treasurer, keep this person in this committee for multiple years.

Secretary (The Organizer)

• Develops and maintains updated mailing lists, phone numbers, and email addresses

• Detailed oriented and very organized

• Helps if this person is social media savvy

• Takes notes during meeting and sends out recaps

• This person should work closely with the chairman and Treasurer.

Program - Activities Director (The Planner)

• Plans the fun activities during the reunion for all age groups

• Works closely with venues where reunion events will be held

• Recruits volunteers to help with set-up of games, décor for banquet and cleanup

• This committee is very time consuming. They will need lots of help during the reunion.

Sub-Committees

Photographer (The Creative One)

• This person should be good at telling stories through photos.

• Captures special moments throughout the reunion

• Perfect for someone in the family studying film or photography

• Allow this person to have creative freedom. Do not micro manage them.

• In charge of sending out pictures after reunion

Social Media (The Techy)

• Can be given to the photographer

• Should be well versed in social media

• Great job for a teenager or college student

• Posts pictures throughout the reunion

Fundraising (The Money Maker)

• This person oversees coming up with various activities to help raise money for the reunion or for family scholarships.

• Should be good at thinking outside the box and coming up with fresh ideas

• May contact family to make items such as baked goods and handcrafts for the fundraiser

Site Inspection List

Use this checklist when you are conducting a site visit at your hotel, park or banquet facility prior to your reunion.

Hotel or Banquet Facility

o Find out who will be your contact the day of the event. If it will be a different person that you’ve be working with, ask if that person could join you on the site inspection.

o Note any lights that are out or anything else that needs attention

o Ask when the hotel or banquet facility was last renovated.

o Is there a scheduled renovation soon? If, so when? Be sure that it doesn’t coincide with your event.

o Check the public restrooms.

o Ask if the hotel offers complimentary breakfast (continental or hot), happy hour or any other amenities

o Are the walls insulated to control sound leakage?

o If you will need audio-visual, identify where the power outlets are in the meeting room. Also, ask about what equipment the facility can provide. Be sure to inquire about any set-up fees.

o Is Wi-Fi provided? If so, be sure to get any necessary passwords prior to your event.

o Is there room for a dancefloor?

o Ask about complimentary shuttle services that your hotel may provide.

o Ask your contact if he or she can provide a floor plan of the banquet room that you will be utilizing. This will help in planning the layout of the room.

o Ask about any special considerations that need to be made for any handicapped or elderly attendees

o Ask about catering requirements or minimums.

o What is the cut-off date for guests to book hotel rooms?

o What is the alcohol policy during events?

o How early can you set-up the space?

o Is a registration area provided?

Park

o Is amplified music allowed?

o Where are restrooms located?

o Is there a rain plan (ie. back-up venue in case of rain)?

o Does staff work on the weekends? Get their contact info.

o Are there enough trash cans?

o Ask about any special considerations that need to be made for any handicapped or elderly attendees (parking, ramps, etc.)

o Ask about water fountains and any areas where older attendees can go to cool off (if outdoors)

o Ask about any clean up fees

o Ask about any catering rules

o How early can you set up the space?

o What are the all fees associated with rental and what is the payment schedule?

o Ask about any necessary deposits and when they will be returned.

o What décor is allowed?

o What spaces are open to the public at all times and what spaces are included in the rental?

o Does the venue have insurance in case of injury?

Reunion Planning Timeline

18 – 24 Months Ahead

o Are there any members of the family that live close to the proposed reunion area? They could be a great resource to give suggestions and recommendations.

o Reach out to Explore Gwinnett, for sample itineraries for reunion groups, family reunion workshop dates and guidance with your reunion

o Update family contact information (phone numbers, addresses, and email)

o Decide who will be on the reunion committee

o Decide how everything will be paid and how costs will be shared

o Send out survey to determine interest, activity options and dates, etc.

12 – 18 Months Ahead

o Determine if there will be a theme for the reunion. What activities or décor can you purchase that ties in with the theme?

o Finalize location and date

o Send out save the date cards

o Create the buzz! Tell family what activities are to come. Get people talking and excited about the reunion.

o Estimate cost per family member to attend

o Develop a reunion budget that will encompass:

6 – 12 Months Ahead

o Update family contact information once again

o Send detailed information to your family including hotel details and booking procedures, family monetary dues and destination information. (Explore Gwinnett can help with this at no cost.)

o Utilize social media and email to save money on postage costs

o Assign tasks to the reunion committee

o Develop and finalize reunion agenda, events & activities. Reach out to any local attractions where you may be seeking a discounted group rate

o Determine whether special recognitions will be given

o Secure banquet facility and solidify menus or choose menus with your host hotel. Be sure to consider any allergies, diet restrictions or special requirements.

o Hire photographer

o Track budget and expenses

o Secure any necessary motorcoaches for travel to Atlanta or other nearby places

o Conduct site inspections with your hotel and banquet facility. Provide them with the schedule of events during the weekend, if possible. Always get everything in writing.

3 – 6 Months Ahead

o Check-in with committees

o Make additional assignments, if needed

o Confirm activities and events

o Keep track of what needs to be paid and has been paid

o Order T-shirts, souvenirs and decorations

o Print any award certificates

o Record received RSVPs and contact anyone who you haven’t heard from

o Compile family information and create a printed directory to be shared at the reunion

o Print reunion itineraries for all attendees and consider including these in welcome bags

o Contact Explore Gwinnett (Maurice@exploregwinnett.org) with your chosen hotel information and reserve complimentary welcome bags and free name tags for your out-oftown guests

o Confirm reunion registrations

o Get rooming list from hotel and check them against your registration list. If family has not made a reservation at the hotel, advise them to make one immediately

2 – 4 Weeks Ahead

o Check hotel rooming list again

o Check inventory of t-shirts, souvenirs and decorations

o Follow-up on assignments with the committee

o Start checking weather forecasts regularly

o Finalize counts for catering and meal functions

o Review budget

o Send out final communication to attendees

o Be sure that all necessary balances have been paid

o Confirm number of welcome bags with Explore Gwinnett

1 Week Ahead

o Gather all items

o Make last minute purchases

o Confirm menus for the various meal functions

Day Before

o Meet with hotel sales manager and other contacts. Inspect all facilities. If you are utilizing Audio Visual for a presentation, music, etc. make sure that your equipment is compatible with the hotel or banquet facility’s equipment by doing a quick test.

o Set-up registration table, board games, welcome bags and signs at the venue or hotel

o Address any last-minute problems or changes

o Have meeting with committee and review details

Reunion Weekend

o Welcome family as they arrive

o Recognize members that are receiving awards and certificates

o Collect dues

o Keep a first aid kit, bug spray and emergency contact information on hand

o Maintain a positive attitude

o Expect there will be things that won’t go as planned. It’s okay, just don’t take it too seriously.

o Smile, this is supposed to be fun for you too!

After the Reunion

o Congratulations! You did it.

o Clean up and breakdown

o Evaluate and start taking down notes immediately:

Memorable Family Activities

Be sure to incorporate plenty of family bonding and photoworthy activities on your itinerary. Here are some suggestions:

Photo Swap

Invite attendees to bring their old historic family photos to the reunion include pictures of people, places and even previous reunions. Encourage everyone to label their photos with names and dates. Set up a scanner and create a CD of everyone’s photos. Once you’ve created the CD download the photos to Dropbox.com or WeTransfer.com and share them with family through a free, easy link.

Family Trivia

Create a form or booklet with family-related questions such as: What was great grandfather Powell’s first name? Which Aunt had twins? When were Grandma and Grandpa married? Set a deadline, then gather the family together to judge the results.

Family Tree Wall Chart

Create a large family tree to display on a wall. Have family members help fill in the blanks and make corrections. Wall charts help the young ones visualize their place in the family and it can be a fun exercise.

Heritage Cookbook

Prior to your reunion, invite the family to submit favorite recipes or recipes that have been passed down. Ask them to include details on memories surrounding the dish, photos or the family member known for the dish, etc. Compile these and turn them into a cookbook for each family in attendance.

The Gwinnett County Public Library offers many genealogical resources available to our users, including access to the Ancestry Library Edition (in library use only) as well as HeritageQuest. These materials, with the exception of reference materials, can be reserved and shipped to any of our 15 branches with your library card number and PIN.
