Unforgettable experiences Our aim is to maximise your time spent off the ship, seeing amazing landscapes and wildlife up-close. Excellent Zodiac boat operations, make it as quick and easy as possible to get on and off the ship. Most of our trips offer a choice of walks on the landings and a few have extra hiking options. Kayaking and camping are also available on some of our voyages and can be organised in advance.

Expert knowledge All of our polar ships have an on-board team of highly experienced expedition crew and naturalist guides. They’re there to share their knowledge and enthusiasm, and help create lifelong memories that stand the test of time.

Small ships Most of our ships carry between 65–135 passengers. Travelling on a small ship means you’ll spend less time waiting to embark or disembark and can get much closer to the shoreline. Life on board is relaxed and informal; you’ll receive a more personalised service from expert guides and get to know your fellow like-minded passengers.

Alex Cowan Alex draws upon his many years as a researcher and lecturer to explain climate change and the fascinating landforms encountered by our travellers from the decks of the ship. Alex is happiest when sharing his knowledge of natural history, marine wildlife and when exploring the Antarctic Peninsula.

Susan has led more than 140 expeditions in Antarctica. Her passion for the environment was fuelled from a very early age, growing up amid the lakes and mountains of New York State.

Her enthusiasm continued through her education and into her work with state and national governments on environmental education and resource management. She has won awards for her work on re-introduction programmes for endangered species.

EXPEDITION LEADER

Howard Whelan Howard’s lifelong passion for adventure, writing and film making has taken him to all ends of the globe. One of the first to walk the 4000-kilometre Pacific Crest Trail from Canada to Mexico, he went on to spend three months in remote Russia and was cameraman on the first Australian ascent of Mt Everest. Besides exploring much of Antarctica and the sub-Antarctic Islands, he’s led trips in the European Arctic, Russia’s Far East and the Northeast Passage.

Scott Portelli Scott is an international award-winning wildlife, nature and underwater photographer. He has spent over a decade working in the polar regions with a focus on Antarctica and the sub-Antarctic areas, producing a unique portfolio of fine art photography.

Why

small ships?

Most of our ships carry between 65-135 passengers.

With limited numbers on board, you can expect the whole experience to be more flexible and personalised than on larger vessels.

On a small ship you spend less time waiting to embark or disembark for shore landings, plus the ship gets you much closer to the action – be it the wildlife or the spectacular scenery.

Life on-board Your day will generally start with a breakfast wakeup call at around 7am. We aim to make two landings a day and your captain will ensure the schedule, landings and Zodiac excursions are in tune with the wildlife, your route and variable weather conditions.

During your voyage you can spend time on the bridge, talking to the ship’s crew about polar navigation, observe the passing scenery on deck, read in the library, or, where there is one, exercise in the on-board gym. Lunch and dinner are served in the dining room, and there’s usually an after-dinner briefing before you retire to your cabin or the bar.

Choosing your

polar voyage Visiting the Arctic or Antarctica is a truly once-in-alifetime experience. Our knowledge and experience make us the preferred choice for hundreds of travellers heading to these regions each year. When it comes to planning your next polar adventure, you’ll find lots of information in this brochure and on our website; and we’re always on hand to help, just give us a call.

When is the best time to go to the Arctic?

Our Arctic voyages run between May and September, when up to 24-hour daylight is experienced, allowing you to make the most of every minute on board. If you travel early in the season, you’re likely to see more ice. Go in July or early August to get the best chance of circumnavigating Spitsbergen, as the ice starts to break up.

When is the best time to travel to Antarctica?

Our voyages to Antarctica take place between October and March. Early in the season, during October and November, pack ice is breaking up and the birds are mating, sometimes displaying with elaborate courtship rituals. Travel in December and January to see penguin chicks hatching and new-born seal pups. The long days in December mean more daylight hours and the opportunity for midnight sun photography, whilst in February and March various whale species gather and, with less sea ice, you can head deeper into Antarctica on the most adventurous voyages.

Fly and cruise itineraries In Antarctica, we operate ship-only itineraries as well as our combined fly and cruise option – the perfect alternative for those who wish to avoid crossing the Drake Passage, or who are short on time. In less than two hours, you can fly from Punta Arenas, Chile, to King George Island in the South Shetland archipelago. Here you will join your small expedition ship, ready to explore the delights of Antarctica.

Look out for our itineraries aboard the following ships: M/V Ocean Nova, M/S Hebridean Sky, M/V Magellan Explorer, M/V Greg Mortimer and its new sister ship, the M/V Sylvia Earle.

Photographic departures Some of our voyages have a specific photography focus. Benefit from one-to-one tuition from the ship’s deck, on Zodiacs or while onshore. Informative photography workshops will help you frame your perfect shot and give you tips on how to deal with the tricky light conditions found in these regions.

All voyages aboard the Expedition, the M/S Ocean Endeavour, the M/V Greg Mortimer and the M/V Sylvia Earle, have a resident photographer as part of the crew and we also have a selection of photographic departures available on our polar bear trips in Churchill. Early starts and more time out in the elements will ensure that you capture the best light conditions and wildlife opportunities.

The Svalbard archipelago hosts a plethora of natural wonders. Svalbard is one of the few places on the planet to offer such a plethora of natural and historical extravaganzas.

Amid ice-covered fjords, lofty mountains and calving glaciers, keep your eyes peeled for polar bear, as they stalk the tundra looking for their next meal. Arrive in Edinburgh and explore the Scottish capital, before transferring to the Port of Leith in the afternoon. Set sail in the evening down the Firth of Forth. Explore the icy wonderland of Svalbard. Shore walks and Zodiac adventures bring us up close to mystical landscapes, icebergs, and of course the magical wildlife. Your trip begins in Winnipeg. Transfer to your hotel and meet your expedition leader in the evening at a welcome dinner.

DAY 2:

Fly to Churchill in the morning, the base for your polar bear adventure. We head to the tundra this evening for our first glimpse of the bear. If we are lucky, our night time excursion might reveal one of nature’s most exhilarating experiences – a chance to view the Northern Lights!

DAYS 3–4:

Our expedition leaders know the best places to see polar bear, as these majestic creatures congregate in the region each autumn. As you watch them interact, you will be delighted by their antics and rugged beauty. From the warmth of our vehicle, we may see mothers with cubs, young males play-fighting, or a lone bear ambling over the tundra in solitary grandeur.

DAY 5:

You will have time to explore historic Churchill and enjoy a farewell lunch before boarding the afternoon flight back to Winnipeg. The adventure concludes with a final dinner reception.

You will be transferred to your hotel on arrival into Winnipeg, followed by a welcome dinner.

DAY 2:

Fly to Churchill in the morning. This evening, enjoy a lecture from our expedition leader on Arctic photography.

DAYS 3–5:

Spend three full days on the tundra, photographing polar bear. Our uniquely designed Polar Rovers are our mobile means for spending time among the polar bear. We take a maximum of 16 people in a vehicle that can hold double, ensuring that everyone has a window seat, space for camera gear and plenty of room to photograph. Our viewing platform also allows you to get up close to the wildlife, offering you a chance to view polar bear from literally inches away. Every evening, dinner will be followed by presentations on photography, wildlife and local culture. If the night skies are clear and we’re fortunate enough to see the dancing colours of the Aurora Borealis, we’ll head away from town to capture this magical event on camera.

DAY 6:

Explore Churchill before boarding your afternoon flight back to Winnipeg. Enjoy a farewell lunch and a final dinner in the evening.

Fair Isle has a major ornithological research station and is famous for historic shipwrecks and impressive cliffs. It is a bird watchers’ paradise with species such as fulmar, kittiwake, guillemot, gannet, shag and puffin. Among Orkney’s archipelago of 70 windswept islands, a rich tapestry of archaeology, history and wildlife awaits. Arrive in Toronto and transfer to your hotel. On day two, board your flight to Kangerlussuaq to join your ship. We arrive at Eternity Fjord on day three, one of the most spectacular fjord complexes in western Greenland due to its forested landscape.

Hike through a forested valley and listen out for the thunderous sound of calving glaciers in the distance.

DAYS 4–7:

Visit stunning Ilulissat Icefjord and witness the enormous icebergs that congregate outside of the town. Explore the mountainous, glaciated, scenery of Qeqertarsuaq and its beautiful shorelines with black sandy beaches and dramatic lava formations. Our team of experts continue their series of talks as we sail along the coastline of south Greenland.

Marvel at the majestic fjords and breath-taking scenery of Prince Christian Sound. On our way through the southern part of the sound, explore the traditional and colourful villages of Aapilattoq and Nanortalik, before spending more time at sea, as we wind our way out of south Greenland’s maze of islands and head towards Ilulissat, stopping at Nuuk along the way. Enjoy informative briefings and some whale spotting as you cross the Bering Strait to Chukotka. In Provideniya, you will be cleared for entry into Russia.

DAYS 4–5:

Chukchi villagers warmly welcome you into Lorino with traditional dance, samples of local delicacies and the chance to observe life in this industrious outpost.

Weather and sea permitting, you land at Cape Dezhnev, Eurasia’s easternmost point, to explore the ancient Inuit settlement of Naukan. Enjoy informative talks as your Captain navigates an approach to Wrangel Island.

DAYS 6–9:

Your exploration of Wrangel and Herald Islands depends on ice and weather conditions. You will be joined by local rangers, keen to share their knowledge as you search the pack ice for polar bear, ringed seal and walrus. Zodiac-cruise beneath slopes dotted with polar bear and be guided across a vast landscape in search of wildlife, as you listen to tales of Inuit and Chukchi hunters.

DAYS 10–16:

Land on Kolyuchin Island to see nesting puffin and guillemot. Bowhead whale feed in the waters around Arakamchechen Island and grey whale can be spotted around Ytytygran Island. We hope to land at King Island to explore the ancient village of Ukivok, where Murres and kittiwake frequent the surrounding sea cliffs. After disembarkation on day 15, transfer to the airport in Nome and board your flight to Anchorage, where you will spend the night.

DAYS 3–7:

Sail the southern stretches of the famous Inside Passage, weaving in and out of the ocean straits and channels between Vancouver and Ketchikan, with views of cascading waterfalls, snow-capped mountains, temperate forests and the abundant marine life that inhabit these waterways. On Annette Island, experience the extraordinary history and cultural traditions of the Tsimshian tribe of the Metlakatla Indian Community. Sail Misty Fjords National Monument, a wildlife haven, where you may spot grizzly and black bear. Enjoy Wrangel’s main highlights and other scenic points of your voyage, including the ancient rock carvings at Petroglyph Beach, Baird Glacier and Frederick Sound. Keep your eyes peeled here for orca, Steller’s sea lion and humpback whale, who frequent these waters.

DAYS 8–11:

In Alaska’s capital, Juneau, hike the trails near Mendenhall Glacier and enjoy its panoramic views.

The Inian Islands, George Island, Point Adolphus and Elfin Cove offer some of the best opportunities for Zodiac-cruising, as well as an abundance of wildlife.

Sail to Disenchantment Bay, home to the Hubbard Glacier. Continue on to remote Kayak Island, where in 1741, Georg Wilhelm Steller became one of the first Europeans to set foot on Alaskan soil.

DAYS 12–14:

Explore Prince William Sound, a vast glacial wonderland where rugged coastline is carved by fjords and inlets. Cruise among icebergs and forestcovered islands, rich in wildlife. Disembark in Seward and transfer to Anchorage, for onward travel.

Arrive in Ushuaia, the southernmost city in the world. Transfer to your hotel and enjoy your evening at leisure.

DAYS 2–4:

Board your expedition ship in the afternoon and set sail across the Beagle Channel, before entering the Drake Passage. Days at sea will be filled with informative lectures given by the expedition crew, helping you to prepare for your landings. Spend time out on deck spotting the first sightings of icebergs, whale and albatross, as we edge closer to the South Shetland Islands.

DAYS 5–9:

Enjoy the breathtaking scenery of the Antarctic Peninsula; ice-choked waterways, blue and white icebergs, impressive glaciers and rugged mountains.

DAYS 10–11:

Continue to South Georgia, crossing the Scotia Sea. Keep your eyes peeled for whale that inhabit these waters and albatross flying above the ship.

DAYS 12–15:

The highlight of any trip to South Georgia is the 100,000 strong king penguin rookeries. At Saint Andrew’s Bay, you’ll see parents with chicks, as well as an estimated five million macaroni penguin.

This isolated island also supports substantial populations of elephant and fur seal. South Georgia is steeped in polar history and you’ll have time to visit Shackleton’s grave at Grytviken.

DAYS 16–17:

Sailing west, we set a course for the Falkland Islands.

DAYS 18–19:

The Falklands archipelago is home to a fascinating mix of penguin; magellanic, macaroni and rockhopper, with their distinctive yellow crest. With luck, you may also see black-browed albatross.

Arrive in Ushuaia and transfer to your hotel. Enjoy a tour of Ushuaia the following day, before boarding the ship in the afternoon. As you spend two days crossing the Drake Passage, enjoy time out on deck and informative on-board lectures from the expedition crew.

DAYS 5–10:

The Antarctic Peninsula and the South Shetland Islands are ours to explore. Your experienced expedition team will use their expertise and the prevailing weather and ice conditions, to design your voyage from day to day. Zodiacs will transport you from the ship to shore, where you will explore penguin rookeries, historic huts and some of our favourite spots along the peninsula. We plan to cross the Antarctic Circle – the waters at this time of year are rich with krill and we hope to spot plenty of whale.

DAYS 11–17:

Head across the Scotia Sea towards South Georgia.

South Georgia is an island of incredible riches. On approach, jagged mountain peaks rise steeply, while seabirds are often spotted soaring around the ship.

This small island is only 176km long, but with a 3,000m snow-capped mountain range. It has a truly fascinating human history and has some of the world's largest congregations of wildlife. You will have the opportunity to visit some of the largest king penguin colonies on earth, take a guided walk among fur and elephant seal and wander along pebbled streams and grassy glacial outwash plains.

DAYS 18–23:

En-route to the Falklands, you will be entranced by the ceaseless flight of the many seabirds that follow in our wake. Zodiac-cruise into rocky coves, keeping watch for dolphin and proposing penguin. Disembark in Ushuaia after breakfast on your final day.

Arrive in Santiago and transfer to your hotel. There will be a voyage briefing in the early evening, where you will be able to meet your fellow expeditioners.

DAY 2:

Transfer to the airport after breakfast for your flight to Stanley. Discover the charms of Stanley on a panoramic tour which ends at the pier, ready for embarkation. You will have time to settle into your cabin before the important safety briefings out on deck.

DAYS 3–6:

DAY 1:

Arrive in Punta Arenas, where you will be transferred to your hotel. Tonight, meet your fellow expeditioners for a briefing on the first leg of your voyage.

DAY 2:

Transfer to Punta Arenas airport for your early morning charter flight to King George Island. On arrival, the expedition team will be on hand to greet you and provide you with wellies for your Zodiac transfer to the M/V Greg Mortimer. Settle into your cabin before your welcome dinner on board.

DAYS 3–10:

Over the next eight days you will explore the western side of the Antarctic Peninsula. Ice and weather conditions will dictate the final itinerary but we will aim for at least two shore landings or Zodiac cruises a day. Cruise along spectacular ice cliffs, following whale that are feeding near the surface and enjoy a continental landing if conditions allow. Visit mass penguin rookeries on the off-shore islands of the Peninsula, witness seal haul-outs, historic huts and several favourite spots dotted along the Peninsula.

We will make the most of the wildlife opportunities that present themselves, day or night, there will be plenty of time for sleep when you get home!

Your Antarctic adventure begins with a two-hour flight from Punta Arenas to King George Island, in the South Shetland Islands. Explore the area surrounding Chile’s Frei Station and Russia’s Bellingshausen station, before boarding a Zodiac to embark your expedition vessel.

DAYS 3–8:

Visit the South Shetland Islands and the western coast of the Antarctic Peninsula, disembarking

DAY 1:

Board your ship in Ushuaia and sail along the Beagle Channel towards Puerto Williams in Chile, the southernmost town in the world.

DAY 2:

Be one of the few privileged adventurers to set foot on legendary Cape Horn; you will journey here by Zodiac, before continuing to Antarctica, crossing the Drake Passage.

DAY 3:

Enjoy an engaging program of lectures and presentations. In the company of expert guides, keep watch for wildlife from the lounge or from the outside decks. You may spot magnificent seabirds, such as albatross and petrel, as well as different species of whale on their way south to Antarctica.

DAY 4:

Exciting times, as you watch for icebergs and your first sight of Antarctic land; make sure you have your camera to hand! The island of South Georgia is a diverse landscape of majestic mountains, massive glaciers, grassy uplands and deep fjords. Over the next four days, you will have the opportunity to uncover all that the island has to offer, including the wildlife havens of Salisbury Plain and St Andrew’s Bay, where king penguin can be seen in their thousands. DAYS 4–7:

Over the next few days, there will be plenty of time to explore the Falklands Islands. Ruggedly beautiful and remote, we hope to visit places such as New Island, Weddell Island or West Point to the extreme west of the Falkland archipelago. Dramatic cliffs contrast with sheltered sandy bays and natural harbours, which all host a great diversity of wildlife.

Some of the best wildlife experiences are just a short distance from the settlements. Saunders is the second largest offshore island with a varied terrain.

It is an important bird area and has exceptional wildlife. Cruise down the Falkland Sound, sightseeing its rough and untouched landscapes and immerse yourself in the past and recent history of the islands, as you join the expedition team on guided tours on your landings.

The coastline abounds in marine life including sea lion, elephant seal and magellanic penguin. Whale watching is at its best at the end of the year when up to 400 can be seen just off the coast, including orca and southern right whale.

MENDOZA: In the foothills of the Andes, Mendoza is at the heartland of Argentina’s wine-growing industry. Enjoy a fine food tour around the region’s many wineries (bodegas) or stay beneath snow-capped peaks at traditional estancias.

Essential Information about Explore Polar trips Please carefully read through the following information about booking an Explore Polar voyage.

When you book (whether by phone, travel agent or online), you will be asked to confirm that you have read and understood these pages, as well as our Trip Notes and Booking Conditions (www.explore.co.uk/booking-conditions).

The combination of travel services offered to you is a package within the meaning of the Package Travel and Linked Travel Arrangements Regulations.

Therefore, you will benefit from all rights applying to packages. Explore will be fully responsible for the proper performance of the package as a whole.

Additionally, as required by UK law for bookings made in the UK and Europe, Explore has protection in place to refund your payments and, where transport is included in the package, to ensure your repatriation in the event that it becomes/they become insolvent.

Travelling on an Explore Polar voyage Your fellow passengers could be from anywhere in the world. Voyages are conducted in English, so most passengers tend to be from the UK, Ireland, Australia, New Zealand, Canada or the US. These polar ships are not operated by Explore and are not exclusive to Explore customers. Everyone joining a polar trip arrives with slightly different expectations. The crew aim to ensure everyone’s expectations are met. Voyage itineraries may vary from the published itinerary due to weather and ice conditions. Where possible, the crew will stick to a schedule to ensure that it all works logistically.

It gets us off to a great start if everyone arrives on time, so please be prompt when joining your trip.

Age limits The recommended minimum age on all of our expedition ships is 10 years old. Some ship operators will accept younger children, however 5 years old would be the absolute minimum and would depend on the individual ship operator. For our Churchill bears trips, the age is limited to a minimum of 12 years old. Under 18 year olds must be accompanied by a parent or guardian for all trips.

We do not have a maximum age, however, we do recognise that at some point during our customers’ journey with us they will reach an age where we will have to review their fitness and ability to participate in the trips they’ve chosen to book. Should you be 80 or older at the time of travel, we will discuss the itinerary with you before booking you on the trip and may ask you additional questions about your health and fitness.

Fitness and trip participation Although high levels of fitness are not necessary for most activities on our polar trips, some physical participation from passengers is required, for example climbing into and out of the Zodiacs and short walks ashore. If in doubt, please discuss with one of our polar team. It is your responsibility to let us know if you have any concerns about your ability to participate. If you have any medical condition or disability which may affect your trip arrangements in any way, you must provide us with full details at the time of booking. Each passenger must fill in a medical questionnaire before the booking can be fully accepted by the ship operator.

On our Polar trips there will be water-based activities. For your personal safety and

enjoyment, an ability to swim is therefore strongly recommended.

Travel insurance and pre-existing medical conditions Travel insurance is mandatory for all voyages.

You must carry your insurance policy documents with you on the trip. Please ensure that your documentation shows you as the named policyholder and that the cover is valid for the entire period of travel. It must include cover for visiting polar regions as well as indicate that you have cover for (at least) medical expenses and emergency repatriation in the event of illness or injury. Please ensure that a 24 hour contact telephone number for your insurance company is written on your documentation in case of an emergency. If you are unable to provide this information at the start of the trip you will not be able to continue with us unless you purchase a suitable insurance policy. If you, your travelling companions, or anyone upon whom your travel depends (such as a friend or family member) has a pre-existing medical condition, you must disclose this to your travel insurer’s medical screening helpline when you purchase your insurance policy.

Failure to do so may result in your claim being declined. Please ensure that you receive written confirmation from your insurance provider that the medical condition is covered. You must take this written confirmation with you on the trip in addition to the insurance policy itself. If you don’t, you may not have appropriate cover. We reserve the right to cancel your booking at any point if you do not fully insure your pre-existing medical condition.

Itineraries Polar voyage itineraries are best kept flexible: the weather or the ice conditions may require the captain to make itinerary changes. Itineraries can also be adjusted to take advantage of opportunities such as wildlife sightings. The maps provided are indicative only; each ship tends to follow its own preferred route, which may vary from one voyage to the next, depending on conditions. From time to time, some elements of the voyage may change from those that have been published. This could be the result of inclement weather, a change in the local political situation or other circumstances beyond our control. We will keep you as well informed as possible about these changes. Significant changes to your holiday will be notified as soon as we feasibly can. Minor amendments to your trip will be detailed on your final trip documentation, although our website will be regularly updated should you wish to check the information at any time.

Ship accommodation Most cabins are based on two people sharing, however triples and quads are also available; some ships have a limited number of single cabins (see individual ship details). Double beds are available in some cabins, while most other cabins have twin beds. If you are travelling on your own you can choose to share a cabin with another solo traveller of the same sex (except on M/S Fram and M/S Spitsbergen) or pay a supplement for sole occupancy of a cabin, if single cabins

are unavailable. Single rooms are available on our Churchill Bears trips, but due to the limited accommodation in Churchill, availability is also limited. If you are booking onto our Churchill trips as a single traveller, our operator will try to match you in a twin share. If they are unable to match you with the same gender, you will be obliged to pay half of the single supplement fee. We recommend booking early to avoid disappointment.

Onboard meals All meals are included while on board and all the ships can cater for specific diets: please tell us about any dietary requirements when you make your booking.

Connecting flights and additional accommodation You may require international flights or hotel accommodation before or after your voyage. This can be organised through Explore: when you make your enquiry your polar specialist will be happy to look at options with you. If you are planning on making your own connecting flight arrangements we strongly recommend you book flights that are flexible and refundable. Due to the nature of our polar trips, days of operation and itineraries can change. It is important that you are able to amend your connecting travel arrangements, should the need arise. Also, in the event of a trip being cancelled (for whatever reason), it is important that you are able to get your flight cost refunded. We regret we cannot accept liability for any connecting travel arrangements you make (including any cancellation or amendment charges) in the event of changes to or cancellation of our polar trip.

Seating on flights Although it is possible to request specific seats from the majority of airlines, it’s important to note that the carrier may ask you for an additional fee to pre-book your seats in advance. To ensure your request is fulfilled we recommend that you contact the airline directly via their website and use their ‘manage my booking’ facility. Although this facility will be available for the majority of flight bookings, there are some airlines that don’t enable this option.

If you find you’re not able to access your booking directly through the airline website, then please contact Explore with your seating request and we’ll submit it on your behalf. It’s important to note that we are unable to guarantee your seating requests and that failure to grant your request will not be a breach of contract on our part. Sometimes seats are booked as part of a block booking (allocation) – the relevant airline will automatically allocate your seating and so it is possible that you might not be close to other members of your party. For these journeys you’ll be unable to check in online and so we recommend arriving and checking in at the airport as early as possible so that you have a better chance of selecting alternative seats should the need arise. If you require specific seats because of a disability/reduced mobility/a medical condition, please make this clear at the time of booking.

Subject to safety requirements and availability, EU airlines are required to make all reasonable efforts to arrange seating to meet the requirements of

individuals with a disability or reduced mobility. You may be required to provide written confirmation of your disability, reduced mobility or medical condition and fitness to travel from your doctor.

In-flight meals Although meals are still provided on most international flights, you should be aware that there is a trend towards them not being included on shorter flights, and particularly those within Europe.

On many routes with connections within Europe, a meal will be provided on the inter-continental sector, but not on the sector between the UK and the connecting European airport. We cannot therefore guarantee that a meal will be provided on all flights. If you have a special dietary requirement, please let us know at the time of booking. We will send an automated request through to the airline.

Please be aware that in most cases airlines do not confirm individual meal requests, so it is worth double checking that the meal has been ordered at check-in.

Changes to flight information When you book a flight-inclusive trip with Explore, your holiday confirmation will contain provisional flight details. The timings, flight numbers or route could change several times before departure. We will confirm final timings with your final documents.

We will notify you immediately of any significant airline schedule change which occurs after your tickets have been issued. We recommend that you defer booking any connecting travel to the airport or arrangements such as car parking or overnight hotels until you have received your final documents, with confirmed travel times. Where Explore are arranging domestic regional flights, these will be automatically rebooked to connect with your international flights. We strongly recommend that you do not purchase non-flexible, non-refundable connecting rail, air or bus tickets, as they usually incur cancellation or penalty charges in the event of a change to the departure time or date.

Banned airlines At the time of going to press, we are awaiting guidance from the UK Government as to whether this piece of EU legislation will be adopted by the UK following our exit from the EU. In accordance with EU Directive (EC) No 2111/2005 Article 9, we are required to bring to your attention the existence of a “Community List” which contains details of air carriers which are subject to an operating ban within the EU. The Community List is available for inspection at www.europa.eu. In accordance with EU Regulations we are required to advise you of the actual carrier(s) (or, if the actual carrier(s) is not known, the likely carrier(s) that will operate your international flight(s) to and from an EU airport at the time of booking. Where we are only able to inform you of the likely carrier(s) at the time of booking, we shall inform you of the identity of the actual carrier(s) as soon as we become aware of this.

Any change to the operating carrier(s) after your booking has been confirmed will be notified to you as soon as possible. If the carrier with whom you have a confirmed reservation becomes subject to an operating ban and, as a result, we or the carrier are unable to offer you a suitable alternative, the provisions of our Booking Conditions “If we change your trip” will apply. Please note that we will not book our customers onto banned airlines whose flights may be available for general sale and accessible to the public.

For the purposes of flight safety, it is essential that you adhere to the luggage weight restrictions imposed by the airline you are flying with, particularly when flying on internal flights on smaller aircraft.

Lost luggage In the rare event that your luggage is either misplaced or damaged during a flight, a PIR (Property Irregularity Report) will need to be filed with the airline before you leave the airport to allow an insurance claim to be processed at a later date.

Preparing for your holiday Travelling to far-flung corners of the earth involves adapting to living conditions that are often very different from your own. Please be prepared for unusual situations, local differences and unpredictable events. The very nature of adventure holidays means your most enjoyable moments are likely to come from the unexpected.

You need to be sure you are happy to swap luxury for experience when joining an Explore trip. If you are someone who prefers things to go as planned and enjoys some pampering along the way, then maybe think twice about an adventure holiday. You should also be aware that some countries around the world have security problems. Unsavoury characters are likely to be active in big cities and street markets and certain areas may be considered ‘out-of-bounds’ for tourists. However, most crime is opportunistic. Using your common sense will reduce the risks. Unfortunately, no destination can be guaranteed to be safe from terrorism. We constantly monitor the political situation in the regions we visit and will re-route or cancel a trip if we feel it is necessary. While we endeavour to provide as much information as possible in our brochure and individual Trip Notes regarding the areas our trips travel to, we would always recommend that you undertake some background research about the places you will be visiting and the type of climate and local conditions you can expect in order to get the most from your holiday.

Foreign Office travel advice Foreign, Commonwealth and Development Office (FCDO) Travel Advice Unit – www.gov.uk/foreigntravel-advice – provides detailed information about your destination including current entry requirements. We strongly recommend that you read their comments about the country you are planning to visit, both when you book and again just before you leave and that you sign up to the government travel alert service. For the UK, the FCDO alert service can be found here: www.gov.uk/foreign-travel-advice/email-signup.

We monitor FCDO travel warnings and advice, and based on them, may cancel trips before departure, or re-route or make other changes to trips operating in or throughout the country concerned.

Any decision we take about whether to operate or cancel a trip or make other changes will always be in the interests of your safety and security. We will make these decisions at least four weeks before departure, unless we believe that local conditions will improve before the start of the trip.

Our prices Prices shown in this brochure are per person in GBP. They represent the basic per person cost of the trip at the time of publication of this brochure. Prices may increase or decrease at any time during the life of the brochure. The price you pay may vary depending on when you book, as our operators occasionally run price promotions.

The most current price for each polar trip can be found at explore.co.uk/polar. The lead-in prices for our ship-based trips are usually based on quad or triple share. For our Churchill Bears trips, the lead-in price is based on twin share. Please contact our Polar Sales team to discuss cabin and room options.

What’s included in the price?

See individual Trip Notes for detail on what is included in each trip. Normally all meals, Zodiac and Polar Rover excursions, and on-shore walks and hikes are included, but other activities must be pre-arranged and an extra charge will be made. Drinks and items of a personal nature

such as laundry are not included in the voyage price. Tips for the crew are not included and are usually expected. Please note, from the Arctic 2022 season onwards, all trips aboard the M/V Greg Mortimer and M/V Sylvia Earle, will include gratuity payments in the voyage cost. For any trips departing before this time, gratuities are to be paid on board the ship.

What’s not included?

The price of the trip does not include: visa fees, vaccination charges, travel insurance premiums, passport costs, international departure taxes, excess baggage charges, optional tours and excursions, hotel porters or meals (other than

those we list as included). We also do not include items of a personal nature; such as laundry, room service charges, drinks or phone calls. Tips for personal service are not included and are usually expected. If you book on trip/land only basis, we do not include flights from the UK or departure taxes.

NO SURCHARGE PRICE GUARANTEE

Once we have confirmed your booking we guarantee the price of your confirmed services won’t change: we will not pass on surcharges of any kind. Unlike most other tour operators we will not pass on unexpected additional costs like fuel surcharges and tax increases.

Brochure / Website / Advertising material accuracy The information contained in our brochure and website is believed to be correct at the time of printing or publication. However, errors may occasionally occur and information may subsequently change. You must therefore ensure you check all details of your chosen holiday (including the price) with us at the time of booking.

AITO sets criteria regarding ownership, finance and quality which must be satisfied before new companies are admitted to membership. All members are required to adhere to a Code of Business Practice which encourages high operational standards and conduct.

Financial security An AITO member is required to arrange financial protection for all holidays and other arrangements (including accommodation only) booked by customers with the member under the AITO logo. This financial protection applies to customers who are resident in the UK at the time of booking and to most overseas customers who have booked directly with the member.

In doing so, the member must comply with UK Government regulations.

Members are required to submit details of their financial protection arrangements to AITO on a regular basis.

Accurate Brochures / Websites All members do their utmost to ensure that all their brochures and other publications, print or electronic, clearly and accurately describe the holidays and services offered.

All members are committed to high standards of service and believe in regular and thorough training of employees. Members continually seek to review and improve their holidays. They listen to their customers and always welcome suggestions for improving standards.

AITO endeavours to monitor quality standards regularly. All customers should receive a post-holiday questionnaire, the results of which are scrutinised by the Association.

Sustainable tourism All members acknowledge the importance of AITO’s Sustainable Tourism guidelines, which recognise the social, economic and environmental responsibilities of tour operating.

Customer relations All members endeavour to deal swiftly and fairly with any issues their customers may raise. In the unlikely event that a dispute between an AITO member and a customer cannot be settled amicably, AITO’s lowcost Independent Dispute Settlement Service may be called upon by either side to bring the matter to a speedy and acceptable conclusion.

Passport, Visa and Entry Requirements Passport information Please note it is your responsibility to ensure you have the correct, current information in good time before departure and that you act on it. Please ensure that you are in possession of a full passport, with the correct validity and appropriate number of blank pages for your chosen destination. You must also have all visas and vaccination certificates that are necessary to enter or pass through any countries involved in the journey or trip.

Visas Many countries require a visa to be obtained before travel or on arrival. A summary of requirements for British passport holders can be found on the individual Trip Notes but please note that visa and passport information is subject to change at any time. If required, visas can be obtained through a Visa Service or the relevant Embassy or Consular Office.

General Note Some countries refuse admission to travellers not meeting their accepted standards of dress or appearance (even if they hold a visa). Entry may also be refused to some countries if your passport bears stamps or visas (valid or expired) from certain countries. Please bear this in mind when

Entry Requirements Covid 19 has led to many countries revising their entry requirements, often at short notice.

Requirements can include the need to have received a full course of Covid 19 vaccine or proof of a negative test recognised by your destination country. We strongly recommend reviewing entry requirements frequently both for your destination and home country to ensure your travel plans run smoothly.

Please note, all passengers will need to be fully vaccinated against Covid-19, before embarking their polar ship. Full details will be provided in your documentation.

Vaccinations It is your responsibility to ensure you have the correct vaccinations required for all countries that you will visit on your trip. Explore Trip Notes detail the recommended vaccinations for each trip but you must consult with your doctor or a travel health clinic to ensure you have the most up to date advice.

Please note that some inoculation programmes require two injections, administered four weeks apart. You should leave plenty of time for this. As a general rule, please note that health requirements and recommendations may change and you must check the current requirements in good time before departure.

Under 18 immigration guidance Please note that some countries require proof of parental consent when travelling overseas with under 18s. Please check requirements with the relevant embassy or consular office well in advance of travel if this applies to your party.

To enable us to make holiday arrangements for you, we may ask you to provide information such as: • your name, gender, date of birth, contact details; • your preferred rooming arrangements and other special requests (including special categories of personal data such as dietary requirements, which may disclose health matters or your religious or philosophical beliefs, and information about any disability or medical condition which may affect the chosen holiday arrangements); • the name and telephone number of an emergency contact person (whom we will only contact in urgent circumstances while you are away); • your passport and travel insurance details; • details of your payment card or your bank account (this information is processed using a third party payment services provider and is not stored by us); • when you call us or correspond with us about your booking, we may record the call for training and quality control purposes and/or keep information on why you contacted us, and the advice we gave you; • on your return from holiday we email or post a satisfaction questionnaire to you. This gives us specific feedback on any issue you may have experienced, and statistical data we can amalgamate in order to monitor the quality of our holidays.

We will need to share your data with third party service providers, used in the delivery of your purchased holiday arrangements, some of which may be based outside the EEA. These providers include accommodation, restaurants and transport providers; local ground partners and agents, where we use them; equipment hire operators, including our polar voyage partners and guides, tutors and local attractions where booked on your behalf.

We keep the information related to your booking for a period which enables us to handle

or respond to any complaints or queries and to fulfil our obligations to our third party suppliers who provided your holiday arrangements. The information may also be retained so that we can continue to improve your experience with us while you engage with and purchase from us.

By law we have to keep basic information about our customers for legal and tax purposes for up to 7 years after they cease being customers.

If you fail to provide personal information Should you fail to provide data required either by law, or necessary to provide your chosen travel arrangements, we will not be able to provide the services you have booked or are attempting to book. This may result in Explore being unable to process your booking and be forced to cancel the booking. In this case, we will treat this as a ‘cancellation by you’ in accordance with the relevant Booking Terms & Conditions and notify you accordingly.

Marketing communications We may use your information to provide you with brochures, newsletters and other communications if you have provided your prior consent or we are permitted under an identified and assessed legitimate interest.

We sell our holidays directly to customers and so sending out brochures and other marketing communications by post from time-to-time is very important to the way we do business. We use data we have collected from bookings, brochure requests and other forms of engagement to decide what marketing information our customers may like to receive, and we have identified this as in our legitimate interest.

Cookies are small text files sent to your computer when you access our site. Cookies used on our site are anonymous and contain no personal information, but do identify your computer so that you can navigate our site more easily and our website can remember your preferences.
