MICE INSIGHTS
The Gathering Effect
Designing meetings that matter With more than 40 years of experience delivering business events and meetings, underpinned by several industry awards, we have created this guide to help clients think differently about how meetings and events are designed.
Nearly everything we need to know can be found online, summarised by AI, shared on Teams or delivered through email. Yet organisations continue to invest significant money in meetings, conferences and events.
The Gathering Effect goes beyond the four walls of the event space to encourage organisers to influence their delegates behaviour, improve performance and strengthen relationships.
Why? Because the most important outcomes of bringing people together are about trust, connection, alignment, creativity and action.

Delegates do not change their minds because they have viewed another slide deck. They change through conversation, learn through participation, build confidence through shared experiences and develop trust through human interaction. This Gathering Effect is the impact that occurs when people come together with purpose.
Why we get together The workplace has changed dramatically over the past decade. Hybrid working, digital collaboration and AI have made communication faster than ever. Yet many organisations are discovering that efficiency alone does not create culture. Research consistently shows that face-to-face interaction strengthens trust, belonging and psychological safety far more effectively than digital communication. Getting together has never been more important for company culture. Delegates value the familiar moments between sessions as much as the formal agenda itself. Conversations over coffee often solve challenges that hours of virtual meetings cannot. The best events create three outcomes:
Connection
Alignment
Momentum
We are social creatures. We learn through discussion and gain understanding through dialogue.
Shared experiences help organisations communicate strategy, values and priorities far more effectively than information delivered digitally.
The most successful meetings do not end when delegates leave the room. They create actions, relationships and ideas that continue long after the event has concluded.
Good event design isn’t just about meeting room set up and information overload. It’s about creating meaningful moments that help people think differently, now and longer term.
A new audience: how modern delegates learn The traditional conference format was built around passive consumption; an expert stood on stage, the audience listened. Knowledge flowed in one direction. Today’s delegates expect something different. Modern learning is increasingly collaborative, social and participant-led. Delegates no longer want to sit through hours of presentations; they want opportunities to discuss, challenge, contribute and apply ideas. The best events create three outcomes:
Conversation
Participation
Experience
Roundtables, facilitated discussions and peer-topeer learning.
Workshops, problem-solving exercises and collaborative thinking.
Learning by doing rather than simply listening.
The shift is subtle but important as different learning styles come into the workplace: events are becoming learning environments rather than presentation environments. Our research in Attention Based Design highlights that small group discussion was the strongest driver of sustained attention and engagement as participants focus more when they are required to contribute rather than simply consume information.
The attention of economy Attention has become one of the most valuable resources in business. A decade ago, event planners could reasonably assume that if someone was sitting in a room, they were paying attention. Today, that assumption no longer holds true. Delegates arrive carrying smartphones, competing priorities, multiple communication channels and a constant stream of notifications. Our research in Attention Based Design suggests workers now spend almost a quarter of their working week in meetings while receiving hundreds of digital interruptions each day. The challenge for event organisers is no longer access to information. It is earning attention. Behavioural science tells us that attention is not fixed, it rises and falls and must be won and refreshed continuously in the delegate day. This can be achieved through:
Shorter sessions (30 minutes is the sweet spot).
Introduce variety every few minutes, slides, sound or video.
Replace lengthy presentations with personal stories.
Incorporate audience participation.
Build opportunities for movement, whether it is between meeting spaces, during break time or in a standing session.
Use technology intentionally rather than constantly.
Wellbeing: the hidden performance driver Forward-thinking organisations increasingly understand that employee performance and wellbeing are inseparable. Delegates arrive with different pressures, energy levels and responsibilities. Event design that supports mental health, physical comfort and cognitive performance leads to more engaged and productive participants. Behavioural science highlights several important considerations:
Respect natural energy cycles and plan events around circadian rhythm.
Human attention and energy fluctuate throughout the day - not every session deserves equal scheduling.
Create opportunities to rest and recharge such as wellness practices at the end of the day.
Breaks are not downtime, they’re performance enhancers.
Encourage movement as it supports focus, creativity and information retention.
Different personalities thrive in different environments - quiet reflection can be just as valuable as group interaction.
Wellbeing includes nutritious menus, outdoor experiences, rest, social connection and psychological safety.
There’s a Gathering Effect to delegates feeling better: they perform better.
Adult: 8.2hrs; Circadian rhythm length = 24.3 hours. Adolescent: 9.3hrs; Circadian rhythm length = 24.2 hours.

Beyond the boardroom One of the biggest shifts in event design is moving beyond the traditional room setup. Rows of chairs facing a screen remain useful for some objectives. But they are often ineffective for collaboration, innovation and decision-making. The environment shapes behaviour. A boardroom encourages different interactions than a lounge-style environment. And meetings held outdoors often generate greater creativity than meetings held while seated. Organisers should look to design environments around outcomes rather than default layouts. For example;
Focus spaces | For decision-making, governance and strategic discussions.
Studio spaces | For workshops, ideation and collaborative problem solving.
Lounge environments | For trust building conversations and senior leadership discussions
Outdoor learning | For creativity, reflection and blue sky thinking.
The question is no longer “How many people can the room hold?” It is “What do we want people to think, feel and do?”
The gathering effect Whether you are with us for a day or an overnight stay, we want every experience to have a positive impact, not only on your people in the room, but on the communities and environments around us. We believe that small actions, repeated consistently, create meaningful change. By helping guests make more conscious choices and by continually challenging ourselves to do better, we can all play a part in shaping a more sustainable future. As a B Corp certified business we are committed to balancing people, planet and profit in everything we do. That commitment extends beyond how we operate our business to how we design meetings, events and experiences. From responsible sourcing and carbon reduction to creating environments where people can learn, connect and thrive, our ambition is to leave a positive legacy long after the event has ended.
The future of meetings is not about bigger agendas, more content or longer days. It is about understanding people. How they learn. How they focus. How they connect. How they contribute. Behavioural science is helping organisers create experiences that respect human attention while unlocking deeper engagement, stronger relationships and better outcomes. At Exclusive Collection, we believe gathering people together remains one of the most powerful tools organisations have, not just for driving business results, but for inspiring positive change. Because when the right people come together, in the right environment, with the right design, they don’t just create better meetings. They create better ideas, better relationships and a better future. That’s The Gathering Effect.
