Understanding OneDrive Status Icons


OneDrive utilises a set of status icons to provide quick visual cues about the state of your files and folders. Here are some of the commonly encountered icons and their meanings:
Successful Sync
Sync in Progress
Syncing Error
Shared File
Locked File
Checked Out Document
When you see a green tick mark next to a file or folder, it indicates that the item has been successfully synchronised with the cloud and is up to date. This icon assures you that your file is securely stored and accessible across all your devices.
The blue cloud icon signifies that a file or folder is stored in the cloud but is not currently available offline on the device you are using. You can still access it by connecting to the internet, and it will be downloaded for offline use when you open it.
If you come across a circular arrow icon, it means that the file or folder is currently being synchronised with the cloud. This icon appears when changes are being uploaded or downloaded, ensuring that you have the latest version available across your devices.
The red cross indicates a syncing error or a problem with the file or folder. It could be a network issue, insufficient permissions, or a conflict with another file of the same name. Right-clicking the item and selecting the appropriate option can help resolve the error.
When you share a file or folder with others, you will see a people icon overlaid on the item’s thumbnail. This icon serves as a visual reminder that the file is shared with specific individuals or groups, facilitating collaboration and easy identification.
OneDrive will show a padlock icon next to the sync status if the file or folder has settings which prevent it from syncing.
A quick way to see who has a file checked out is to hover over the checked-out icon to see a tip that tells you who has the file checked out.

Symptom:
Files don’t sync correctly with OneDrive.

Upload button not visible or upload fails.
Symptom:
Edit button disabled.
Ensure OneDrive is running and updated by opening OneDrive from the system tray. (right hand side of the taskbar)
Re-sync the document library.

This could mean the document has been checked out by another user, you will not be able to edit until the document has been checked back in.
