1.5 LEARNING SPACES Nestled within the green wedge of Melbourne’s north-east, our Research campus offers a peaceful setting where young people can grow, explore and express themselves.

This main campus, which accommodates students from Early Learning to Year 12, spans 50 hectares of intentionally and thoughtfully designed learning spaces and natural landscapes.

Created by College founder and architect Les Clarke AM, ELTHAM was established as Australia’s first major independent secular school and was both funded and built through a co-operative of parents, who envisioned the College as a shared resource for their local community. Clarke’s enduring vision continues to shape a learning environment that blends innovation, openness and connection to nature.

1.6 COLLEGE POLICIES Policies play an important role in helping every member of our community understand both what is expected of them and what they can expect from the College. Aligned with our value of Be Respectful, these documents promote a shared understanding of our responsibilities and the standards that support daily life at ELTHAM. Our policies and procedures outline the key principles that guide many aspects of College operations, including our legal obligations, student management, medical and wellbeing processes, complaints resolution and safety.

1.7 EMERGENCY MANAGEMENT AND BUSHFIRE PREPAREDNESS ELTHAM College ensures it is prepared for emergencies and is ready to act in the face of a natural disaster like a bushfire. Our Emergency Management Plans for Research and City campuses detail the College’s procedures in the event of an emergency - including bushfires, grass and building fires, dangerous animals, threatening behaviour, hazardous materials, missing persons, and medical emergencies.

College Closure on Catastrophic Fire Danger Rating Days Like most schools in our local area, ELTHAM College is listed as a Category 3 school on the Bushfire At-Risk Register. Our school will therefore close on a day forecast as Catastrophic fire danger in our fire district, including the City Campus.

Bushfire preparedness is important in our leafy suburb. ELTHAM College prepares in many ways, including bushfire drills to practise our ‘Shelter In Place’ evacuation, CFA visitations, emergency equipment maintenance, trimming and clearing College grounds of leaf litter and pre-emptive closures.

Closure of the College due to a forecast Catastrophic fire danger rating day will be confirmed on the day prior and information will be communicated to families by email and mE news. Once confirmed, the decision to close will not change, even if the weather forecast changes.

This is to avoid confusion and help families plan alternative arrangements.

Families should be familiar with our Emergency Management Plans and Bushfire Emergency Management Information, and should ensure that their contact details are always up-to-date with the College.

Outdoor Education camps will be cancelled if a Catastrophic fire danger rating day is forecast for fire district in which the camp is located, or if the camp travels through areas that have Catastrophic fire danger.

2.2 ELTHAM COLLEGE HOUSES – COMMUNITY WITHIN COMMUNITY Across the year, students participate in a range of House events. These events contribute points towards the overall House competition and include: • House Cup • House Athletics • House Music • House Cross- Country • House Swimming There are also additional opportunities through student leadership initiative.

The House system is closely aligned with our College values and is an integral part of

community life at ELTHAM College. It helps build a strong sense of belonging, pride, team spirit, and connection, reflecting our commitment to working together as One Team and welcoming everyone.

The House system fosters collegiality and friendly competition while strengthening each student’s connection to College life. Staff also join Houses, creating further opportunities for positive relationships between students and staff.

In the Junior School, all students participate in termly House Challenges that are fun, exciting and inspiring.

Students also complete their Year 7 Camp experience in their House groups.

Each Year 7 student is paired with a Year 11 Mentor from the same House. Year 11 Mentors develop House-based activities and events throughout the year, supported by the Year 7 and Year 11 Coordinators. This program helps students feel supported and welcomed as they transition into Senior Years.

2.3 CO-CURRICULAR OPPORTUNITIES The ELTHAM co-curricular program is a cornerstone of our authentic learning environment and our commitment to educating the whole person. Guided by our values – Be Curious, Be Courageous, Be Respectful, Own It and One Team – these opportunities allow students to explore their interests, challenge themselves, and build meaningful connections with others.

Students are encouraged to take part in, or even lead, a wide range of clubs and activities during lunchtimes and before or after school. Regular offerings include Team Geek, Volleyball, Cosmos Club, Creative Writing Club, Ethics Olympiad, Debating Club, Model United Nations and

many more. Clubs run at scheduled times throughout the week and evolve depending on student interest.

In the spirit of Be Curious and Own It, students are invited to work alongside teachers to develop new clubs and initiatives that reflect their passions, strengths, and ideas. This collaborative approach reinforces our value of One Team, ensuring that every student feels welcomed, supported, and empowered to shape their ELTHAM experience.

SPORT AT ELTHAM COLLEGE

If a student knows in advance that they cannot attend a sport session, they must:

Junior School

1. Contact Brent Wallace (Head of Sport and responsible for EISM Senior Sport) before the day, and

Interschool sport is a core part of the Year 5 and 6 program. Students participate on Friday afternoons and are required to wear the College sport uniform and appropriate footwear for physical activity.

All Prep to Year 6 students also participate in the College House carnivals.

Senior School ELTHAM College is a member of the Eastern Independent Schools Melbourne (EISM) Sports Association and participates in Athletics, Cross Country and Swimming carnivals run by the Association.

Sport for Senior School takes place on: • Monday: Year 7 • Wednesday: Years 10 to 12 • Thursday: Years 8 and 9 All home and away matches finish in time for students to return to ELTHAM by 3.45pm.

Training sessions are held when matches are not scheduled.

Participation in the EISM sporting program is compulsory for students up until the end of Year 11. During Term 4, Year 11 students follow a non-competitive sporting program until exam preparation begins.

Year 12 students are strongly encouraged to participate in Sport, as it promotes fitness, time management and provides valuable team connections during what can be an academically demanding year.

Students are expected to attend all sport sessions throughout the season. If a student is unable to participate due to injury, they are expected to attend and assist the coach unless prior arrangements have been approved by the Director of Senior School. The Director of Senior School is the only person who may grant an exemption from sport participation.

2. Sign out at Main Reception on the day of the absence.

ELTHAM College has a responsibility not only to its own students but also to other schools in the EISM competition to field full teams. When students miss sport for private appointments, it can impact both their own program and the experience of others, particularly if numbers are reduced or a team cannot be fielded.

Appointments should be scheduled at times that do not affect sport commitments.

Sporting Carnivals Throughout the year, ELTHAM competes in EISM carnivals including Swimming, Athletics, and Cross Country.

All students are expected to represent the College as required, including in all matches, carnivals, training sessions and championships.

ELTHAM Elite and Emerging Athlete Program (EEAP) The ELTHAM Elite and Emerging Athlete Program (EEAP) provides opportunities for students with athletic potential to develop their skills and achieve personal excellence.

Students have access to strength and conditioning testing programs designed to support performance, future sporting aspirations and overall health and wellbeing.

The online application details required include: • S tudent profile: current level and competition, achievements to date, additional sports played, sporting ambitions • Student personal reflection: responses to set questions • Coach reference: supporting the application Applications for the 2026 program will open in early 2026. All applications are assessed by the Head of Sport and EEAP coaching staff.

2.4 ASSEMBLIES Assemblies bring the College community together and reflect our commitment to working as One Team. Many assemblies are student-driven, offering opportunities to Be Courageous, share learning and celebrate achievements. Year 5 to Year 12 assemblies are held twice each term.

Junior School assemblies are held in the Harold Mitchell Performing Arts Centre (Clarke Auditorium).

Senior School assemblies for students in Years 7 to 12 are held each Thursday during Lesson 3.

2.6 PARENTS SUPPORTING ELTHAM Parents and Guardians supporting ELTHAM The ELTHAM College Community Association (ECCA) aims to welcome, connect and support parents, guardians, students and staff through events and initiatives that build community and foster a genuine sense of belonging.

Community is at the heart of who we are at ELTHAM. Aligned with the College purpose of growing hearts and minds and helping our community prosper, ECCA plays a vital role in strengthening the relationships that allow our community to thrive.

2.7 EXPECTED BEHAVIOURS A COMMUNITY THAT VALUES RESPECT At ELTHAM College, we set clear expectations for positive behaviour that reflect our purpose of Growing Hearts and Minds and our five core values:

Be Courageous, Be Curious, Be Respectful, Own It and One Team.

These values guide how students interact with others, how they engage in learning and how they contribute to a safe, inclusive and thriving community.

Staff work closely together across ELC, Junior School and Senior School to respond to behavioural issues using age-appropriate, individualised strategies. Parents are encouraged to contact their School Director for more information about behaviour expectations and support processes for their child.

Behaviour Expectations in the Senior School In the Senior School, behaviour is supported through a three-stage process that prioritises collaboration, clear communication and responsibility.

Stage 1: Setting a Positive Learning Environment taff and students work together to establish • S the expectations, routines and relationships that support learning and wellbeing.

Students are expected to: • c ontribute to a respectful and safe environment • u nderstand that the College must meet both legal and Occupational Health and Safety requirements • r ecognise that there will be times when teachers must direct specific actions to ensure safety and productive learning • t ake responsibility for their own choices and uphold our shared values We emphasise that we are individuals achieving together, and each person plays a role in supporting a positive school culture.

Stage 2: Responding to Incidents and Restoring Expectations When an issue arises, the event or behaviour is reviewed against: • the shared expectations established in Stage 1 • the College’s strategic directions • the College values (Courage, Curiosity, Respect, Ownership and One Team) Staff and students then work together to identify the issue, discuss its impact and agree on appropriate outcomes or next steps.

The negotiated resolution is communicated clearly to all relevant parties. This focus on dialogue, reflection and responsibility is a key feature of the ELTHAM approach.

Student leaders also play an important role in shaping behaviour standards, modelling our values and communicating expectations across the Senior School.

Stage 3: Mediation or Escalation • I f a shared agreement cannot be reached, mediation may occur. In more serious situations, immediate Executive involvement may be required.

Parents or guardians will be contacted promptly if the College deems a matter serious or requiring further action.

Specific Responsibilities for Senior School Students Senior School students are expected to behave safely, responsibly and respectfully at all times.

Upcoming Government Policy Change The Victorian Government has announced changes to the regulation of certain social media applications, which came into effect on 10 December 2025. These statewide changes may influence how specific apps can be accessed or used by students.

ELTHAM College is currently reviewing this policy and will provide clarification to families once its implications for school settings and digital devices are confirmed. Until further notice, the College’s existing mobile phone and digital device expectations remain in place.

What Is Harassment?

Harassment is behaviour or communication that another person finds offensive, humiliating, intimidating or frightening.

Our framework supports students’ academic experiences and personal goals. It is designed to create a safe, inspiring, stimulating and nurturing environment for them to grow and prosper. To achieve this, we maintain a comprehensive and age-appropriate support network that includes classroom teachers, Mentors, Team Leaders, Year Level Coordinators and Student Services support staff.

ELTHAM College has two psychologists, the equivalent of a full-time qualified school nurse, specialised learning support teachers and integration aides, as well as a LifeWorks Coordinator to support both the social–emotional and academic journey of your young person.

3.3 HEALTH AND MEDICATION In the event of a serious illness or injury, staff will contact parents or emergency contacts as soon as possible. If required, an ambulance will be called, and first aid will be provided by staff and/or the College Nurse while awaiting medical assistance.

Families are reminded to keep their contact details – including home, work, mobile, and emergency numbers – up to date. This information is vital to ensure we can reach you quickly if needed. Updates can be made by logging into the MyDetails section of the mE website or app, or by notifying the relevant school office.

Anaphylaxis, Allergies and Asthma Many students at ELTHAM College are at risk of anaphylaxis, a severe and life-threatening allergic reaction. To help keep all children safe, the College follows a ‘no-sharing’ food principle. Families will be advised at the start of each school year of potential allergens within their child’s area or class group, and we ask that these products be avoided in snacks and lunches whenever possible.

In the ELC and Junior School, staff also talk with children about the importance of not sharing food with their friends. We ask families to support this message to help protect students who are at risk.

For students with ongoing medical conditions that may require treatment during the school day – such as asthma, anaphylaxis, allergies, eczema, coeliac disease or epilepsy — the College requires an up-to-date Action Plan.

This plan should be completed by your child’s GP and outline the signs, symptoms and actions to be taken, including the administration of any medication.

If your child has a diagnosed medical condition, please contact the College Nurses to discuss their Action Plan and develop a Risk Minimisation and Communication Plan to ensure appropriate care and support are in place.

Medications – ELC and Junior School Students If your child requires medication during the school day, a Medication Authorisation Form must be completed and signed by a parent or guardian. This applies to all ELC and Junior School students.

For safety and compliance: •

ELC staff will administer and witness all medication given to children.

Medication must be prescription medication, clearly labelled with your child’s name and dosage.

•

No medication may be kept in a child’s bag at any time.

•

At the end of each day, parents must collect the medication and sign the form to confirm administration.

We cannot administer any medication without written parent authority.

Children should not attend the ELC or Junior School if they require pain medication to manage an illness during the day.

Students who require ongoing or specific medication must give their class teacher a completed Medication Authorisation Form, available on mE. Parents are welcome to place a note in the student diary if they need to alert the teacher, or a Casual Relief Teacher (CRT), about medication requirements for that day.teacher) who might be replacing the teacher that day.

Illness If your child is unwell – including vomiting overnight or that morning – showing signs of illness, or needing medication to manage symptoms – please keep them at home.

Children should not attend the ELC or Junior School until they are well enough to participate comfortably in the program without requiring pain medication.

Exclusion Periods hildren must be kept at home for at least • C 24 hours after their last episode of vomiting or diarrhoea and after their last dose of pain medication.

• F or norovirus or suspected viral gastroenteritis, the Department of Health recommends a 48-hour exclusion period after vomiting or diarrhoea has stopped.

Unwell children require care, rest and comfort that cannot be adequately provided in the school environment. They are also unlikely to learn effectively when unwell and may risk spreading illness to others.

Infectious and Contagious Illnesses Please notify your child’s teacher if they have an infectious disease.

Children with contagious illnesses such as mumps, measles or other notifiable conditions must stay home for the period specified by the Department of Health.

Under the ‘No Jab, No Play’ legislation (effective 1 January 2016), all children must be fully vaccinated for their age, or meet one of the approved exemption categories.

These world-first age restrictions will apply to selected social media platforms.

From 10 December 2025, age-restricted social media platforms will be required to take reasonable steps to prevent Australians under the age of 16 from creating or maintaining an account on their service.

4.2 KEY DATES, CELEBRATIONS AND EVENTS Important activities like assemblies, school photos, camps, examinations, parent teacher interviews, concerts and social events are kept up to date on the mE calendar.

4.3 ATTENDANCE AND ABSENCES Regular attendance at ELTHAM College is an essential part of every student’s education and development. Consistent attendance supports learning progress, connection with peers, and engagement in College life. A pattern of irregular attendance can often be an early sign that a student may be experiencing challenges at school, and early communication with families allows us to provide appropriate support.

Students are expected to attend every day of the College year. Attendance is recorded in accordance with the guidelines outlined in the Victorian Government Schools Reference Guide, and all unexplained absences must be followed up.

Families are asked to avoid taking holidays during term time wherever possible. Requests for leave during term time may not be approved and must be submitted in writing for consideration by the Director of Junior School or Director of Senior School, as appropriate.

Students who are unable to maintain full attendance due to medical or social-emotional reasons may be required to provide a medical certificate and discuss an individual attendance plan with their Year Level Coordinator or Neighbourhood Team Leader.

Attendance can be an important factor in determining whether a student has met the learning outcomes or competency requirements of a subject.

If a student is marked absent without prior notice, families will receive an SMS message from the College. Parents or guardians are asked to reply to this message promptly, providing a reason for the absence so that records can be updated.

Late Arrival / Early Departure Any Junior School student arriving after 8.45am must sign in at the Junior School Office.

Early Arrival Before School Care (ELC – Year 6) operates from 7.15am in Discovery House.

Staff supervision in the Junior School Playground begins at 8.20am.

For safety reasons, children must not be dropped off at the Junior School, Prep or ELC areas before 8.20am, unless attending Before School Care.

SENIOR SCHOOL To help us maintain accurate attendance records and support student wellbeing, families are asked to notify the College of any student absence by 8.30am on the day of absence.

The preferred method for reporting absences is through the mE App. This is the most efficient way to advise the College, ensuring that your child’s absence is recorded immediately. Instructions for downloading and using the app are available under Information for Families on the College website.

If you are unable to use the mE App, or would like to provide additional information such as a medical certificate or teacher notes, please email attendance@elthamcollege.vic.edu.au.

The attendance inbox is monitored by the Junior and Senior School Offices, Main Reception and the Student Services Administrator. This coordinated approach ensures that all absence notifications are received and recorded promptly, even when an office is unattended or closed.

Senior School Drop-off/Pick-up The drop-off and pick-up zone you should use is based on the year level of your youngest child attending the Senior School.

Year 7 - 9 Great Southern Road Zone Please enter the College via Bells Hill Road, just past the ELC. This entrance leads directly to the Years 7–9 drop-off and pick-up area.

Year 10 – 12 Sports Centre Car Park Zone Please enter via the main College entrance gate and follow the signage to the Sports Centre car park.

Late arrival / early departure Any Senior School student who arrives late for scheduled classes or departs early must sign in or out at Main Reception. Students are required to use their College ID card with the electronic sign-in/out system. Those arriving late will receive a printed late pass, which must be presented to their subject teacher upon entering class. Students are expected to join lessons quietly and respectfully so as not to disrupt learning once class has commenced.

Students in Years 7, 8, 10, 11 and 12 are expected to be on campus between 8.45am and 3.45pm, Monday to Friday, at the Research Campus. Year 12 students may leave after their last class of the day. Year 9 students are expected at the City Campus from 9.00am 3.00pm on their allocated City Campus days.

Students in Years 10, 11 and 12 may leave campus during non-class time to visit Swiper’s Gully Training Restaurant. When doing so, they must sign out and back in at Main Reception to ensure attendance and safety records remain accurate.

Students with a drivers licence Students who hold a Victorian driver’s licence and choose to drive to school must first apply for permission to park on campus.

Applications are made through the Driver Permission Form, available from the Senior School Office.

Approved Year 12 drivers are required to park in the designated Year 12 car park and must not leave the campus in their vehicle until the conclusion of their final class each day Driving and parking on campus is considered a privilege and may be withdrawn if College guidelines and conditions are not followed.

Evening Study Sessions at the Library During Terms 1–4, the Senior School Library remains open every Tuesday and Thursday evening until 6.00pm (through to midNovember) to provide students with a quiet, supportive environment for study.

Students are required to sign in and out at the Library for these sessions. The extended hours allow students to study independently or work collaboratively in small groups, with staff available to provide supervision and assistance.

Attendance at VCE Units 1 to 4 SACs Attendance at all School Assessed Coursework (SACs) is compulsory.

If a student is unable to attend a scheduled SAC, a medical certificate must be provided to the Senior School Administrator within 24 hours of the missed assessment. Certificates can be submitted via email to snroffice@elthamcollege. vic.edu.au or provided in hard copy.

When appropriate documentation is supplied, the student will complete the SAC (or an equivalent task) as soon as practicable after their return to school. The timing will be arranged with the class teacher, who will then book the session with the Senior School Administrator. Make-up SAC sessions are generally held after school on Mondays and Thursdays from 4.00pm - 5.00pm.

If a SAC is missed without valid documentation, the student will receive a zero result for that assessment. However, they may still be required to complete the SAC later if it forms an essential part of the course learning outcomes.

5.1 WELCOME TO ELC Dear Students and Families We warmly welcome you to ELTHAM College, and especially to our Early Learning Centre (ELC) community.

Our ELC is unique in that it is deeply connected to the broader ELC to Year 12 learning community. This partnership allows us to draw on a wide range of resources that enrich each child’s learning and life experience. Learning extends well beyond the ELC classroom, with specialist programs including Library, Music, Perceptual Motor Program (PMP), our exceptional Bush Adventuring program, the Hospitality and Training Centre, and many other meaningful experiences shared with older students from across the College.

5.2 EXPLORE ELC AT ELTHAM OUR CURRICULUM The Early Years Program facilitates learning environments that reflect children’s unlimited potential, and aims to release and enrich each individual’s skills and interests. The program is underpinned by the National Early Years Learning Framework, (EYLF) and the Victorian Early Years Learning and Development Framework (VEYLDF).

The frameworks identify 5 areas against which children’s learning is observed, developed and assessed.

A DAY IN THE EARLY LEARNING CENTRE, ELC The ELC Program evolves naturally each day as the children engage with learning experiences. Our daily routine can change from time to time depending on the weather, the time of year, special experiences, unforeseen events and most importantly the dynamics of the group. Within this flexibility there is also a predictable rhythm to the day which supports the children’s wellbeing, autonomy, interdependence and independence.

Programs across the day include: Before School Care – 7.15am to 8.45am Children are welcomed in to the ELC Extended Hours Before School Program. Breakfast is served until 8:00am. Children transition to their kindergarten room from 8:30am. Bookings for this program are required.

Kindergarten Program – 8.45am to 3.15pm Children participate in indoor and outdoor learning experiences. Children will experience opportunities to work on self-selected activities or be invited to work on projects that are facilitated by the classroom educators.

The day may also feature the Specialist Program or in Terms 3 & 4, the Bush Adventuring Program.

Morning tea, lunch and relaxation times are integral components of the program.

After School Care – 3:15pm to 6:30pm ELC Extended Hours After School Care Program.

Afternoon Tea is provided. Bookings for this program is required.

SPECIALIST CLASSES The ELC Kindergarten Program includes participation in Specialist classes. These include a Movement Program, Music Classes and an opportunity for all children to borrow weekly from the Junior School Library. These sessions are timetabled and occur throughout the children’s day. The days and times of Specialist classes will be communicated to families at the beginning of the school year.

Please note that children who attend for 3 or 4 days per week will not access the full Specialist Program.

OUTDOOR EDUCATION The College’s natural bushland setting gives children a unique opportunity to develop respect for, and an understanding of, the natural environment. We embrace sustainable practices across our programs and support children to build a deep connection with nature, nurturing their curiosity, care and appreciation for the world around them.

Outdoor Play Space Outdoor play is a vital part of childhood, and our beautiful natural landscape at the ELC provides unique opportunities for children to grow, explore and thrive. Outdoor learning supports the development of physical skills, social confidence, self-esteem, problem solving and independence.

Bush Adventuring at the ELTHAM College Environmental Reserve The Environmental Reserve, located across the road behind the College ovals and adjacent to the Hospitality and Training Centre, is a rich bush environment home to significant flora and fauna. This unique space provides countless opportunities for exploration, discovery and connected learning.

During Terms 2 and 3, the Bush Adventuring Program invites children into experiences that build confidence, self-esteem and independence, while also introducing an Indigenous cultural perspective on Country.

As children explore the reserve – observing plants, wildlife, animal traces and the many natural wonders along their path – they develop an appreciation for the uniqueness of this environment.

Throughout these experiences, we emphasise caring for Country, respecting the land and its ecosystems, and helping children understand the importance of protecting this special place

Can my child bring toys / items of interest?

Under the Education and Care Services National Regulations, we are required to keep accurate attendance records.

We kindly ask that all personal items remain at home to avoid loss or breakage.

Children must be signed in and out each day using the digital kiosk in the ELC.

Throughout the year, children may be invited to bring items that support classroom investigations or projects.

For safety and smooth transitions, we ask families to:

Do I need to provide a library bag for my child?

For visits to the Junior School Library, all students require a waterproof library bag with a carry handle.

Do I need to provide sunscreen?

Families should apply sunscreen before arriving each day. Staff supervise children to reapply sunscreen at intervals during the day.

30+ sunscreen is supplied by the service. If your child requires a specific sunscreen, please label it and keep it in their bag each day.

What should I do if my child is unwell?

• is unwell or appears unwell • required medication overnight for illness • has vomited during the night or that morning, please keep them at home.

Children must not attend the ELC until at least 24 hours have passed since: • their last episode of vomiting or diarrhoea • their last dose of pain medication Please notify your child’s teacher if they have an infectious disease.

Children with conditions such as mumps, measles or other contagious illnesses must remain at home for the exclusion period prescribed by the Department of Health.

Your doctor or your child’s teacher can assist if you are unsure about the required timeframe.

If your child becomes unwell while attending the ELC, we will contact you to collect them immediately.

If we are unable to reach you, we will call the nominated emergency contact to arrange collection.

Medication or creams must never be kept in a child’s bag under any circumstances.

Children must not attend the ELC if they require pain medication to manage an illness during the day.

While waiting, your child will be kept comfortable and separate from the rest of the group.

The College Nurse/ First Aid will be contacted and will assist or provide advice when available.

Can I send my child to ELC if they require medication throughout the day?

If your child requires medication during the school day, a Medication Authorisation Form must be completed and signed by a parent or guardian. ELC staff will administer and witness the medication being given. At the end of the day, the parent or guardian must collect the medication and sign the form.

All medication must be prescription medication, clearly labelled with your child’s name and dosage.

The Junior School car park is used by families from ELC to Year 6.

Please follow all signage, move at walking pace, and take care at all times.

Staff supervision begins at 8.20am, and students must not arrive before this time.

Pick Up All Junior School students are to be picked up at the Junior School gate or carpark.

OUTDOOR EDUCATION

Year 8 Coffee Shop – Work Experience

Outdoor Education continues to be a core part of the Year 7 and Year 8 experience at ELTHAM College. The program encourages students to develop a sense of personal achievement, strengthen connections with their mentor group, and build increasing independence.

Each student is expected to contribute to their group and take on responsibilities appropriate to their age.

The Year 8 Coffee Shop Program is part of the Year 8 curriculum and is delivered throughout the school year at Swipers Gully Training Restaurant, located approximately 300 metres from the main Research campus. This program forms part of the College’s hospitality pathway and provides an early introduction to the workplace.

Students complete three consecutive days of work experience during school hours. They are rostered in groups of four, with the Year 8 Coordinator allocating each student their scheduled shift.

During their three-hour shift, students learn to: •

make coffee using an espresso machine

Parents, family and friends are warmly invited to visit Swipers Gully, especially when their child is on shift. The Coffee Shop Program is an enjoyable and confidence-building experience, and students take great pride in serving members of the ELTHAM community.

Year 7 – Eumarella Bush Camp, Anglesea Year 7 students attend camp at Eumarella Bush Camp in Anglesea, where they explore the marine environment and experience activities that balance structure and independence, effort and relaxation, excitement and quiet reflection, comfort and challenge.

Year 8 – Grampians Multi-Day Camp The Year 8 program includes a multi-day camp in the Grampians. Under the guidance of experienced staff, students: •

8.2 Frequently Asked Questions How are classes allocated?

At ELTHAM College, we believe that mixedability teaching creates rich and diverse learning environments. Classrooms are intentionally structured with a range of abilities, strengths and learning profiles, and teachers use differentiation to adapt instruction so that every student is challenged, supported and able to grow. We value the diversity of our learners, recognising it as a powerful ingredient in meaningful learning for all.

The exception to this approach is Mathematics.

Because mathematical understanding builds sequentially, students need to demonstrate certain skills before progressing to the next level. For this reason, Mathematics classes are grouped using a process known as “setting”, rather than streaming.

Setting ensures: • students learn with others working at a similar skill level • teaching can be targeted to their stage of development • students can progress confidently through increasingly complex concepts To allocate students to the most appropriate Mathematics class, the College uses: • results from standardised tests • internal assessments • teacher recommendations Students develop at different rates, so progress is monitored regularly. To support efficient communication, we recommend families CC their child and their Mentor in any email regarding arrival or departure.

Students are encouraged to carry a mobile phone and a small amount of cash with them at all times while travelling off campus. Mobile phones must not be used for phone calls or texting during learning time.

Students attending the City Campus may only leave during the day once the College has received appropriate notification from home.

How does my child get to and from the City Campus?

If a student is unable to wear the correct uniform for any reason, please contact their Mentor to negotiate an alternative. The College school bag is a mandatory item at Year 9, although students may also choose to carry a small bag for essential items when they are off-campus during the school day.

Most students attending the City Campus will travel by train on the Hurstbridge Line.

If your child will use another form of transport, such as a bus or tram, please inform the City Campus so this can be recorded.

Students wearing incorrect uniform items will not be permitted to leave the campus during break times until the issue is rectified. Please also note that thongs and open-toed shoes are not permitted under any circumstances, including on free dress days.

Students may be involved in a sport and recreation program as part of their City Experience. They will be advised of the days on which they are required to wear their Sport uniform.

At the Research Campus, students must wear their Sport uniform and appropriate footwear for sport and recreational activities.

How does my child access First Aid and wellbeing at the City Campus?

First Aid will be provided by teaching or administrative staff at the City Campus, following Telehealth guidance from the ELTHAM College First Aid team at the Research Campus.

Due to limited staff and facilities at the City Campus, your child may be sent home as per usual arrangements if their condition does not improve after 20 minutes. With written parental permission, and with approval from the ELTHAM College First Aid team at the Research Campus, students may be permitted to leave independently via public transport or taxi. In an emergency, staff will call 000 and follow their instructions.

City Campus staff can store and administer medication once a Medical Authorisation Form has been completed and sent to the ELTHAM College First Aid team. Please note that all medication must be submitted for storage on arrival at the City Campus, except for EpiPens and asthma relievers. These must be carried by the student at all times if required under their Anaphylaxis or Asthma Action Plan.

OUR CURRICULUM

In their final years of secondary school, ELTHAM College embraces senior students as young adults, guiding them through the VCE years with an emphasis on our College Values: Be Courageous, Be Curious, Be Respectful, Own It and One Team.

Years 10–12 at ELTHAM College are highly personalised, allowing students to shape a learning pathway that reflects their interests, ambitions and strengths. No two programs look the same and that is intentional. We recognise that young people grow in different ways, at different times, and we design flexible pathways to support that.

At Year 10, students continue to develop their interests, social capabilities and independence.

They join their older peers in the Senior School building, benefiting from close proximity to supportive role models who demonstrate these values in daily school life.

To satisfactorily complete a unit and receive an S (Satisfactory), students must meet all learning outcomes. An N (Not Satisfactory) on any learning outcome results in an N for the entire unit. Learning outcomes are not based solely on completing set tasks; they require students to demonstrate an appropriate level of understanding of the area of study.

A student’s achievement in a unit is measured through a series of assessment components, which are graded by the teacher and reported to students and their parents.

The Years 10–12 program is designed as a multi-year pathway rather than a year-by-year structure. Some students undertake a threeyear VCE program across Years 10–12, allowing them to explore a range of subject areas before specialising in pathways that link to tertiary study or work.

These grades are not reported to the Victorian Curriculum and Assessment Authority (VCAA) and are considered internal grades only.

However, they provide valuable feedback to students as they consider undertaking Unit 3 and 4 studies in that subject or in related areas.

Assessment in Units 3 & 4 is a combination of: • School Assessed Coursework (SACs) • External VCAA examinations SAC results are reported to students and families using percentages and achievement descriptors (Very High, High, Medium, Low, Very Low or Not Shown), based on the criteria for each task.

All SAC scores are statistically moderated against the external examination performance of the ELTHAM cohort in that subject. This means that while SACs provide a strong indicator of progress, a student’s final study score is confirmed only after moderation in December.

Students who complete a Unit 3 & 4 sequence receive a study score between 0–50, issued by the VCAA. This is the final result for the subject.

VCE VET subjects

University Extension Studies

VCE VET subjects are theory-based and competency-based programs, such as Hospitality and Music Industry. A study score, or an increment towards the ATAR, is awarded once a student has satisfactorily completed two years of study in the subject. Students also gain a Certificate II or III, which is recognised nationally.

University Extension Studies are taught and assessed by the relevant university faculties according to their own procedures. College staff assist students in preparing for these courses, but the formal relationship is between the student and the university.

A student must be deemed competent in every element (Learning Outcome) in every Unit of Competency before ELTHAM College can issue a nationally recognised Certificate of Achievement.

The marking scheme for the VET SAC totals is as follows: Very High:

21 – 25 (84 – 100%)

High:

18 – 20 (72 – 83%)

Medium:

15 – 17 (60 – 71%)

Low:

12 – 14 (48 – 59%)

Very Low:

5 – 11 (20 – 47%)

To obtain an S for the associated learning outcome, the original grade of UG for the work will remain, even if the student later achieves an S. Similarly, for VET subjects, students may resubmit assessment tasks throughout the year in order to achieve competency. This is dependent on the student completing the required work before the course deadline.

School Based Apprenticeships School-Based Apprenticeships may be undertaken as part of a student’s program and are nationally accredited, for example in Horticulture, Carpentry, and Hospitality.

Block Credits Students may undertake approved VET subjects delivered outside the VET in the VCE program and may receive credit for these, for example VET Chinese.

A pass or higher in one of these subjects will contribute an increment to a student’s ATAR score.

OUTDOOR EDUCATION The Outdoor Education offering for Year 10 will run during Term 4 in 2025 on Wednesday afternoons This elective includes a range of adventurebased activities such as canoeing, rock climbing, caving, bushwalking and navigation. Students will also complete a Level 2 First Aid course with a wilderness focus. These activities are designed to help students prepare for the 7-day ‘Journey to the Top’ walk Embedded throughout the program are opportunities for students to Be Courageous as they challenge themselves in new environments, Be Curious as they develop outdoor and survival skills, and work together as One Team to support one another in the outdoors. WORKING IN PARTNERSHIP WITH FAMILIES The College intranet (mE) provides regular online reporting for students and parents.

These updates usually coincide with the completion of learning outcomes or assessment asks.

Students and parents can expect approximately three to four short comments per subject per semester. Reports can be printed at home at any time. Full printed end-of-semester reports are not provided by the College, except in special circumstances.

Parent/Teacher/Student interviews are formally held twice a year. Subject teachers and coordinators are also available throughout the year to discuss student progress. In the spirit of One Team, these conversations help families and staff work together to support student learning.

Parents/Guardians may email staff to arrange a meeting to discuss any concerns. It is the College philosophy that students attend these interviews, as they are considered responsible for their own learning and encouraged to Own It while engaging respectfully in discussions about their progress.

Electronic Communications Educational technology at ELTHAM College is provided primarily for learning. The College is the students’ workplace, and computers are tools that help students work effectively and independently. In the spirit of Be Respectful and Own It, all students are expected to act responsibly and appropriately when using these tools. .

Network Use All passwords and login details must be kept private. Files must be kept secure to prevent others from accessing your work or email.

Do not give your password to others under any circumstances.

You must never access another person’s files, whether through their password or any illegal means (e.g. hacking).

If you believe someone knows your password, please request a password change through the Head of IT.

Students are responsible for managing their own files. Files will be stored on Microsoft OneDrive (Desktop, Documents, and Pictures), noting that the Downloads folder is not backed up. Work must not be stored on the C drive of individual computers.

Access via College facilities must not be used to browse, download, or distribute material that is antisocial, pornographic, violent, illegal, racist, destructive, demeaning, or denigrating to others. Students must respect the laws and rights of others, including copyright, equal opportunity, anti-harassment, and antidiscrimination laws. Network administrators monitor internet usage.

Downloading large files such as graphics, music, video or software slows the network and may also breach copyright.

All printing is managed via student ID cards.

Each student must have their own card to print.

College Standards for Communications All communication over the College network, on social networking sites, or via email must align with the behavioural expectations outlined by the College. In keeping with Be Respectful and One Team, particular attention must be given to the guidelines regarding harassment and unacceptable language.

The rules prohibiting unacceptable internet use also apply to email use. Any violation will be treated as a serious workplace breach.

Students must not access sites containing material or topics prohibited in the section above.

The privacy of all individuals must be respected at all times. Students must not forward email addresses, personal details, or personal correspondence to others without permission.

Posting material online that brings the College into disrepute will result in serious consequences. Students are responsible for managing their own privacy settings on social media platforms.

Internet access is provided for educational purposes.

Upcoming Government Regulation on Social Media Apps The Australian Government has announced new regulations restricting access to specific social media applications, which came into effect on 10 December 2025. These regulations may affect how certain apps can be accessed or used by students while at school or when connected to school-managed devices and networks.

ELTHAM College is currently reviewing these changes and will provide further guidance to students and families once the implications for College systems, devices and digital practices are confirmed.

Until official advice is issued, all existing College technology and communication expectations remain in place.

Mobile Phones and Digital Devices Mobile phones must be switched off or set to silent before entering scheduled classes or events. Phones may only be used in class for educational purposes under teacher direction.

Texting or making/receiving calls during class is not acceptable.

The College reserves the right to monitor the use of its facilities, including email and network storage. Students must ensure that computers and devices are used appropriately.

Any physical interference with, or damage to, equipment must be paid for. Such actions will be regarded as serious workplace breaches and acted upon accordingly.

10.2 Frequently Asked Questions How do students enter or withdraw from courses?

Students are required to check their program of subjects for accuracy.

No entry into, or withdrawal from, a subject is effective until it has been processed by the LifeWork Centre.

Subject change requests should be made by the end of the third week of classes for each semester. This includes the two weeks of Early Start plus one additional week.

Will my student have to sit exams?

The development of examination skills is a crucial part of academic success at VCE level.

To support this, the College provides formal examination sessions at the end of each semester for Year 10 and VCE Units 1 & 2 subjects.

Attendance at these examinations is compulsory and is a required element for successful completion of the semester’s work.

Examinations form a major component in determining the study score for most VCE Unit 3 & 4 subjects. These examination dates are set by the VCAA.

What is the General Achievement Test (GAT)?

The General Achievement Test (GAT) is a threehour test assessing general knowledge and skills in three areas: •

All students undertaking a Unit 3 & 4 subject are required to sit the GAT. The GAT must be taken seriously, as results are used when a student is ill or experiencing personal trauma during another VCAA examination. Some tertiary institutions also use GAT scores as part of their selection process.

What happens if my student experiences adverse or special circumstances during VCE? Students who face personal circumstances that affect their VCE studies may be eligible to have these circumstances considered for assessment purposes. These circumstances are defined by the VCAA and/or VTAC, each with its own rules and application dates.

There are five types of circumstances: pecial Provision in Student Programs • S Assists students in managing their programs due to prolonged absences from illness, personal environmental factors, impairment or disability.

• S pecial Provision in School-Based Assessment Assists students with specific learning needs in meeting VCE outcomes.

• S pecial Examination Arrangements May be approved for students whose disabilities, illnesses, or circumstances affect their performance in examinations.

• D erived Examination Score (DES) Intended for students who are ill or affected by other personal circumstances at the time of a Unit 3 & 4 examination, where the exam result is unlikely to be a fair reflection of their learning.

• S pecial Entry Access Schemes (SEAS) Available to Year 12 students applying for tertiary entrance through VTAC who have experienced educational disadvantage.

This includes: – Access and equity schemes – Year 11 and 12 Special Consideration SEAS closing dates are set by VTAC and are usually in early October.

Any student who believes their performance is being affected by circumstances—including known medical or learning needs—should discuss this with the VCE and VET Coordinator, who will help with applications and provide supporting information.

From Prep to Year 10, you will study under the Victorian Curriculum, which provides a broad foundation across all subject areas.

If you do intend to travel, the College will not grant approval unless you provide full details of your travel arrangements on the form, along with written permission from your parents.

In Years 11 and 12, students study for the Victorian Certificate of Education (VCE.

Getting to and from ELTHAM College is simple, with a range of public transport and Collegeoperated bus services available for families across Melbourne’s north-east.

Students travelling from suburbs along the Hurstbridge Line can take the train to Eltham Station using a valid student Myki card. From there, the College is just a short 10-minute bus ride away. In positive news for families, from 1 January 2026 public transport will be free for all children under 18, making travel even easier.

ELTHAM College also operates two charter bus services designed to support students travelling from surrounding suburbs. These Collegeoperated services provide a safe and reliable transport option for students.

Public transport bus routes also operate in the area, and an additional Transport Victoria run student-only service runs from Doncaster to Lower Plenty. This bus service is not open to the public and students travelling on this service must present a valid Student ID when boarding.

ELTHAM College provides a range of supports to help international students strengthen their English skills and succeed academically.

English Language Support (EAL Program) The Senior School’s EAL (English as an Additional Language) program supports students from Year 9 onwards. The program welcomes students from diverse cultural and language backgrounds and focuses on individual needs and interests.

‘Sweet Talkers’ Co-curricular Program (Years 10–12) Students in Years 10 to 12 can join Sweet Talkers, a co-curricular group designed to build confidence in spoken English through films, speeches, poetry, songs and plays, all in a relaxed, fun environment.

The Department of Home Affairs requires international students to achieve satisfactory academic results, as determined by ELTHAM College, at the end of each term or semester.
