ABOUT THE GUILD Edith Cowan University Student Guild is an independent not for profit organisation run by and for ECU students.

We exist to promote the interests of our members, whilst providing support services and provision of extra-curricular activities and events on campus.

The Guild is overseen by a group of 15 students called the Senate who are elected annually.

PRESIDENT’S REPORT Dear members, One of the best thing about this report is that I am able to shed a light on the amazing work of the 2021 senate team and staff members and also provide an update of our 2022 progress. 2021 was a challenging year for all of us.

The senate that had been elected by the student body for 2021 continues with their best efforts to manage their departments.

40 events were organised by clubs and 120 organised by Senators with the help of staff members. Therefore, I am immensely proud to see the hard work and dedication shown by ECU Guild senators and staff. They have tirelessly worked every day from home or office testing new methods of delivering events, connecting with students on campus and off campus, and most important doing what we do best- supporting students and making sure they enjoy their journey through the University.

Unfortunately all of our sports teams were not able to travel interstate due to COVID-19 lockdowns. The ECU Guild in partnership with ECU Sports organised the Western Invitational Series where all our sports clubs participated. The Guild continues to invest in data systems to support our needs. In 2021 the Guild invested in Club Support Software, QPay to better support Club administration and reporting to the Guild.

In 2021, the Guild has commenced a review of the existing financial data system with a view to make an investment in a system more appropriate for our size and continued growth.

Considerable work was carried out in 2020 to improve relationships across the University and with other key stakeholders. This work continued throughout 2021 and the Guild now has regular and ongoing opportunities to meet and share information with Senior University staff to effect change.

The second hand bookshop continues to offer ways in which students can recycle their old textbooks.

Further to this the Guild offers a donations shelf in which students can pass on unwanted items to other students

Guild membership is free to all current ECU students including UniPrep Students.

SERVICES GUILD STUDENT ASSIST The Guild Student Assist Team saw an increase in the number of students accessing GSA services.

In 2021 we supported 1993 individual students, an increase of 313 students when compared with the previous year. The most common type of support required continued to be academic support in the form of advice and assistance for students with results related appeals, late withdrawal statements, complaints and academic misconduct appeals.

An increase of 365 appointments when compared to 2020.

The Guild also provided $18,702 of financial support to students in need. This included top ups to SmartRider transport accounts, grocery and fuel vouchers, Foodbank WA support and other discretionary grants.

The Guild Student Assist Team also established key referral pathways for students both within the University and externally to ensure that students obtain holistic support to improve their wellbeing.

Students were supported over 3684 appointments.

BOOKSHOP Book sales and buy-backs continued to fall in 2021. This seemed to be a result of limited stock available plus reduced enquiries as students moved away from physical books in looked to save money. ACTIVITIES AND EVENTS Events and Activities in 2021 increased significantly when compared to the number of events provided in 2020, from 90 to 160 events across the year with over 12,500 students attending our events in 2021.

As we adjusted to living with Covid-19 across the year a small number of events were cancelled or revised to accommodate any State Government restrictions put in place. With appropriate management these restrictions had a minor effect on events. The Guild also focused more on externally held events as feedback from the members indicated that these types of events and activities were preferred.

CLUBS The ECU Guild affiliated 56 clubs in 2021 across Academic, Equity and Social Departments.

In 2021, affiliated clubs received $53,120 of funding.

Significant Club events and initiatives included: • ECU Emus Sports Day. In 2021 ECU Guild welcomed the ECU Emus sports teams as Guild affiliated clubs. The Emus first activation day was held in Semester 2 and was a great success encouraging many students to try out for the on campus sports teams.

• The Contemporary Arts Club welcomed resident artists into the Building 12 Common Room space • ECU Equity clubs combined for an Equity Fashion show, not once but twice after the first show was cancelled due to Covid 4 hours before start time.

• The Ahlulbayte Humanity Club ran their third annual Peace Walk through the Joondalup campus in honour of frontline workers

The ECU Guild held the second Awards Event to thank both clubs and school representatives for their contribution to the campus community throughout the year.

DIRCKSEY In 2021 Dircksey produced two orientation foldouts and two full print editions. There was a special focus on keeping students updated with the ECU City campus consultation process and Dircksey liaised directly with ECU City campus representatives to ensure accurate commentary.

Pleasingly Dircksey had over 18 individual contributors to the two magazine editions titled Conspiracies and Missed Opportunities. Contributors provided editorials, fictional short stories, artwork, comics, poetry and a host of reviews that delivered a great all round magazine that had something for everyone.

In December Dircksey welcomed a new editor Zoe Carter taking over the role from Shaun Salmon.

SOUTHWEST In 2021 the ECU Guild South West Senators ran a number of independent events as well as collaborating with ECU on annual event days such as IDAHOBIT and R U OK? Day. The Swimming with Dolphins experience rated highly in event feedback. The ECU Guild South West Senators also ran weekly hang out sessions in the Building 7 Common room throughout semester 2.

Despite lack of student foot traffic on the South West campus, activations such as Free Coffee Days were welcomed during the exam periods.

OUR FUTURE Our focus at the end of 2020 was to increase the funding to the Guild for International Student support.

At the end of 2021 we commenced negotiations with the University who are committed to investigating common practice across the sector in order to increase this area of funding to the Guild from 2023.

We will continue to work with the University across 2022 to ensure that any outcome is beneficial for the Guild and our members.

The Guild will also continue to work on improvements in the space available to students and personnel so that we may improve our services to students.

In the final quarter of 2021 the Guild undertook a review of our Senate Structure to ensure that the roles were commensurate with the growth of the Guild and the support of student cohorts across the University.

Following this review the Guild has revised our Constitution and

will progress through the required approvals from our membership and ECU Strategic Governance to ensure that the Senate structure is fit for purpose for the future of the Guild and our members.

We will continue, across 2022 to develop and invest in our current and future growth, identifying new opportunities for commercial revenue and expanding our services to our members.

BUSINESS SERVICES AND FINANCE MANAGER REPORT 2021 was a more stable year for Guild finances (compared to the 2021 year) with SSAF funding being secured early and COVID-19 implications on our financial position more manageable despite ongoing uncertainty.

Ongoing changes to government COVID-19 regulations kept us busy ensuring compliance around our services and changing/rescheduling of events and activities as required to ensure compliance. Fortunately, we were able to run most of our larger events, with some modifications implemented. We did note a decline in student attendance and engagement, perhaps impacted by COVID-19 causing reluctance to be on campus, join larger groups and commit to events that were subject to late changes and rescheduling.

The Guild was also grateful to receive additional funding from several sources to help increase the level of services and activities offered.

This included: $50,000 from the VC for Guild Sporting Department – support fund to assist in providing equipment, uniforms, fees and other costs of transitioning the sporting clubs to Guild Clubs system and promote engagement and student culture through the sporting teams $10,000 from StudyPerth to support Multicultural Festival event As well as continued support for COVID-19relief programs funded from 2020 SSAF carried forward and LotteryWest grant received in 2020.

Thankfully, demand from students for financial support and other welfare support, did not escalate due to COVID-19 as anticipated, mainly due to continued border lockdown in WA and our community being able to continue to operate ‘as usual’.

As well, other changes to work restrictions for International students meant many of our student members were able to secure work and income to see them through the tough periods.

While not true for every student or industry, being flexible and looking at alternative options, where there has been growing demand has generally meant we are doing ok!

Our auditors for the second year are Moore Australia, who again have been able to issue an unqualified audit report on the attached Financial Statements.

Our planning for 2022 is well underway, with budgeting being finalised this month and looking forward to border openings allowing our staff and students to reunite with friends and family, after a long period of separation.

Report on the Audit of the Financial Report Opinion We have audited the financial report of Edith Cowan University Student Guild (the Guild), which comprises the statement of financial position as at 31 December 2021, the statement of comprehensive income, the statement of changes in equity and the statement of cash flows for the year then ended, and notes to the financial statements, comprising a summary of significant accounting policies and the statement by members of the Senate.

In our opinion, the accompanying financial report of Edith Cowan University Student Guild has been prepared in accordance with Division 60 of the Australian Charities and Not-for-profits Commission Act 2012 (ACNC ACT) and the Edith Cowan University Act 1984, including: giving a true and fair view of the Guild’s financial position as at 31 December 2021 and of its performance and cash flows for the year then ended; and complying with Australian Accounting Standards to the extent described in Note 1, the Edith Cowan University Act 1984 and Division 60 of the Australian Charities and Not-for-profits Commission Regulation 2013.

Basis for Opinion We conducted our audit in accordance with Australian Auditing Standards. Our responsibilities under those standards are further described in the Auditor’s Responsibilities for the Audit of the Financial Report section of our report. We are independent of the Guild in accordance with the independence requirements of Section 60-40 of the Australian Charities and Not-for-profits Commission Act 2012 and the ethical requirements of the Accounting Professional Accountants and Ethical Standards Board’s APES 110 Code of Ethics for Professional Accountants (the Code) that are relevant to our audit of the financial report in Australia. Basis of Accounting We draw attention to Note 1 to the financial report, which describes the basis of accounting. The financial report has been prepared for the purpose of fulfilling the Guild’s financial reporting responsibilities under the Edith Cowan University Act 1984 and Australian Charities and Not-for-profits Commission Act 2012.

As a result, the financial report may not be suitable for another purpose. Our opinion is not modified in respect of this matter.

Responsibilities of the Senate of the Guild for the Financial Report The Senate of the Guild are responsible for the preparation of this financial report that gives a true and fair view in accordance with Australian Accounting Standards and have determined that the basis of preparation described in Note 1 to the financial report is appropriate to meet the requirements of the Edith Cowan University Act 1984 and the Australian Charities and Not-for-profits Commission Act 2012 and for such internal control as the Senate determine is necessary to enable the preparation of the financial report that is free from material misstatement, whether due to fraud or error.

In preparing the financial report, the Senate of the Guild are responsible for assessing the Guild’s ability to continue as a going concern, disclosing, as applicable, matters related to going concern and using the going concern basis of accounting unless the Senate of the Guild either intends to liquidate the Guild or to cease operations, or has no realistic alternative but to do so.
