1) Cancellation: ECS Meeting exhibitors canceling after Exhibitor Application deadlines incur a 50 percent (%) cancellation fee. Cancellation after four weeks prior to start of meeting results in 100% forfeiture of exhibition fees.
2) ECS Expectations: This exhibit supplements the ECS meeting. Exhibitors are expected to present their products and/or services with awareness of meeting attendees’ educational needs. ECS reserves the right to deny any applicant who is unlikely to contribute to the overall meeting objectives.
3) Space Assignment Process: ECS attempts to honor an exhibitor’s space selection by the order in which a booth reservation is made. If a booth has already been assigned, ECS reserves the right to assign space as equitably as possible. The method of determining space assignments is established by ECS and may be changed periodically to accommodate ECS’s perception of the exhibit’s best interests. ECS reserves the right to modify the floor plan as conditions warrant, in case of emergency, and/or in the interest of any exhibitor.
4) Booth Restrictions: Display positions should not interfere with neighboring exhibitors or with normal traffic flow in the aisles. No booth shall exceed 8 feet in height. No display materials exceeding 4 feet in height may be placed in the front half of the booth. In the interest of all participating exhibitors and to preserve uniformity, displays must conform to the IAEE (International Association of Exhibitions and Events) Display Guidelines, which are a bona fide part of the space contract.
5) On-site Representative: Exhibitor must authorize an official on-site representative to be responsible for their booth. The representative shall be authorized to enter into such contracts as may be necessary with ECS and other contractors and subcontractors. At least one representative must be at the booth during all official exhibit hours.
6) Registration: Before the exhibit opens, exhibiting organizations receive an email requesting their free full (1) and exhibit only (2) registrations. Each additional exhibit only registration costs $300/limit 5
7) Children: Children under 16 years of age are not permitted inside the Exhibit Hall during setup and dismantling. Children under 16 are only allowed inside the Exhibit Hall during public hours and must at all times be accompanied by an adult with an ECS badge.
8) Responsibility: Exhibitor assumes responsibility and agrees to indemnify and defend ECS and each meeting's contracted venue and their respective owners, managers, subsidiaries, affiliates, employees, and agents against any claims or expenses arising out of the use of the exhibit premises.
9) Insurance: Exhibitor understands that neither ECS nor the venue contracted to host the exhibit maintains insurance covering the exhibitor’s property, and it is the sole responsibility of the exhibitor to obtain such insurance.
10) Amendments: ECS Show Management reserves the right to modify these rules and regulations at its own discretion.
11) ECS Meeting Code of Conduct: All attendees assume the responsibility of adhering to the Code of Conduct
