Email Signature Setup Instructions The Marketing Team has created branded email templates for use, if desired, to reflect brand standards at the corporate and property levels. Here’s how to add the template to your signature:

Add your signature to Outlook: 1.

Open your file: Find the .html signature file you were sent and double-click it to open it in a web browser.

Select the whole block: Click just above the top-left corner of the logo and drag down to just past the last line of links, so the entire signature is highlighted.

3.

Copy it: Press Ctrl+C (Windows) or Cmd+C (Mac).

Open Outlook signature settings: In Outlook desktop, go to File > Options > Mail > Signatures, then click New Signature.

Paste it in: Click inside the editing box and press Ctrl+V (or Cmd+V) to paste.

6.

Fill in your info: Replace the bracketed placeholders — [FULL NAME], [JOB TITLE], [PROPERTY PHONE], [EMAIL ADDRESS] — with your own details. Delete the brackets themselves.

7.

Set it as default: Under “Choose default signature,” set your new signature for both New messages and Replies/forwards, if desired.

8.

Save: Click OK to save. Send yourself a test email to check it looks right.

What you can edit: Your name ● Your job title ● Your direct phone number (or leave the default office line) ● Your email address ●

What to leave alone: The logo, colors, and fonts ● Spacing and layout ● The website, social, and other footer links These stay the same across every signature so the whole company looks consistent. If something looks off, send it back to marketing rather than adjusting it yourself. ●
