The Primaries are Over – Now What? By Robert Griffiths, BAAA Government Activities Director
The candidate race for election to Federal and State positions including, Senator, Representatives and a host of local candidates is now shifting gears and will become hot and heavy in the coming weeks. The race for Governor and U.S. Senator will generate it’s own momentum – we need to be mindful that we don’t lose site of the local races that impact us right here in our own back yard. Prior to the primary, 37 of the 40 candidates supported by APAC won their primary elections. You can check out the primary results at www.baaahq.
org under Advocacy News to confirm if your candidate won for their district. The “Contact your Legislator” section will provide you with a profile of the candidates in your area and information about contacting them by e-mail or to set up an appointment to discuss the issues that impact the apartment industry and the community where you live. With the addition of the four new counties joining BAAA this year, it is important that all BAAA members and Leadership get to know the elected officials in Sarasota, Manatee, DeSoto and Hardee County. We need to call on each

VOTE of these legislators in person before the upcoming November 6th election. It’s a big task, but it is critical to make sure that multi-family issues are at the forefront of the changes that are impacting the mood of local and state government. The industry is facing multiple challenges with the need for new affordable housing, re-habbing and modernizing existing aging housing and dealing with rising rent costs. We need to meet these officials with facts, ideas and solutions, not just warm friendly handshakes. We will vote a new crop of candidates into office on November 6th – we owe it to our owners and ourselves to give these legislators new or old, the tools to make rental housing work for everyone. Please call the BAAA office and volunteer to meet with our legislators – we’ll set up the meeting, go with you and give you the tools to make the multi-family industry’s voice heard. BAAA over the years has made many friends in the Florida House and Senate, if you know an elected official personally, please let us know and volunteer to join the group for a visit. The clock is ticking. Working together, We Can do this. •

MAINTENANCE MATTERS
September is National Preparedness Month The devastating hurricanes and wildfires of 2017 remind us of the importance of preparing for disasters. It’s likely that you and your team will be the first workers on-site after disaster strikes, even possibly before the first responders arrive. It is important to prepare in advance and be ready to activate your property’s clean up and recovery process. Hurricane season normally peaks in September (at ime of press, there were three named storms in the Atlantic). This year, wildfires are still burning throughout the Pacific Northwest from California to Colorado. Your safety, the safety of your residents, co-workers and family are critical to insure that you survive any extreme emergency whether it is weather related or fire or another catastrophic event. You may find a variety of challenges when you can return to the property. The time you and your company spent in preparing your plan before the disaster will pay big dividends knowing that you have the necessary equipment to begin the clean up process and assess the damage. After the disaster has passed, safety is the first priority when re entering the
area around your property. If you had to evacuate, follow instructions from local officials when it is safe to return to the area. A major emergency of any size could have a large impact on your property. Natural disasters like hurricanes wildfires or floods can mean your property may be partially closed for a period of time impacting electrical service, internet services, and support services for residents with disabilities. You will want to take photographs of the damage and note any additional materials you will need. If you have no electricity, you may have to arrange for generator backup. Before the serious clean up begins, make sure you have all the necessary Personal Protective Equipment (PPE) that 6 • September 2018 • Bayline
your team needs to get the job done as quickly as possible. Safety glasses, gloves, work shoes or boots, long sleeve shirts and pants, hard hats and face masks if needed. Assume all electrical wires are live. Use caution and watch out for pooled water to avoid a severe shock. Schedule the time before the end of the month for you and your entire team to take the free on-line training course (30 minutes)from FEMA titled “ You are the Help until Help Arrives”. Be cautious, be careful and be confident that you and your co-workers are Prepared, to Respond and Recover from any Emergency that comes your way. DIVERSITY DIGEST
20% of Multi-Generation Families Rent by Choice The number and share of Americans living in multi-generation family households have continued to rise, despite improvements in the U.S. economy since the Great Recession. In 2016, a record 64 million people, or 20% of the U.S. population, lived with multiple generations under one roof, according to a new Pew Research Center analysis of census data. People are living longer than ever. Nearly 80% of the population now lives past the age of 65. What does that have to do with apartments? As an industry, we spend so much time talking about Millennial’s and trying to figure out what their needs and desires are that we have sort of ignored this huge opportu-
nity with the Silent generation. Who is the Silent generation? They were born between 1925 and 1945. This generation is also known as Traditionalists and children of the Great Depression. Because of what they experienced as young children, they have a very strong military connection. They are patriotic, and in their minds conformity leads to success. This leads us to the next point. The Silent generation is and always has been okay with delayed gratification. Doesn’t this sound like another generation we love to talk about? And love to hate! Believe it or not, Millennial’s connect most with the Silent generation. They
have similar beliefs and values. Both generations need a sense of belonging. They need to feel like they are part of something but also preserve a little privacy. They both really value their stuff. I will admit the need for “stuff ” comes from two different places, and Millennials are definitely materialistic. However, it is still relevant when determining how you are going to market to them and develop apartment communities. Think about the marketing and advertising you see for the Silent generation. How often do you see them with a nurse, or a walker, or just something that communicates age? Like Millennial’s, the Silent generation is always battling stereotypes and negative connotations. The last thing they want is to be perceived as being old, sick, or disabled. They are active seniors, redefining what it means to age. That means you have to redefine what it means to market to the 65+ crowd. Not only is America’s senior population more ethnically and culturally diverse than the stereotype, it is becoming more so with each passing day The Silent generation was once financially conservative, but they are now willing to spend money on themselves. They have a now or never attitude and are ready to splurge! How are you aligning your marketing efforts with their buyer behavior so you can get a piece of that pie? Excerpted with thanks from www.epmonline.com and data from Pew Research Center. •

Aqua Mizer Headquartered in Sarasota FL, Aqua Mizer is a nationwide provider that focuses on water conservation through installation of our patented toilet tank system as well as other high efficiency plumbing fixtures that result in tremendous water and money savings. Our company has developed equipment that prevents inefficient toilets from wasting water. These unique patented components replace existing flush mechanisms in tank toilets and are designed to prevent catastrophic floods. The equipment also senses nine different toilet leaks (including flapper leaks) and prevents the tank from continuously refilling in those instances. We developed The Aqua Mizer Solution to reduce water waste and simplify the installation process for multifamily owners and property management groups. Aqua Mizer is currently certified by Green Circle as well as Underwriters Laboratory (UL) for up to 52% reduction in flush volume. Our installation teams make it simple and efficient for properties to increase their NOI and substantially impact their bottom line. This Green solution has a short payback period and the system carries a 10-year free part replacement. The Aqua Mizer support team is only a phone call away if advice or assistance is needed. 5 Tips to be More Productive Do you ever find yourself struggling to find the ambition to get things done? Whether doing a little end of summer cleaning, organizing or decluttering or maybe you’re trying to help your customers or employees stay focused on their own agendas, here are five tips to be more productive in your business and personal life. 1. Make a Reasonable To-do List. Don’t overwhelm yourself. To-do lists have a tendency to fail when we make them too complex. Some tasks take longer than others which creates an unbalance in the way we distribute our time. What happens then is that our to-do list then becomes a procrastination tool. We do the easy stuff and let the harder things stay on the list.
2. Focus on One Goal at a Time. Use the 90-90-1 rule to commit the first 90 minutes of your day for 90 days on your most important tasks. This allows you to focus on your priorities before your day really gets going. 3. Group Similar Tasks Together. Switching from one task to another naturally creates a bit of friction. These moments of starting and stopping add up and break our concentration. We get distracted and sometimes forget what we were doing in the first place. This can sometimes make our tasks take longer to complete. For example, don’t just respond to one email and then move onto the next task. Respond to all your emails before moving on to something else.
10 • September 2018 • Bayline
4. Be Accountable to Another Person. Find someone you trust to support you and encourage you. Whether it’s a supervisor, friend or colleague, having another person aware of what you’d like to accomplish can help you stay on task. Maybe as they help you stay accountable, you can help them stay accountable in return? 5. Ask for Help. Asking for help can be easier said than done, especially when it consists of swallowing our pride. People are naturally better at some things overs others. Allow people to utilize their strengths in order to help you can enable you to get your tasks done and maybe even learn how to do something more efficiently! •

Did Someone Say
B.U.D.G.E.T? By Mike Ballard, Partner, Ascent Multifamily Accounting
Throughout my career, I’ve helped countless clients map out a plan for success for the year to come. Oftentimes, that assistance includes a budget, along with a one year plan, that outlines everything a property management team should know regarding their fiscal identity. As any veteran of the industry can tell you effective budgeting is no simple task. It requires time, attention, and a clear understanding of where you’ve been and where you’re headed. Ultimately, it’s based on resources that are usually already stretched thin. As the year winds down, most property managers put their annual budgeting process into action. There are a variety of methods out there and while everyone’s process has its strengths, I employ a multi step process which includes a strategy for assigning individual responsibilities, as well as a method for reviewing research and market data. I take advantage of an out of the budgeting box idea that works for many of our clients: Start in September. Time is your secret weapon. Doing it right is different than you think. Do not procrastinate. Let me repeat that – Do. Not. Procrastinate. I’ve had many clients see their added ‘time’ bonus as an opportunity to simply go through the same motions, now at an extremely leisurely pace. Many multifamily owners I work with have scoffed at the idea of beginning the budgeting process during the
The Third Quarter is the Best Time to Budget – Here’s Why... third quarter. January is still a long way away – after all, there are still plenty of long summer days to enjoy. An effective third quarter budgeting strategy incorporates a fully developed schedule, complete with responsibilities divided among your team members with specific deadlines for first drafts submitted. To make the most of your time advantage schedule a late August early September meeting with all the people involved in spending the property’s money, including regional managers, as well as human resources and members of the accounting department. This team will review the current year’s budget, and also discuss any known, possible or probable unforeseen needs – providing you with a detailed overview of each department’s respective spending landscape. Then, go to work! My system, incorporates a wide range of external information into the planning process. Depending on the size of your market, an analysis of external data – such as average costs per property and/ 14 • September 2018 • Bayline
or unit, shared utility charge averages, or even trends in rental habits – often uncovers key characteristics about your competitive landscape, allowing you to develop various vital market specific benchmarks. Of course, you’ll want to take the time to examine your own data as well. Everything from your current rents and occupancy, trailing 12 month financial reports, utility increases and maintenance contracts, as well as marketing and salary information, can shed light on opportunities to maximize future year revenue.
Get and keep the right people involved. You, your owners and management company are a team in the budgeting process. Follow any major changes leading into years end and document everything along the way. On-site managers from each property should buy into their budget and provide constructive input. A good example is marketing. As recently as five years ago, marketing budgets were all print based, and now they are almost all digital. Now, marketing budgets need input from multiple people who can break down the budget into specific areas like Internet Listing Services (ILS), social media and print advertising, website creation/updates and SEO/SEM. Your team for this budget will involve more than just your marketing director to get a clear picture of what you’ll be spending on this critical function.
Consider working with a Consultant. A September start also ensures the availability of any third party resources, such as consulting firms or contractors, you might be considering involving in your budget process. Consultants often provide the direction required to develop a truly valuable budget. There will always be changes. If you’ve been an owner or property manager for more than a few years, you’ll know that everything can change at the drop of a hat. Occupancies alter unexpectedly, unforeseen improvements become necessary and stakeholder interests no longer align. For myriad reasons, our industry is fluid. So, what happens when things change in the fourth quarter? Your budget changes too! Just as you let your September figures percolate through your budget’s first draft, you’ll have the ability to update your 2019 budget again as the year winds down, letting your new numbers percolate just the same. From there, simply update the already agreed upon budget in a quick and efficient manner. When we talk to property managers who begin the process early, they tell us they notice tremendous improvements in efficiencies and performance. Consider getting started soon on your budget for next year and surprise yourself when you see how well it runs for you too. Download free budgeting tools from our web-site at www.multifamilyaccounting.com Resources, including a budgeting timeline to get your 2019 budget started today. Is Your Business Prepared For An Emergency? Is Your Data? When an emergency strikes, one of your company’s most vulnerable assets may be the data that is been central to your property’s or business’s success. September is National Preparedness Month. Take a quiet moment to review these six steps to help protect your company’s information from the unpredictable. CONDUCT AN INFORMATION INVENTORY While the skies are sunny, take an inventory of the data critical to your business – resident files, prospect or waiting lists, invoices, personnel files, tax records, etc. For a self managing owner or an independent associate member, it may be a matter of just one or two computers. For other companies, consider what’s on your network, smart phones, office desktops and laptops, and other linked devices including employees work from home computers. Don’t forget paper records in cabinets and file rooms, off-site locations, golf cart barns or the housekeeping and maintenance shop. Knowing what you have and where you have it is the first step toward creating a preparedness plan. STREAMLINE WHAT YOU RETAIN Some companies’ record keeping is the informational equivalent of that last warehouse scene in Raiders of the Lost Ark. Of course, there is material you must maintain. But to prepare for an emergency, it’s easier – and less expensive – to protect a smaller amount of data. (A sensible plan to securely dispose of electronic files and paperwork you no longer need has the additional benefit of helping your company start with security.)
BACK UP ESSENTIAL INFORMATION We’ve all heard data disaster stories: file cabinets floating down a flooded Main Street or confidential records blown miles away by a tornado. And it doesn’t have to be weather related. A broken pipe or a fire in the building next door can put your information at risk, too. The best preventive measure is a sound plan for backing up your business records – both digitized data and paper files. Depending on the size and nature of your company, you have lots of options: flash drives, external hard drives, online back up, and cloud storage to name just a few. TAKE SPECIAL STEPS TO SECURE BACK UP FILES A meticulously maintained back up won’t be of much good if it’s kept in an office damaged by a disaster and it could pose the risk of a data breach if off site storage isn’t secure. So give careful thought about both how and where to maintain your back up files. Keep your back up up to date and consider encryption for sensitive information. THINK THROUGH HOW EMERGENCIES ELSEWHERE COULD IMPACT ESSENTIAL SERVICES When it comes to service providers, it

really is a small world after all. That’s why a storm in Sarasota or a blizzard in Ohio can impact companies across the country and around the world. Do you have contingency plans in your contracts if an outage elsewhere impacts your information operations? FOLLOW THESE SUGGESTIONS AT WORK – AND SHARE THE INFORMATION WITH YOUR TEAM If you have ever looked for and ultimately lost vital information, it can be very costly and time consuming. Gone are the days when we had our business operations organized in neat stacks with utility bills, rent receipts and business licenses. Technology has made our jobs easier to create, store and use all the data that the rental office deals with on a daily basis. Once you are satisfied that your office is in ready to go emergency lock down condition, share the results of your preparations with your co-workers to help them better understand why these preparations could make the difference between being open for business or “out of business.” Excerpted with thanks from www.ftc.gov •
