How to Register an Organisation with the HI Service

How to register your organisation with Healthcare Identifier Service

To register an Organisation, you must either:

a. Be listed on the Australian Business Register with the Organisation

b. Have a letter of Authority from the Owner listed on the ABR, with an Acceptable Referee Declaration form located at: https://www.servicesaustralia.gov.au/organisations/healthprofessionals/forms/hw004 It is the owner’s details which require verification for them to nominate you as an RO.

Please note that the Registrant will become the Responsible Officer for the Organization. This is also the entity to whom the Office of the Australian Information commissioner will address any privacy and or data breach concerns.

• Log on to the PRODA account. • Open HPOS – click on ‘Go to Service’ in the HPOS title. o If HPOS is not linked, follow steps on page 3 to link the service • Click on My Programs • Click on Healthcare Identifiers-Register Seed Organisation • Enter the Business Details including ABN • Enter Next, your details will populate as the RO • Click Submit.

If you are listed on the ABR the process will submit electronically and a response will take around 15 to 20 minutes.

 If you are not on the Business register, you will need to submit the Letter of Authority and the

HW004. The application approval will then take two to three working days.

Once the registration is complete, the applicant will receive an email in HPOS message box, this will include:

• Confirmation of successful registration with My Health Record

• Healthcare Provider Organisation Identifier (HPI-O) number

• Responsible Officer (RO) and Organisation Maintenance Officer (OMO) numbers
