Exhibitor | Sponsor Terms - 2026

Welcome. Thank you for participating in our WEXPO event. Here, we outline the key terms to ensure a smooth, professional and successful event for exhibitors, sponsors and presenters.

1. Booking Confirmation

• Your participation is confirmed once your booking form is submitted and approved by WEXPO (the Organiser).

2. Payment Terms

• All fees must be paid by the due dates outlined in your booking.

• A deposit of 25% is due to hold your space and entitlements.

• Late payments incur a $100 administration fee per occurrence.

3. Your Exhibition Space

• Your stand is allocated by the Organiser.

• Stands must only be used for the products/services approved in your booking.

• Sharing, transferring or subletting your stand is not permitted without written approval.

4. Event Changes or Cancellation

• The Organiser may adjust dates or venue (within the same city) if required.

• If the event is cancelled, all exhibitor fees will be refunded.

• The Organiser is not responsible for any additional costs incurred by exhibitors.

5. Event Operations

• Bump-in and bump-out times will be provided prior to the event.

• Exhibitors must staff their stand during all official opening hours.

6. Presentation & Conduct

• All displays must be professional and align with the quality of the event.

• The Organiser reserves the right to modify or remove any display deemed unsuitable.

7. Compliance & Safety

• Exhibitors must comply with all venue rules, safety standards, and relevant laws.

• This includes health, fire and public safety requirements.

8. Insurance Requirements

• Exhibitors must hold Public Liability Insurance of at least $20M.

• Exhibitors are responsible for insuring their own equipment and materials.

• The Organiser is not liable for loss, theft or damage.

9. Liability

• The Organiser’s liability is limited to the total amount paid by the Exhibitor.

• The Organiser is not responsible for disruptions beyond its control (e.g. weather, emergencies, strikes).

10. Cancellation by Exhibitor

• All cancellations must be submitted in writing.

• If the event is fully booked: up to 50% of fees may be retained.

• If not fully booked: 100% of fees may be retained.

11. General Terms

• This document represents the full agreement between both parties.

• Any changes must be agreed in writing.

• If any part is invalid, the remaining terms still apply.
